5 APS Professional User Guide Introduction INTRODUCTION Gallagher Animal Performance Software (APS) is a valuable accessory to your TSi Livestock Manager, Weigh Scale or Reader. APS is software that can be run on a PC or laptop. It comes in either a Standard (basic) or Professional (advanced) versions. With APS you can perform the following functions: Transfer data between the PC and the connected device via WiFi, Bluetooth, USB or Serial in either direction. View and Edit animal Life Data. View and Edit all Traits, Activities and Notes recorded against an animal. Add Notes Create Traits and Activities. View Weight Gain graphs, Trait or Activity graphs. Filter animals, to show specific groups of animals. Import and export animal data. Create a planned Draft List (Sort List). Process national traceability transactions. (NAIT, NLIA or CCIA) Prepare advanced reports using animal data imported from the connected device. Page 1

6 Using APS Professional (Office) APS Professional User Guide USING APS PROFESSIONAL (OFFICE) Upgrading your APS Standard license to a Professional one, will give you access to more features of APS. This manual details the functions of APS Professional only. Please refer to the separate APS Standard manual for specific information on its capability. To access APS Professional, from APS click on the Manage Animals tab and click the button Open APS Office. The APS Professional window will open on the Animal List tab. Animal List tab The Animal List tab lists all animals in the database when no filter is applied. If you wish to list animals according to specific criteria, (e.g. those from a particular session/s or those with particular traits, weights etc.) then you will need to filter the database in order to show only these animals. Refer to Filtering Animals (p 9) for further detail about how to filter animals. The Animal List tab will remember the last filter applied and display animals accordingly. The order in which animals are displayed can be changed by clicking on the desired column header (e.g. CurrentADG). Page 2

7 APS Professional User Guide Using APS Professional (Office) Select Columns to View The Select Columns function allows the user to customise the order of the data shown in the main animal list. These customised views can optionally be saved for repeated use when analysing animal data. 1. Click Select Columns and a list of available column headings and a list of already selected column headings will be displayed. To select columns for your report, click on the required column heading under Available Columns and click the Right arrow. Notes: To de-select columns for your report, click on the headings under Selected Columns and click the Left arrow. Columns will appear in the order shown under 'selected columns'. This order can be modified by selecting an entry and using the up and down arrows to reposition it. 2. To save your list of pre-defined columns, click Save. 3. Enter a name for your list of columns in the Save column definitions box and click OK. Note: To delete a pre-defined list of columns, select the name of the list from the Predefined Columns drop down menu on the Column Selector screen and select Delete. Searching for an animal The Quick search field enables you to search the database for an animal's ID. This field is located on the Animal List tab and displays as shown. If the ID entered exists and is listed in the current filter, the animal is shown as selected (row is highlighted) in the grid. Deleting an animal When an animal is deleted all records for this animal are permanently removed from the database. CAUTION: All animals selected will be deleted, ensure you have selected the appropriate animals. Follow these steps to delete an animal from the database: 1. Select the animal/s that you want to delete. 2. Click Animal>Delete from the main menu on the APS Professional screen. 3. Click Delete Now to permanently remove the animal/s from the database. 8 Using APS Professional (Office) APS Professional User Guide Printing an animal list This report shows the animals selected or all animals in the current filter on the Animal List tab. See Select Columns (p 3) to change the animal data displayed and printed. The animal data can be printed to a printer or exported to a CSV file. Follow these steps to print an Animal List report: 1. Select the animal(s) you want to report on or select Change Filter to report on different animal criteria. 2. To export or print a report: Select File > Print from the main menu to open the Print Report Options window. Choose the print destination, paper size and orientation of the report and click on OK. If Print Preview is selected; The report will be displayed on screen. To print the report, click on the printer icon in the top right of the screen. If Send to is selected; Enter the recipients details in the Details window. An will be sent with the generated report data file attached. If Save as CSV is selected; Enter a File Name for the CSV file and select the destination folder where the file is to be saved to. Page 4

9 APS Professional User Guide Using APS Professional (Office) Displaying Animal Pedigree The Pedigree Chart can be viewed from both the device and APS Professional and shows the following: the progeny of a selected animal from all of its partners, the animals parents the animals grandparents the animals great grandparents the relationship between each generation Display the pedigree of an animal 1. Follow these steps to display the pedigree of a selected animal. In APS Office, select an animal on the Animal List screen and select Show in pedigree chart from the Animal menu. OR: From the PC only, right click on an animal in the Animal List and select Show in pedigree chart. The pedigree chart for the selected animal will open with the selected animal shown in the top left box, and its parent, grandparents and great grandparents shown left to right. Any progeny will be listed below the animal. The boxes are outlined blue for male and pink for female. 2. Select the data to be displayed on the chart by clicking on the down-arrows of Show ID field (select from Tag Number, Electronic ID and NLIS number) and Show Extra Field (select from extra fields like life data, traits or activities.) 10 Using APS Professional (Office) APS Professional User Guide Notes: If the Extra Field selected is a numeric field, the status label at the bottom of the screen shows the average, minimum, maximum values of Extra Field values for all progeny. If you click on any other animal in the chart, that animal (if in the database) will become the main animal and its pedigree and progeny will be shown. Each box contains the animal ID at the top and the extra information from the Show Extra Field, at the bottom. If an animal has a sire or dam that does not exist in the database, its ID will be shown in bold. Print the Pedigree Chart 1. From the Pedigree Chart, click on the Print button in lower left corner. The pedigree chart is opened in print preview form. 2. Click on the Printer Icon in the top left corner of the window to print a hard copy of the displayed data. Page 6

11 APS Professional User Guide Using APS Professional (Office) Animal Inventory tab The Animal Inventory tab allows you to filter animals by Group, Location, Status or a Life Data value. You can also view the average weight and total weight of all animals in the grid. The Select Status button allows you to filter the animals shown in the grid, by animal status. The selected status is remembered next time the application is run. You can graph the data shown in the grid, by selecting the 'Graph' button located at the top right of the screen. Page 7

12 Using APS Professional (Office) APS Professional User Guide Stock Availability tab The Stock Availability tab displays the total number of animals per animal group which match the criteria set at the top of the screen. You can predict the average weight per animal group and total weight per animal group at a future date, based on the ADG specified. The Target Date selector allows you to specify a date in the future which will be used to calculate the weight predictions in the grid below. The Weight Range fields allow you to enter a minimum and maximum weight. Only animals that would achieve a weight that falls within this range by the Target Date are included in the grid. The predicted weight for each animal is based on either the Current ADG, Overall ADG, or a user specified gain for all animals. Click the Refresh button to update the grid. The Select Status button allows you to filter the animals shown in the grid, by animal status. The selected status is remembered next time the application is run. You can graph the data shown in the grid, by selecting the 'Graph' button at the top right of the screen. Page 8

13 APS Professional User Guide Filtering Animals FILTERING ANIMALS Why Filter Animals? Filtering enables you manage a large database of animals by identifying and selecting specific animals. Once a filter has been applied, only the selected animals are displayed on the Animal List tab. Adding a Filter Rule Definition To specify what animals are to be included in the filter, you will need to add some rules. Rules can either be added to the OR field or the AND field. Rule Field OR AND Definition When a rule is added to the OR field, this means the animal must meet at least one of the criteria specified. When a rule is added to the AND field, this means the animal must meet all the criteria specified. Example A farmer wants to view all Hereford females that are in poor condition. The farmer speculates some of these animals may have missed a vaccination. The rules the farmer created are as follows: This filter will select all Hereford females, whose last Condition Score was less than 50 or whose last Note contains the words 'Poor condition' or who have 'Never received a 5 in 1 Vaccination'. 14 Filtering Animals APS Professional User Guide Setting up a Filter Follow these steps to set up a filter: 1. Click the Change Filter button located on the Animal List tab. The Change Filter screen displays. 2. Select a Rule Type from the buttons on the left of the screen; e.g. select 'Breed' if you want to filter animals by breed. 3. Select if the rule is to be used in the AND or OR field, and configure your selected Rule Type. The configuration options will vary depending on the rule type selected. 4. Click Add Rule, your configured rule will be added to the AND or OR field for the current filter. 5. Click OK to apply the current filter. Refreshing the Animal List Filtered animals are shown in the animal list. If you change animal data (Life Data, Traits, Activities or Notes) so that the animal no longer meets the current filter criteria, you will need to click the Refresh List button located on the Animal List tab. All animals that do not meet the current filter criteria will be removed from the animal list. Page 10

15 APS Professional User Guide Viewing and Editing Animal Records VIEWING AND EDITING ANIMAL RECORDS The View/Edit Animal screen shows all recorded data for a single animal and enables you to: view and edit the animal's Life Data view and edit the animal's Traits, Activities, Notes and Events generate a line graph that shows a history of recorded values for a numeric Trait and Activity generate a distribution graph that shows the range for a selected Trait within a selected Session Opening the View/Edit Animal screen To open the View/Edit Animal screen, either: select an animal from the Animal List tab and click the View/Edit Animal button, or double-click one of the selected animals (rows) from the Animal List tab. The View/Edit Animal screen Below is an example of the View/Edit Animal screen for animal: GAB01. Page 11

16 Viewing and Editing Animal Records APS Professional User Guide Modifying Animal Data Data can be added to individual animals via the View/Edit animal screen. If the same data is to be added against a group of animals, it is possible to do this via a bulk update. For further details, refer to Performing a Bulk Update (p 18). Adding a Trait or Activity to an animal 1. Click Add Trait or Add Activity in the View/Edit Animal screen. The Add a Trait screen displays. 2. Click the Trait Name or Activity Name drop-down arrow and select a trait or activity. Depending on your selection, all traits or activities currently defined in the database are listed. To create a new trait or activity, click the Create New Trait button. If adding a trait, select an existing Trait Value or Add New Value if requied. 3. Select a session to add this trait or activity against. 4. Select a date and time to record this Trait against. 5. Click OK, this Trait and value is added to the records for the currently selected animal. Page 12

17 APS Professional User Guide Viewing and Editing Animal Records Adding a Note to an animal 1. Click Add Note in the View/Edit Animal screen. The Add a Note screen displays. 2. Type in your Note (maximum 30 characters). 3. The note can be optionally set as an Alert via the Set this note to be an alert checkbox. This note will display whenever the animal tag is read by a TSi or some hand held readers. 4. Select a session to add this Note against. 5. Select a date and time to record this Note against. 6. Click OK, this Note is added to the Records panel for the currently selected animal. Page 13

18 Viewing and Editing Animal Records APS Professional User Guide Graphing animal data Description The Graphs tab displays two graphs: The Animal Trait Graph This plots the values recorded for a Numeric Trait and requires at least two values over time in order to generate a graph. You can also plot an Activity. This allows you to analyse the impact of an Activity and if any subsequent improvements for weight or ADG occurred as a result. The Trait in Session Graph This plots a selected Trait within a selected session. You can then analyse this graph to see how the current animal compares to other animals within the session for this Trait. Graphs The following example shows the graphs for animal "GAB01". The selected Trait is "Weight/Weight Gain" and the selected Activity is "Drenched". Page 14

19 APS Professional User Guide Session Viewer SESSION VIEWER From the APS Office main screen, one or more sessions can be opened, viewed and actions taken on the displayed sessions. To view a session 1. From the APS Office menu, select Session then Open Sessions. All standard sessions are displayed. 2. Select one or more sessions to view, by selecting the check box for the session/s and click OK. If more than one session is selected, an Office Session Viewer window will open for each selected session. The columns displayed in the grid can be changed by selecting the Select Columns button. See Select Columns (p 3) for more details. The following tool bar is displayed on the Session Viewer window. Draft List/ Sort List Note: In some markets, Draft Lists are referred to as Sort Lists. Click Draft List in the APS Office Session Viewer, to display the drop-down Draft List menu. The following options are available from this menu: Create Draft List Add to Draft List View Draft List Session View Draft List Opens the Create Draft List dialog box. See Creating a Planned Draft List (p 29) for more information. Opens the Select Draft List dialog box. Select a Draft List file from the drop down menu and click OK. See Adding more animals to a planned Draft List (p 29) for more information. Opens the View Draft List dialog box. See Viewing a Draft by List session report (p 30) for more information. Opens the View Draft List dialog box. See Setting up Planned Draft List groups (p 30) for more information. Page 15

20 Session Viewer APS Professional User Guide Print a Session The Print Preview button lets you confirm the information to be printed before sending it to the printer. The report information can be either an entire session file, or just some selected animals. The page header shows the date the report was generated, the session name, the session type and the page number. The footer shows statistics about the session. Page 16

21 APS Professional User Guide Session Viewer Session Statistics From the Session Viewer Tools menu, select Show Statistics. The tab options available from the Session Statistics window are described below: General Statistics This tab is shown by default and displays the number of weights, the average, total, lowest, highest weight and the average ADG of the animals selected. If no animals are checked, the statistics are for all animals. Manual Draft It is possible to divide the selected animals into theoretical groups based on their weight by using the Manual Draft tab. By selecting 2 way or 3 way drafting, the weight ranges are shown differently. Draft Statistics The statistics are broken down into the group (or gate) numbers, up to a maximum of nine groups. Animals drafted by weight, rules or by list are displayed on this tab. Page 17

22 Performing a Bulk Update APS Professional User Guide PERFORMING A BULK UPDATE The Bulk Update Wizard enables you to edit the records for selected animals as shown below: Note: It is recommended that your database is backed up before performing a bulk update. To perform a bulk update to all selected animals, complete the following procedure: 1. From the Animal List screen select the animal(s) you wish to perform a bulk update for. 2. From the main menu bar, select Animal then Bulk Update. The Bulk Update Wizard displays. 3. Click the radio button corresponding to the field you wish to update (edit) then click the Next button. 4. Select the appropriate field you wish to edit and the value you wish to assign to all selected animals, using the drop down lists or entering data into a field where appropriate. 5. Click the Update button. The new value will be assigned to all selected animals. 6. Click the Finish button. Page 18

23 APS Professional User Guide Importing Animal Data IMPORTING ANIMAL DATA Animal data is imported from a comma separated values (CSV) file. Animal data may originate from APS Office, MyScale Pro, or another software application. In order to import a CSV file, the file must contain at least one animal record and have a consistent number of columns. Once the import has been successfully completed, click the Refresh List button, located on the Animal List tab in APS Office. The newly imported animals will be displayed in the Animal List. There are three options available when importing animal data: Importing a Session file Use this option when importing animal data from APS Office, MyScale Pro, or another software application. This option offers an advanced feature that enables you to map columns from the import file to columns (fields) in APS Office. Importing multiple MyScale Pro session files Use this option to import multiple MyScale Pro session files, at one time. A MyScale Pro session file is a CSV file originating from a Gallagher SmartScale You can also choose this option to import multiple APS session files. An APS session file is a CSV file originating from APS Office. Importing a Tag Bucket file Use this option if your supplier of EID Tags has provided you a Tag Bucket file. This option allows you to import the EIDs and Tag Numbers into APS Office. This is useful when inducting animals. Note: Importing a duplicate file (the same file twice) is not recommended. Page 19

24 Importing Animal Data APS Professional User Guide Importing a Session file 1. Select Database then Import A Session File from the APS Office menu. 2. Click Browse and navigate to the file containing the animal data you want to import. The import file must be in comma separated values (CSV) format. Select the file to import and click Open. 3. If the file does not contain a header row (i.e. column labels), deselect the checkbox This file has a header row. Click Next. 4. APS Professional will attempt to automatically match the 'Header Row of Import File' with a 'Field Type' and 'Field Name'. Note: If the file to be imported is an APS Animnal History file, select the Import File as an Animal History File checkbox and click Import. To map the data shown in the first row of each column: Select a Field Type that best matches the data shown in the first row of the column. Page 20

If you do not choose a matching field the column will not be imported. Note: In order to enable the Next button, at least one Field Type of 'Animal ID' with a matching Field Name of 'Electronic ID', 'Tag Number' or 'NLIS Number' must be selected 5. Click Next. 6. Choose an animal identification field and click Next. To optionally apply an event to each imported record, select Assign an Event and select the event. 7. Click Next. 8. Select a session that the animal data will be imported into and click Import. You can import animal data into a new session, or an existing session. A progress bar displays while the animal data is imported. 9. Click Finish, to close the Import Wizard. What happens next To view the imported data, click the Refresh List button located on the Animal List tab. Your newly imported data will be displayed in the Animal List. Page 21

26 Importing Animal Data APS Professional User Guide Importing multiple MyScale Pro session files 1. Select Database then Import Multiple MyScale Pro Session Files form the APS Office menu. 2. Navigate to the MyScale Pro session files that contain the animal data you want to import. Select the files to import, then click Open. You can select multiple files if required. 3. If multiple animal ID fields have been found in the selected files, the Select Animal Identification window displays. Choose the field that should be used to identify the animals then click OK. 4. To optionally apply an event to each imported record, select the Assign an Event radio button then select an event from the drop-down list. You can also enter a note for each event. 5. Click OK. A progress bar displays while the animal data is imported. Page 22

What happens next To view the imported data, click the Refresh List button located on the Animal List tab. Your newly imported data will be displayed in the Animal List. Page 23

28 Importing Animal Data APS Professional User Guide Importing a Tag Bucket file 1. Select Database then Import A Tag Bucket File from the APS Office menu. 2. Click Browse and navigate to the file containing the animal data you want to import. The import file must be in comma separated values (CSV) format and have the EID as the first column. 3. Select the file to import. 4. If the import file does not have a header row (i.e. column labels) select the checkbox This file has a header row. 5. Click Next. 6. Select the fields that you want to make up the animal Tag Number with from the left list box, and move them to the right list box, using the arrow buttons. Re-order the fields as required. The left list box is populated with all the columns in the file, except the first column which is assumed to be the EID column in the Tag Bucket file. Select the delimiter to use between fields from the Delimiter drop-down list. Page 24

29 APS Professional User Guide Importing Animal Data The 'Example format' text box displays an example of the format that the Tag Number will be generated as for each imported record. 7. Click Next. 8. To optionally apply an event to each imported record, enter this at Step 4 of the wizard, then click Next. 9. Select a session that the animal data will be imported into. You can import data into a new session, or an existing session. 10. Click Import. 11. Click Finish, to close the Import Wizard. What happens next To view the imported data, click the Refresh List button located on the Animal List tab. Your newly imported data will be displayed in the Animal List. Import failure The Import Wizard processes each record contained in the import file. Some records maybe successfully imported. Some records may fail to import. Successfully imported records The import file is moved from its current folder to a subfolder titled 'Imported'. Failed import records A new file is created (a failed import file). This failed import file contains only the records that failed to import and describes why each record failed to import. Page 25

30 Exporting Animal Data APS Professional User Guide EXPORTING ANIMAL DATA Animal data is exported from the connected device to a comma separated values (CSV) file. This file can then be imported into APS Office, MyScale Pro, or another software application. There are two options available when exporting animal data: Export MyScale Pro Session Files Use this option to export animal data in a MyScale Pro format, for inclusion in the list of sessions able to be seen and edited in MyScale Pro. Export APS Sessions Use this option to export animal data in a format suitable for APS Office or another software application. This option allows you to export session files or individual animal records. Note: Exporting a large number of records from the connected device may take some time. It is recommended that this be done on a PC or laptop using APS Office. Changing the exported EID format By default an animal's EID is exported with a space between the country code and the unique ID digits, (e.g ). If you wish to remove the space between all exported EIDs, select Configure then Export Settings from the APS Office menu. Deselect the option Include space in EID. Page 26

31 APS Professional User Guide Exporting Animal Data Exporting a MyScale Pro session file 1. Select Database then Export MyScale Pro Session Files from the APS Office menu. A screen displays a list of sessions currently defined in the database. 2. Select the session you want to export and click Next. 3. Select the session format you want to export to. Formats are: Export a Standard Session File Exports weight, condition score and note, for each animal. Export a Trait Session File Exports up to 8 traits and weight, for each animal. 4. Select the Export Unit (kilograms or pounds). Exported weight values are converted to the selected unit. 5. Set the destination Export folder and click Browse. 6. Optionally edit the export file name. 7. Click Export. A progress bar displays while the animal data is exported. 8. Click Finish, to close the Export Wizard. What happens next Your newly created file will be saved to your chosen destination folder. Page 27

32 Exporting Animal Data APS Professional User Guide Exporting an APS session file Select Database then Export APS Sessions from the APS Office menu. A screen displays a list of sessions currently defined in the database. To export individual animal records (rather than session data), first select the animals you wish to export from the Animal List. 1. Select the option for the data you want to export and click Next. 2. Select the file format(s) to export. File formats are: Export a Life Data File Contains the Life Data information for each animal. Export a Session Data File Contains Session Data for each animal in the selected session. Export an Animal History File Contains the whole history for each animal. 3. Select the Export Unit (kilograms or pounds). Exported weight values are converted to the selected unit. 4. Set the destination folder by clicking Browse. 5. Optionally edit the export file name. 6. Click Export. 7. Click Finish, to close the Export Wizard. What happens next Your newly created file will be saved to your chosen destination folder. Page 28

33 APS Professional User Guide Creating a Planned Draft List CREATING A PLANNED DRAFT LIST Note: In some markets, a Draft List is referred to as a Sort List. A planned draft list is a list of animals you intend to draft or sort by their ID. 1. Select the animals you want to include in the file by ticking the check-box for each animal in the APS Professional screen. 2. Select Draft List > Create Draft List from the main menu on the APS Professional screen. The Create Draft List screen displays. 3. Click in the Draft List Name field and type in a name for the draft list. 4. You can optionally copy a draft list configuration from a previously created file. To do this, click the Copy From drop-down arrow and select a draft list. 5. You can optionally change each draft group name to a name more suitable i.e.'keep' or 'Sold'. Do this by clicking into the desired field and overtyping it's existing label. 6. Click OK to save your newly created draft list. The Draft List Editor displays listing each of the selected animals. 7. Select the animals you want to include in a specific group then click Assign Group and select the desired group name. For more information, refer to Setting up Planned Draft List groups (p 30). 8. Repeat this procedure until all animals have been assigned a draft group. 9. Click OK to save the changes and close the Draft List Editor. Adding more animals to a Planned Draft List Select the animals to be added to a planned draft list, then choose Draft List>Add to Draft List from the APS Professional main menu. Click the Draft List drop-down arrow and select a draft list. Click OK to confirm the addition of your selected animals to this draft list. Assign the additional animals to a draft group. Page 29

34 Creating a Planned Draft List APS Professional User Guide Setting up Planned Draft List groups Follow these steps to assign animals to a draft group within a planned draft list: 1. Open the Draft List Editor. If you are creating a draft list the Draft List Editor opens automatically. To open the Draft List Editor, select Draft List>View Draft List from the main menu on the APS Professional screen. The Draft List Editor displays your most recently created draft list. 2. Select the animals you want to include in the draft group (tick the check-box for each animal). 3. Click Assign Group, a drop-down list of draft groups displays. These draft groups are those defined when you created the draft list. To rename a draft group within this planned draft list, click the Set Group Names button. 4. Select a draft group. 5. Repeat this procedure from step 2 until all animals have been assigned a draft group. Animals that are not assigned a draft group, will be drafted to the 'Others' draft group. 6. Click OK to confirm the draft groups for this draft list. Changes that have been made to the draft list will be saved. Viewing a draft by list session report The draft list session report, details how animals were drafted during a draft list session. To open, select Draft List then View Draft List Session from the APS Professional menu. Page 30

35 APS Professional User Guide Reports REPORTS APS Professional includes several useful reports for analysing animal data. Animal History Report Shows the history of records for the animal. Target Date Report Shows the weight the animal will reach, at a specified target date. Target Weight Report Shows the date on which the animal will reach a specified target weight. Animal Events Report Shows all events that have been applied to the animal. Custom Report User defined report containing specified data for each animal. Generating an Animal History Report 1. Select the animals you want to include in the report by ticking the check-box for each animal in the APS Professional screen. 2. Select Reports > Animal History Report from the main menu. The Animal History Report Wizard displays. 3. Specify a report name and the information to be included within the report and then click Report. When the report has been generated, the ReportViewer opens, allowing you to view, print or save the report. Page 31

Select the animals you want to report on (tick the check-box of each animal in the APS Office screen. 2. Select Reports > Report Builder from the main menu. The Report Builder Wizard displays. 3. Enter a report name and page settings required and click Next. 4. The report header screen is displayed. Here you can optionally enter a title for the report if required and click Next. The report columns screen is displayed allowing you to specify the data columns for each animal to be included in the report. 5. Click Select Columns to set up the data columns for the report. See Select Columns (p 3) for more information if required. To sort the data in the report by a particular column on the report, click on the Sort By Column drop down list. Page 34

39 APS Professional User Guide Reports 6. Click Next to display the columns width screen. All the columns selected in Step 6 are displayed in the list with a default width of 130 pixels. In the above screen shot, the Date of Birth column is about to be changed to a width of 85 pixels. To alter a field width, select a row in the list, enter the new width in the text box and click Update Selected. When all column widths have been updated, click Next. 7. Select one of the options to specify where the animal data will be sourced from each time this report is run, then click Next. 8. Specify the statistics information to display at the bottom of your report. 9. Click Create to save the report to the Reports section of the main menu. 10. Click Close to close the Report Builder Wizard. Page 35

40 Reports APS Professional User Guide Managing your Custom Reports 1. From the main menu select Reports > Manage Custom Reports. The Manage Custom Reports Wizard displays showing all the custom reports. 2. Select one or more reports by placing a tick in the adjacent checkbox. The following table describes the functions available: Button Rename Add Copy Edit Delete Description Allows you to enter a new name for a selected report. Click OK to confirm renaming and the report name will be updated in the list. Select Add to add a new custom report. Refer to Generating a Custom Report using the Report Builder Wizard (p 34) for further details. Creates a copy of the selected report. Will create an in your PC's application with the selected report files attached. Opens the Report Builder Wizard in edit mode. Refer to Generating a Custom Report using the Report Builder Wizard (p 34). Will delete the report from the database. Viewing and Printing a Custom Report Once a custom report has been setup and you wish to print or view your report at any time, go to the main menu select Reports > [Name of Custom Report]. The report is generated using the selected animals in the Animal List. Note: The data used in this report will that specified when the report was created. See Generating a Custom Report (p 34). This system is used to track changes in animal ownership and location for biosecurity purposes. Creating an NLIS transaction file Select the animals you want to include in the file by ticking the check-box for each animal in the APS Professional screen. Open the NLIS Transfer Wizard by clicking Database then Export NLIS File from the APS Professional menu. The NLIS Transfer Wizard displays as follows: Specify the NLIS transaction file type that you wish to create. 1. Click Next to proceed with the wizard. 2. Depending on the transaction file type selected, you will be required to enter specific information for the transaction. Once this has been done, click Next. Note: The Next button will not become active until all required information has been provided. 3. Confirm the name and destination for the resultant NLIS file, then click Create File. 4. The final screen of the wizard will show the progress of file generation and a summary of how successfully the file was created. Click Finish, to exit the NLIS Transfer Wizard. 5. To send an NLIS file, you need to log onto the NLIS website ( and follow the instructions in order to upload the created transaction file. Page 37

43 APS Professional User Guide Creating a CCIA file Setting up a Premise ID The location of any property that forms part of your operation, must be registered with the CCIA, in order for a Premise ID to be created. It is this Premise ID that must be set up in APS Professional. 1. Open the Setup Premises screen. Select Configure>Setup Premises on the APS Professional screen. 2. Click Add Row. A new row will be added to the bottom of the list. 3. Click in the newly created Premise ID field and enter a registered Premise ID. 4. Click the Name field and type in a name you can identify the property by. 5. Click OK to exit. Setting up a User Account The CCIA issue an Account ID to each registered user. You will need to be a registered member of the CCIA to create a transaction file. 1. Open the Setup User Accounts screen. Select Configure>Setup Accounts on the APS Professional screen. 2. Click Add Row. A new row will be added to the bottom of the list. 3. Click in the newly created Account ID field and type in your account ID. 4. Click the Name field and type in a name you can identify the account by. 5. Click the Premise drop down arrow and assign a Premise ID code. Note: If the Premise ID list displays as blank, you will need to set up a Premise ID, refer to Setting up a Premise ID (p 39). 6. Click Add. The Premise ID and Name will be displayed. 1. Click OK to exit the Setup User Accounts screen. Note: If there is more than one Account ID the default Account ID will be shaded grey. Page 39

45 APS Professional User Guide GLOSSARY OF TERMS Activity A treatment applied to an animal, such as weaned, mated or a drug treatment. Backup database Copying the database to the USB memory stick. CCIA Canadian Cattle Identification Agency. Database Where all recorded data is stored. EID Electronic Identification. The electronic code in an ear tag or bolus that can be scanned to identify an individual animal. Filtering The process of identifying and selecting specific animals from the database. Grouping Allows the user to identify the physical location (paddock) or grouping (herds or mobs) of an animal. Life Data Life information about an animal such as: Sex, Date of Birth, Sire, Dam, Breed, Colour and Original PIC. NLIS National Livestock Identification System. Note A short statement recorded for an animal or for future reference. PIC Property Identification Code. An identifying code for where the animal is held. Record A record is a piece of data relating to an animal. One animal may have many associated records. Registration APS Professional must be registered on the Gallagher website. Restore database Copy the database from the USB memory stick back to the device or PC. Rule Criteria used to identify specified parameters. Session A continuous series of animals seen in one sitting. Session default A Life data value, Trait, Activity, Note or Draft rule applied to all animals seen within a session. Tag Bucket File Supplied with custom ordered EID Tags. This file can be imported into the connected device, saving time when inducting animals with new Tags. Tag Number A tag number is the combination of letters and/or numbers printed on the ear tag to enable visual recognition of an individual animal or group of animals. Trait A value or measurement including live weight. Page 41
