1 31 Working with Documents in Web Intelligence Rich Client This session demonstrates working with documents using Web Intelligence Rich Client Working in Connected Mode You must have logged in using Connected Mode (per repository) at least once before Offline Mode can be used against that repository, therefore we will start with an example using Connected Mode. 1. Launch Web Intelligence Rich Client from Windows: NOTE a. Provide your System name (i.e. repository to connect to). Your BusinessObjects Administrator will be able to provide you with the necessary details. b. Provide your Log On credentials (not needed if using Single Sign-On). c. Select an Authentication mode. If you are unable to provide a System name then you can get Web Intelligence Rich Client from BI Launch Pad. 1. Log On to BI Launch Pad 2. Change your preference for default creation/editing tool to Desktop. 3. Launch Web Intelligence and this will launch Web Intelligence Rich Client. This CMS will then be available for you to select from the drop-down box for System the next time you launch Web Intelligence Rich Client. IMPORTANT If you will be also using Web Intelligence then change your preference for default creation/editing tool back to Advanced in order to use the Java interface. If you do not revert this setting then Web Intelligence Rich Client will be launched instead of Web Intelligence. 2. Click on Universe to create a new Web Intelligence document using a Universe 3. Select efashion universe. The universe will be imported from the repository to your local machine. 525

2 4. Create the following query (name it as qryactualrevenue ). 5. Run the query and name the report tab Actual Sales. 6. Click on Save button to save the document with the name WIRC Actual Sales. The documents are not saved to the repository (i.e. not in Favorites or Public Documents ) but they are saved locally. The default folder being taken from the setting specified in Options General User documents:. 526

3 By default the documents will be saved as Web Intelligence (or WID) files but you can also save files in different formats. The other options are: Option Refresh on open Permanent regional formatting Save for all users Remove document security Description Document will be automatically refreshed when opened. Locale of the current machine is applied to the document and will be used on any machine it is opened on. All document security is removed and document can be opened in Standalone Mode. If Save for all users is also checked then this option is overridden. When checked only the current user can open the document in Connected or Offline modes. 7. Close your Web Intelligence Rich Client document by using Close (top right-hand corner), or pressing the keys <CTRL> + <F4> together Exiting / Closing Web Intelligence Rich Client After you have saved your work you will want to exit/close Web Intelligence Rich Client itself. 1. Select Exit from the main menu or press the keys <ALT> + <F4> together. 527

4 2. Web Intelligence Rich Client will close but keep running in the background as you will be given the following message: 3. To exit Web Intelligence Rich Client completely, right-click on the Windows Notification Area Icon for Web Intelligence Rich Client and select Quit Working in Offline Mode Offline Mode can only be used with a repository if you have used Connected Mode at least once (to the repository) in order to create a local security file from the CMS. We have used Connected Mode and have saved a document locally, so it should now be available in Offline Mode. 1. Exit any existing sessions of Web Intelligence Rich Client completely. 2. Launch Web Intelligence Rich Client from Windows. 3. Connect against the same repository as we used for Connected Mode, but make sure you select Use in Offline Mode. NOTE You need to supply User Name and Password. 4. Click on the menu File to reveal: Open will enable you to browse for documents. Open from is disabled because we are in Offline Mode. 528

5 Or you can use the Recent Documents list: 5. Open the document WIRC Actual Sales that we saved in Connected Mode. We have now opened a document locally using the security profile that was created on the local machine when we used Connected Mode. 6. Click on the Refresh Data button to try and refresh the document. If the local machine has the necessary middleware installed then the document will be refreshed as Web Intelligence Rich Client will be able to communicate with the database platform you are using (such as Oracle, SQL Server, etc). In this case middleware refers to the software programs required to communicate to your database platform (i.e. database client software, drivers, ODBC connections, etc). If you are totally disconnected from your network and using Web Intelligence Rich Client in Offline Mode then you will not be able to refresh documents because you will not have access to your databases. 7. You can make changes to queries and save the document. However, just like the previous point, you will only be able to refresh queries if you have the necessary middleware installed to communicate with your databases. 8. You can make formatting and other changes (variables, extra report tabs, etc) to the document and save it. 9. Close and Exit Web Intelligence Rich Client completely. NOTE If a different user logs on in Offline Mode and tries to open a local document then the document will not open until the local security file has been updated to allow access to the particular document. Example: User 1 creates a new document in Connected Mode and saves the file locally. 529
