3 DIGITAL RECORDING AND UPLOADING AUDIO FILES Audio Recording and Uploading Options The student s Speaking field test session can be recorded and uploaded to MetriTech in one of two ways: 1. Record files using a digital recording device or a program on a Windows PC or MAC and upload via the MetriTech web site. OR 2. Download the MetriTech Speaking Recorder from the MetriTech web site, and use a desktop or internal microphone with a MAC or Windows PC (currently, the MetriTech Speaking Recorder does not have Chromebook capability) to record and upload audio. To begin, use the unique login information sent to each participating school s principal to access the NYSESLAT Home Page. Contact MetriTech s customer service at or NYSESLAT@metritech.com if you have not received login information. NOTE: The login information sent to the school principal can be used by more than one examiner simultaneusly while testing multiple students. Use the link to login to the NYSESLAT Home Page and select Field Test Speaking. Select one of the following options for recording and uploading from the dropdown menu. Option 1. Option 2. Option 3. Submit Individual Student Audio uses local recording devices and programs, guiding the examiner through individual audio file uploads. Submit a Group of Audio Files also uses local recording devices and programs, then guides the administrator through the process to upload multiple student audio files as a group. Download MetriTech Speaking Recorder uses the MetriTech downloadable program, which guides the examiner through recording and uploading student audio files. Page 1

4 Option 1 Submit Individual Student Audio Files Record audio using a digital recorder or a program on a Windows PC or MAC. Upload the files from the digital recorder or local machine for each individual student. For each individual student s recording uploaded, please complete the following demographic information. Demographic Information Enter the following demographic fields, then submit file. 1 Select the booklet serial number from the dropdown list. If the current student has a pre-id label, enter the number located in the upper right corner of the label and hit TAB to have the form populated with the student s data Page 2

5 Option 1 Submit Individual Student Audio Files (continued) Demographic Information (continued) NOTE: The student demographic fields shown on Page 2 mirror the demographic fields located on the back of each Speaking Field Test booklet. The demographic information on the back of the booklet does not have to be completed if you provide the student demographic information online. 1. Booklet Serial Number: May be found on the front cover of the student test booklet; this dropdown list will be populated with the serial numbers of the test booklets assigned to your school. Click the? to reference the location of the serial number on the front cover of the Speaking Field Test booklet. 2. Pre-ID Number: If the student has a MetriTech-provided pre-id label, fill in the number located in the upper right-hand corner of the label. Click the? to reference the location of the pre-id number on the label. pre-id number Birth Date: 10/06/2007 NOTE: Once completed, the remaining demographic fields will automatically populate with the student s information based on the pre-id number. Follow Steps 3 11 if student does not have a pre-id number. 3. First Name: Fill in the student s first name. 4. Last Name: Fill in the student s last name. 5. State Student ID: Fill in the number that the state has assigned to this student. If the number is not known or no such number has been assigned, leave this field blank. 6. Grade: Select the appropriate two-digit grade for the student from the dropdown list. 7. Birth Date: Fill in the student s birth date using the MM/DD/YYYY format. For example, if the student s birth date was October 6, 2007, enter 04 [MM] for October, 06 [DD] for the day, and 2007 [YYYY] for the year. The complete code for this example would be Home Language: Select the student s home language from the dropdown list. 9. Ethnicity: Select Hispanic/Latino or Not Hispanic from the dropdown list. 10. Racial/Ethnic Group: Select all races that apply to the student by checking the appropriate box(es). 11. IEP/504 Plan Accommodations: Select accommodations made for the student by checking the appropriate box(es). Select as many accommodations as apply. Page 3

6 Option 1 Submit Individual Student Audio Files (continued) Click on the Browse button and navigate to the student s audio file (WMA, M4A, MP3, MP4, WAV or OGG) on your local computer or network. Click on Submit Audio File to upload the individual student s file. A record of the successful student upload appears on the Audio File Submissions list as shown in the following picture. Option 2 Submit a Group of Audio Files Record audio using a digital recorder or a program on a Windows PC or MAC. Zip the individual audio files into a single zip file. Download and complete the NYSESLAT Audio File Manifest spreadsheet. The manifest requests the same demographic information detailed in Steps 1 through 11 on Page 8 for each student included in the zip file. Page 4

7 Option 2 Submit a Group of Audio Files (continued) NOTE: Each individual student audio file should be saved with a naming convention that clearly identifies the student (i.e., Student Name, State Student ID, or Booklet Serial Number). Please make sure to enter this file name in the Excel manifest under the column entitled Audio Recording Filename. This should be done for each student audio submitted to ensure MetriTech can identify the correct audio file for each student tested. Click on the Browse button to navigate to the completed manifest file on your computer. Click on the Browse button to navigate to the zip file containing the student audio. Click on the Submit Files button to upload the manifest and the zip file of the student audio. A record of the successful student upload appears on the Zip File Submissions list. An will be sent to the address on file confirming a successful upload. Page 5

8 Option 3 Download MetriTech Speaking Recorder Download the MetriTech Speaking Recorder program by clicking on either the Download Windows Recorder or Download Mac OS X Recorder button. The current version of the MetriTech Speaking Recorder is : Download Windows Recorder Save the executable file to the local folder or medium of your choice (contact your local technical support if your building does not allow downloads without administrator permission). 9 Option 3 Download MetriTech Speaking Recorder (continued) Run the executable file on each machine that will need the MetriTech Speaking Recorder. Follow the step by step installer directions. Once installed, the MetriTech Speaking Recorder icon will appear on the desktop. Page 7

10 Option 3 Download MetriTech Speaking Recorder (continued) Download Mac OS X Recorder After you download the executable file, the icon for the MetriTech Speaking Recorder will appear in the Downloads section on the Mac. (Contact your local technical support if your building does not allow downloads without administrator permission.) After you open the recorder, drag and drop the MetriTech Speaking Recorder icon to the Applications shortcut on the right. The recorder updates on the progress of the download. *If you experience an error, reference the Mac Browser Loading Error. Page 8

11 Option 3 Download MetriTech Speaking Recorder (continued) Once installed, the MetriTech Speaking Recorder icon will appear in Applications. Mac Browser Loading Error On an Apple Mac you may encounter the following error when trying to start the MetriTech Speaking Recorder. Follow the steps below if you receive this error. Page 9

12 Option 3 Download MetriTech Speaking Recorder (continued) 1. Open your Applications folder. (Open the Hard Drive icon on your desktop. Open the Applications folder.) 2. Locate the MetriTech Speaking Recorder icon in the list of applications. Right click on this icon to view the context menu. 3. Select Open from the menu. You should see the following message. 4 Select Open to run the MetriTech Speaking Recorder. (You will not need to repeat these steps again as the computer will remember the setting). Page 10

13 Option 3 Using the MetriTech Speaking Recorder Log in using your school s username and password. Unique login information was sent to each participating school s principal. Contact MetriTech at or NYSESLAT@metritech.com if you have not received login information. From the MetriTech Speaking Recorder Home page, users may add students, select a previously added student to edit, practice recording, begin recording, or upload all recorded audio files to the secure MetriTech server. 14 Option 3 Using the MetriTech Speaking Recorder (continued) Click the Add a Student button and complete as much of the demographic information for the student. Once the demographic information is complete, click the Save Student button. For more information on completing this information manually, please see the Demographic Information section beginning on Page 2. If the current student has a pre-id label, enter the number located in the upper right corner of the label and hit TAB to have the form populated with the student s data. After saving the student information, you may click the Add more Students, Record Audio for this Student, or the Home button to navigate back to the MetriTech Speaking Recorder Home page. Page 12

15 Option 3 Using the MetriTech Speaking Recorder (continued) When selecting Record Audio for this Student, first click the Microphone Test button. This is a check to see if the microphone is installed correctly and is picking up sound (if there is no sound recording, contact the school s technical support for assistance with the microphone). After confirming that the microphone is working properly, click the Stop Microphone Test button and then the Exit button to close the window and begin recording the Speaking Field Test. When you are ready to begin the Speaking Field Test, click the Record Audio button and begin Field Test administration. You can pause and resume the recording at any time by clicking the Stop Recording and Resume Recording buttons.. Make sure that student being recorded is near the microphone. Page 13

16 Option 3 Using the MetriTech Speaking Recorder (continued) After administration, click the Stop Recording button to end the Speaking Field Test. Click the Upload Audio button to post the recording to the secure MetriTech web server. Select the Back button to add the next student, and repeat the steps for recording and uploading. Continue the steps until the Field Test has been administered to all students, and the Audio File Status for each student listed on the home page reads Uploaded. Page 14
