3 Introduction The purpose of this document is to give users of CORE ELMS guidance on basic navigation. 3

4 Process Flow CORE ELMS process overview, including application and post application tasks: 1. Log in. 2. Site Prospector The learner submits potential sites to complete fieldwork. These will be reviewed and approved or denied by the fieldwork administrator. The preceptor is the site supervisor. Fieldwork at an approved site can begin once final approval is given. 3. Scheduling Once the site is approved by the fieldwork administrator, it will be shown under Rotation Schedule. 5. Electronic Forms Forms that have been completed or are in a pending status are viewable. 4. Requirements The Requirements section contains required documents as part of the application for fieldwork. Once all of the required documents are complete, the Ready for Practicum form is completed by the learner to notify the fieldwork administrator that all forms are complete and ready for review. 4

5 Process Flow continued 6. Hours Tracking / Timesheet The learner logs fieldwork hours and tasks. Hours will be approved or denied by the site supervisor, once submitted. Additional Sections: 7. Evaluations There may be evaluations that are necessary to complete during or after the fieldwork is complete. 8. Surveys The learner completes any surveys that are required during or after the fieldwork course. Document Library Message Center Field Encounters Assessment Library The Document Library contains instructional documents or other forms to be printed. The Message Center displays messages sent by the site supervisor or fieldwork administrator. The Field Encounters section contains assignments to be completed, as directed by the instructor. The Assessment Library contains required assessments to take. It will show pending or completed assessm ents. 5

6 Step 1. Account Login Access to the CORE ELMS system will be available on the Capella University Web site. An alternate login can be performed using your username and password at the CORE Higher Education Group Web site. Once you have logged in, you may edit your username and password by clicking Account Information. Name, address, phone, , and other personal data fields are not editable. Follow the current process of personal information changes through Campus iguide. 6

7 Step 2. Site Prospector Clicking Site Prospector and selecting Submit New Site will bring you to the submission form for choosing a site to perform fieldwork tasks at. 1. Fill in the following required fields: a) Rotation Date this is the quarter that the fieldwork will take place in. b) Rotation Type this is the course that the fieldwork is associated with. c) Site Name this is the name of the site that the fieldwork will take place at. d) Site Preference if only one site needs to be submitted, then fill in 1. If the fieldwork program requires more than one site to be submitted, then fill in as many as required, using a different Site Preference number each time. 2. Click S ubmit Prospe ct. 7

8 Step 2. Site Prospector continued To review/edit your submissions, select Site Submissions. This page will show you the pending, approved, and denied submissions. Your fieldwork administrator will contact you with updates for each of your submissions. To edit a site submission, click Edit on the right, under Actions. To delete a site submission, click Delete on the right, under Actions. 8

9 Step 3. Scheduling Once your school has finalized and opened your schedule for viewing, you will see it in your Rotation Schedule. You will also be able to view a map of all of your preceptor s locations, if his or her address was made available in the system. You can click the preceptor s name to view additional information, including contact information, specialization, and answers to any questions provided by your school. 9

10 Step 4. Requirements Update or modify any of the Student Requirements you have been assigned and have been given access to edit. These documents will be required as part of the fieldwork application or completion. 1. Click Requirements. 2. Click Edit next to the requirement to be completed or modified. 10

11 Step 4. Requirements continued If the requirement is to complete a form, click Open New Form or select the form from a dropdown list, if provided. If the requirement is to upload a document, such as a resume or proof of insurance, click Choose File and locate the file to upload. Once the requirement is complete, enter the date in the Completed On field and select Complete. If the requirement is still in process, select In-Progress. 11

12 Step 4. Requirements continued At the bottom of your Requirements page, you will see the Final Requirement. Once all of your requirements are complete, it is necessary to complete the Ready for Practicum requirement, so that the fieldwork administrator knows that he or she can review your documents. 12

13 Step 5. Electronic Forms The Electronic Forms tab will display any required documents or forms for sites and school requirements. Once a form is completed, it can be viewed. It cannot be edited. Forms that have been started can be reopened and completed by clicking Open Pending. Forms that are not marked as complete can also be deleted by clicking Delete. 13

14 Step 6. Hours Tracking The Hours Tracking tab provides a means of submitting site hours. New hours can be submitted by selecting Record New Hours. Once all required fields are entered, you will be able to submit your hours. Your site supervisor or preceptor will receive a notification, and will either approve or deny your submission. 14

15 Step 6. Hours Tracking continued To add hours, click the Select Preceptor/Site dropdown to select the site that the fieldwork hours were completed at. Fill in the Start Date and End Date. Add hours for the day or days the fieldwork was done. Total Hours will total the daily hours automatically. 15

16 Step 6. Hours Tracking continued Add comments to the Comments box that would be helpful in describing fieldwork hours being reported. The Custom Fields section will contain any fields that need to be filled out as directed by your program administrator. Hours that are added in this section will not be totaled above in the Total Hours section and will need to be manually added. Once all information has been completed, click Submit Hours. 16

17 Step 6. Hours Tracking continued The Hours Tracking page will also display a record of all Pending and Confirmed hours submissions. You can switch between views by selecting either Confirmed Hours or Pending Hours. Click Filter by Rotation Type to view hours for a specific course. 17

18 Step 7. Evaluations Learners will generally have two types of evaluations to complete during and/or after a rotation: - Evaluation of the site or preceptor. - Self-evaluation. Your preceptor will also have evaluations to complete. Once your preceptor has completed his or her evaluation of you, your school may make this available to you for viewing. - You will be able to view it under Evaluation of Student. You will complete your evaluations of your preceptors and sites under Evaluation of Preceptors. If your school requires a self-evaluation, it will be accessed through Self Evaluations. Note: You may save all evaluations in draft mode to finish at a later time by clicking Save as Draft. Once you click Submit Final Grade, you will no longer be able to edit. 18

19 Document Library Review all documents and videos uploaded into your Document Library. These can be instructional documents or copies of forms that will need to be printed and signed as directed by your fieldwork administrator. 19

20 The Message Center Read messages that have been sent to you from your site supervisor or preceptor in the Message Center. 20

21 Field Encounters The Field Encounters section contains any assignments that are required by your program to be completed during the fieldwork. 21
