1 REMITTANCE MANAGER + RECEIVABLES ONLINE USER GUIDE Welcome to Remittance Manager, your online portal for accessing your lockbox through the Receivables Online platform. Receivables Online provides secure same-day access to lockbox deposit information, associated check and remittance document images, and summary and detail reports. Images of customer payments can be viewed and printed on the same-day that they are processed, streamlining cash application, and enhancing customer service through faster access to payment information. Key benefits include: Same-day image access. Within approximately 2 hours of processing, users may view deposit information, images of checks, envelopes, coupons, and other remittance documents through Receivables Online. This data is available 24/7. Flexible, custom reporting. Users can create, access, download and print a variety of reports. Users can also access entire batches or single transactions, check and remittance document images, data entry, and exceptions information as well as external payment data from external sources such as ACH and credit card transactions. Detailed batch information of data input during processing is available in PDF, CSV, XML, or Excel format. Custom reports can also be created, saved and accessed whenever needed. Easy, quick searches. Users can locate customer payments on the day that they are processed by using the enhanced search capabilities. The user may search on any data element that was captured during processing, including deposit date, loan amount and invoice number. Streamlined image delivery. Users can access images over the web, print images from multiple transactions with a single click, attach images to an , or save images to a network drive. Receivables Online also gives users the ability to print all checks and documents. Superior image display and use. Images display as captured. All images are converted into PDF files so users may alter the size, rotate the image, or quickly navigate among them. Go paperless. Users can subscribe to a long-term image archive and/or encrypted CD-ROM/DVD service. The long-term image archive stores checks for an extended period of time based on client specifications. Same-day review of exception items (optional). Remittance Exception Handling - Online Decisioning service, accessible through Receivables Online, enables users to view and make decisions same-day online about exception items such as: ú missing remitter information needed for posting payments ú incorrect payees ú mismatched dollar amounts ú stale-dated or post-dated checks Users receive an notification and provide instructions on whether these items should be processed or returned. Any item selected to process is returned automatically into the workflow. No batch is held up. Revised: 07/2018 Page 1

3 WELCOME S 1. Your Lockbox admin will create your user access, which will automatically generate 2 secure s containing the Remittance Manager URL, your user ID, and temporary password. **Note: The temporary password expires in 24 hours. Please login immediately upon receipt.** 2. The s will be sent from DONOTREPLY@square1bank.com. 3. To access the secure , double click on the attachment. The following page will open as a new tab in your browser. If you are a first-time user, leave the Password field blank and click Open. If you have a Cisco secure password, enter it and click Open. If you have a Cisco secure password but do not remember it, click the Forgot password link to reset it. Revised: 07/2018 Page 3

4 FIRST TIME LOGIN PROCESS 1. Visit square1bank.com > Login > Lockbox or 2. Enter the User ID and the temporary password (case sensitive) and click Login. 3. Select Secret Questions from the dropdown menu, noting the following: You cannot use the same question more than once. Answers must be between (5-25) characters including spaces. Answers can only contain alphanumeric characters but are not case sensitive. All questions must have unique answers. 4. Click Save Answers. Revised: 07/2018 Page 4

5 5. Next, the Change Password prompt is displayed. Re-enter the Temporary Password in the Current Password field. Then enter the New Password (following the password guidelines below). Strong passwords have a combination of letters and numbers. They include the following: Length The default is 8 characters. Characters 1 upper case alpha character - A to Z upper case 1 lower case alpha character - a to z 1 numeric character - 0 to 9 1 special character - *, #, etc. Two or more repeating characters are not allowed Expiration The password will expire after 30 days. If not used, the password will also expire after 30 days. Re-Use A password cannot be re-used within a six-month period. 6. A password change confirmation screen is displayed. Click the LogOn Again link to log in again with the newly created password. Revised: 07/2018 Page 5

6 CHANGING SECURITY QUESTIONS AND/OR PASSWORD Password changes are required for the first logon and every 30 days thereafter. They can also be changed, along with the Security Questions as needed. To change, click the Profile dropdown menu within Remittance Manager. Changing Security Questions 1. Click the Profile dropdown menu > Security Questions. 2. Choose the desired security questions and enter the appropriate answers. 3. Click Save Answers. Changing Password 1. Click the Profile dropdown menu > Change Password. 2. Enter the Current Password, New Password and Confirm New Password. 3. Click Change Password. Revised: 07/2018 Page 6

7 NAVIGATING RECEIVABLES ONLINE To access your lockbox information, you must access the Receivables Online application. 1. Click My Applications > Receivables Online. *Make sure you have disabled your pop-up blocker. Receivables Online will open in a new window.* Lockbox Summary Screen 2. The Batch Summary screen displays all the deposit batches for a specified date range and lockbox. If there are multiple boxes, you must choose which lockbox you want to view. 3. From the Lockbox Summary screen enter the Date Range manually or use the calendar icons. Then choose the lockbox (if applicable) that you want to view. Click Go. Revised: 07/2018 Page 7

9 Batch summary information for the selected lockbox and date or date range displays in a table format below the calendar. The column headings are: Batch ID Deposit Date Batch Site Code Transaction Count Check Count Document Count Batch Total Batch Detail Icon Batch number corresponding to the batch or collection of checks and documents for the lockbox(es) and date(s) entered. Click on the Batch Number hyperlink to access batch detail information directly. The current processing date or date range you selected. The specific Fiserv location where the batch was processed: 1 - Chicago 2 - Walnut Number of transactions in the batch. Number of checks in the batch. Number of documents in the batch. Envelopes will be available if elected to be scanned. Total dollar amount of the batch. Click on the Batch Detail icon (magnifying glass) next to the Batch Total to access detailed batch information. The resulting document will display icons that will allow viewing of the individual images of the checks, invoices and/or correspondence for each item within the batch or viewing of all items within the batch. The documents will be displayed in PDF file format. Using either a right mouse click or the toolbar at the top of the screen, the user can print all the checks and documents in the batch, zoom in/out, rotate the image 90 degrees, save and copy the image. 10 CREATING A NEW USER (ADMINS ONLY) 1. To create a new user in Remittance Manager click the Admin drop down menu > User Management > Create user. All fields with an * are required. The User ID must be available across our Lockbox Processor s entire footprint, not just within your lockbox domain. The user ID may be a combination of letters and numbers. The user ID should not be an address. 2. The Level should always be Company. 3. The Role may either be CompanyAdmin or ComLocalUser. CompanyAdmins can create or delete users, reset their passwords, or change their lockbox access at any time. ComLocalUsers can only access the Receivables Online portal. 4. Entitle the appropriate lockbox(es) for the user by navigating to the Group box on the left. Then click the applicable lockbox (or boxes by holding the CTRL key). 5. Click Select>> to move them to the Group box on the right. 6. Click Create User to save. Revised: 07/2018 Page 10

11 7. Once a user has been created, an Admin must map them to the Receivables Online application. Go to Admin > User Management > Application User Setup. 8. Type in the User ID & click Get Detail. 9. Click Add Application at the bottom. 10. Add Receivables Online (the only option) and Save. 11. Click the pencil icon on the screen to edit it. If this user had access to Receivables Online in the past/pre-migration, click Map User. If it s a brand new user entirely, click Create New User. 12. Enable the applicable lockbox(es) by checking the box(es). 13. If you have Online Decisioning for deposit exceptions, enable those additional permissions as appropriate. 14. Click Save. 15. Scroll back up in this window to see the Save Successful message. The user will receive the automated s referenced on Page 2. Once they login and select their Security Questions and new Password, they will be able to access Receivables Online. Revised: 07/2018 Page 11

12 MANAGING USERS (ADMINS ONLY) 1. To locate a list of users in Remittance Manager click the Admin menu > User Management > View User. 2. Leave the User ID field blank. Choose the company and the lockbox from the drop down menus. 3. Click Filter. 4. To manage a user in Remittance Manager click the Admin menu > User Management > View User. 5. Type in the User ID and choose the company and the lockbox from the drop down menus. 6. Click Filter. 7. To reset the user s password, click Reset Password. Note: Resetting a user s password also clears out their security questions. 8. If the user has attempted an incorrect password 3 times, the user will be blocked. To unblock a user, click Unblock User. 9. To edit a user s information, such as their name or phone number, click the pencil icon on the right side of the screen. 10.
