1 We are in the process of making some very exciting enhancements to your online banking to help you run your business better, every day. In the near future you will be migrated from the current (KBO) platform to our new platform. With this change your Pay Direct ACH service will change to our new enhanced ACH service. This guide contains all the important information you need to prepare for to take full advantage of the exciting new features within s upgraded ACH module, including: Easy-to-use payment templates Always up-to-date tax templates Recurring payment capabilities that can be scheduled daily, weekly, or monthly Later ACH cutoff times Increased pre-funding limit from $75K to $100K Accessing ACH payments To access your ACH service once you are converted, you will select Payments & Transfers and then Pay with ACH (Fig. 1). You will be prompted to answer a security question prior to proceeding. Please note that the first time you access the Pay with ACH module you will be presented with new Terms & Conditions and will need to accept them prior to proceeding. Fig. 1 1

2 Payment templates In the new ACH module, all your Payees are organized as templates. There will be one template for your payroll/personal payees and one template for your vendor payments per account used to offset the payment transactions. All payees will be listed based upon the account they have been paid from within the appropriate template. The payee will not contains dates from previous transactions and will display a zero dollar amount. Once you have accessed the ACH module, you will need to navigate to the main menu and select Payment Templates (Fig. 2). All payees that were created prior to your conversion date have been imported from the Pay Direct system and will be displayed under the last account they were paid from. Note: If you have not used an account or payee since January 1, 2017 it will not be converted. ACTION REQUIRED: You will need to take action to review and approve all your templates before they can be used. If these actions are not performed, you will not be able to use the templates. Fig. 2 To view a template, you will select the checkbox next to the template you wish to view, then click the arrow dropdown under actions and select Modify (Fig. 3). Fig. 3 2

3 To approve a template, you will select the checkbox next to the template you wish to approve and then click the Approve button (Fig. 4). A confirmation message will appear when you have successfully approved a template for usage (Fig. 5). Fig. 4 Fig. 5 Making an ACH payment Once you are converted, you will need to reestablish any ACH payments that were previously set up in Pay Direct. No payments will be setup, including anything that was scheduled for re-occurring payments. To make a payment, navigate to the menu and select Create Payment. (Fig. 6). Fig. 6 3

4 Select Create from Existing Template (Fig. 7) and then select the Search Icon to display the list of all your Approved templates (Fig. 8). Click on the template you wish to create the ACH payment from. Please note: Only templates that have been approved will be displayed. Fig. 7 Fig. 8 4

5 Make any adjustment as needed including Value date for payment, amount, etc., then click the Submit button (Fig. 9). Fig. 9 Fig. 10 Once the Payment has been submitted you will see a confirmation screen (Fig. 10), and then you can click the Close button. The Payment will now show in Entered status (Fig. 11), but will NOT be released for payment. Fig. 11 5

6 Approving a payment Under the main Menu, select Payment Management from the dropdown list (Fig. 12). Select the checkbox next to the payment you wish to Approve then click on the Approve button (Fig. 13). The payment status will change from Entered to Approved (Fig. 14). Fig. 12 Fig. 13 Fig. 14 6

7 ACH cutoff times The new ACH module offers more flexibility with payment cutoff times. In the Pay Direct platform the cutoff time for scheduling was 10:00 a.m. ET, but you will now be able to schedule payments until 8:00 p.m. ET. ACH payments can be future-dated for up to 30 days. ACH payments must be scheduled for business days and are not available to be scheduled on weekends. Same-day ACH payments are available for an additional fee. ACH Cutoff Times 6:30 a.m. ET 11:00 a.m. ET 1:00 p.m. ET* 3:00 p.m. ET 6:30 p.m. ET 8:00 p.m. ET *Last same-day window Returned items If you have a returned ACH item, you will be able to view the return in your account details. Please note that you will not be able to determine the reason for the return on this screen. An enhancement coming in June 2018 will provide a Customer Activity Report that will be delivered to the Account Administrator via with the additional detail. If you require additional detail on the reason for the return prior to June 2018, please contact us at , option 2. Billing For Pay with ACH, the following Short Descriptions and fees will appear on billing statements. 8 Alerts From the Setup dropdown, you can manage payment alerts by selecting Alert Settings (Fig. 15). Fig. 15 Select the Add button to create an alert (Fig. 16). Fig. 16 8

9 Alert Details include: selecting an available Alert Type; giving the alert an Alert Name; and entering a Recipient. Selecting a given Alert Type option will display further options. Enter a recipient s address in the Recipient field. Using the Schedule Time and Time Zone fields, schedule when this notification should occur based on the alert type. For this example, notification of payments needing approval will occur at 1:00 p.m. ET. From the expandable Payment Type segment, select the payment types to be included for these notifications. Payment types displayed will be based on your access entitlements. Payment amount thresholds can be set for all selected payment types for either credit or debit. Once all required fields are entered, select the Save button to save the alert. A confirmation modal window will be displayed. Your alert will now be displayed in the Alert Settings list. Alert creation for Approver Rejected Payments alert follows the same flow. Alerts can be created when payments are automatically generated via the Payment(s) Automatically Generated option (such as recurring payments), following the same flow. Alerts are sent as plain text, include the alert type in the Subject line, and language that identifies how many transactions are matched in this alert. Internet browser compatibility It is recommended that you use the most current version of your browser available. Chrome and Firefox work well but should not be run in compatibility mode.
