2 Introduction: This document will show how to update existing Executive Assistant (EA) Reports to run on the Application Service Provider (ASP) or centralized environment. These updates will still allow the reports to run in the current decentralized environment. It is highly recommended that these updates be performed prior to migrating to the ASP. You will not be able to run reports on the ASP until these updates are completed. Running the updates post-migration will cause a delay in reporting capabilities. This guide covers the most common updates that need to be applied. The troubleshooting section covers some errors you may encounter after migration. For exceptions not covered in this guide or for any questions about this guide, please contact the ARG Customer Support Center for assistance at (800) prompts 3, 5. 3 Updating an Existing Executive Assistant Report: This section will show you how to update an existing Executive Assistant Report to run on the ASP. An Executive Assistant Report can be one or more queries that may be linked to a Microsoft Excel spreadsheet. Each query in a report needs to be updated, so repeat the following for each query. Note: If you run your report by opening a Microsoft Excel file, please see the section titled Locating Queries Linked to Microsoft Excel Spreadsheets. This section will assist you in finding the queries linked to a particular spreadsheet. Open the Query: 1. Open the query to be updated using EA Report Builder. 2. Sign in with your AS/400 Application ID Note: With the update, non-application IDs will no longer work (e.g. DIAGPC, QSECOFR). Be sure to sign in with your AS/400 Application ID. 4 Backup Existing Query: 1. Once logged in, make a backup copy of the query. a. Click File on the menu bar. b. Select Save As. c. In the File Name field, position the cursor at the end of the query name and type Backup and click Save (or press Enter). 2. Close the back up copy by clicking File then Close 3. Re-open the old query, using the same procedure described in the prior section titled Open the Query. Note: If EA Report Builder (Query Application) is not closed before you re-open the original file, it will not prompt you to sign in again. March 2006 ADP, Inc. 4 of 21

5 Update the Library and Tables in the Query: 1. Click Query then Tables. 2. Click to highlight the first table listed in the Added tables/views: section. Click on the button. March 2006 ADP, Inc. 5 of 21

6 3. Answer the Any change link will apply all pending changes. Do you want to continue? message by clicking the button. 4. Change the Collection: from DBLIBR to *CURLIB and click. March 2006 ADP, Inc. 6 of 21

7 5. If the table listed in the Table: field is a logical file (i.e. the file name ends in L followed by a number, e.g. L1), change it to a physical file (i.e. ends with a PF). In this example, SLDELHL1 would become SLDELHPF. Note: If the file already ends in a PF or a J and a number, proceed to the next step. 6. Click the button to accept and close the Change Link window If there is more than one table listed under Added tables/views: section: a. Highlight the next table on the list. b. Click on the button. c. Repeat steps 3 thru 7 until all the files listed in the Added tables/views: section have been updated. Note: You may need to use the scroll bar to the right of the Added table/views section to see all the tables. If no more tables are listed or all have been updated, proceed to the next step. 8 Update Any Prompts: 1. Click on the tab. 2. Under the Added conditions: section, look for variables at the end of each line listed. Note: A variable begins with & and has letters and perhaps some numbers following it, for example &DHCONO. You may need to use the scroll bar to see the end of certain lines. Listed below are two conditions with the variables highlighted. If no variables (also known as prompts) are listed, proceed to the section titled Save the Query. Note: When the word BETWEEN is before the variable name, the variable name will be repeated twice separated by the word AND. This represents prompts with a Minimum (Start) and a Maximum (Stop) range. 9 3. Click on the first variable (or prompt) listed to highlight it and then click the button. 4. The Conditions window will appear. Click the button. March 2006 ADP, Inc. 9 of 21

10 5. The Prompt Attributes window will appear. If under Source of Prompt Answers: it says List of Actual Values From Data Source, click on the button. If not, click the button and skip the next two steps. 6. The same changes need to be made here as were made in the Update the Library and Tables section of this document. Update the Collection to *CURLIB and update the Table from the logical file (Lx) to the physical file (PF). Click the been made. button after the updates have March 2006 ADP, Inc. 10 of 21

11 7. Click the button to return to the Conditions tab. 8. For all remaining variables listed, click on the variable to highlight it and then click the button. Repeat steps 4 thru 7 in this section. 9. Click the button to close the Query Properties Window. March 2006 ADP, Inc. 11 of 21

12 Save the Query: Click on File and then click on Save. Update All Remaining Queries: 1. Repeat all of the steps in the above sections for each Executive Assistant Query report that needs to run in the ASP environment. 2. When there are no more queries to convert, exit the application. 13 Locating Queries Linked to Microsoft Excel Spreadsheets: Executive Assistant Reports may use Microsoft Excel as their starting point. A report that is run using Excel may be linked to one or more queries. If this is the case, those queries need to be updated in order to be functional on the ASP. This section will demonstrate one of several ways to find which queries are linked to an Excel spreadsheet. Open the Report in Microsoft Excel: 1. Open the Executive Assistant Report in Microsoft Excel. If the ShowCase Query prompt appears, click Keep. If Refresh was clicked by mistake, skip to step 5 in this section after the report refreshes the data, otherwise proceed to the next step. March 2006 ADP, Inc. 13 of 21

14 2. Click on ShowCase and then Query References. 3. Sign in with your AS/400 Application ID Note: With the update, non-application IDs will no longer work (e.g. DIAGPC, QSECOFR). Be sure to sign in with your AS/400 Application ID. 4. When Data References appears, click the Cancel button. Note: Steps 2 thru 4 were done to open all the queries linked to this Microsoft Excel Spreadsheet in the Query Application. The same can be accomplished (as stated in Step 1) by Refreshing the report. Due to various refresh times, this may not always be an ideal solution. March 2006 ADP, Inc. 14 of 21

15 5. Exit Microsoft Excel by clicking File and then clicking Exit. 6. If prompted Do you want to save the changes you made to report_name.xls?, click the button. March 2006 ADP, Inc. 15 of 21

16 Backup Existing Query: 1. Select the Query Application from the Task Bar. The button on the Task Bar will most likely say Query - report_name. Click on it to make it the active application. 2. It is likely the query will be minimized within the Query Application window. Click on the maximize button so the query will fill the window. 3. Make a backup of the query. a. Click File b. 17 c. In the File Name field, position the cursor at the end of the query name and type Backup d. Click Save (or press Enter). 4. Close the backup file by clicking File and then Close. 5. Repeat steps 3 and 4 above until no queries show in the Query Application window. 6. Exit the Query Application by clicking File and then clicking Exit. Note: This step is to ensure that when you make the updates you make them to the original queries and not the backup copies. March 2006 ADP, Inc. 17 of 21

18 Update the Linked Queries: 1. Repeat all steps in the section titled Open the Report in Microsoft Excel plus the first two steps in the section titled Backup Existing Query. Note: These are the steps for opening the report in Microsoft Excel, accessing the Query References, and maximizing the involved queries in the Query Application window. 2. Return to the section titled Updating an Existing Executive Assistant Report at the beginning of this document and perform all steps in the sub-sections titled: Update the Library and Tables in the Query Update Any Prompts Save the Query 3. Close the updated report by clicking File then Close. 4. Repeat steps 2 and 3 above until no queries show in the Query Application window. 5. All of the steps in this section titled Locating Queries Linked to Microsoft Excel Spreadsheets need to be repeated for all EA Query Reports run using Microsoft Excel that also need to run in the ASP environment. 6. 19 Troubleshooting Section on the ASP: Error Message: x table(s) must be Change Linked to make the query executable. (x = a number) Cause: This means that the query has not been updated or the table in the query is not currently turned on for ASP report building. Solution: Click the button and do the steps in the sub-section titled Update the Library and Tables under the section titled Updating an Existing Executive Assistant Report. If the table does not exist call the ARG Customer Support Center (number provided in the Introduction section of this guide). Error Message: Collection.Table <DBLIBR.table_name > is not found in data source < AS400 > (table_name = Table not found) Cause: This message appears just after the prompt box appears when running the query. This means that a prompt in the query has not been updated or it has not been turned on for report building on the ASP. Solution: Click on the button and do the step in the sub-section titled Update Any Prompts in the section titled Updating an Existing Executive Assistant Report. If the error message repeats, call the ARG Customer Support Center. March 2006 ADP, Inc. 19 of 21

20 Error Message: This application contains the following settings that do not match the settings your administrator has set for you: - the query is set to run in batch and you are only able to run queries interactively. If you continue, the options will be reset. Do you want to continue? Cause: Batch mode is enabled in this query. For security reasons, batch mode is not permitted on the ASP environment. Solution: Click on the button and then contact the support center (numbers listed in the Introduction section of this guide) for assistance on how to have this query rewritten. 21 Fast Path Check List: AS 400 Library: Query Name: Updating an Existing Executive Assistant Report: Open the Query. Backup Existing Query and then reopen Original Query, Update the Library and Tables in the Query Change Collection from DBLBR to *CURLIB. Change logical files (Lx) to physical files (PF). Update the Prompts that have List of Actual Values From Data Source under Source of Prompt Answers. Change Collection from DBLBR to *CURLIB. Change logical files (Lx) to physical files (PF). Save the Query. Locating Queries Linked to Microsoft Excel Spreadsheets: Open the Report in Microsoft Excel. Refresh the Report or click ShowCase, Query References, and then click the Cancel button when Data References window appears. Close Microsoft Excel, without saving. Select the Query Application, make backups of all the queries open in the application, and then close the Query Application. Reopen the Report in Microsoft Excel. Refresh the Report or click ShowCase, Query References, and then click the Cancel button when Data References window appears. Close Microsoft Excel, without saving. Perform the steps in the section titled Updating an Existing Executive Assistant Report from the sub-section Update the Library and Tables in the Query and forward. Repeat the above step for every query in the Query Application. Close the Query Application. March 2006 ADP, Inc. 21 of 21
