4 OVERVIEW This document describes the enhancements made and issues addressed in Clearspan OpEasy Management Suite release 4.5. DESCRIPTION OpEasy is a suite of applications that provide simplified functions for managing the Clearspan solution, all accessed via a single, user friendly web interface. These applications include auto install and XML features for Mitel and Polycom phones, provisioning, reporting, and system management. The OpEasy management suite provides users with provisioning, reporting, and system management capabilities. PROVISIONING OpEasy allows administrators to define user profiles and define a set of features common to that profile or role. Telephone configuration templates are also defined and included as part of the user profile. Once these are defined, an administrator need only enter non technical data such as a user s name, phone number, and location along with the specified user profile, and OpEasy does the rest. If needed, customizations can be made for individual users once they are added using a defined profile. OpEasy also supports a mass provisioning mode which administrators with more advanced expertise can use to quickly provision thousands of complex users at one time. REPORTING OpEasy contains a number of options for generating different types of reports related to users, devices, and system licenses. As with the provisioning applications, the options vary according to the level of authority granted to the user (System, Solution Reseller, Enterprise, Group, or Department). Reports are generated into Microsoft Excel spreadsheets, which allow easy exportation and manipulation of the data if desired. SYSTEM MANAGEMENT OpEasy provides additional management features for System Administrators all via a single interface: Monitoring provides an SNMP Trap Manager application for summarizing, viewing, and managing system Traps. It also provides status information on system components and OpEasy. Emergency Gateway Manager allows for the configuration and assignment of emergency gateways for E911. Login management allows the ability to add, edit, and delete OpEasy administrator accounts. This application also allows the ability to customize privileges per administrator. The primary purpose of the OpEasy applications is to simplify the process of adding and managing users on the Clearspan system. Using OpEasy, an administrator with little or no Clearspan expertise can perform many of the typical user related administrative tasks, without being exposed to the complexities of the underlying system. 5 UPGRADE INFORMATION FOR THIS RELEASE Schedule upgrades with Technical Support at least 48 hours in advance Upgrade will be performed by Technical Support personnel. Installation, upgrade, and test plan documents are available through Customer Operations Manager and Technical Support. This document includes enhancements and changes from OpEasy 4.4 SP1 to 4.5. For installation details, refer to the OpEasy Upgrade Procedure documents. NEW FEATURES IN OPEASY RELEASE 4.5 OpEasy release 4.5 provides the following changes and new features. PHONE APPS REMOVE OUTLOOK AND MERGE PHONE APPLICATIONS (CS-670) With the introduction of Office 365, the Outlook and Merge phone applications are no longer needed. These phone applications have been removed from Clearspan. The related Phone Templates and Key Definitions have been modified to remove the Outlook and Merge keys. PROVISIONING SCHEDULED SERVICES: WEEKLY AND MONTHLY SCHEDULING (CS-128) When performing an Import or Export, executing any type of Report, or performing a CDR Query, the request is performed by Scheduled Services, which can either execute the request immediately or schedule the request. Previously, the request could only be scheduled for a specific day and time, repeated every N minutes, executed hourly at specified minutes in the hour, or executed daily at specified hours and minutes in the day. Now, the requests can also be scheduled to execute weekly (at specified days, hours, and minutes in the week) and monthly (at specified days, hours, and minutes in the month). MITEL (AASTRA) PHONE: PARK-PICKUP DIAL CODE SETTING (SPRECODE) (CS-129) The Mitel (Aastra) phones have two methods of configuring call park/pickup (call park retrieve). The methods are identified as Static and Dynamic. The Static Call Park/Pickup method is a global configuration in the phone that uses the sprecode and pickupsprecode parameters. When this method is used there is no need to define a soft key for the Call Pack feature. The Call Park and Call Pickup keys appear automatically when the context requires them. The Dynamic Call Park/Pickup method is configured by programming a specific soft key with the Call Park/Pickup function. This method is already supported in Phone Templates on the Soft Keys tab. This enhancement provides the ability to configure the Static Call Park/Pickup via the Mitel (Aastra) Phone Global Settings and Phone Templates. Previously, the Static Configuration of Call Park/Pickup could only be configured in the Global Extra Settings for the system, enterprise, and group by configuring the sprecode and pickupsprecode settings of the Mitel phone. The Static Configuration of Call Park/Pickup is commonly used so the ability to configure it has been added to Phone Templates Global Settings and Phone Templates Definitions. 2 Mitel
6 AUDIOCODES MEDIAPACK AUTOMATIC MAC ADDRESS UPDATE (CS-132) This enhancement provides an automatic assignment of the MAC address for an AudioCodes MediaPack to the MediaPack device on Clearspan. Just like a Mitel (Aastra) phone, when a new AudioCodes MediaPack is created using a User Profile, OpEasy automatically generates an Auto Install Device ID and stores it as the MAC address of the MediaPack device. Of course, the administrator can optionally change or replace the generated ID. The MediaPack is configured to access its INI file via a URL that executes a new AudioCodesStartUp php application referencing the Auto Install Device ID. Then, when the MediaPack initially starts up and loads its INI file, the php application updates the MediaPack device on Clearspan with its actual MAC address, replacing the Auto Install Device ID. The php application then returns the path to the INI file back to the MediaPack, which in turn loads that INI file to complete the start up. AUDIOCODES MEDIAPACK 911 SUPPORT (CS-134) Prior to this enhancement, only devices were assigned an ERL record and as a result each user on a device was associated with the device s ERL. The AudioCodes MediaPack devices presented a problem because the analog phones connected to the ports of the MediaPack device can be in completely different areas, floors, or even different buildings. As a result, there is a need to assign different ERL records to each port of a single AudioCodes MediaPack device. To provide a solution to the problem presented by the AudioCodes MediaPack devices, OpEasy now allows an administrator to assign a different ERL record to the user assigned to each port of an AudioCodes MediaPack device. FAX MESSAGING CONFIGURATION (CS-135) Both the OpEasy UI and Advanced Import/Export now support the ability to setup the Fax Messaging configuration (enable, phone number, extension, and aliases) for users. If a User Profile is used, the phone number is automatically assigned, if phone number assignment is configured in the User Profile. The Fax Phone Number and Fax Extension are reported in the Inventory Report, License & Optional Services Report, and System XML Report. PROVISIONING REMEDY AINS PER GROUP (CS-138) Previously, only a single Remedy AIN could be configured for each group (the enterprise AIN that had existed had already been removed in OpEasy 4.4). This enhancement supports the provisioning and reporting of any number of Remedy AINs per group. The reporting of group AINs has been removed from the Inventory Report and License & Optional Services Report. The reporting of group AINs in the System XML Report has been moved from reporting per user or device to a separate section in the report. The new System Information Report has been added, which includes a tab to list the AINs by group. USERS: ADD PHONE DEVICE SEARCH WHEN SELECTING PHONE DEVICE (CS-214) When selecting an existing phone device to add to a User, the previous Phone Device drop-down listed all phone devices in the group, which could be a large number. When adding an SCA to a phone, the admin needed to search the large drop-down for the appropriate phone. This enhancement replaced the drop-down with a search for devices that meet specific search criteria. Like the Phone Management device search, the added device search limits the returned devices using any of the following criteria: (All Devices), Device Name, Device Type, Template, MAC Address, Host Name/IP Address, Last Name (of any user on the phone), and Phone Number (of any user on the phone). 3 Mitel
7 NEW POLYCOM VVX MODELS (CS-1032) OpEasy now supports the provisioning of the following new Polycom VVX phone models: VVX 101, VVX 201, VVX 301, VVX 311, VVX 401, VVX 411, VVX 501, and VVX 601. The new VVX phones are provisioned just like the existing Polycom VVX phone models, using both the OpEasy UI and Advanced Import/Export. The support does not include any additional features or functionality that is not already supported for existing VVX phone models. CHANGE AUTO GENERATION OF USER EXTENSIONS (CS-1150) When adding a user, OpEasy previously had the ability to automatically select an available extension and prepopulate that extension into the OpEasy UI and use it in an Import. That functionality has been changed because OpEasy could not always determine when an extension was available. OpEasy now only allows the User Profile to optionally be set to pre-populate or use an extension based on defined prefix digits + one or more digits of the user s phone number. The automatically generated extension from the phone number is not verified as to availability, but is likely to be available because the assigned phone number was available. REPORTING PROVISIONING LOGGING OF OPEASY CHANGES (CS-140) OpEasy changes that affect the OpEasy database are now logged in the Provisioning Log database that previously was only used to log OCI changes. The OpEasy changes are recorded, whether they were the result of an OpEasy UI action or an Import. When an OpEasy change is recorded, the specific change action (such as TemplateModify), and the fields that identify the changed OpEasy database (such as Enterprise, Group, Device Type, Template Name, and Template Level for a TemplateModify) are all recorded. The existing Provisioning Log Query now returns entries for both the previous OCI changes and the new OpEasy changes. The log entries can both be displayed and optionally downloaded. Using Advanced Search, all of the OpEasy change fields can be searched. REPORT NUMBER OF SCA ASSOCIATIONS PER USER (CS-142) The System XML Report and License & Optional Services Report have both been enhanced to also provide the number of Shared Call Appearances (SCAs) that have been associated with each user. This is necessary for retail stores in order to accurately invoice for each line in the store, because they typically have a single user along with multiple instances (or SCAs) for that user on additional devices. PROVIDE REPORT ON PROXY ADDRESS / RUG USAGE (CS-149) The AudioCodes edge devices used in the Clearspan system have limitations on the devices and traffic that they can support. It is difficult to determine if an Edge Devices is being overloaded because there is no simple way to determine which devices (or more accurately - which endpoints) connect through each Edge Device. This enhancement adds the new Edge Device Report to report the list of devices and corresponding Outbound Proxy Address that each device uses. The Edge Device can be implied from the Outbound Proxy Address. The new report is provided in a Comma-Separated Values (CSV) format and can be executed for the entire Clearspan system or a specified enterprise. In order to simplify finding the Proxy Addresses for the report - OpEasy no longer allows defining an Outbound Proxy in Extra Settings in either the Phone Template, or Global Settings. To replace this functionality for the Phone Templates, this enhancement adds an Outbound Proxy Setting to the Phone Template, similar to the existing definitions in the Global Settings. 4 Mitel
8 SYSTEM MULTIPLE ENTERPRISES FOR AN ENTERPRISE ADMINISTRATOR (CS-141) OpEasy now has the ability to assign multiple enterprises to an Enterprise Administrator (EA) level administrator in order to assign responsibility for more than one enterprise without needing to create separate ID s for the same administrator for each enterprise. This is required for new opportunities (such as State Governments) where functionality for the various state offices need to be segregated into separate enterprises, but need to be managed by a single administrator. ISSUES ADDRESSED IN OPEASY RELEASE 4.5 The following issues have been addressed in version 4.5: CS CDR Query - Page not sorted by time. CS No Database Optimization on EMS2. CS Enterprise Import - EnterpriseVoiceVPNPolicy tab - Missing treatment help. CS Enterprise Import - Departments tab - Validation failure incorrect. CS Group Import - Correct Time Zone and Office Zone references. CS OpEasy not switching to EMS2 when EMS1 is down. CS OpEasy resources consumed causing slow response time. CS CDR Help menu not complete. CS Enterprise Import: EnterpriseVoiceVPNPolicy tab - Remove DeleteAll command. CS Users cannot be edited when the Clearspan AS is running R19. CS Cannot create a new user on OpEasy when the Clearspan AS is running R21. CS OpEasy not reporting CDR past April 13 th. CS User Profile Edit - Invalid Warning Message CS Auto Install Not Working. CS Users cannot be edited when the Clearspan AS is running R19. CS Cannot create a new user on OpEasy when the Clearspan AS is running R21. CS Import with CC Devices Fails Template. CS Clearspan Communicator - User add failed to send new user . 5 Mitel
9 KNOWN LIMITATIONS AND ISSUES IN THIS RELEASE When using Basic Import, the administrator may encounter an issue where the Validate button is ignored. If the Validate button of the Basic worksheet does nothing when pressed (is being ignored), a Microsoft Excel ActiveX Controls issue introduced during a recent Microsoft update is probably causing the problem. This issue is explained at excel activex controls disabled. Follow the instructions by going to C:\Users\{yourNameHere}\AppData\Local\Temp\Excel8.0 and removing the MSForms.exd file (or renaming it to something like MSFOrms.exd.delete.this.file). The system will recreate the file, but in a way that does not prevent the ActiveX controls from working. This should resolve the issue. Basic Import spreadsheets cannot be used with Office 365 because Office 365 does not support the macro functionality used. OPEASY INSTALLATION For specific instructions on upgrading to this release, refer to the OpEasy Upgrade Procedure document. 6 Mitel
10 PRODUCT AVAILABILITY AND OPEASY SUPPORT STATEMENT The OpEasy 4.5 Management Suite released as a generally available product in July Customers can access the new release through the regular product channels. With the availability of this maintenance release, all OpEasy releases prior to R4.4 will no longer be supported after 60 days of this General Availability notice being issued. With this statement, the following is to be understood: All earlier releases will no longer be supported. Customers experiencing issues and requesting support from Mitel Technical Support who are running an OpEasy release older than 4.4 will be asked to first upgrade to OpEasy 4.4 (at a minimum) prior to receiving additional technical support. It is the responsibility of the Customer Operations Manager and the customer, and in the best interest of all parties, to ensure that an actively supported OpEasy release is deployed in the customer environement. Please follow up with Mitel support to schedule any requried upgrades. Please contact your Mitel sales or Customer Operations Manager for assistance with upgrading to this release, or if there are any concerns. 7 Mitel
