3 Introduction Print&Follow SE is an embedded HyPAS TM application that offers secure print release functionality without the need of a print server. With Print&Follow TM SE, users print to a universal queue and release their prints at any convenient device, any time. How it works Print&Follow SE consists of 2 separate HyPAS TM applications: The Manager application has to be installed on the Manager device The Manager is the storage device for the print jobs; jobs are sent from the user PC to this device. This device has to be a TASKalfa A3 device. The Client application has to be installed on all other devices that should offer personal print release functionality. After authentication at the Client, the user will see a list of his print jobs. These jobs are stored on and retrieved from the Manager. This way, small businesses can use secure print release without having to install and maintain a print server

4 Installation This section describes how to install the Print&Follow TM application. It is relevant for administrators and service technicians. Installing the Print&Follow TM Manager / Client Required files: Print&FollowClient.pkg / Print&FollowManager.pkg Copy the relevant.pkg file to the root folder of an empty USB stick. Note that the USB stick needs to be compatible with the requirements of the device. Open the System Menu, scroll to the next page and press the Application button. If prompted to authenticate, login with an administrator account. The application screen will list all applications currently installed on the MFP. Press the Add button to open the Application-Add screen. Then insert the USB flash drive into the USB slot at the side of the panel. Within a few seconds, the MFP will display Print&Follow TM in the list of applications found on the USB flash drive. Select Print&Follow and press the Install button. When prompted to confirm, press Yes. The MFP will confirm that the application installed correctly. Then, press the Remove Memory button. After the MFP confirms that it is safe to remove the USB memory device, remove it from the MFP. Press the Close button to exit back to the Application page. Select Print&Follow Client and press the Activate button. When prompted to confirm activation, press the Yes button. Updating the application: In case of release of a newer version, please proceed as follows: Copy the Print&FollowClient.pkg file to the root folder of an empty USB stick. Note that the USB stick needs to be compatible with the requirements of the device. Open the System Menu, scroll to the next page and press the Application button. If prompted to authenticate, login with an administrator account. The application screen will list all applications currently installed on the MFP. Press the Add button to open the Application-Add screen. Then insert the USB stick into the USB slot at the side of the panel. Within a few seconds, the MFP will display Print&Follow Client in the list of applications found on the USB stick. Select Print&Follow Client and press the Update button. When prompted to confirm, press Yes. The MFP will confirm that the application updated correctly

5 Then, press the Remove Memory button. After the MFP confirms that it is safe to remove the USB memory device, remove it from the MFP. Press the Close button to exit back to the Application page. Licensing A license for Print&Follow SE needs to be purchased per device. For testing purposes, a trial period is available. Available Days: 30 Trial Count: 3 After expiration of the trial period, activation is required. Activation Login as administrator Open the System Menu Select Application (2 nd page of System Menu) Select Print&Follow Client or Manager Select Activate Enter License Number* and select 'Run' (You can also select Trial) Turn off/on device *The Licence Number will need to be purchased via your KYOCERA authorised dealer. System Requirements and Supported Devices KX Driver 5.3.xx or newer is needed on the client PCs. Print&Follow SE supports the following HyPAS enabled and HyPAS capable devices. 6 *Note that HyPAS capable devices don t have an integrated hard disc and require an external memory card to execute HyPAS applications. These Devices can NOT be used as a Print&Follow Manager, but only as a Print&Follow Client! Setting as default application Print&Follow can be set up as a default application on the device. This means it is displayed as default on the panel when the device is switched on. Login as administrator Open the Common Settings Select Default Screen Click Change Select Print&Follow from the list of applications and click OK Log out Removing Print&Follow TM from the device Open the System Menu, scroll to the next page and press the Application button. If prompted to authenticate, login with an administrator account. The application screen will list all applications currently installed on the MFP. Select the application Print&Follow. Press the Deactivate button in order to deactivate the Application. Press the Delete button to remove the Application

7 Configuration and set up When you install a Print&Follow Client / Manager System, please install / start all Clients first before installing the Print&Follow Manager. Configuration of the Print&Follow Client When Print&Follow Client is started for the first time, the Client will display that it is not able to connect to a Print&Follow Manager. To use the Client you have to install a Print&Follow Manager. To define or change the administrator settings later: Open Print&Follow Client Press the key combination (administrator code) Note: The Start Screen has to be shown. The admin settings will open. Administrator Settings (Client) By entering the administrator code, the settings can be accessed. Here the administrator has the following options: Defining settings for the Client: (See example next page) Client Command Receive port: Enter an appropriate port number This port is used to communicate with the Print&Follow Manager which must be the same on Manager site as Manager Command Send port. Client Command Send port: Enter an appropriate port number This port is used to communicate with the Print&Follow Manager which must be the same on Manager site as Manager Command Receive port. Print&Follow Manager Address: Enter a valid IP-Address Normally you don t have to enter the address, because this address is entered automatically using Print&Follow Manager s Notify Clients function. See Administrator settings for the Print&Follow Manager. Auto Refresh: Enter the time in minutes The User / Job list will be renewed by this interval. Typical configured values for a Print&Follow Client

8 Configuration of the Print&Follow Manager When Print&Follow Manager is started for the first time, the Manager will inform you that there are no jobs available. To receive / and print jobs, the administrator s settings have to be set. To define or change the administrator settings later: Start Print&Follow Manager Press the key combination (administrator code) Note: The Start Screen has to be shown. The admin settings will open. Administrator Settings (Manager) By entering the administrator code, the settings can be accessed. Here the administrator has the following options: Defining settings for the Manager: (see example next page) Print Job Port Number: Enter an appropriate port number This port is used for receiving print jobs. Please enter this port number also in your KX-Driver. See KX-Driver Configuration Manager Command Receive Port: Enter an appropriate port number This port is used to communicate with Print&Follow Clients which must be the same on Client site as Client Command Send port. Manager Command Send Port: Enter an appropriate port number This port is used to communicate with the Print&Follow Clients which must be the same on Client site as Client Command Receive port. Standard Print Port: Enter an appropriate port number

9 This port should be the standard print port, used to send jobs to a printer. The Standard is port Job Retention: Enter the number of days for retaining the jobs on the system After this period, the jobs will be deleted automatically. Auto Refresh: Enter the time in minutes The User / Job list will be renewed by this interval. Typical configured values for a Print&Follow Manager: Note: After you have installed all your clients and started, click on Notify Clients. Every client in the same class C network will now be notified and knows its Manager. Note: If a Print&Follow Client is NOT in the same class C network, the Print&Follow Manager s address has to be manually entered on the administrator settings for the client

10 KX Driver - Configuration The user/administrator has to define the port for the communication with the HyPAS application Print&Follow. In the figure below port number has been set (typical value). This port number corresponds with the Print&Follow Manager s Print Job Port Number. Further the user/administrator has to specify the printout as a Private Print and he must define the Access Code. This Access code will be the PIN used by the Print&Follow Client & Manager

11 Attention! The RAM disk must be activated in the device and in the KX driver. Please use the PCL5e or PCL XL emulation. RAM Disk activation KX Driver Please open Printer Properties > Tab Device Settings and activate the RAM-Disk. RAM Disk activation FS-XXXXMFP From the operational panel of the Device please open System Menu > System > RAM Disk Settings. Here you are able to define the RAM Disk Settings

12 Using Print&Follow TM If Print&Follow is not set as default application and does not open automatically, it has to be started manually. Press the Application button. All applications currently installed on the MFP are listed. Press the Print&Follow logo in order to start the application. Print&Follow starts with the default screen. The User Interface On the top of the screen you will find the general status information and buttons for help file and exit. Click here to access the help text. You will always find the help text that refers to the current page. application. Click here to exit from current page. 13 Using ID Cards To use ID Card authentication, you have to connect a Kyocera compatible ID Card reader. If the system recognises the reader, you will see the Register ID Card Icon in the lower right corner on the start page. Register an ID Card In order to register an ID Card, you have to select a user and click Register ID Card. Enter the appropriate access code (PIN) for this user, click Register and swipe the ID Card over the ID Card reader. If you did not get an error message, the ID Card is now registered for this user. From now on, you can use the ID Card to login to any device within the Print&Follow system. The Job List After the job list of the user appears, he is able to select the desired print jobs in order to: 1. Print & Delete After the printout of the print job the job will be deleted. 2. Print & Keep After the printout of the print job the job will not be deleted. The user is able to print it out again. 3. Delete The print job will be deleted. 4. Select All All print jobs will be selected / deselected. With the Update List button, the user is able to update the print jobs immediately. The job list will be automatically updated by the Auto Refresh interval. See administrator settings
