3 RXPRECEPTOR The School of Pharmacy uses the CORE Experiential Learning Management System, powered by RXpreceptor (herein referred to as RXpreceptor), to manage student, preceptor and site information, required documents, assessments, and communications, etc. for Patient Care Rotations (4 th Year and Bridging). LOGGING IN As a Preceptor, you will receive a username and password via from RXpreceptor-University of Waterloo, upon generation of your profile. Use your username and password to login to RXpreceptor. Figure 1 below, is a representation of the login page. It is a good idea to bookmark this login page for future reference. Figure 1. Login to RXpreceptor from the Core ELMS login page. If you did not receive your username and password, check your junk mail folder. If you cannot find the information there, please contact helprxp@uwaterloo.ca. If you forgot your password, click Forgot Password, which is located at the bottom of the login page as shown in Figure 1. Follow the instructions provided on the screen, then click Submit Request. 3
4 PROFILE If you work with more than one program, i.e., a co-op supervisor and a patient care rotations preceptor for 4 th year and/or Bridging, you will first be prompted to select the associated program for which you are accessing your account, as show in Figure 2. Click on the dropdown menu and use your cursor to highlight and select 4 th Year or Bridging for patient care rotations. Then, click Update and you will be redirected to the Account page. NOTE: If you only work with one program, you will not see the following Action Required notice and can proceed straight to accessing Account Information. Figure 2. An Action Required notice will appear if you are associated with more than one program. Select one program from drop-down menu. UPDATING ACCOUNT INFORMATION You can access the Account Information form by left-clicking on the Account Information text, located in the upper left- hand corner of the screen. Review the information on the Account Information form (see Figure 4) to ensure it is correct and up to date. Be sure to scroll through the entire form and make any necessary changes. Figure 3. Even though it is not required, it is recommended that you include additional contact information, such as the address, phone number and fax number for your primary site as well as a secondary address. CHANGING LOGIN OR PASSWORD INFORMATION Using the Account Information form, you also have the option of changing the address and/or password associated with your profile. To do so, scroll down to Login Information as shown in Figure 5. Make sure you click the Update Information button, located at the very bottom of the screen, before leaving the page or your changes will not be saved! Figure 5. 6 ADDING A DESCRIPTION OR SPECIALTIES TO YOUR PROFILE Optional: If you wish to share more information about yourself as a Preceptor, you can add additional information by clicking on the various options nested under Profile Information (found in the menu on the left of the home screen). For example, if you wish to add a Description or Specialties to your profile, select either of these from the left hand menu, and fill in the form provided. Figure 6 shows the Specialties checklist. To add specialties to your profile, check all that apply and click the Enter Specialties button. 6
7 REQUIREMENTS THE PRECEPTOR & SITE APPROVAL FORM The Preceptor & Site Approval Form may now be completed online in RXpreceptor (as of Sept 2016). This eliminates the need for the paper versions of the forms; prior to Sept 2016 this was two separate paper forms which are now combined into one online form. To complete the online form: 1. Left-click on the My Requirements button located in the left hand menu as shown in Figure 7. Figure 7. This will open the Requirements page; the Preceptor & Site Approval Form can be found in the Miscellaneous folder (see Figure 8, below). Figure 8. This will open the Requirements information form (see Figure 9) for the requirement you are completing/updating. 7
8 Figure 9. When there is an online form available, there will be an "Open New Form" button located on the Requirement information form. Any completed forms will be listed in the dropdown menu. When you complete a form online, there is no need to attach a file. 5. Click the Open New Form button. 6. The online form will open up in a new window (see Figure 10). Figure 10. 9 When form is completed, click Submit If you are unable to complete the form in one sitting, click the Save Changes before closing the form. Figure 11. Never close the online form without saving or submitting. The Save Changes and Submit buttons are located at the end of the form. 7. Once you have completed the form, click the Submit button. Make sure all the information entered is correct, because once a form has been submitted online, it cannot be changed. Note: If you submit a form without completing all the required fields, the form will be incomplete and remain pending until all required fields are completed and the form is successfully submitted. 8. A form that is successfully completed online will be indicated as such in the Completed column in the requirements list. Figure 12. Completed forms in Requirements folder. The blue FORM button indicates that the requirement was completed To return to a form that you started but did not complete and/or submit: 1. Navigate to the form from the Requirements menu. 2. Click Edit Current button. 3. Select the desired form from the list of PENDING forms. This will open the started form in a new window. 4. Complete the form Note: the date that the form was completed is indicated along with the name of the form completed. Select the most recent form to complete 9

11 VIEWING YOUR ROTATIONS SCHEDULE To view your rotation schedule, click on Rotation Schedule, nested under Scheduling in the menu on the left. (You may have to click Scheduling first, to reveal Rotation Schedule ). Figure 14. You can view your rotation schedule by selecting Scheduling and Rotation Schedule from the bar menu. ADDING AVAILABILITY SUBMISSIONS To add your availability for the following year s rotation schedule, click on Submit Availability, nested under Scheduling/Availability in the menu on the left. (You may have to click Scheduling/Availability first, to reveal Submit Availability ). Figure 15. You can submit availability by selecting Scheduling and Submit Availability from the bar menu. Insert the number of students you would like for each Rotation Date by typing a number in the Students column, then click the Update Availability for Group button. If you don t care which date, but would only like 1 student for the year type 1 in this box Figure 16. Add the number of students you would like for each rotation date. 11
12 VIEWING A SNAPSHOT OF YOUR STUDENT(S) You can view a snapshot of your student(s) from your home page. To open the student snapshot, left click the dropdown menu titled Select a Student to View Snapshot and scroll to highlight and select the student whose snapshot you wish to view. Figure 17. 13 The snapshot view includes the student s contact information as well as the list of student evaluations. You are able to open and complete assessments from the student snapshot by clicking on the title of the assessment you wish to complete. Figure 18. 14 MESSAGE CENTER You can view messages that are sent to you through RXpreceptor by clicking on Message Center, located in the left hand bar menu. To view a particular message, click the View button. Figure 19. You can click View to see messages in the Message Center DOCUMENT LIBRARY This manual, as well as other resources for Preceptors (rotations courses syllabi, forms, rubrics and assessment tools, etc.) are located in the Document Library. You can access the document library via the bar menu located to the left of screen. Figure 20. Preceptor Document Library. 14
15 COMPLETING STUDENT EVALUATIONS/ASSESSMENTS Preceptors are responsible for completing the following assessments: Assessment 1: Midpoint-Patient Care Rotations Clinical Practice Assessment Assessment 2: Final-Patient Care Rotations Clinical Practice Assessment Assessment 3: Community of Practice (CoP) Assignment Assessment Assessment 4: Interprofessional Evaluator-Interprofessional Assessment (completed by another healthcare professional) Two additional student assessments are listed. These are completed by the RCC and the School, respectively. These appear on the list of assessments, and are completed after the Preceptor completes the above assessments. For RCC s only: Student Composite Final Grade For School Use Only: Student Final Grade Special notes about Assessment 4: Interprofessional Evaluator-Interprofessional Assessment Assessment 4 is to be completed by the end of the rotation by another healthcare professional that interacts with the student. A copy of the assessment can be downloaded from the Document Library in RXpreceptor or obtained from the Patient Care Rotations Manual - and given to the interprofessional evaluator to complete and return to the preceptor who enters the assessment data into RXpreceptor on behalf of the interprofessional evaluator. In addition to accessing student evaluations from the Student Snapshot view (see Viewing a Snapshot of your Student(s) in the previous section) you can access student evaluations using the bar menu on the left side of your screen. Clicking on Evaluation of Student (listed under Evaluations, in the left handed bar menu) will open up a list of all of the student assessments that have to be completed over the course of the rotation, for your student(s). If you have already completed some assessments, they are moved to the Completed Evaluations page, which you can view by clicking on the Completed Evaluations button located in the upper right hand corner of the Student Evaluations Incomplete page, as shown in Figure 19. To return to the list of incomplete student evaluations, click on the Incomplete Evaluations button located in the upper right hand corner on the Student Evaluations Complete page (where the Completed Evaluations button was previously located). 15

Click on the title of the Assessment you intend to compete (e.g. Assessment 2: Final Patient Care Rotations Clinical Practice Assessment). Instructions and definitions are provided in each assessment. You can save an assessment at any time by clicking on the Save Changes button located in the upper right hand corner or lower right hand corner of the assessment. After you complete an assessment, the assessment will be moved to the Student Evaluations Complete page. There will be an F at the end of the assessment, which means that the assessment has been finalized. Figure 22. The assessment has been completed if the you an F beside the name. 16
17 VIEWING STUDENT SELF EVALUATIONS/ASSESSMENTS Before completing the Midpoint Assessment, please review the student s self-assessment. You can access completed student self-assessment by selecting Student Self Evaluations found under Evaluations in the left hand menu. If a student has completed their self-assessment, it will appear in the list of evaluations beside their name. The M appearing after the name of the assessment indicates that the Midpoint Assessment has been completed. Figure 23. Student Self-Assessments. PRECEPTOR FEEDBACK: PATIENT CARE ROTATIONS The survey is to be completed at the end of each rotation. This is not a student assessment although it is found in the list of student evaluations. We value your input and your responses on this brief survey are used to provide feedback for quality assurance purposes. 17
