2 etitlesearch.com User Guide Welcome to etitlesearch, your Internet tool for searching land records. This application offers the ability to search land records by book & page, document number, name, land, related information and property address. Once the document or documents are found, the advanced image download offers the ability to view, print, or the image(s) requested. To begin, you must have an Internet connection and an etitlesearch account. The speed of your Internet connection along with the processor speed of your computer will have an effect on the timeliness of the etitlesearch application. Let s get started. Choose Internet Explorer. In the address line, type

3 Login, Install Plug-in, and Select County From the Main Screen you will need to click on the Login link. This will take you to the secure Login Screen. From the Login screen type in your Login Name & Password, click the Sign On button. This process will validate your Login Name & Password before you can continue.

4 Installing etitlesearch Plug-In (ActiveX) The first time you use etitlesearch, and various times as we upgrade software you will receive a message telling you that you are receiving an update. Please DO NOT CLOSE THE WINDOW. You will receive a message asking if you trust information from Ultima. Please click on the Always trust box and then click the Yes button. 6 Select county to Search Once the update has completed, you will need to select the county you want to search. If your account includes more than one county, you will have a drop down list to choose from. Once you have chosen the county you want to search, click the Select your Requested County & Click HERE >>> bar to continue. Search Manger Search Manager is a powerful tool for performing searching, and viewing documents. Additional Features of Search Manager: New Search Displays Search Criteria screen for additional name, legal, document number, or Book & Page searching. Refresh Performs searches on current Search Manager Order for any records that have added or modified from prior searches. Criteria Modify any criteria from a prior search

7 All - This is a filter that will allow you to display All or some of the instruments. Cut Cut any duplicate entries from search results Print Print Search Results listing in either classic print or basic report. You can export to a new file or an existing one. The printed search manager list will show the effective date of the plant, how the list is sorted, how you searched and how many total records are selected as well as the date and time that you printed. The printed search results have a gray-bar look that is easy to read. Search Patriot Database Right-Click on a name from Searches and select Search Patriot Database to perform a Patriot Search. Google Map Search: If the database that you are searching has the Address tab enabled, once you perform an Address Search, you can Right-Click on the address and select to Submit Address to Google Maps. This will open a new window with the search results from Google Maps of that address (If the address is available on Google Maps).

8 View Index: Once you have performed a search, you can click on the View Index button to display all information about the selected index. Printing of Documents Search Manager will display an image icon with the total number of pages for that document. By clicking on the image icon you can then select to download All Pages, First Page, First and Last Page, Select Page. Select Page allows you to download one page at a time. If you put in anything but one page number, etitlesearch will download all of the pages of the instrument. If you select Cancel, etitlesearch will download All Pages. The document will download to your computer and display in the Image Viewer window. The Image Viewer is a Pop-Up, so you will need to allow Pop-Ups from to view documents.

9 Imaging Options: Save, Print, Zoom In, Zoom Out, Rotate, Fit Width, Fit Height, Arrow through Pages, Go To Page, Use Thumbnails, . By doing a Double-Click within the window, you will see a Magnify Glass that will magnify the part of the page you are looking

10 Additional Search Results options: You can re-organize the search results by: 1.) Double-Click any column to sort by that column 2.) Click & Drag a column to another place Search Results Items 1.) Current County 2.) Effective Date of database 3.) Current Searches number of Hits. Hits are the number of records in the search results.

11 Perform Additional Searches By clicking on the New Search button, you can perform additional searches using a Name, Land, Doc #, B & P, Address, and Related. As you can see there are a number of tabs across the top of the search criteria window along with various options on the lower portion. These search tabs are based on how your database is setup so you may not have all of the ones shown. The first tab is the name tab. To search a name, it is important to know how the data was keyed in the county you are searching. Typically names are keyed with the last name, a comma and a space, then the first name, but not always. A good way to check this out is to utilize the Name Lookup feature. To use the Name Lookup feature, type in the last name of the person you want to search or in the case of a business, type the first word in the name of the business, then put a wildcard at the end of the name. A wildcard can be represented by the % (percent) sign. Then click on the button labeled Name Lookup. Be sure to remember, if you search without using a, (Comma) your name search will only lookup business names. If you search using a, (Comma), your search will only be looking for person s names, and not any businesses.

12 You can scroll through these names and click the box next to the name or names that you want to search, and then click OK. This will insert the name(s) you marked into the name area of the main search window. Check the other options that you want to use.

13 The Legacy option should be turned on if some of the names you are searching were entered with commas and some weren t. This option will tell the application to ignore the commas, so that the results will be sorted properly. The initial matching will search any names keyed with initials instead of actual names. For example, if you search for Smith, John with initial matching turned on, you will also find the J.E. Smith, J. W. Smith, E. J. Smith, etc. To search a name along with any common nicknames that might have been used, click the box labeled Nickname. If you want to see a listing of the nicknames that are being searched, click the Preview button. The soundex feature will search not only the name you enter, but names that sound like that as well, by assigning each consonant a numerical value and ignoring the vowel sounds. The higher the percent is set, the more exact the sound must match. Under the type column you can mark whether you want to search for only those records that match grantors names or grantees names or all records that match the name as either grantor or grantee. The source options will search all the given records for a specific county or just the general records that have no land associated or just the land records. Search results can also be narrowed by entering a date range in the Filed From and to area. The Filed To field also uses an F5 function key. It will place today s date in the field. The type of documents to be returned can be narrowed by choosing only Conveyances or Encumbrances. All is the default. If the database you are searching was created with related document information, but no legal description keyed on assignments and releases, you will want to mark the box to Include Assignments & Releases. The Limit by Instrument Type is used to only display names that were posted to an Instrument Type. This is a quick way to only search for documents posted to one document type. Once you have entered a name or names that you want to search, click the Search button.

14 Display Exact Legal can be used for Legal Description searches that you would like the Search Results to only display the legal that was searches. Include Null Arbs will allow the search to display Land Searches that also do not include Arbs in the database.

15 Additional etitlesearch Information: etitlesearch.com requires that you are using Microsoft XP (or later operating system) and Microsoft s Internet Explorer version 7 or later. If you are using Internet Explorer 8 and/or Windows 7, you will need to Right-Click on the Internet Explorer ICON and select Run as Administrator. This option will bypass some Internet Explorer security issues with etitlesearch. You will not be able to use etitlesearch using Firefox or other like products. Internet Explorer is a requirement to use etitlesearch. The first time you use etitlesearch or any time we update our software, just after your Login Name & Password validate, you will see a "BLUE" page that will stop and wait for the update to be downloaded and installed on your computer. If you are using Windows XP, you will need to click on the bar at the top of the page to accept the download. You should also select to "Always Trust" this way you will not need to see this again. This process will take about one minute or so depending on your Internet speed. To view documents make sure your popup blocker is disabled before doing a search. If you are still unable to view documents, you have other applications installed on your computer that are not allowing pop-up windows. This could be Yahoo, Google, etc. toolbars in your Internet Explorer, and/or anti-virus software. Be sure to allow to be used by any of these applications. Invoices are processed the first business day of each month for the prior month's usage. Your invoice is then sent to the accounting group within PropertyInfo for mailing. If you are using a credit card, the charges are processed as one item on your credit card bill around the 15 th of each month for the prior month changes, and will be listed from PropertyInfo.
