Themes and Plugins: have their own online identity. This profile should be linked to your Ryerson address in order to have it appear as part of your profile on RRJ.ca Due to the nature of the RRJ.ca setup, some features and functionalities require an administrator to activate and manage. This applies to adding plugins and managing the layout of the site. If you recognize a need for additional functionality through the use of plugins please speak with your professor or a News Media Specialist. WordPress basics Post: A post is a standard blog entry. The bulk of what you do in WordPress will be writing posts. Posts are entries that display in reverse chronological order. In contrast to pages, posts usually have comments fields beneath them and are included in your site s RSS feed. You can create and edit posts from the Posts menu. Categories: These are the topics in which posts can be classified. The RRJ use categories to organize the site s sections, i.e., The Magazine and Online Exclusives. Each of these also includes sub categories. For example, The Magazine section is broken down by the Current Issue and Past issues. Online Exclusives includes sub categories for articles, the blog, and multimedia. The collage on the RRJ homepage is also populated based on the three most recent articles assigned to the collage category. You can create and edit categories from the Posts > Categories menu. When creating a new category you will need to give it a name. This name appears below the byline of each article to show the visitor, which section the article is filed under. Please ensure to follow the format we currently use. Each word should be capitalized and spaces are permitted in the name field. The slug is the URL friendly version of the category name and is typically all lower case and cannot contain spaces. The format we use on this site is all lower case and hyphens in between words. Tags: Tags provide a useful way to group related posts together and to quickly tell readers what a post is about. Tags also make it easier for people to find your content. Tags are similar to, but more specific than categories, and in our case do not affect the site s navigation, but do appear at the bottom of each article. A user can click on a tag to find other articles based on the same tag. Tags are search driven tools. They help visitors locate what they are seeking on your site. They also provide good SEO for the site as a whole. You can add tags from the post editor (see below). 3 Page: A page is like a post, but you create a page for static information that remains relevant to your site indefinitely. The pages on the RRJ include, Corrections, Subscribe, About and its subpages, and Contact. These pages should only be managed by an Administrator, so please see one of your instructors or a News Media Specialist if you require changes. Adding content to the site While most of the instructions below apply to all types of posts, please be aware that there are a few types of posts and pages which are very specific to the RRJ WordPress site. These include items added to The Magazine Section, Masthead pages, Letters and Corrections. For specifics on how to create and edit those posts and pages, please refer to the section below called RRJ Site specific Posts. In order to add a new article to the site you will need to begin by creating a new post. From your dashboard, click on the Posts menu and choose Add new. Enter a title for your post in the top field, and start writing content in the field below. Above the content field there are several formatting options, including font style options, bullets and numbering and text alignment. Remember that it is always a good idea to copy and paste from a plain text document to avoid formatting issues. (Notepad ++ is installed on all Journalism computers) WordPress does offer an option for pasting from Word. You will notice the icon on the tool bar. Adding links in the body of an article Begin by highlight the text you would like to appear as a link. Click the hyperlink button. A window will appear giving you various options for linking to your text. You can either copy or paste the link from a webpage or in some cases you will want to connect to existing content. You can search for the article and then click on the story you want to link to. Finally, press the add link button and your text will now connect to the related article. 4 Selecting a category To assign a category to your post, select the checkbox next to the category name. You can navigate through the list of categories by clicking on the Most Used tab to select from the most popularly used categories or view all categories at once using the All Categories tab. You will notice that the sub categories are slightly offset from the parent category. You can select as many or as few categories for a post as apply. If you see the need for a new category or sub category please see an instructor or News Media Production Specialist and they can add it for you. Please note when posting articles from the magazine you must assign the appropriate categories as well as assigning Series tags. This will be explained in further detail below. Adding tags You can assign or add tags to a new or existing post buy using the Post Tags module at the bottom right of the post editor: RRJ.ca Uploading content and managing the site Ryerson School of Journalism February 2016 Page 4

You can add tags by typing out each word or phrase and hitting Enter/Return on the keyboard. You can add multiple tags by separating each tag with a comma and then hitting Enter/Return. If you want to delete a tag you have entered, simply hit the x beside the word or phrase. You can also choose from commonly used tags by clicking on the Choose from the most used tags link and selecting the tags that apply to your article. These tags will appear at the bottom of each post. Adding a subtitle The subtitle field contains the excerpt text or deck of an article, which will appear next to thumbnail images or below the carousel on the website. It is important to include this brief description for each post, otherwise there will be extra white space on the home page and section pages. RRJ.ca Uploading content and managing the site Ryerson School of Journalism February 2016 Page 5

To add the subtitle, you simple scroll down your post page until you see the field called Subtitle. Enter your desired text. Remember that standard magazine format for decks does not include a period at the end of the excerpt. Adding a byline By default the RRJ site pulls author information and adds an author link at the top of each page which links to an author profile, but for design purposes we would also like to have a byline appear above the body text of each post. You will need to enter this manually. The standard format that we us is By First name Last name and should appear before all other body content. You will want to ensure it s in paragraph format and italics. RRJ.ca Uploading content and managing the site Ryerson School of Journalism February 2016 Page 6

Changing the author of an article There may be times where you are required to post an article written by someone else. WordPress automatically assumes the author is the person who is logged into the site. This can be a problem with the RRJ.ca site as each author link and profile is generated automatically based on the username of the account posting the article. If you need to post a story written by someone else you will need to complete the following steps to ensure the author link and profile are attributed to the correct person. You can do this in one of two ways o Scroll to the bottom of your post page and look for the Author field. o Click on the arrow to choose from the list of current users in the system o Select the appropriate author and update your post. You can also change the author in the Quick Edit view o Begin by clicking on the Post Menu to see the post listing page. When you hover over a single post you will notice options appear below the post title. Click on Quick Edit Once in the Quick Edit window you will see an Author field. If you click on the drop down list you will see a listing of all the authors on the site. You can click on any one of the names in the list to assign the post to that author. The article will then become attached to that Author s profile rather than the person who created the post. RRJ.ca Uploading content and managing the site Ryerson School of Journalism February 2016 Page 7

Adding a pull quote A pull quote is a quotation or excerpt from an article that is formatted in a larger or distinctive typeface, placed on the same page to entice readers into an article or to highlight a key topic. You can create pull quotes in your article by adding a little code. Begin by switching to Text view in the post editor as you will need to enter some code. Next, wrap the text you want to put in a pull quote using <span> tags. It should look as follows: o <span class="pullquote pqright"> Pull quote text here </span> RRJ.ca Uploading content and managing the site Ryerson School of Journalism February 2016 Page 8

This won t affect the text in the body of your article as it tells the JavaScript to duplicate this text as a pull quote. As a default on the RRJ.ca pull quotes are set to justify to the right. If you would like to have the pull quote appear on the left, format the code like so: o <span class="pullquote pqleft"> Pull quote text here </span> This will force the pull quote to the left regardless of the default setting. Adding images Single images can be added anywhere within the body of a post. WordPress will allow you to upload.jpg,.gif or.png image files. The steps to upload a single image are as follows; Once you have created or opened an existing post, place your cursor where you would like the image to appear and click on the Add Media icon located just above the text area. The add media window will appear. Here you can choose to upload a file from your computer or select an image from the Media Library. Once the image has been uploaded and processed you will be given the option to edit some of the image settings before inserting it to the post. o Title: This will display on the image s attachment page. If a visitor clicks on the image it will open in a new tab with the images name at the top. o Caption: The image caption will be displayed directly below any single image embedded in a post. o Alt Text: This text will display if the image is not available. It is also important because it is seen by both search engines and screen readers. RRJ.ca Uploading content and managing the site Ryerson School of Journalism February 2016 Page 9

o Description: This is other information you may want to include with the image which will be visible on its attachment page o Alignment: This section controls the position of your image within your post. Choose right or left depending on where you would like it to appear in relation to the text on the page. You should remember that the article body width of a page is 640 px, so consider the size of your image. If your image is 620 px that will not leave much room for text on either side. You may want to consider centering an image that size. o Link to: You can use this field to enter a URL/web address that you would like your image to link to. There are four options 1. Custom URL: You can enter a web address you would like the image to connect to 2. None: This will completely remove any link 3. Media file: This will link to the original full sized version of the image 4. Attachment : This will link the image to its attachment page o Size: This refers to the size of the image. There are generally three image sizes to choose from. And you can do this by clicking on the dropdown menu and selecting the one you want.. Remember that this only affects the image you are editing without altering the original. The options include: 1. Small 2. Medium 3. Full size To insert an image which has already been uploaded to the Media Library, you can click on the Add Media button and once the pop up window appears you will select Media Library rather than Upload files. o Locate the image you want to use and select it. o You can then edit the image settings using the same steps listed above. o When you are finished editing the settings, click Insert into Post at the bottom of the page. 11 Featured Images The featured image is very important to the RRJ.ca website. This image appears as the thumbnail for each article and in the case of the homepage collage it is the main image that appears. You are required to have a featured image for each story. In the case that your story does not have an applicable image we have created some place holders for you which can be found in the image library. These include the RRJ default image, RRJ Multimedia, RRJ Blog, etc. Important: Please remember to use the Featured image Photoshop template to ensure the cropping of the image in various places on the site won t impact the desired look of the image. This template can be found on the Vault RRJ Resources RRJWebImageTemplate You can find the Featured Image box on the right sidebar of the post page The process for adding a featured image is the same as the process as adding a single image, with one difference. Instead of clicking Insert into post, click Use as featured image. Adding a Gallery RRJ.ca uses a plugin called Thumbnail Gallery to create our photo galleries. This allows us to create a functional gallery which can be viewed within the article page or open full screen in a lightbox view. Though we have created default gallery settings, each gallery is completely customizable should you RRJ.ca Uploading content and managing the site Ryerson School of Journalism February 2016 Page 11

Uploading to YouTube **IMOPORTANT** Due to the contract between the School of Journalism and Reuters we DO NOT have rights to post their content on YouTube. Please ensure you do no post any of your work to YouTube if it contains Reuters material as this would result in a copyright infringement. 19 Your video will begin to upload to the site. This could take some time depending on the size of the file as well as its place in the queue. While the file is uploading you can enter the basic information for the file, including title, description and tags. These fields are all especially important in terms of SEO. The better your tags the more likely your video will appear in relevant searches. Ensure that the privacy settings are set to PUBLIC so that your video is available online. You may also want to share the video directly to the RRJ s Facebook and Twitter accounts. You can do this by typing a post in the field provided and clicking the checkbox or boxes next to the corresponding network you would like to share to. Once the video has finished uploading you will have the choice of three thumbnail images. Select the one you want by clicking on it. You can always go back and edit any of these sections on a particular video by going to Video Manager and selecting the edit button. It s suggested that you use these sparingly as you are working on a news site. Once you have completed making your changes, remember to click Save. Embedding a YouTube video in your post In order to embed your video in your WordPress post you will need the <iframe> embed code for the video. You can find it by selecting the video you want to add to your post. Just below the player window you will see a Share tab. 23 Adding Audio Adding audio to the site There may be some cases where you wish to upload an audio file. In order to upload this file to the RRJ website you must begin by placing your mp3 file into a Premiere Pro project to create a file which has a visual element attached to it. We use this process as all of our audio files are uploaded to YouTube. Begin by going to the Vault RRJ Online Resources and copying and pasting the folder called RRJDotCaAudio to the desktop of the computer you are working on. Next, open the Premiere Pro project. You will notice that there is a video file already on the timeline. This is our default visualizer for RRJ audio. You can simply place your mp3 file on the timeline and trim or extend the video as needed. If you have an image of your own that you would like to use instead of the visualizer you can replace the video with a 1920 px by 1080 px jpeg file. When you are finished export the project using the standard export preset H.264 Match Source Medium Bitrate. Next, follow the steps for uploading to YouTube, ensuring that you have added your file to the audio playlist. Once your file has been uploaded to YouTube you can begin to create your post page. Create a new post and give it a title. You will need to complete all fields just as if you were publishing an article. This includes choosing appropriate categories, adding a subtitle description, tags, and a featured image. Next you will add the embed code from YouTube for the audio file you wish to embed. You can find this code on your YouTube video page by clicking on the Share button and then choosing Embed. Copy the embed code. o In Text view, paste the <iframe> code into the body of your WordPress post. o Make sure you switch to Text view before doing so. Once you are finished press Publish. This media could include but is not limited to, videos from other websites, the Streeter template, Flash interactive infographic projects, Google maps, or ScribbleLive. If you have an embed code from any of these websites you can simply copy and paste it directly into your post. Make sure you are in Text view and NOT Visual view as it won t understand the code. **NOTE: You can copy and paste the following codes for your various projects. Just remember to update them with your specific file names and sizes Embedding the Streeter template In order for your Streeter project to play online you must first upload the publish_to_web folder to a web server. Make sure you created all of the posts for the articles from the print issue before you add these items. You will need to create an image link for the current issue on The Magazine page. Follow the steps above. The current issue should be the first cover image which appears on this page. Finally you will need to update the Current Issue link which appears below The Magazine in the navigation bar. From the Dashboard go to the Appearance menu and select Menus RRJ.ca Uploading content and managing the site Ryerson School of Journalism February 2016 Page 28

In the Menu Structure for the Main Navigation you will notice the menu item The Magazine. Below that is a sub item labelled Current issue. You will need to replace this with the link to your masthead s issue. On the left you will see a tab which lists all of the categories for your website. Check the box next to the category for your issue and press Add to menu. The item will be placed at the bottom of the menu structure. You can click and drag to place it below The Magazine menu item. Make sure it is slightly inset from The Magazine and this will make it a sub item. Next, click the arrow to expand the tab. Change the Navigation label from its category title to say Current issue. Click Save Menu. Masthead Current Masthead You will need to create a page for your group s masthead. This will contain the names and roles of each person working on the RRJ. Go to Pages and look for any of the Masthead Season Year pages o Hover over the title to see your options. Choose New Draft o This will create a draft for a new page based on the old Masthead page. o Update the title to include the season and year for your group. RRJ.ca Uploading content and managing the site Ryerson School of Journalism February 2016 Page 29

o o o o o Update the cover image with the cover of your magazine or another image You will also need to update the names and roles of all those working on the magazine. Each name is linked to the author s profile. You can find this URL by clicking on the author name on any of their articles. Then create a hyperlink using the author s name. Double check in the Page Attributes window that the Template is set to Full Width. When you are finished click Publish. You will need to connect this About button on the Main Navigation menu. o From the Dashboard go to the Appearance menu and select Menus o In the Menu Structure for the Main Navigation you will notice the menu item About. Below that is a sub item labelled Current Masthead. You will need to replace this with the link to the new Masthead page you created. o On the left you will see a tab which lists all of the RRJ s pages. Check the box next to the Masthead page you just created and press Add to menu. o The item will be placed at the bottom of the menu structure. You can click and drag to place it below About menu item. o Make sure it is slightly inset from About and this will make it a sub item. o Next, click the arrow to expand the tab. o Change the Navigation label from its category title to say Current Masthead. o Click Save Menu RRJ.ca Uploading content and managing the site Ryerson School of Journalism February 2016 Page 30

Past Mastheads This page is very similar to The Magazine page which contains an archive of all past issues of the Ryerson Review of Journalism. When you click on the Past Mastheads button below the About section you are taken to a page with images of the covers of each past issue. Clicking on a cover image will take the visitor to the Masthead specific to that issue. Each group will be responsible for transferring the previous Masthead s listing to the Past Mastheads page when they update the Current Masthead page with their information. Begin by clicking on the Pages tab on the left sidebar. Open the page title Past Mastheads The image for the previous year s issue will need to be added as the first image in the list. o Place your cursor where you want to add the image and click the Add Media button. You can follow the steps above for Adding Images. o All cover images should be 200 px wide by 285 px in height. o In the Caption field, type the Season and Year of the issue, i.e. Spring o Use the Alignment options to ensure the cover images lineup correctly. o In the Display Settings section look for the Link To and choose Custom URL from the dropdown menu. o In the field directly below enter the URL which corresponds to the URL for the Masthead for that issue. The easiest way to go to the Pages list, find the Masthead page you need and click view page. It will open in the browse window and you can copy the URL Paste that URL into the Custom URL field. It should look something like this: summer 2013/ When you are finished remember to click Update to publish the latest changes to the live website. Letters Letters to the Editor are added by creating a new post and ensuring to check off Letters in the category field on the left side bar. Go to Posts and create a new post The post should be title with the Season and year of the issue to which the letters pertain At the top of the post be sure to include the Title of the article which the letter is about and link to the corresponding article. There may be more than one letter per issue but they should all be contained in the same post. Select Letters from the Category section RRJ.ca Uploading content and managing the site Ryerson School of Journalism February 2016 Page 31

Choose No Sidebar in the Post Layout field. This appears towards the bottom of the post page. Corrections In order to add a correction, go to Pages and click Edit on the page titled Corrections Add your correction to the top of the body field so that the most recent correction appears first. The title of the article you are referring to should be formatted in the Heading 3 style. o Highlight the title and select Heading 3 from the dropdown menu in the post toolbar Also make sure to add the correction in the body of the article which contained the incorrect information. Click the Update button to have the changes appear live on the site. You will also need to make sure to change the Author for this post. We have created a joint byline for posts and pages such as this. From the dropdown menu choose Ryerson Review of Journalism as the author. Save or Publish your post.
