2 DTS PAX (Public Access) The TrakRecord PAX is a full-featured product designed for both internal and external search functions. With just one interface for both applications making the system easy to use and support. 2

3 Account Registration To access the Public Access system the user must first create an account by clicking on Register in the upper left hand section of the Main Page. The user must fill in all Account Registration information. The Secret Question is used to reset a forgotten password. 3

4 Account Registration Upon completing the Account Registration and clicking Register, you will be routed to the Main Page and logged in which is indicated in the upper left hand section of the Main Page. If the user is registered, simply click Login Here to access the Account Login. 4

5 My Account Once you have registered and created an Account, you can view your Account Settings via the My Account tab each time you log in. 5

6 My Account - Profile From the Profile tab, you can: Change your Password Change your Secret Question or Secret Answer Update your Payment Preferences 6

7 My Account - History You can view your purchase History from the My Account Tab. You are also able to Print Grid for the history of your purchases. 7

8 My Account Charge Account You are able to link your Charge Account via the My Account Tab. This Charge Account is set up through your local Recorder/Register s Office. Your Account is selected from the Account Name drop down field as well as the associated Agent Name. You must then provide the Password associated with this account in order to validate the account. Once your Account is verified, you can Check Balance from this screen. Password protect is set via the Don t ask for password during payment option. By clicking the corresponding box, you will require that the password be entered each time this account is used. 8

9 Account Login Login is located on the Main Page in the upper left hand corner of your screen. Account Login is for users that have already completed the Registration process. If a user forgets their password, they can utilize the Forgot Password option to reset the password. The user must enter the User ID or that was used to Register the account. An will be sent to reset the password. 9

10 Settings You can set personal Settings that are linked to your Account. Toolbar: If you are Subscription Account the Subscription Timer Visible option will show the timer on your Main Page. Results Grid: Rows Per Page allows you to set the default number of rows to be displayed on each page of the result grid. The Auto Hide Search option will hide your search criteria upon returning your results grid. This allows you to display an entire page of results. Image: Display in allows you to choose how the image will display. Expander will expand the image on the current screen. PopUp Window will display the image in a separate window. Open Full Screen by Default displays the image full screen. Thumbnails Enabled will display the images in thumbnails. 10

11 Cart Shopping cart is the collection area you will find the list of documents you requested to print. Here you can view the document detail information, image, and request certified copes. Remove all documents from the list. View Image can also double click line Add to Detail Collection puts detail data into a collection for printing and/or exporting. Download or Print all owned documents from the shopping cart list. Buy and Certify click in the box of the documents you want to buy. If you want a certified copy of the document, click in the Certify box. Show Document Details Displays a pop-up window with the selected instrument details. Certified Copies When you select to purchase a Certified Copy, your print collection will be sent to the Cashier for printing and payment. At which time you will enter a print collection name to refer to the cashier. *Note: certify copy is only available to users at the county s public access station using the PAX system. 11

12 Searching Name/Legal Name/Legal The Name/Legal search can be filtered by; Last Name/Organization, First Name, Party, Recorded Within. The more criteria entered, the fewer results will be returned. One or all of these fields can be used in conjunction with the Advanced Search fields.. If you are uncertain of the exact search criteria, it is best to begin with a base search before beginning to add additional search criteria to narrow down your results. The Clear Search Fields button will clear all of the Name/Legal and Advanced search fields Click on the arrow to show/hide the Advanced search fields 12

13 Searching Name/Legal Name/Legal Example: If I enter the Last Name of Smith and select Summary Search, I will receive all instruments with the Last Name of Smith. This example returns 42,611 results. 13

14 Searching - Advanced Advanced The Advanced search is used in conjunction with the Name/Legal search. The Advanced search can filter by; Categories/DocTypes, Consideration, Legal Filters. The specific Categories/DocTypes and Legal Filters will vary depending upon the county. Consideration can be searched by a minimum, maximum or range. Additional Legal Filters can be added or removed as needed via the or icons. The more criteria entered, the fewer results will be returned. The Clear Advanced Fields button will clear all of the Advanced search fields. 17

15 Searching - Advanced Advanced Example: If I now enter an Advanced Search adding a minimum consideration, my results are narrowed down. By adding a minimum Consideration of $30,000, I will only receive instruments with an indexed name of Smith and a minimum Consideration of $30,000. This search narrows the results down to 12,497 results. The more criteria search on, the less results returned. 18

16 Searching Instrument Instrument Search The Instrument Search can be filtered by; InstrumentID and/or Book and Page. The Instrument Search does an AND search, which means if you enter an InstrumentID and a Book or Page, the search will only return instruments that match both sets of criteria entered. Again the more criteria entered, the fewer results. If you are uncertain of the exact search criteria, it is best to begin with a base search before beginning to add additional search criteria to narrow down your results. Click the Include Cross References check box in order to include them in your results. The Clear Search Fields button will clear all of the Instrument Search fields. 14

17 Searching Instrument Instrument Search Example: If I enter the InstrumentID and select Summary Search, I will receive only the records for the specified instrument. This example returns 3 results. 15

18 Searching Instrument Example: If I now select Include Cross References, I will receive the previous record along with any cross-references linked to this instrument. This example returns 5 results. 16

19 Sorting Grids Sorting Grids All grids can be sorted by any column by simply clicking on that column heading. The entire result set is included in the sort. In the below example, I will select the Consideration column for sorting. Notice that the Consideration column is hi-lighted indicating the results are sorted by this column. By default the first click sorts in ascending order. If I click Consideration again, the sort is now in descending order. 19

20 Search Results Depending upon your needs, you have the option of viewing your results in one of three (3) formats; Name Search, Summary Search and Detail Search. Each view will return the same records, but will return them in a different format. The example here will return the following results: Name Search The Name Search returns the results grouped by indexed name. The Name Summary Count is displayed at the top of the name group summary and you can page through the results via the page markers also located at the top of the grid. As you select the name groups, the indexes appear in the results grid. Summary Search The Summary Search returns the results grouped by instrument number. The Summary Search Count is displayed at the top of the grid and you can also page through the results via the page markers also located at the top of the grid. Detail Search All grids can be sorted by any column by simply clicking on that column heading. The entire result set is included in the sort. In the below example, I will select the Consideration column for sorting. 20

23 Search Results Name Search Name Search The Name Summary panel can be closed with the icon. The Results panel will automatically expand to fill the grid. At any point you can view the search criteria via the the Search tab again. icon or by selecting 23

24 Names Search Grid Export - allows you to export and save the current grid view to the specified file format (i.e. Excel, Word, CSV) Print Grid allows you to print the results grid to the specified printer. All grids can be sorted by one or multiple columns by simply clicking on the desired column headings. The entire result set is included in the sort. Note that this example is sorted by Count. 24

25 Names Search Results Grid Search Criteria takes you to the search criteria screen View Image you can also view an image by double-clicking the row. Save to Cart saves image to cart. Add to Document Detail Collection builds a detail collection. Print Grid allows you to print the results grid to the specified printer. Show/Hide Summary will display or remove the Name Summary panel Show Document Details will show a separate popup window with the selected instrument details. Show clicking here selects that set of names and displays detailed results in a grid to the right. You can select and unselect and the results will change automatically. 25

26 Search Results Summary Search Summary Search The Summary Search returns the results grouped by instrument number. The Results Count is displayed at the top of the grid. You can page through the results via the page markers located at the top of the grid. 26

27 Summary Search Results Grid Show Document Details will show a separate popup window with the selected instrument details. View Image you can also view an image by double-clicking the row. Save to Cart saves image to cart. Add to Document Detail Collection builds a detail collection. Print Grid allows you to print the results grid to the specified printer. All grids can be sorted by one or multiple columns by simply clicking on the desired column headings. The entire result set is included in the sort. Note that this example is sorted by both LastName & FirstName. 27

28 Search Results Detail Search Detail Search The Detail Search returns the results grouped by instrument number much like the Summary Search, with the exception that the Detail Search is not in a grid view. The Results Count is displayed at the top of the grid and you can page through the results via the page markers located at the top of the grid. 28

29 Show Document Details Show Document Details Shows the details of the row that is selected within the grid, which can include; Names, Legal Description, Volume Page, Consideration, etc. The specific information shown can vary based on individual county specifications. View Image Views Next or Previous document in the grid Save to Cart saves image to cart. 1

The Image will appear in a separate tab, but can be resized or moved to any desired location, include another screen if a dual monitor if available. 31 Search Results - Toggles Toggle Buttons The Toggle Buttons are located in the upper right hand corner of your search window. These are toggle buttons and will turn on and off various search results. A green button indicates the toggle is currently turned on while a red button indicates the toggle is currently turned off. Reset Layout will clear layouts on your screen and bring you back to the default view shown below. 32
