3 2. Plug-In Installation Instructions You must have Administrative rights to your computer to run the installation program. When the cart arrives to the station, take the lid off the cart, and plug in the battery. Connect red to red and black to black. The instruction manual is also included. MAKE SURE you leave the cart plugged in for 24 hours before initial use. The battery should then last 8-10 hours and should be plugged in every night. 2.1 Prerequisites This plug-in will work with any Windows Operating System (Vista not preferred). Microsoft Data Access Components 2.8,.NET Framework 2.0 & Microsoft Visual Studio 2005 Report Viewer are required to run this utility as well. If not currently installed, they will be installed during the installation of the application. Microsoft Office Suite not required A combination of a laptop, scanner, printer and cart are needed for the utility to 2.2 Download and Install the Dock Processing Utility 1. If the Dock Processing application is running on your machine, exit the program and un-install the current version of the application. 2. Use the web address below to access the necessary installation files: 3. Click install button to download application, all prerequisites will be installed at this time as well. 4. 5 Figure 3 Application Launch 2.3 Setting up the Zebra printer/scanner To set up the Zebra printer go to Tools then Zebra Printers. You can set up 3 printers if necessary. Figure 4 - Zebra Printer Enter in SKU LP2844-Z (or the SKU that the Help Desk supplies) for the Zebra Printer in the Printer 1 field and select the Enable checkbox. The Zebra printer software will also need to be set-up on the laptop that comes with the cart and scanner (depending on what was ordered). If the disc that was provided to install the software does not work contact helpdesk@sekologistics.com for assistance. The scanner will come already programmed according to the instructions on the User Guide that come with the scanner. The scanner is wireless. 6 3. Using the Dock Processing Utility 3.1 Checking Version Users can check to see if they have the latest version of this application by doing the following. From the top toolbar click on help and then about Figure 5 - Version Type 3.2 Shipment & Batch Processing From the toolbar you have the option to enter the Shipment or Batch processing menu. You are required to enter in your SEKO RED North America Credentials to access both Shipment and Batch Processing. July 3, 2012 Dock Processing Utility Installation and Usage Page 6 of 36
7 Figure 6 - Login Credentials PLEASE NOTE! Corporate users will not be able to login to the Dock Processing Utility as they will not be scanning freight for inbound and outbound processes. Figure 7 - Shipment or Batch Processing Batch Routing Processing If selected, users will be redirected to the Batch Routing Tool (also accessible in SEKO RED.NA). House bills are attached to a master by utilizing the Batch Routing Tool. If all of the HAWBs can be attached to one MAWB, use the Batch Route by Scanner option Figure 8 Batch Routing by Scanner menu option July 3, 2012 Dock Processing Utility Installation and Usage Page 7 of 36
8 Origin will automatically populate according to the station you are logged in SEKO RED.NA as. Select the Carrier, Truck/Trailer # (optional), Stops, Destination and enter a MAWB Number if desired (if nothing is entered in the Carrier Bill Number field a MAWB Number will be automatically assigned) and select Start Scan. Figure 9 Batch Routing by Scanner parameters Scan in the HAWBs, each scan will display in its own HAWB field, you would like to Route in the HAWB column and select Populate. Figure 10 Batch Routing by Scanner HAWB scanning If a HAWB is already attached to a MAWB or does not match the Destination that was initially entered, that row will be highlighted in yellow and list the MAWB in the City column. If the HAWB is available to Route the HAWB Details will populate and the row will not be highlighted. From this screen select ROUTE HAWBs to attach ALL of the HAWBs to one MAWB. You can also Print the Batch Routing Manifest from this screen. PLEASE NOTE! You have to use the Batch Route Manual option (explained below) in order to attach each HAWB to a separate MAWB. 9 Figure 11 Batch Routing by Scanner Routing HAWBs In order to attach each HAWB to its own MAWB (1 to 1 ratio), select the Batch Route Manual option. Figure 12 Batch Routing Manual menu option Enter in the Start Date and End Date Parameters for the HAWB Dates you would like to search for (again, Origin will be automatically filled in based on the station you are logged in as), and then Select HAWBs. 10 From the Key in the upper right hand corner select the Carrier you wish to use when Routing the HAWBs. You will be using the number to the left of the Carrier Name (2, 3, 9 etc) Figure 14 Batch Routing Manual Carrier Grid Enter the Number to the left of the HAWB Number, plus a MAWB # (entering a MAWB # is optional and will be automatically assigned if nothing is entered) and a Trailer # (optional as well) and select ROUTE HAWBs. 11 Shipment Processing Origin Outbound labels can be printed from the Dock Processing Utility (File >Shipment Processing). Select the Origin button. Figure 17 - Shipment Processing Print all labels on HAWB scan if checked, this will print labels for all pieces when scanning or manually entering the HAWB. If unchecked, it will print one label as each piece is scanned. 1 Example A four piece shipment will print 1 of 4 for the first piece scanned; 2 of 4 for the second piece scanned; 3 of 4 for the third piece scanned; and 4 of 4 for the fourth piece scanned. 2 In Seko Red there will be a HAWB remark added stating that labels printed via Dock Processing Utility. 3 If you print all the labels and try scanning or printing again (the Print all Labels on HAWB scan checkbox must be de-selected) you ll get this message (and have the ability to reprint label 1of4; 2of4; 3of4; 4of4): July 3, 2012 Dock Processing Utility Installation and Usage Page 11 of 36
12 Figure 18- Piece Selection Update Internal status when pieces complete If checked, this will update the internal status on HAWBs from Pending to Active when ALL pieces have been scanned. If unchecked, the internal status will not update. If the HAWB has an internal status of Pending, it will not be able to be routed. o The internal status also can be manually changed to Active in Seko Red. Once in Active status, it cannot be changed back to Pending. HAWB search Parameters for printing labels: Figure 19 - Internal Status Start & End Date The date range for the HAWB date Station The Origin Station Cust # - Customer number, not required Prefix If the HAWB numbers starts with specific alphanumeric character. Example: HDD for home depot or WM for Wal-Mart. The Prefix would be added to whatever is scanned or manually entered. After entering the shipment processing criteria you must select the Retrieve Data button. Please note! If you change any settings, you will need to click Retrieve Data again before scanning. 13 Figure 20 Scanning HAWB After scanning, a black window will flash and disappear, there will be a single beep and the label will print, and you will see information sent to printer at the bottom of the application. Labels can also be printed manually by entering the HAWB # (on the HAWB line) or by entering addr/zip, phone, shipper ref #, consignee reference #, Serial 1, Serial 2, or Serial 3 and then clicking on the PRINT button. The search syntax is as follows: Addr/zip: 1454 Dogwood Drive Conyers, GA would be entered as Phone: Shipper & Cons Ref #: would be the same Serial 1, 2 or 3 would be the same as the text in the corresponding Serial Number field in the Pieces Detail. If there are HAWB s that meet the same criteria, for example, if they have the same Shipper Reference Number a window will open with a list of HAWBs meeting the identical criteria. 14 Figure 21 Multiple HAWBs with identical information dialog Shipment Processing Recovery Figure 22 - Shipment Processing Recovery Navigate to the Recovery Tab. The Update HAWB to OHD checkbox is checked by default and the Print All Labels on HAWB Scan is unchecked by default. To start scanning in and recovering HAWBs select the Start Scanning button, place your cursor in the HAWB field and start scanning the desired HAWBs. 15 o o Please note! Similar to the Origin Tab, you can also scan in and/or manually enter HAWB numbers based on the Address/Zip, Phone Number, Shipper Reference #, Consignee Reference #, Serial 1, Serial 2, or Serial 3 information. Also! If labels are needed during the Recovery Process, they can be printed according to the Ship As Pieces or the Total Pieces on the HAWB in SEKO RED.NA. Ship As is selected by default. However, users can select None so that labels do not print during Recovery. Figure 23 Recovery Label and scanning options Once you have begun scanning, the Pcs Scanned field on the HAWB in SEKO RED.NA is updated. This field is grayed out and cannot be edited within SEKO RED.NA. HAWBS and MAWBS are marked as complete, and the statuses are updated to On Hand Destination Station and Recovered at Destination based off the Ship As Pieces on the HAWB in SEKO RED.NA. If the HAWB is attached to a MAWB, that the MAWB status is update to Recovery In Progress. You cannot edit the status of a MAWB while the status is Recovery in Progress. A MAWB Remark is also dropped denoting the time, date and user that started the scanning session in the Dock Processing Utility. If the freight is on a HAWB is damaged or any other Exception needs to be entered, you can enter the Exception remark in the Exception field and then scan in the appropriate HAWB Number July 3, 2012 Dock Processing Utility Installation and Usage Page 15 of 36
16 Figure 24 Entering Exceptions o Please note! Entering any text into this field will update the HAWB status in SEKO RED.NA to OS&D. Also, a HAWB Remark with the Date, Time and User gets entered with the text that was typed into the Exception field. You can also change the number in the Enter Quantity field if more than one piece on a HAWB is at the Destination and you do not want to scan in multiple pieces on a shipment. Figure 25 Scanning multiple pieces PLEASE NOTE! The HAWB numbers can also manually be entered in from the laptop and updated in RED.NA by selecting the Process button to the right of the HAWB field. 17 If you scan in a piece on a HAWB that has already been completely recovered, you will receive a prompt asking you to confirm if the piece is valid or if it is a duplicate. Select Yes to count the piece, select No to disregard. Figure 26 HAWB complete prompt If Yes is selected, this will be classified as an Overage, the HAWB status will automatically updated to OS&D in SEKO RED.NA and a HAWB remark will be dropped stating an Exception was created due to an overage. If the freight has been misrouted and is at the wrong Destination, the following prompt will appear stating the HAWB number is not valid for that Destination. Figure 27 Incorrect HAWB Destination prompt Which will generate a HAWB remark stating the freight was scanned in at the incorrect Destination in SEKO RED.NA. PLEASE NOTE! The beep on the scanner will be different to instruct the user to check the prompt on the screen in any scenarios where a HAWB is unscannable (wrong Destination, wrong label scanned, invalid HAWB number). Once all of the freight has been recovered, select the Done Scanning button on the Recovery tab of the Dock Processing Utility. 18 Figure 28 Done Scanning button A prompt will appear to confirm if you would like to complete the scanning session. Select OK to complete the session and update HAWB and MAWB statuses or Cancel to disregard and continue scanning. Figure 29 Recovery completion prompt Selecting OK will update the scanned MAWB statuses in SEKO RED.NA to one of the following. 1) Recovered Partial - this means an entire HAWB attached to a MAWB has not yet been recovered, or pieces are missing on one or more HAWBs attached to the MAWB. Both of these scenarios will be classified as Exceptions. a. HAWBS that are missing pieces will be updated to On Hand Destination Station- Partial. b. HAWBs that have not had any pieces recovered will remain as In Transit, or whatever status they were in before the scanning began. 19 c. If the remaining pieces on a HAWB are recovered on a different session, the HAWB status will then automatically be updated to On Hand Destination. 2) Recovered at Destination - this status designates all pieces on all House Bills have been recovered. Once you have selected the OK button, an automatically generated Session Number will be ed to the station associated to the user you are logged in as. 4. Inventory Management Usage This feature gives users the ability to scan parts directly into Inventory Management. From the top menu click on IMS for the menu options. 4.1 Bar Code List View This gives the user the ability to view all lists and have the ability to do a few different things. On the menu screen select IMS then Bar Code Lists Bar Code List filters Users have the ability to sort this list to make searching easier. Filter your lists by doing one of the following. Toggle box for showing your lists only 1. Company list drop down 2. Sort ascending or descending from headers (name, list type, company, parts, created by and created date). Right click Menu Options Once a list is saved and appears in the bar code list users have a few more options. Hover over your list and right click the mouse gives you more options Locking a List This will prevent any unwanted changes to your list. When a list is locked, other options are then available (depending on the type of list you created) for processing the list as explained below in Process a List. Receive Parts right click and click and select the receive option you would like to use: 1. Receive Now will receive the parts on the list immediately Process Pick tickets (coming soon) Adjust Parts on a shipment Clone a List Users can clone a list Use this to make a copy of your list. This can be utilized for the any of the following circumstances. July 3, 2012 Dock Processing Utility Installation and Usage Page 19 of 36
20 If your list is locked you can t add more parts to your list, so clone it and the parts can be added. You can then delete the old list if it is no longer valid. You would like to compare your list to another list. You would like to do something else with the same set of parts. Delete a List Only users that initiate a list are able to delete it. Process a List Once locked, users have other options available to them depending on the type of list created. Generic Lists No further processing can be performed. User can open the list and print out Scan Reports if desired. Receive Lists User can receive parts using different options: 1. Receive Now Receives the parts without requesting any more details 2. Simple Format Allows you to enter the following details for the receipt: o o o o o o Carrier Name Carrier BOL Shipper Ref Consignee Ref Special Instructions Inspection Report Add Parts List Submit the list and the parts will be adjusted based on your input. A preview of the changes that will occur will be shown. View History If an item has been processed, i.e, receipt, pick ticket a user can View History and get to available reports. In order to tell if a list has been processed a user will notice a TODO: wrong icon here, need check mark. To access the History report right click on view history and a screen like this will pop up. 23 4.2 New List Options To create a new list a user should do the following. From the top menu bar select IMS and then Create new List 1 Give the list a unique name 2 Select the type of list Figure 33 - Creating a New List Generic Create any old list for your own purposes Receipt Can receive parts for one specific company or multiple companies Pick Ticket (Coming Soon) Allows you to scan all parts to verify proper fulfillment, process the Pick Ticket, and then send the shipment to operations. Parts Add Allows you to adjust parts on an outgoing, warehouse shipment. 3 Select Location 4 Select Company ( or use various if desired ) 5 Click Start entering parts to begin adding parts Figure 34 - New List Figure 35 - Options July 3, 2012 Dock Processing Utility Installation and Usage Page 23 of 36
24 BCR Entry Menu A user has the ability to control what they see on the part scan screen (this menu is accessible when creating a new list) Show all serials Shows multiple serial numbers at a time. If only one serial number is necessary then user can toggle back and forth Close BCR Entry This will close the current List a user is working in Automatic Options Multi serial number input Enter 1 or multiple serial numbers at a time Input Masks Toggle off and on through this menu Option Figure 36 - Compare to Options Compare to User has the capability of comparing their current list to a wide variety of other lists Return Shipment Enter the HAWB number of shipment you would like to compare to Another List Be it generic, receipt and so on Pick Ticket Enter pick ticket number from the Inventory Management system to compare your list to Outgoing Shipment Enter the HAWB number of the outgoing warehouse shipment you would like to compare to. Remove Comparison If a user doesn t wish to compare to any list simply select Remove Comparison Discrepancy Report When comparing your list to another a discrepancy report is made available for use to evaluate the difference between the parts you have scanned and the parts expected based on the comparison you selected. Working with an Active Comparison When a user first starts comparing to another list, they will see something similar to the below picture July 3, 2012 Dock Processing Utility Installation and Usage Page 24 of 36
25 Figure 37 - Comparing Lists Notice that both line items at the bottom of the screen are currently red. This means that these parts have not been fulfilled on the current scan list. A user will also notice that the Missing Quantity Shows 2 This will update as parts are scanned in and verified As seen below July 3, 2012 Dock Processing Utility Installation and Usage Page 25 of 36
26 Figure 38 - Comparing List 2 Now notice the List below, you will see after the top line item was scanned, the Red error goes away and turns white this means that part has been validated. Also notice that the Missing Quantity changed from 2 to 1 and also shows there is 1 valid part on the scan If an Unexpected part is scanned the utility will notify a user as well by putting a number into the field next to unexpected and Highlight the row blue July 3, 2012 Dock Processing Utility Installation and Usage Page 26 of 36

Figure 44 - Scan Report 4.4 Adding Parts to a list A user can add parts to a list manually or by scanning the bar codes. Scan Input Masks If a customer uses a specific bar code entry system, we can customize the utility to meet their needs. To add an input mask, a user must contact helpdesk@sekologistics.com. Below is an example of a label that we may need to customize. July 3, 2012 Dock Processing Utility Installation and Usage Page 29 of 36
30 Figure 45 - Example Scan Mask As seen above, you ll notice that the bar code for part number and serial number are combined on one bar code. The Dock Processing Utility can be customized to accept these types of scans. Scan Masks are set up on a customer level, a user can view what types of Scan Masks they have set up by double clicking on the image next to Part Entry. You will only see this image if the Company you selected has Scan Input Masks available. Figure 46 - Scan Mask Icon After double clicking on the Scan Mask icon it will pull up the list of active scan masks set up for the specified customer July 3, 2012 Dock Processing Utility Installation and Usage Page 30 of 36
31 Figure 46 - Active Scan Masks Entering Parts Color coded warning/errors Parts will be validated as they are scanned into the system. If there are any issues with the scan the user has the ability to fix the issue right from the list screen. Hover over row for more details This should give the user a very good idea as to what exactly is wrong with the scan. Double Clicking line item for Automated Error Resolution User could then specify what they would like the system to do with that particular scan. RED (indicates error), YELLOW (indicates warning) Parts MUST be valid in order to be considered for any active comparison Validation of parts per List Type Depending on the type of list selected ( generic, receipt, pick ticket ) the parts will be further evaluated for their validity. For example, when receiving parts, you cannot receive a part that already exists (same serial number / part master combination already in the system). This row will be red / invalid. When adjusting parts on a shipment, the part you enter must exist in the system, and must be available for the date of the shipment you selected. Common Errors Below you will find a few of the common errors a user will generally run into Invalid Part number When a user sees this message, it generally means one of two things July 3, 2012 Dock Processing Utility Installation and Usage Page 31 of 36
32 Figure 47 - Invalid Part Number Need to create part master By double clicking on the line item a user can create the new part master in SEKO Inventory Management. Figure 48 - Creating Part Master Multi Version Part Master If there are multiple versions of a particular part master, the system may ask what version of this part a user scanned Figure 49 - Multi Version Part Double click on the line item and the utility will provide options for correcting the invalid entry. 34 Figure 52 - Valid Part Working with the Grid Users can make changes, delete rows and sort the grid while working with an active scan list. Making changes If a user scanned a wrong quantity or needs to edit something simply highlight the field needing to be changed, type in your correction, then press the enter key. In order for these changes to take affect, user must save after making changes. 35 Deleting Rows - A user can delete a row by highlighting it and then hitting delete or by hitting the at the bottom of the screen Figure 55 - Deleting a Row Sorting Rows Scan order is defaulted by newest to oldest scan, but they can be sorted by clicking on the column you wish to sort.
