6 Introduction The 2018 MyNetball handbook is designed to be a tool that Associations can use throughout the season, it includes information on; administrative tasks, online registrations, reporting, competitions, umpire management and websites. Some of the great features that are in MyNetball include; Less administration. Associations can assign tasks to Clubs such as creating sign up forms and nominating teams for competitions Members can maintain their own information allowing for a more manageable workload More flexible and intuitive competition management Greater access to results and fixtures through the MyNetball app on mobile devices Integrated ability to SMS teams with late changes Automated umpires scheduling, with and/or SMS notifications Visibility over member s accreditation status; with the ability to encourage members to stay current Increased control over the look of information on your websites Enhanced communications, with delivery statistics and list management People management, record the details of everyone involved in netball and assign them a role A central starting point, MyNetball will offer an informative and easy to navigate portal allowing people to quickly access information they want Administrative tasks MyNetball User Agreements MyNetball user agreements will be managed by Netball Queensland for Associations and any affiliated Clubs. 1. Netball Queensland to provide a copy to Associations and any affiliated Clubs that need access to MyNetball. 2. MyNetball user agreements are to be ed to mynetball@netballq.org.au to be processed. Refer to Appendix 1 for a copy of the 2018 MyNetball user agreement. 5

7 First time login Once you have received an with a user name and password log into Enter the user name and password on the right hand side ensuring that you have the administrator option active. Managing your Associations details The next section is to familiarise yourself with the organisation details tab. This is where you can update information about your Association including website and Facebook accounts. To access this section, you will need to select the organisation name in the top right hand corner. Select the organisation details. This will open an organisation details window which can be edited. In the edit organisation details screen update all the information. The only information that can t be updated is the organisation name and abbreviation. If you require this information changed, please contact your RNO. 6

10 To update office bearers of the Association, ensure that the new season has been opened and select the organisation name in the top right hand corner. Select the office bearers. This will open a window in which the office bearers can be edited. Change the season Click on the icon to add an office bearer position and name. Enter a title and select the current person from the list. It is important that your office bearers are listed as a person in MyNetball with a role of office bearer, this will make adding your office bearers more efficient. 9

11 Don t forget to click ok before you continue. Repeat process to add; President, Secretary, Treasurer and any other office bearers that the Association needs. Do not display addresses or contact numbers unless you have permission from the office bearer as the information is populated out of their person MyNetball account. Once all office bearers are entered click on the apply changes button. Navigating the home screen After you log in, you will see a menu bar at the top of the screen, just beneath the main MyNetball banner. Users can change their menu view according to the task they want to complete by selecting the appropriate Menu Mode. Menu Mode Menu View Specific for each mode Menu Mode: Toggle between modes available competition management, competition participation and website Menu View: contains all the menu items that are specific and available for the selected mode **It is recommended that you take some time to browse through each Mode and associated Menu Views to help familiarise yourself with the options available. The following table provided a broad description of each mode available in MyNetball. 10

12 Mode Competition Management Competition Participation Website Description All functions relating to the set up and management of a competition including fixtures, grading, setting up ladders and entering results. Creating online registration sign up forms direct to members and/or competition nomination forms to clubs. This menu mode is mainly used for clubs to manage participation competing at Association level. Manage or add content to your MyNetball Association website. Quick Launch As well as menu modes, the quick launch allows for quick execution of common tasks. Quick Launch is accessible from the Home menu heading of the Competition Management and Competition Participation Menu Modes. **Before using this ensure that the season is correct each time. As you can see from the picture above, you can perform a number of tasks using the Quick Launch screen including reviewing results, recalculating ladders, ladder adjustments and quick umpire searches. Online registrations only in 2018 Registrations for 2018 will be only online for all registration types. 14 Ensure the lock date is after the opening date. Tick the active box. Tick to allow inherit (clubs inherit the season). Then update. Then create the Associations registration types and set the Associations pricing. PATH: Competition management Registrations Registration types The registration type needs to be active for a parent type (NQ) for a child organisation (Association) to be able to use. Edit the registration type. 13

Give the registration type a name and description. Select a default person role for the registration role. Ensure it s active. Tick only the business rules boxes (see below examples) that apply to this registration type. The age range needs to be between the parent organisations age range. 14

16 Enter the fee in the fee structure section. The Association charge only, not including NQ fee. Save and repeat for each of the registration types that the Association offers. NetSetGO secondary pricing can be added for the second season or a twilight competition. Notice that the Association can have a fixed price for those participants that have been already registered as a NetSetGO participant earlier in the registration year. 15

The administrator will need to be logged into MyNetball then copy and paste the link below onto the URL address. The below screen will appear. 18

20 Update the account. Pass the link onto the Associations clubs to have the clubs bank account information added for split payments. Creating contact lists for your affiliated clubs Created contact lists for affiliated organisations can be used in the communication tools. 21 The screen below appears, select the edit button to create contacts or edit existing contacts for each child organisation. Select to add a new designated contact 20

22 Select from the drop down list of members, and add. Update changes before returning to child organisations screen to complete other child organisations. Person List To create a list of members with particular roles or age ranges; PATH: Competition management People Person list Once selected person list the following screen will appear. 21

23 Filter through the options to create a list of members; select a role, age range, registration period or registration type. Select display list. Scroll down to the bottom of the page and download the data into an excel spreadsheet. Person search The person search tab will find anyone that has a role with the Association; past or present. PATH: Competition management People Person search By selecting the show extra filtering the screen below will appear to minimize the parameters. 22

24 Add new person Selecting the add new person tab will allow the Association to search Netball Australia s database for any participant that has a role within any affiliated organisation with Netball Australia. 25 Custom Person Lists Created custom person lists can be used in the communication tab. The below screen will appear; PATH: Competition management People Custom person lists Manage Click to add a new custom person list or delete, edit or view current lists. Click the view option to view the actual list of members and custom filters selected. Click on to add new custom list and the screen below appears. 24

26 Enter a title for the List. This will be the name used to identify the list from the administration menu. Optionally, enter a description for the list. This is only displayed on the Custom Person List Management screen to further describe the List Optionally, select a Person Filter which has previously be created. If a filter is applied, this will reduce (filter) the number of persons displayed in the list according to the criteria specified in the filter. If a filter is not applied, it is equivalent from selecting those with any role within your organisation. Select one or more Output fields by clicking the field name in the available fields list, and clicking the Add -> button. Fields can be removed by clicking the field name in the chosen fields list, and clicking the Remove -> button. These selections affect which fields (data columns) appear in the custom list. Click the Move Up or Move Down buttons to determine the order in which the 25

27 columns will appear in the list, however any custom fields selected will always display as the last columns of the custom list. There is a limit of 20 columns that can be added to a custom list. **Note - Click one or more of options to display extra fields in the available fields list: Custom Fields as defined by the current organisation or by a parent organisation. Player Fields - these are certain fields that apply specifically to player roles. **Note - If selecting registration fields you must apply a player filter to the custom list which selects the applicable association the players are registered to, otherwise these fields will not display in the list. Umpire fields - these are certain fields that apply specifically to umpire roles. Enter the Rows per page from 10 to 100. If more records than this figure appear in your list, they will be broken up in to pages of this size. A small figure means more pages, but each page will load more quickly. Large page sizes may mean slow load times. Select the Sorting type: Auto: Means that each column in the list can be sorted by clicking the column heading when accessing the list. Only a 'primary' sort is possible using this method, ie secondary sort columns (to apply for equal values in the primary column) cannot be specified. Custom: Select which columns to sort on, the list will first be sorted on the Primary column, then the Secondary and Tertiary columns. The sort order cannot be changed when accessing the list using this method (ie column headings will not be clickable) Select an Available to option: ALL means all users from your club can access the list, logged in user means the current user only Click the Save List button to save changes. Custom Person Filters Created custom person filters allows the Association to create lists of members either based on roles or responsibilities. These lists can be found in the communication section. 29 Static filters page looks like the below image. Once the filter has been created, save before leaving the page. Person Roles MyNetball has the ability for participants to have multiple role with multiple organisations depending on how the participant is involved with netball at any given year. Participants role status is completed through the registration process, as soon as a participant register s via the Associations online registration form they receive a role eg. Junior player, NetSetGO player or a team official umpire. If you need to add a role to a member of the Association eg. The participant has registered as a senior player and they also umpire for the Association and needed to add the role as an umpire to be able to picked up on an umpiring list. 30 The page below appears; there are three (3) steps to follow. Step 1: Select the display all option of the current role of the member. 29

31 The list will appear on the right hand side. Step 2: Tick the box next to the members that you need to add roles to (one role at a time). Step 3: Fill in the options in sections 2,3 and 4. Commit changes before repeating the process to add other roles. Person Contact Details PATH: Competition management People Person contact details 30

32 The screen below allows the Association to make changes to some basic information in member s records. Select the edit icon to make changes and use the green tick to update. 31

33 Suspended Players PATH: Competition management People Suspended players Add a new suspension/exclusion. Choose the club, player set dates and make any comments needed then save before leaving the page. 32

34 Once created, administrators can view, edit, delete or download the data into an excel spreadsheet. Merge Request From time to time participants can have more than one MyNetball number created which can be difficult for participants to keep track of their registrations and their online learning. If you notice that your members have more than one MyNetball number can you, merge the numbers together to ensure that the data is as accurate as possible. PATH: Competition management People Duplicates Person merge request Merge old or unused MyNetball numbers into the one that the participant would like to keep. 33

35 If, however once completed the merged MyNetball states that you can t complete this merge (no access) please let your RNO know and they can complete it for you. Accreditation report Accreditation reports can be generated for coaching, umpiring, and bench officials. This report gives the Association the opportunity to audit your officials to ensure that they are currently accredited, due to fill in a log book for the new season or wanting to complete the next level of accreditation. PATH: Competition management People Accreditation manager In the accreditation manager you can use the drop down box to change the accreditation type and accreditation. Select the level of accreditation, be mindful if the coach holds a development level they won t show up if the foundation level has been selected. It would be recommended to choose all accreditations under the accreditation option. Once selected the accreditation type, it will show the officials accreditation status; either green tick for currently accredited or a red explanation mark for expired accreditation. This report will indicate what accreditation, achievement date and expiry date for each member. 34

36 At the bottom of the page the Association can down load the data into an excel spreadsheet. An Association can use the static person filter to send bulk s to coaches or umpires for up and coming courses. Once selected the image below will appear on the screen. 38 Creating membership products To assist Associations in streamlining their membership registration and sign-on, there is an option to utilise online facilities to allow members to sign-on and register online. To start this process, you will first have to create a membership product. **Note: NetSetGO is not created under products. PATH: Competition management Online forms Configuration Products This will take you to the configure membership signup products Page. From here you select add member subscription product or update a product that was used in previous years. Complete the form and press update to create your member product. Remember that you will need to create a different one for each membership type for example; Junior, Senior, Non-playing memberships, Volunteers and Get Started Voucher discounts. Available dates = registration opening and closing dates eg. 1/1/2018? Subscription dates = membership valid between dates eg. 1/1/ /12/

40 After pressing Update, you should receive a confirmation message: Back to management screen and you should see the newly created product. 39

41 Repeat until you have created all of your products. Now you have a membership product, you need to create a signup form to allow members to access the product, and register for the current year. Creating a sign up form The sign-up form is the way that members can access the membership product and sign up to the organisation. Ensure that the product type matches the sign up template type; eg. membership product is only visible on a membership signup form. PATH: Competition management Online forms Configuration Signup form This will take you to the signup form manager page. From here you select add new online registration form or you can re-use the form from previous years. On the following page use the drop down box and select a NA Template and press refresh. Select a sign up form that matches your product category. Eg. a membership product will only be visible on a membership template sign up form. 40

42 Complete the form and click on update to create signup form. The form has been broken up into sections for this manual. Create a title, make the form active, add a disclaimer, recommend that the is a generic . **Note: See next screen shot for additional information about the top description box. To add a link select insert link icon, to add an image select insert image icon. Add any information that your members need to know before purchasing your product. Update before closing the top description box. 41

43 There are three options for payments; Online payments direct into the bank account o Select MyNetball Payment Service o Ensure that allow offline payment option is not ticked Split payments split four ways depending on where the organisation sits on the tree; NA, NQ, Association and Club o Select MPS Disbursement Gateway o Ensure that allow offline payment option is not ticked o Don t select this option if using Get Started Vouchers Create a separate sign up form for Get Started Vouchers Offline payments members create a registration online but don t require to pay at the time o Select No Gateway o Ensure that allow offline payment option is ticked If selecting offline payment option, add additional information to the offline payment description eg. bank account details and reference. The fields below are Netball Australia s default fields. The transaction fee is Fixed Charge 31 cents (0.31) and Variable Charge 1.78%, to ensure that the Association isn t without full payment. 42

44 Associations can add additional custom person fields which are visible on the left-hand side of the screen. Use the arrows to move the questions into the sign up form or move it off. 43

45 Membership type products are found in the top two boxes with saleable item products available on the bottom two boxes. The left-hand side products are not visible on the sign up form, use the arrows to move them onto the sign up form. The only two options needed in the behaviour options are already selected. Ensure to update before leaving the page. Once this form is completed, you should receive a confirmation message. 44

46 Back to management screen, you will find you re newly created Signup Form. Now that the Signup Form is created, to out to members, selected the edit option. This will re-open your signup form the share link can be found at the bottom of the page. Select a public link which can be copied onto Websites, Facebook and other Social Media mediums. How to add a custom field to a sign up form Adding additional custom fields to a sign up form allows the Association to ask questions to their members that aren t on Netball Australia s default list. 47 To create a new custom field, select, add new custom field. Fill in the details in the next screen; field details, field type, display options, apply to child org s (Association level only), active, sort order and then update. Field types are as follows; Text box enough for the participant to write a small sentence o A question that requires the member to choose their own answer Drop down list participant can only select one option o What is your preferred position Radio button list participants can only select one option o Yes, No Checkbox list participant can select more than one option o How would you like to volunteer Date entry only a date can be entered o Blue card expiry entry only an can be entered o Additional option Long description enough for a participant to write a small paragraph o Any playing history The description box text is what is visible in the sign up form under additional fields options. When completed it will show that the item has been successfully added to the additional field options. 46

48 Disclaimers Entity disclaimers can be added to sign up forms as well as the national disclaimer provided by Netball Australia. 49 2018 De-Registration Process The 2018 de-registration process for players 11+ and non-playing members will be confirmed in 2018, for clarification contact your RNO. NetSetGO de-registration information can be found under the NetSetGO section of the handbook. How to change participant logins and passwords A participant login is important for a participant to know and have access to. Within this space the participant can; Update their personal information including address. Access to the E-learning modules. Ability to use the online registration process. An Association can create and send out participant s login information. PATH: Competition management People Participant logins Change the person role to any role it will broaden the search for members. Enter the members name or participant ID (MyNetball number) and change the participant login account status to any. 48

50 Below are the options that should be visible in their account status; No account never logged into MyNetball. You can then use the box on the left hand side and use the action box to send login invite. Invalid no attached to their record (will never be able to access their own record). You will need to edit their record and enter in a valid address. You can then use the box on the left hand side and use the action box to send login invite. Active account has been into their MyNetball account (should know their login details). If they have forgotten use the > box on the left hand side to use the change password option. A digit will appear, provide the new password (will only last 2 hours) to your member to login. 49

51 Locked account has tries to login with unsuccessful attempts. To unlock the account, you can tick the box on the left hand side and then use the action box and choose to unlock accounts and perform action. Registration Reports Payment Gateway report The payment gateway report can show an Association all failed and successful payment transactions into their bank account. PATH: Competition management Online forms Reports Payment gateway report Select a payment gateway option or leave on all, failed or successful or both, date range and generate report. The green dots display successful payments and red failed. The report can be downloaded into an excel spreadsheet at the bottom of the page. 50

52 Transaction report The transaction report allows the Association to pull a report on their online registrations and payments which can be download into an excel spreadsheet if needed. PATH: Competition management Online forms Reports Transaction report Select the registration form (must select one at a time to view answers to registration questions) if there is more than one choice and the date range if required. Located on the report is the participant s MyNetball number, name, date of invoice, amount paid, how that payment was created and the online payment reference. You can download the data into an excel spreadsheet by scrolling the bottom of the page and see all questions answered on the registration form; each question is found in a separate column. If the participant didn t pay online at the time of registration but payment has been made at a later date, instead of the payment status paid it would have not paid. Select actions on the right hand side and change the status to paid. 51

53 Daily transaction report The daily transaction report displays the sales for a certain time period for a particular sign up form selected. Scroll down to the bottom of the page, data can be downloaded into an excel spreadsheet. Participants payments summary The participant s payment summary allows the Association to keep a track of participant s payments and add offline or payment plans to member s accounts. 55 By selecting a column name, you can sort by alphabetical order or largest to smallest depending on which column you select. To add a payment to a members account, select edit on the right hand side of the member s name. Add a new payment or view previous payments made. 54

56 Payment settlement report The payment settlement report shows any split payments that have been processed. For more information about the payment either select the detail option to the right of the payment made or use the download report option. 57 Filter by date range, batch or status then generate report. Registration Accounts Netball Queensland invoice off the registration accounts report produced in MyNetball. PATH: Competition management Registrations Registration accounts There are two options; affiliated organisations and parent organisations. Affiliated organisations are any affiliated clubs under the Association. The parent organisation is Netball Queensland. To confirm an invoice received from NQ; change the date range to match the invoice, select parent organisation and generate account. The auto settled column will have the amounts that have generated through split payments. The adjustments column has any amounts created in the offline payment adjustments by the Association. The detail button can produce an excel spread sheet (scroll to the bottom of the page) of all members that have been included in that date range. 56

58 To confirm the amounts needed to be added to Club invoices; change the date range to match the invoice, select affiliated organisation and generate account. The auto settled column will have the amounts that have generated through split payments. The adjustments column has any amounts created in the offline payment adjustments by the Association. The detail button can produce an excel spread sheet (scroll to the bottom of the page) of all members that have been included in that date range. Receive offline payment The Association can record when receiving payments from any affiliated clubs to keep accurate accounts. PATH: Competition management Registrations Receive offline payment Select affiliated organisation name, payment date, amount and any comments required, then submit. 57

Registration summary report The registration summary report is a breakdown of any registrations for a particular period, for the Association and any affiliated club. 60 Registration Detail Report The registration detail report can be used to sort out last year s list of registered members to obtain their addresses and filter by date of birth. This way the Association can out only the link (Junior or NetSetGO) that is relevant to the member to assist in registering to the correct form. To access the competition setup area, you must first be in the competition management menu area. You can access the relevant competitions areas under the competition tab. PATH: Competition management Competition Setup wizard As you can see in the above screenshot, the first menu item in the drop down list is setup wizard. The setup wizard is a step by step guide on how to set up yo9ur Association s competition. Advanced Competition Setup The Setup Wizard has two modes: Simple and Advanced. 78 The season settings screen allows setup and configuration of several aspects relating to the competition managed by your Association. The current season is selected as a default in most pages (both admin and public) that have a season dropdown list within the selector bar. To do this, select the season the list is restricted to the season(s) that are in progress and seasons from up to a year ago. The click Update. Please note that seasons normally last for a year, and span either a calendar year (e.g. 2017) which deemed to start on 1 January, or a crossover of years (e.g. 2016/2017) which are deemed to start on 1 July. Note that these are normal starts dates only, and do not effect when matches are actually played. Season List this tab allows past seasons to be added to the Associations so that historical data (e.g. fixtures) can be entered. To add a season, you must first click add season. When you have clicked add season, the following box will appear: 77

79 When this box appears, simply select from the drop down menu followed by the appropriate suffix and click add. You can edit, lock and delete seasons in the above box by clicking either edit, lock or delete: Please note that seasons cannot be deleted once matches have been created within that season. Once completed, click return to setup wizard at the top of the page. Create Venues To access the create venues page, simply click create venues: When you have navigated to the Create Venues page you can view and edit existing venues as well as add any new venues. A venue in MyNetball means the location e.g. if your venue is X park, you need to call it X park court 1 or Court 1 X park. If you have 15 courts, you will essentially have 15 venues. Add a new venue: To add a venue, click add new venue. Once you have done this, you will be taken to the following page: 78

80 As you can see from the above screen shot, here you can add in the details of the venue including the name and street address. Tick active and click update. Edit an existing venue: Click on edit next to the venue name: The edit existing venue screen is the same as the screen for adding a new venue. To edit an existing venue, the same process is followed as if you were adding a new venue (see above). Once completed, click return to setup wizard to continue the setup process. 79

81 Configure Ladder Points Schemes To access the Configuration Ladder Points Schemes, simply click on configure ladder points schemes. This page allows ladder points schemes to be set up and modified. Ladder Points Schemes define how the ladder points of automatically calculated ladders are determined. Schemes are defined by the organisation managing the competition, and can be reused across any number of grades and seasons. In this way, standard schemes can be defined which simplify the creation of ladders. Once you have navigated to the ladder points scheme management page, you will need to follow these steps: a. Click on Add New Ladder Points Scheme b. Add name for the ladder c. Ensure bonus point tick box is unticked (we don t use this in netball) d. Add your points settings for each match outcome (this will be different for each Association) 80

83 Configure Ladder Display Schemes To configure you Associations Ladder Display, simply click on configure ladder display schemes. This page allows ladders display schemes to be set up and modified. Ladder Display Schemes are a collection of settings that control various display properties of ladders as they appear on public websites. Schemes are defined by the organisation managing the competition, and can be reused across any number of grades and seasons. Click on add new ladder display scheme. When completed, you will be taken to the following screen: When you visit the add new ladder display scheme page you have the option to use either the simple or advanced modes for creation. 82

86 This screen will take you to the child organisations screen, which look like this: This page provides a list of the child organisations affiliated to the current organisation, and easy access to maintain and control some of the information relating to those child organisations. By default, 20 organisations display on the screen at one time. To move between pages of organisations, use the paging controls that are located above and below the table of organisations. Organisations can also be filtered by entering a filter string in the Filter text box and clicking the go button. For example, entering "a" in the filter text box will return all organisations that begin with the letter "a". To show all organisations, clear the entry in the filter text box and click the go button. 85

88 While the entity teams screen looks like this: This screen allows the creation and management of entity teams i.e. Teams within the current organisation/representative teams, and the allocation of these teams to one or more grades in one or more seasons. There are different types of teams and squads: Types of Teams Child organisation teams These are teams that relate to separate organisations that are affiliated to the organisation that manages the competition. These organisations are related in some way to the current organisation via a hierarchy - for example, the clubs that are affiliated with an association. Once organisations have been affiliated, these type of teams are created via the allocate teams to grade screen (part of Grade Management), in which a participating organisation 87

89 (e.g. a club) is assigned to a particular grade for a particular season. These types of teams are used where a competition is run by an managing organisation (e.g. associations) between participating child organisations (e.g. clubs) which are affiliated with the managing organisation. Participating organisations can log in to the system and typically have the responsibility to manage/select the team selections for each match, and would usually select the teams each week from players in their player list, or squads. By default, the team name is that of the participating organisation (e.g. the club name), however this can be changed via the team settings screen. It is also possible for the same club to field multiple teams within the same grade/season. Example: Association A runs competitions between its member clubs C1,C2,C3 and so on. From year to year, the same clubs tend to enter teams in the competitions. The Association would set the competitions up as child organisation teams. Each club can then log in and enter results. The association reviews results (or can optionally enter results on behalf of one or more clubs). Entity teams (also known as 'Teams within the current organisation) - these teams are created within the managing organisation (e.g. association) itself, and have no relationship to another organisation. These types of teams are typically used by organisations running tournaments or competitions where the teams are transient in nature (e.g. change year to year), or the teams cannot be thought of as belong to an organisation (e.g club). These teams can only be created via the entity team management screen. The allocate teams screen is then used (as above) to allocate teams once they have been created. As there is no participation from other organisations, the managing organisation is responsible for all data entry (e.g. team selections, scores etc). Example: Association A runs annual tournaments or ad-hoc competitions where teams are entered every season. The teams often have different names and participants from year to year, and there are no 'clubs' behind the teams. The association would set the competitions up as teams within the current organisation. The association enters all results. Within a given competition/grade, the above team types may be mixed. For example, a grade can contain both child organisation teams and teams within the current organisation. Comparison Table Child Organisations Entity Teams Adding to the current organisation Removing from the current organisation Contact Support to affiliate an organisation to your organisation. The organisation will then be listed in the Child Organisation (affiliates) screen. Contact Support to remove an organisation from the list. Rules for creating teams A team can optionally have 'default' players added to it from the organisation's player list. If default players are added, then the team for each match is automatically selected from the default players when match results are entered for that match (ie these players are deemed 89

91 to have played in the match). Automatic team selection will not overwrite existing team selections. If default players are added, then no other team in the organisation can have exactly the same players. For example, if a team already exists with players A, B and C, the system will not allow creation of another team with A, B and C. However, if the existing team has not already been allocated to the selected grade/season, it will be allocated. A new team with members of A and B, or A, B, C and D can be created. The team must have a name - by default, this is the names of any players selected as 'default'. The team name must be unique within the organisation. If two teams actually operate under the same name, they still need to be created here with different names, however when allocated to a grade (via the Allocate Teams screen), names can be changed as required. For example, there may be two teams known as 'The Aces'. The second team must be named differently in the system, so it could be created as 'The Aces 2'. When allocated to a grade, the 'display name' can be set back to 'The Aces'. In this way the two teams can be distinguished within the Team List, but still display with their correct name within fixtures and ladders. Adding new team 1. Click the Add new team link. 2. Enter the team name. 3. Active - This toggles the team between active an inactive. Making a team inactive only hides it from the Team List. 4. Click the update button. 90

92 Editing Team Click the edit link in the edit team column for the team within the Team List. Make any necessary changes as above and click the update button. Deleting Team Click the delete link for the team within the Team List. Click ok to the confirmation message. Don t forget to click update before you click return to setup wizard to continue the setup process Team Nominations To view the team nomination page, simply click team nomination. If your Association wishes to have its clubs nominate teams directly for your competition, you can set up a nomination form for them to do this in the section. 91

This will take you to the following screen: **Note that Grade Divisions allow you to group grades together under logical categories 104

106 Here, you will need to fill out the three (3) fields; Grade division name (mandatory) a unique name for the group of grades e.g. Saturday Competition Parent division - the category under which it belongs. This gives the ability to create more specific subcategories e.g. a Men s Premier category could be a sub-category of a Men s category. Sort order - The order in which that division is displayed within the list of divisions. Once you have filled out the fields, click on back to grade division manager. You will now see a table with all the grade divisions that you have created (see below). From here, you will need to click on edit members to group the grades according to their grade divisions. This will take you to the following screen: 105

107 Select the appropriate grade division from the drop down menu at the top of the screen. 106

Ensure you move them over in the order in which they will appear on a drop down list on a website. Once you have moved over all the grades into that division press save. Manage Squad Lists To manage squad lists for your Association, click on manage squad lists: When you have clicked on manage squad lists, you will be taken to the following screen: 107

109 The screen allows the maintenance of information at the team level within a grade and season. Teams may be either child organisations type or entity teams (in the latter case the team is denoted by an asterisk*). Squad size the number of players in the team s squad is indicated. Click the edit icon to add or remove players from the squad. You will be taken to the following screen: 108

110 Players can be selected from the list on the left hand side and added the squad list by clicking the + button next to the players names. You can also allocate a captain, coach and manager from the people in the available players list. Ensure you click Save once you have selected your squad. Click back to team settings. **Note: Any people allocated to the squad will show up on the printed score sheet. Return to setup wizard once you have completed these settings. Allocate Teams to Grades To allocate teams to grades for your Association, click on allocate teams to grades: When you have clicked on allocate teams to grades, you will be taken to the following screen: 109

111 There are two options for allocating your teams to grades. You can either manually set up your teams (above picture) or copy data from another grade or season (picture below). Ensure you select the correct list of teams you have created. Either as child organisations or entity teams. Method 1: Allocate teams the left hand lists all immediate child organisations/entity teams. To allocate a team to the selected grade/season, select the team in the left hand list box (available teams) and click the add button. Removing teams to remove a team/club from the grade, select it in the right list box and click then delete (X) button or select the team/club from the list and double click on it. If a team/club has participated in matches you will not be able to remove them from the grade. You are however able to hide the club/team from displaying in the corresponding ladder via the team setting screen. Further steps will need to be taken to perform any necessary ladder adjustments (if applicable) for teams that still play in the grade, and the fixture will need to be manually edited to remove matches where the team was playing by the example, assigning a bye in those matches. Method 2: Copying data from another grade or season This an alternative to manually allocating teams, and data is copied from a previous season replacing any current information. This method is only visible when the grade has not been set up yet eg. Currently has no teams added. Select the season and the grade to copy data. Copy teams from the selected grade and the selected season checkbox is checked and must be selected. Teams will be copied from the selected grade and selected season to the current* 110

112 season and current**grade (the current grade name displays at the top of the page, just above the tab bar). Optionally check the also copy ladders from the current grade and season selected checkbox to copy ladder information. Ladder config will be copied from the current ** grade and selected season (via the season dropdown located just under the checkboxes referred to above) to the current* season and current ** grade eg. The grade selector is ignored. Click the Go button to the right of the Season/Grade dropdowns. Data is copied immediately. These teams will be displayed in the right hand list box. Once all teams are allocated to grade, click on return to setup wizard. Assign Ladders To assign ladders for your Association, click on assign ladders: When you have clicked on assign ladders, you will be taken to the following screen: Adding a new ladder Click the add new ladder link. Complete the details as listed below. 111

113 Note: Ensure this is completed for each grade. To change the grade, select it from the drop down menu at the top of the page. Deleting ladders Click the delete ladder link of the ladder you wish to delete. The ladder and all points (whether automatically calculated ort manually entered) will be deleted and the ladder will not display on public sites. 112

114 If only one ladder remains within a grade/season, this cannot be deleted, however it can be made not visible if it desired to hide from public display. Ladders that have had ladder adjustments entered cannot be deleted. In this case the adjustments must first be deleted. Click the edit link of the ladder you wish to edit. Ladder number this is a number atomically assigned to the ladder within the grade/season 1,2,3 ect. Filter matches in ladder by match formats (only displays if AUTO calculation mode is selected below) by default, all formats is selected. If other match formats have been defined, by choosing the SELECT Formats option, one or more formats can be chosen. This has the effect of filtering the current ladder by only including the matches of those match formats. All calculations for the ladder, including matches played, wins, loses, percentages ect will reflect this filtering. Ladder points scheme (only displays if AUTO calculation mode is selected below) Select a points scheme to apply to this ladder, which is used to automatically calculate total points. A scheme must be selected if the ladder is AUTO calculated. Changing the ladder point s scheme will also change this for all ladders within the current grade and season, as all must use the same points scheme eg. Match must be worth the same points irrespective of the ladder it is included in, not allowing for ladder adjustments applicable to each individual ladder. The Ladder Points Scheme Management link can be clicked to open the schemes. Ladder display scheme select a display scheme to apply to this ladder. If no scheme is selected, defaults will be used (only summary information such as wins, losses, points ect will be displayed, no percentage scheme or finals teams will be set). The ladder Display Scheme Management link can be clicked to open the ladder display scheme management screen. Pool group if pools have been set up for this grade/season (via the Pools tab), they can be assigned to the ladder by selecting from the drop down. This will display the ladder broken up into pools as defined in the pool group. Ladder headings optionally enter text to appear above the ladder on public sites. Ladder notes optionally enter text to appear below the ladder on public sites. Ladder calculation method; AUTO ladders are automatically calculated based on the ladder points scheme selected (and if applicable) percentage method selected in the ladder display scheme. Ladder adjustments can be entered against a ladder to adjust various aspects of the ladder data eg. Points, percentage. AUTO calculations occur overnight if the data of the last match of the grade/season is no more than one month ago (this prevents seasons ladders from being automatically recalculated even if their season is not locked), the season is not locked for the grade, the fixture is not a knockout type. Sort order optional, this controls whether the ladder is visible on public sites. If unchecked the ladder will not be visible. 113

115 Click the update button to save changes. Click return to setup wizard. Match Start Times To set your match start times for the Association, click on match start times: This will take you to the following screen: As you can see form the above screen shot, you can add a new match time by clicking on add new match start time or edit an existing time by clicking on edit. If you click on add new match start time, you will be taken to this age: 114

116 To add a new match start time, fill in the details and click save. The edit screen is the same and requires the same process. Once you have entered all your match start times Click return to setup wizard. Manage Fixture Slots To manage fixture slots for your Association, click on manage fixture slots: When you have clicked on manage fixture slots, you will be taken to the following screen: This page allows grade information and options to be entered and modified. Settings on this page effect the chosen grade only for the selected season. Season is locked for this grade checking this box will prevent: Changing teams within the grade Editing ladder configuration Editing pools configuration Changing the calculated ladders manual ladders cannot be entered, automatic ladders will not be recalculated 115

117 Adding or modifying ladder adjustments Editing the draw/fixture The public display fixtures, ladders are not affected. If required, the season can be unlocked, in which case the above features will become available. All grades for the previous season can optionally be locked when a new season is selected via the competition settings screen by the organisation which manages the competition eg. The Association. Occurs the first time the new season is selected provided the date of the last match in the previous season was more than one month in the past. It is recommended to keep past seasons information locked to prevent accidental change. Ladders & fixture are published for this grade this is the same setting as on the draw management screen. If this is unchecked, any ladder or fixture for this grade/season will not be available on public sites (a message will display indicating the ladder/fixture has not been published). In the case of ladders, both this setting and the visible on public sites setting within the ladder Configuration must both be checked for the ladder to be visible. Setting the published setting will automatically set all ladders for that grade/season to visible. Allow clubs to edit draws and manual ladders checking the box allows clubs to modify draws and ladders (only applicable where the association is not actively managing the competition). Match type changes the Match Type of the grade. This may affect how match results are entered. The match type is usually set at the time of draw creation, although it is allowable to change here, it is not advised to do so if match results have already been entered within the grade. Number of seeds to display this applies to knockout competition/tournaments only. This affects the number of participant/team names that display their seed number. For example, if the competition has a field of 128, and this setting is 16, then seeds 1-16 will display as Team Name (x) where x is the seed number. The remaining 112 teams will not display a seed number. Add new fixture slots fixture slots are the times and courts allocated to each specific grade. Ensure all fixture slots for that grade are showing in the fixture slots table (see picture below). If there are no fixture slots showing, select add new fixture slot. This will bring up a new window where you can select the appropriate time and court number. Click update once completed. Repeat this for each fixture slot for this grade. Weighting weight the courts evenly to distribute the court allocation evenly. Eg. If I need court 3 at 4 different time slots (6pm, 7pm, 8pm and 9pm), then I weight each fixture slot at 25 (4/100). 116

118 Once all fixture slots are created for each grade click return to setup wizard. Non Playing Dates To add in any non-playing dates so they are not included in the competition draw, click on nonplaying dates: Clicking on non-playing dates, will take you to the following screen: Enter the name and description of the non-playing date grouping. Click save. 117

119 You will now see the non-playing grouping in the table above. Select edit to add the date range. Select a single date or a date range eg. 01/01/ /12/2016. Click add selected date or range. Public holidays can be select in bulk for the calendar year by selecting to include dates from the add public holidays for a specific year option. Click back to non-playing date groupings. Where a match day would fall on any of the dates within the chosen groupings, it is adjusted to the next interval and then the new match date re-checked against any selected groupings. Any non-playing date listings setup here are available for selection at future draw creations. Deleing the grouping also deletes any dates assigned within it. The name and description values can t be edited. You will need to delete the grouping and recreate the grouping to achieve this. 118

120 Once all non-playing dates are entered, click return to setup wizard. Create Fixtures To create fixtures for your Association, click on create fixtures: When you have clicked on create fixtures, you will be taken to the following page: This is the progress bar that appears at the top of the page as you move through creating your draw. 119

Voted Award Setup An organisation can setup any number of awards whereby authorized users can enter votes for players which participate in each match. The system tallies these votes and presents a public ladder and a round by round view. To access the voted awards setup screen, click on voted awards setup: Clicking on voted awards setup, will take you to the following page: Once here, you can add a new award by clicking on add new award, you will be taken to the following page: 124

126 Here you will be able to add your award name, which season the award applies to, who has access to enter the votes and which grades you would like the voting to apply to. Once completed, simply click update. Competition Management Tasks Editing the draw once created using the Venue Scheduler You can edit or make changes to the draw by using the Venue Scheduler. You can edit or make changes to the draw by using the venue scheduler. To do this, you firstly need to ensure that you are in the competition management menu mode. This will take you to the following page: In this view, once the draw has been created matches can be moved to different start times and venues using the drag and drop method. This is an easy method to prevent any clashes between grades/courts. Simply select the match you want to move and drag it into the venue and time slot or right click on the match, select edit. Change the details in the pop up screen and select update. **Note: once this has been done it is automatically saved so do not move matches unless you are 100% sure. Editing the draw once created using the draw management/ edit draw To do this, you firstly need to ensure that you are in the competition management menu mode. 128 Once you click on draw management, you will be taken to the following page: The draw management page allows you to view the draws created for each grade, print draws, edit draws, publish draws and edit draw headings. To edit the draw, select the grade you wish to edit, click on edit (under edit draw), this will take you to a new screen (see below). **Note: this screen can also be accessed through the competition menu tab, draws, edit draw. Select the round in the drop down menu at the top of the screen. Next to the match you wish to edit select edit. The fields of the match will change where you can make your selection of changes from the drop down. Ensure you press update to save the changes. 127

135 If you select the grade division heading, then all grades and the date of the carnival is held on it will produce a list of all the matches for the day. Click on search matches. Drag the dates heading to the area above it that says drag a column to this area. It will then group matches according to their time. This will make it easier when entering results to find the matches that were played in the previous round. Match Manager tasks The match manager can be used to execute a number of tasks quickly, including: Entering scores Changing match statuses Recalculating ladders Printing score cards Editing the draw Print a fixtures report of specific matches or date ranges Changing match dates, times, venues and types To do this, you will firstly need to ensure that you are in the competition management menu mode and matches, match manager. 134

Bulk changes can be made by selecting the select all option or by ticking all the boxes on the left hand side of the match you wish to make changes to. Advanced Accreditation Course About the course The Advanced Coaching course is the fourth step in the Netball Australia coaching accreditation framework. It is aimed at coaches who are looking to extend their learning towards coaching for higher level representative competition. The course takes place over two (2) full weekends usually scheduled for the beginning and end of a winter season. There is a number of theoretical and practical components including game analysis which is done in conjunction with a live Suncorp Super Netball home game. Participants are also required to complete to a satisfactory level a number of assignments. In addition, practical assessment of a one (1) hour coaching session occurs after completing both weekends of the course and the assignments. 166

Elite Accreditation Course About the course The Elite Coaching Course is the fifth of six steps in Netball Australia coaching accreditation framework. It is aimed at coaches of State League and State level teams. This is a full weekend interactive program that covers technical, tactical and sport science components. Participants are also required to complete to a satisfactory level a number of assignments. The practical assessment is undertaken once workshop, assignments and mentor approval are completed. A game day setting is the context for the practical assessment. The level of the game to be assessed must be a minimum of State League Division 1. What are the requirements of the course? 1. Current financial member of Netball Queensland 2. Must hold Advanced Coach Accreditation or recognition of current coaching competency at this level 3.Attendance at the weekend course 4.Engage a mentor coach Visit for more information on enrolling in the course. High Performance Targeted at highest level State League, Australian Netball League (ANL) and Suncorp Super Netball (SSN) coaches working in a head coach capacity and have overall responsibility for the delivery of a netball program within our high performance system. 173 Website How to load documents/images Before any items can be uploaded onto the website the information needs to be stored in the file manager. PATH: Website Content File Manager To upload files or images to the file manager, select the file for documents or image for images for them to be stored into. Upload the files to the directory by using the icon. Follow the instructions to upload the files/images. Start with select files, search your computer and open. 172

Changing the home page layout It is recommended that you have an idea of what you want the website to look like before you start, what kind of widgets and how many. Adding extra HTML pages HTML pages can be created and stored by using the following instructions. PATH: Website Content Html Pages General Pages 176

178 To create a new Html page, click on go next to add new page. Give the page a name in the page identifier section. Tick use page identifier as page heading to show this as the page name on the website. Add text, images, links or embed you tube videos into the page content box. To embed videos and links, search for the content on the internet. For video s - select share and embed and copy the code given. To insert images select the insert image icon, all properties, image manger icon. Select from the file manager and insert. To insert links type the text eg. click here and highlight it. Select the insert link icon, paste in the URL link, change the target to new window and ok. Repeat these steps for all your extra pages, then link these to your menu items once created. 177

179 Changing the banner The banner is the Associations branding including the Associations logo and colours. PATH: Website Site Design Layout Manager To edit the banner you need to go through the home page layout, click on edit. Select the cog symbol on the right to edit the banner widget. Choose the image from file source drop down menu. Add a link or text if applicable, ok. The widget will be successfully updated. 178

181 Under menu items, click on the create a child icon. Add the new menu item title. Use the target type drop down box to make the choice of desired page. After the target type is changed more options will be available. Make your choice, update. If open in new window is an option always tick. 182 Adding a news item News items can be updated news or worthwhile information source for your members. PATH: Website Content News Creating a new news item, select add a new News item. Follow the instructions to add a new news item. Create an item title Set a news item date and item expiry date. If you give the news item an expiry it will take the news item off the live website automatically, this ensures the Association/Clubs website isn t filled with expired events and old news If the hide item box is ticked the item will not show on the live website A tick in the box for show in news rotator will show your news item on the home page The authors name is connected to the user of MyNetball at the time of uploading the news item The directory will allow an image to be displayed behind the caption text on the news rotator, the image has to have been saved in the file manager In the item content section, a description of the event can be entered, if you want to attach a nomination form or a document to be opened. o To insert images select the insert image icon, all properties, image manger icon. Select from the file manager and insert. o To insert links type the text eg. click here and highlight it. 189 Adding a photo gallery Photo galleries can be used for sharing carnival photos with your membership or player profiles, committee profiles and life member s profiles. If you have rep teams, players, coaches or umpires that are involved in high performance pathways this can be used to highlight those achievements to the Associations/Clubs broader membership. PATH: Website Content Photo galleries Add new slideshow gallery Add a gallery name, the description is optional and choose the gallery type. 188

190 The images need to be uploaded into the file manager to be able to find the images. Select the images to add to the gallery group, when finished click update gallery. Save changes. The images will appear with an option to add a caption. If adding a player profile, the caption could include a player s position, team name and most current netball experience. 189

191 Update gallery and save changes. To add a slideshow gallery to a menu item, go to changing menu items. Instead of choosing a Htlm page select a slideshow gallery. Adding social media widgets Social media allows the Associations/Clubs to engage with their members on other platforms. Facebook, Twitter, Instagram and You Tube channels are among the fastest growing communication tools available to sporting organisations. 195 Give the Page an identifier, use it as the page header. Add a table A single line table, each sponsor will be a square in the table. Expand the table and insert the sponsor s logo by using the image manager icon. 194

196 Select the sponsor s logo (already saved in the file manager). And insert. Repeat until all sponsor s logos are in each square of the table. Highlight one logo at a time and insert the sponsor s website link by using the insert link icon. Go to the sponsor s website and copy their URL to insert here. Change the target type to new window so when a member clicks on the sponsor s logo it will open a new window for the sponsor website and ok. Save down the bottom of the page. 197 How to set up a sponsor s footer A sponsor s footer can be available on the home page of the website or can be available on every page on the website. Maximising the Associations/Clubs sponsors exposure to the Associations/Clubs membership base is an added bonus for your sponsors. Create a Html page first (cheat sheet available), a single row table with each of the sponsors logo s and then link the sponsor s website into each logo and ok. How to edit the style of the website; colours and fonts Editing the website to match the Associations colours, fonts and styles will ensure your current and future members recognise your brand.
