2 Creating your e-portfolio with Mahara and Moodle A Student Guide v1.2 This student guide is written for users whose first language is not English and have little to no experience with Mahara and Moodle. It is an easy to follow guide that looks at how you can create your eportfolio in Mahara. Additionally, it looks at how you can export items from Moodle to your portfolio on Mahara. Lastly it discusses options for users to share or export their entire portfolio. 1

4 INTRODUCTION TO E-PORTFOLIO An e-portfolio is an electronic format for learners to record their work, their achievements and goals, to reflect and share their learning journey. An eportfolio refers to an electronically stored collection of a students experiences, achievements and artefacts, together with their reflections on learning (Australian Learning and Teaching Council, 2010). Mahara is the e-portfolio management system that has been networked with Moodle. You should plan to use Mahara for the following: A. Gather content (experiences, achievements, artefacts, reflections); B. Use portfolio to organise; C. Share and publish. EPORTFOLIO CONCEPT MAP 3

6 A. GATHER CONTENT USING MOODLE TO ACCESS MAHARA Log into Moodle and click your course link. From the Moodle page, look for the Mahara logo. This will take you to the Mahara homepage which you will use to create your eportfolio. MAHARA HOMEPAGE FOR USP Mahara is an open source fully featured electronic portfolio, weblog, resume builder and social networking system, connecting users and creating online communities. Mahara, meaning think or thought in Te Reo Maori, is designed to provide users with the tools to create a personal and professional learning and development environment. (ecdf, 2006) In this space learners are able to capture, store and reflect on evidence of their learning; give and receive feedback; plan and set goals and collaborate with others and present to a chosen audience. 5

7 THE MAIN MENU The main menu is the most important feature for navigating around Mahara, (Derrin Michael Kent, 2010). It appears on almost every page and contains options for linking to all the important sections of your e-portfolio. You can see it at the top of your Mahara page and it will look like this: These are the main tabs on the main menu: Dashboard: Clicking on dashboard returns to Mahara homepage. Content: Clicking on Content allows you to navigate through your personal profile. Portfolio: Clicking on Portfolio takes you to your e-portfolio. Groups: Clicking on Groups will take you to e-portfolio Final Submission for Assessment. Moodle: clicking on this will take you back to Moodle. UPDATING PROFILE INFORMATION: 6

8 This Guide is designed to help you create your own profile page - your Profile Page stores your contact and personal information. This is the page in Mahara where you can start to build up a picture of your interests, achievements and aims. Each of the Profile fields can be considered separate artifacts which may be independently added to a Page. Submenus are found below the main menu. Here is the submenu for the Content section: 7

9 EDITING PROFILE 1. Click the Content tab on the main menu. The Profile tab appears. 2. Select the About me tab, 3. The Introduction section of the About me page uses your Moodle Profile. 4. Click the Save Profile button at the bottom of the page. 5. A confirmation appears as Profile Saved Successfully 6. Click the Contact Information tab. Fill in your contact information. 7. Click on the Social Media tab. You will be able to add links or usernames to your social media accounts (Facebook, Twitter, Pinterest, etc). You can display these details in your Portfolio pages. Enter your contact details for the facilities you use on this page. 8. Click on New social media account to add an account. 8

10 9. Click the General tab. On this page enter your Occupation and Industry details. 10. Remember to click the Save Profile button when you have finished. UPLOAD A PROFILE PICTURE Profile pictures bring your profile to life. 1. Click the Profile pictures tab on the Content submenu. 2. Click Choose File to find the profile picture you want to upload from your computer or USB stick or other storage device. 3. Add an Image Title to your profile picture before you click the Upload button. 4. Click the Upload button. 5. A message should appear to confirm that your picture has been uploaded 9

11 6. Select the picture as default and then click Set default. 7. You can have as many as 5 profile pictures. If you wish to delete a picture simply place a tick in the box and then click the Delete selected profile pictures button. We are now going to move on to creating a Resume. Click the Resume tab. CREATING A RÉSUMÉ The resume area allows you to build digital resumes or curriculum vitae (CV) which can be tailored for different audiences. 1. Click the Résumé tab on the Content submenu. 2. You can return to the Cover Letter after you have created your résumé. 3. Scroll to Personal Information, insert the required fields then click the Save button. 4. Click Education and employment 10

13 5. Click the Add button and fill in the information required for the other sections. 6. If you wish to make any changes click the Edit button or 7. Click the delete button to delete an entry. 12

14 FILES The files area is where you can upload and organise your files into folders. Files can be anything from pictures, documents, music to videos. 1. Click Choose Files and you will be prompted to choose files from your computer. 2. Alternatively you can drag files to this space to upload. 3. You can organise your files into folders. To create a folder enter a name in the box and click the Create folder button. 4. The folder will be listed in the this table. 5. Sometimes you may wish to download the content you uploaded. Click Download folder content as a zip file to download the files and subfolders within it. 13

15 EXPORTING FILES FROM MOODLE TO MAHARA For activities such as assignments and forum posts, steps in this section are done in Moodle. You can export your submissions and posts to the files section of Mahara. A link Export to portfolio will be available in all these items as highlighted in the following screens taken from Moodle. 14

16 Forum Post 1. When you click on the Export to portfolio link it will take you to the next screen below. 2. Select Destination as Mahara eportfolio. Note you can select the other option of file download if you wish to save it to your computer. 3. Click the Next button to proceed to the next screen. 4. Choose an available export format. a. Select HTML as your export format for forums and b. if it is Assignments select Leap2A format.. 5. Click the Next button to proceed to the next screen. 15

17 6. Review where you are exporting from and where you are exporting to. 7. A Summary of your export is listed. 8. Click Continue to proceed to the next screen. 9. Click Continue to your portfolio to view the Files area in Mahara. Now the export is complete. 10. Exported files are usually located in the Incoming folder in the Mahara Files section. However, for Assignments you may find it in the Home folder in Mahara. 11. This is an example of a file exported from a Assignment dropbox in Moodle. 16

18 ORGANISING IMPORTED FILES WITHIN MAHARA Once you import your files to Mahara using the steps outlined in page above, you will realise that most imported files will be stored in the incoming folder. However if you are importing several files from the same Assignment drop box in Moodle and choose the Leap2A portfolio format in step 4, page 16 of the this guide, Mahara will automatically create a folder for you and it will have the same name as the drop-box where you are importing from. We suggest that you use this option. Note that the following step is done in Moodle If you chose the file format in the step mentioned above, you need to further organise your folders in a presentable and logical manner as all imported files will be stored in the incoming folder. Hence you need to create sub folders, name them appropriately and move the imported files from the incoming folders to the newly created subfolders. To create sub folders follow these steps: 1. Under the Content tab (in Mahara), click on files 2. Type the name of the new folder that you want to create in the space provided eg Lesson Assessment Forms, remember you will only use this option if you are importing your files from Moodle using the file and not the Leap2A portfolio format 3. Click on Create Folder 4. The new folder you created would appear with the list of folders under the home tab. 17

19 5. To move your imported files from the incoming folder to the newly created Lesson Assessment folder, click on the incoming folder. You will see the contents of the folder displayed as shown below 6. Click and drag the folder icon for the selected file towards the Home, this takes the file to the parent folder. You ll see the file disappearing from the incoming folder. 7. Now click on Home and you will see the files sitting in the parent folder, 8. Click on the file icon and drag it to the appropriate sub-folder that you created in 3 & 4 above to complete the process. 18

22 B) ORGANISE This is the second phase of preparing an e-portfolio where we organise content (artefacts). The page can be organised in several ways, you can start from scratch and create a new page or copy other users page(s) if they allow you to do that. CREATING A NEW PAGE 1. To create a new page, go to the USP Mahara page and click on the Portfolio tab. See screenshot below. You will notice that there are sub-tabs under the main Portfolio tab. 2. Click on the create page button. Once selected, you will see the dialog box below appearing and sub tabs. Ensure that the edit title and description tab is selected. 3. Give your page a title. 4. Write a brief description, this will appear on the page itself. 5. Enter a tag. e.g. ED401 portfolio. Tags will enable you to find your page easily at a later stage when you have multiple pages. 6. Choose a display name; this field is mandatory. 7. Save your new page. 21

24 EDITING THE LAYOUT AND CONTENT OF YOUR PAGE Now that you have created your page, it is time to start organising the content (artefacts) into this page. You will notice that the Pages tab has 3 minor sub tabs, you were working on the Edit title and description tab in the previous section of this manual. EDITING LAYOUT Click on the second sub tab, Edit layout and choose a layout for your page. Save this choice, by clicking on the save button. You can change this layout again when the need arises. EDITING THE CONTENT OF YOUR PAGE. Now that you have selected a layout, it is time to start organising the contents. 1. Click on the Edit content tab (next to edit layout shown above) and the page below should open up. 2. We begin with the theme of the page. It changes the general outlook of the page and you can select from the options given. Click on the drop down menu and choose a theme that suits your purpose. 3. You will notice that there are further sub tabs displayed vertically (as shown below) and each will be discussed in detail. 4. Your task now involves choosing content to include in your page. To choose an item under sub tabs (eg. Text tab), click, hold and drag the item into the grey area shown. 23

26 SELECTING A FILE TO INCLUDE IN YOUR PAGE To select a file to add to your page, you can either choose from the collections that you have already created or from files that exist outside of Mahara. Click on the Media tab below and you will see a drop down menu appearing. Left Click (hold the click) and drag the File(s) to download icon into the space shown above, then release the click. You will notice the dialog box below appearing. 1. Type in a block title This will be the heading for the file and will appear on your page. 2. Retractable Allows you to collapse and expand the file section. 3. To add the file, click on the file drop down menu, you will see the dialog screen below appearing. 25

27 4. If your file is located outside Mahara, use the Choose Files option to search for it. 5. If your files are already in Mahara, then select them by clicking on the icon or file name. Once selected you will see them appearing in position marked x. 6. Save your selection. SELECTING A FOLDER TO INCLUDE IN YOUR PAGE. A folder contains several files. To select a folder to include in your page, you drag and drop the folder item to the chosen section of your page and a dialog box will appear (next page). 1. Click on set a block title to set one. 2. Click on the folders bar to reveal the drop down menu. 3. Select a folder you want included in the page by clicking on the name. 4. Choose the sorting option. 26

28 5. Select retractable option. 6. Save. Note: To add other items from the drop down menu to your page, simply follow the same procedure as adding files and folders. 27

29 ADDING JOURNALS A journal is a written record of your thoughts, experiences and observations. You can write in your journal daily or whenever you feel like it. Mahara allows you to display these journal entries on your page. 1. Begin by clicking on the Journal tab as shown. 2. You can choose the prefered display option by dragging and dropping the item of your preferred choice to the selected section of the page. Option 1 : Journal Allows you to display an entire journal in your page. Click, hold and drag this option to the selected section of your page, you will see the dialog box below. Before you begin, give a title for your block. 1. Select the journal you wish to display. 2. Select the number of entries per page. 3. In this section you get to choose copy permissions which governs how your journal will display for those copying your page (if you allow it). 4. Choose retractable option. 5. Save. 28

30 Option 2: Journal Entry - This option allows you to choose a single entry to display. If you select this option, you will see the dialog box (next screenshot) appearing. 1. Select a title for the block. 2. Choose the single journal entry you wish to display. 3. The rest of the steps is similar to 3,4 and 5 above. 29

31 Option 3 : Recent Journal entry - This option allows you to select your most recent entry to display on your page. Option 4: Tagged Journal entries - This option allows you to select your tagged entries. The process is similar to those outlined for options 1 & 2 but differs slightly when it comes to choosing which journals or entries you wish to display. 30

32 C) SHARE 3 AND PUBLISH SHARED BY ME When you have created your portfolio pages, you may wish to share them with others. You can set the access permissions on the Edit access page. It is accessible via Portfolio Shared by me or directly from the page editor when you edit a portfolio page. The Share overview page shows you the following: 1. Collections: Your collections are sorted alphabetically. To see the list of collections click on the Collections tab. 2. Pages: Pages that are not in a collection are listed alphabetically. To see the list of Pages click on the pages tab. (the screenshot above shows the Pages list) 3. Access list: The list of users, groups or institutions who have access to a particular collection or page. 4. Edit access: The Edit access button next to each collection or page allows you to change the permission of who can view a page or collection. 5. Secret URLs: The Secret URL edit button next to each collection or page allows you to set up one or more secret URLs for a page or collection. The number of secret URLs that you have generated is displayed next to the button. EDIT ACCESS FOR USERS WITH AN ACCOUNT The Edit access page allows you to set the permissions for a single user or multiple users who should be able to view some of your portfolio pages or collections. You can assign access to a single page or collection at a time or to multiple pages and / or collections at once. You have a number of choices for selecting who shall be able to see what. Always click the Add button if you want to add a group of people or an individual. Click the Edit access button next to the collection or page for which you want to give access permissions. 33 1. You can either search for a collection or 2. Search for a page and select it. 3. Now you can choose whom you want to share your portfolio page by clicking Share with. 4. Public: anyone online (worldwide) who knows the URL(s) can see your selection of pages / collections. 5. Registered users: all users who have an account on Mahara can view your selection of pages / collections. 6. Friends: all your friends on Mahara can view your selection of pages / collections. 7. Institutions: select your institution(s) with which you want to share your selection of pages /collections. This will allow all members in these institutions to have access to this selection. 8. Groups: every member in the groups to whom you belong can view your selection of pages / collections. SHARING WITH A SPECIFIC USER In the same screen as above you can add a specific user by selecting users in the Share with list. 32

34 1. Click on user. 2. Enter a user s name. Click the user s name that appears to select it. 3. You may select a period in which a user may have access by setting a From date to a To date. 4. Click the Save button (green) to save the settings. 5. You can delete the access you added by clicking the delete icon. 33

35 CHOOSE ADVANCED OPTIONS You can choose a number of additional options which are applied to all pages and / or collections that are selected. Simply click the button next to the option to change it to Yes or No. 1. To view or hide the Advanced Option click on Advanced Option. 2. Allow comments: This is enabled by default to encourage you to allow others to comment on your pages. 3. Moderate comments: Enable this if you wish to see any comment before it is made public, i.e. can be seen by others who have access to the page on which the comment is made. 4. Allow copying: Enable this you want to allow the users who can view your page to make a copy of it for themselves. Any text box content, files and folders will be transferred to their portfolio. For journals or journal entries you decide separately whether they can copy them or not via the Block copy permission. Profile information, plans and résumé information are not copied. 5. Overriding start / stop dates: You set the time frame for when all users who have access to your page/collection can view your page. The dates here override any individual dates you may have set. 34

36 6. Click to save the options or cancel it at the bottom of the page. EDIT ACCESS FOR USERS WITH NO ACCOUNT Users who do not have an account in Mahara can be given access to your portfolio. For example: you can provide access to a prospective employer. share your portfolio with colleagues or other professionals. provide your portfolio for assessment. You may do this by providing them with a secret URL. CREATING A SECRET URL Click the Edit secret URL access button highlighted in red, next to the page that you wish to provide access to. 35

37 1. Click the New secrete URL button to generate a new secret URL. You can add as many secret URLs as you wish 2. You can now copy this URL and paste it into an to send it to somebody. 3. You can click the Edit button to add a time restriction for access to your page / collection via this URL. 4. Type a From and/or To date (and time) via the Calendar. 5. Click the Save button to save the date access changes. 6. Click the Delete button if you do not want to use this secret URL anymore. SHARED WITH ME On this page you can search for portfolios that have been shared with you. Usually if you want to share templates so that other users you can use the options in this section. The default search options are: Search the title, description and tags of a page. Sort the results by last update or last comment. Show results of pages that have been shared with you directly, as a friend or a member of a group. 36

38 1. By default Search within is set to Title, description, tags. You may click on the downward arrow and change it to tags only. Enter a word in the box to search. 2. By default the results are sorted by Last Update or comment. Click on this field if you wish to sort it out of either Last update, owner, title. 3. Click on the Search button to start your search. 4. The results will be shown in the table. The title is linked to the actual portfolio. Click on the title to go to the portfolio page 5. Click on Advanced options to refine your search. 37

39 EXPORT You can export your portfolio to A. keep your content offline. B. use/import the eportfolio into another eportfolio system You have two export formats to choose from: Standalone HTML web site: A zip file 4 containing a website with your portfolio data is created. You cannot import this into Mahara or another portfolio system again. It is readable in a standard web browser and you do not need Mahara to view it. To view this web site, extract the zip file and click on the index.html file that is in the folder. Leap2A: A zip file containing a folder in the Leap2A standard format is created. You can import this into another Leap2A-compliant system or have it imported by an administrator into Mahara or another eportfolio system. 1. 40 2. Select all data. If you wish to select only a few pages or collection then select those options. 3. Select Include user feedback to export all comments made to your portfolio. 4. Click the Generate export button to download portfolio. Depending on what type of web browser you are using there will be a notification that your download has started or has completed.
