1 Overview One Awards require all providers to submit the following Access to HE Diploma assessment planning documents by the 30 th September each year: A Diploma Assessment Plan for each diploma being delivered (AP1 with dates or AP1 without dates and an accompanying Assessment Timetable) A Unit Assessment Plan for each unit being delivered (AP2) An example of an assignment brief for each unit being delivered (AP3) An Internal Moderation Record for each AP1 (IM1) An Internal Moderation Record for each AP2 (IM2) An Internal Moderation Record for each AP3 (IM3) This document provides step-by-step guidance for the secure upload of your assessment planning documents to SharePoint, a secure intranet site. Once uploaded, the documents will be moderated and feedback provided by the Diploma and Lead Moderators appointed to your programme. For further information about the One Awards moderation process please refer to the One Awards Access to HE Provider Handbook, Section Four. Sharepoint will be open to receive documentation between 6 th July and 30 th September. The system allows for single or multiple document upload, and upload of zipped folders. Once the close off date has been reached, you will no longer have access to the upload facility. Your uploaded content will be checked by the AVA and any omissions notified to your nominated Access contact. In extenuating circumstances an extension may be requested by the Head of Quality or their representative. If approved, the facility will be reopened for a fixed period to allow the remaining documentation to be uploaded. For further information about applying for an extension to the 30 th September deadline please request a copy of the application form. Logging in There are two ways in which you can log in; via the Internet or through the ONE Awards website. You will require your Centre number and password, which will be sent to you separately. For logging in via the Internet, the best web browser to use for accessing SharePoint is Internet Explorer. Enter the the following address: replacing the crosses with your 5 digit Centre number. This will take you to the login screen. Enter your Centre Number (prefixed by the letters NO) and password. Version 1.0 Page 1 of 7

2 To log in via our website, go to the home page and click on Centre Login; select Sharepoint from the section list, enter your 5 digit Centre number prefixed with NO and click go. You will be asked to enter your username (Centre number) and password again at this point. Once you have logged in, the following screen will appear: From the list on the left hand side of the page, click on AHE Desktop Review. You can now begin to upload your documents, which should be placed in folders and zipped. Please upload your documents in one of the following ways: Version 1.0 Page 2 of 7

3 A zipped folder for each Diploma title that you deliver with each folder containing all the relevant documents pertaining to that Diploma title only, as outlined on Page 1; For example: OR A zipped folder for each Diploma title that you deliver with each folder containing the AP1 and IM1 for that Diploma title. Within the Diploma folder there would also be a separate folder for each unit with the relevant AP2, AP3, IM2 and IM3 documents. See example below. For example Version 1.0 Page 3 of 7

4 To upload, click on the Documents tab at the top of the page: From the toolbar, select the Upload document icon: Then Upload Document : Version 1.0 Page 4 of 7

5 A box will appear asking you to browse for the document or folder you require: Click on the Browse button and search for the document or folder you wish to upload; select it and click on Open. The Filename of your chosen document will appear in the Browse Name box: Click on OK and the document will appear on the AHE Desktop Review screen: Version 1.0 Page 5 of 7

6 If you upload an incorrect document it can easily be removed. Hover the cursor over the uploaded document and a box will appear to the left of the document title. Click in the box and then select Delete from the toolbar: Repeat the process until you have uploaded all of your documentation, then log out of Sharepoint. Please send an to Josie Smith, Access to HE Administrator at ONE Awards to confirm that the upload is completed (josie.smith@oneawards.org.uk) If you encounter any problems with uploading your documentation please notify Josie immediately. 7 File naming conventions The following process for naming files should be used. This system has been devised to provide you with a built-in self check to ensure that no documents have been omitted. The first part of the file name should denote the type of form (eg. AP1, AP2 etc) followed by either the Diploma title (in the case of AP1) or the unit name. Finally the academic year for which the documentation will apply should be added. Please see the examples given in the table below: Document Type Diploma Assessment Plan (AP1) - one for each Diploma title If the AP1 without dates is used, also include an Assessment Timetable Assessment Plan for each unit being delivered (AP2) Example of assignment brief for each unit being delivered (AP3) Internal Moderation Record for the AP1 (IM1) Internal Moderation Record for each Unit Assessment Plan (IM2) Internal Moderation Record for each example assignment briefs (IM3) File Name examples AP1 Health AP1 Science AT Health AP2 Word Processing AP2 Human Biology AP3 Word Processing AP3 Human Biology IM1 Health IM1 Science IM2 Word Processing IM2 Human Biology IM3 Word Processing IM3 Human Biology Post upload actions Once the close off date has been reached, you will no longer have access to the upload facility. Your upload content will be checked by the AVA and any omissions notified to your nominated key contact for Access. If an extension of time is agreed the facility will be reopened for a fixed period to allow the remaining documentation to be uploaded. What happens next? Completed content will be forwarded by the AVA to your moderation team so that the Desktop Review can take place. Your Lead Moderator will contact you directly if there are any queries.
