1 Searching in WorkFlows Searching in WorkFlows for patrons: User search To search for patron (user) records, use the Display User Wizard found under the Users Wizard heading. This wizard will provide information about the patron, as well as show all checkouts & holds (both active and inactive), bills (paid and unpaid), and any notes that have been added by staff members to the record. Enter the User ID and click the Display this User button. If the User ID is not known use the User Search helper to lookup the user by name, limit the search to one library, if needed. Choosing to modify the properties on the Display User Wizard will allow you to set the default library and configure tabs and helpers. Symphony is capable of matching on just one name. So, for example, a search on the name MARTIN will bring up records which have this name as the first, middle, OR last name. If the full name is known, then search on the last name followed by the first name. The question mark? is used for an unknown letter. For example, a search for the name HANS?N will bring up records with the name HANSEN or HANSON. The dollar sign $ is the truncation symbol. A search for the name HAN$ will retrieve all records with any name that begins with the letters HAN. The wizard remembers the last record displayed. That record is briefly noted to the right of the User ID search or on the bottom of the User Search labeled Current. If it is necessary to return to the patron record, just choose the Current option button/link and the record will be displayed again. Page 1 of 9
2 If you need to print a user s record, select the Print User helper. This will bring up a window that allows you to choose what information should be printed. Searching in WorkFlows for library materials: Title search To search for bibliographic records, use the Item Search and Display wizard. It is probably best to set the properties for this wizard to a default search index of Title (with a preferred search type of Keyword) and a search library of Your Library (see chapter 2 page 7 for directions). If you have a small library, using the General search as a default will help get more results and save time changing between title, author and subject searching. Most searches for materials can be done with a basic title search. The title search default is usually keyword in a title search, which searches titles, alternate and added titles, and series titles. So a search for the title word PONY will retrieve records that have any of the abovementioned kinds of titles that contain that word. Records are listed by publication date, with the most recent at the top of the list. Keep in mind that bibliographic records are listed by the main title, which may or may not contain the search word. You may also alphabetically sort the columns by clicking on the column heading bar. Clicking on the title bar will sort the titles alphabetically A to Z; if you click the bar again, it will sort the titles alphabetically Z to A. This is also true for any of the heading bars (Author, Pub.Yr etc.) Page 2 of 9
3 Notice the helper buttons on the top left of the screen: The first helper is the Configure options helper. This allows you to further limit your search by selecting specific types of material limitations. The second helper is the Advanced search helper. This allows you to perform Boolean searches. Click on the drop-down menu; notice the choices for including and excluding both types of searches. Page 3 of 9
4 If one of these titles is of interest, click to highlight it. Notice that title and copy information is displayed at the bottom of the screen. The Description tag displays the full bibliographic record. By looking at the many fields on this record, one can determine the author, title, full description, series, and subject headings applied to this item. Keep in mind that not all fields in this record display in the public catalog. Page 4 of 9
5 The Call Number/Item tab will show item call number, location and library holdings. Doubleclicking a title will act as the Detailed Display button found below. The Detailed Display button located at bottom of the screen will provide all of the information above and includes some additional information including circulation information, holds, bills and information about when the item was created. After viewing the item details, you have the choice of Returning to your original search list or Closing the item search window. Page 5 of 9
6 After viewing an item s detailed information, you will notice that the item displays as the current title in the Item Search and Display selection screen. Whenever you see an item listed as Current, you may view this item again by clicking the blue hypertext with the mouse. Experiment with Browse and Exact search in the right corner against Title searches. The results of these searches are different. The Browse and Exact search options are sometimes very useful. The Browse search option produces a list in the alphabetic vicinity of the term you typed. The second item in the list the closest match will be highlighted, and from that point, you can browse forward or backward in the list. Notice the different result by using the same search PONY in a Browse search: The Exact search option displays a single record of the search index you used. This option is best for specific number or code searches. If the exact ID or title is not in the database, a message displays that the information was not found. Page 6 of 9
7 Subject search A subject search is a search done against the database of assigned subject headings. Subject headings can be general topics, or names of people or place names. Subject headings are assigned according to the Library of Congress Subject Heading rules. A Keyword search for subjects will retrieve titles that have that subject term in any subject heading. A Browse subject search brings up an ordered list of subject headings by subdivision: Copy or item search To search for the item record for a book in hand, use the Item ID search on the Item Search and Display wizard and scan the barcode on the book. This will retrieve the Item and Bibliographic details for that entry: Page 7 of 9
8 To see the item record, choose the Call Number/Item tab. Page 8 of 9
9 Notice the information displayed at the bottom left: Date last charged, Due date, the last person to checkout this copy (Previous user ID). Select the different tabs across the wizard to see circulation information, bills, checkouts, and holds. Any district libraries that own this same title are also displayed next to the item that was searched. Other searches The Item Search and Display wizard will support the following searches: Author Call Number General (use for searching all fields at one time, including ISBN or ISSN searches) Periodical Title Series Title control # (bibliographic record number) Check item status This wizard displays the current status of an item, and is useful if you wish to determine where it should be shelved. Use this wizard with caution, as it can prompt to put an item in transit or receive an item from transit, which may or may not be your immediate intention. It can provide some of the same item information that is found when using the Item Search and Display wizard, such as the current checkout. Page 9 of 9
