1 Networking TSW Networking PCs with the STRONGVON Administration Software on a LAN 1 Purpose of TSW Network You can network multiple computers on a local area network (LAN) to manage multiple parts of your tournament on the day of the event. This helps you keep your tournament data consistent and constantly updated, which provides your staff, competitors, and spectators with real time information about what s happening at your event. Figure 1 shows the parts of a tournament that can be managed by the STRONGVON Tournament Management System. FIGURE 1. 2 Enabling Networking Options TSW (acronym for Tournament SoftWare) is the full version of the administration software on the STRONGVON Tournament Management System. Unlike the web version of the administration software, TSW is installed onto a computer and runs as a standalone application instead of a browser applet. By networking computers with TSW you can do the following: set up multiple stations for data entry and lookup of registrations set up multiple stations for running brackets and displaying individual match scoreboards at each competition mat area 1 set up multiple stations for competitor weigh in and qualification 2 communicate by instant messages among stations network the brackets for running live brackets with live update of team scores 3 2 Enabling Networking Options There are two options associated with the networking of TSW: TSW Network: You must enable this option before setting up a TSW network. Once enabled on a tournament, this option allows you to use connect as many computers as desired to the same network of stations running TSW. All stations on the network will be able to view and edit the database of Registrations on the master station. TSW Network Bracketing: This option is needed only if you want to allow all stations of a TSW network to view and edit the brackets on the master station. To enable the options for networking on an existing tournament: 1. Run the web version or run TSW and select the Server tab. 2. Click on the word Tournaments on the left side. This displays a list of your tournaments on the right side. 3. Double click on the desired tournament on the right side, or click on the tournament once and then click on the Edit button at the bottom. This opens the Update Tournament window. 4. Click on the Cost tab at the top of this window, and scroll down to the area called Site Options. 5. Click on the Purchase Option(s) button. This opens the Purchase Site Options(s) window (shown in Figure 2). 1. Requires the TSW Network Bracketing option in addition to the TSW Networking option. Displaying a match scoreboard at each competition mat station also requires the Match Scoreboard option. 2. Competitor Qualification on the TSW Network requires the TSW Network Bracketing option in addition to the TSW Networking option 3. 3 Components of the TSW Network 6. Enable the option for TSW Network or TSW Network Bracketing as required, and then click on Purchase. This triggers your browser to open a a secured payment page associated with the payment for the selected options. 7. Enter your credit card details to complete the purchase. As soon as the purchase is complete the options are enabled on your tournament. FIGURE 2. Purchasing Scoreboard Options 3 Components of the TSW Network Having a network of computers running TSW requires that each computer have the same version of TSW installed. It also requires that each computer have two way communication with each other on the same LAN. In a TSW network, one computer must be designated as the master station and all other computers must be designated as client stations (also known as slaves ), as shown in Figure Setting up the LAN (Local Area Network) All stations must use a peer to peer LAN where each computer has two way communication with all other computers on the network. You can achieve this through Ethernet or a wireless connections. You do not need connectivity to the Internet to set up a TSW network. Consult a LAN specialist for assistance in setting up the computers on a LAN. It is highly recommended that each computer used in the TSW network has a fixed IP address instead of a dynamic IP address assignment from the default gateway or DNS server. This ensures that the computers connected to the TSW network have consistent IP addresses, regardless of the network conditions. Use a range of fixed IP addresses that does not conflict with any other device on the local network and is unlikely to be assigned by the gateway or DNS server. When the IP addresses are fixed, the TSW network settings can remain intact whenever a computer falls in and out of the network (LAN interruption, computer reboot, etc.). 4 Configuration of the Local Area Network (LAN) 3.2 Functions of Master and Client The functions of each station is as follows: Master: There can be only one master station (also known as Server ) on a TSW network. The master station houses the shared database, and has full access to all the functions. All data on the network is passed through the master station. Additions and changes to registrations and brackets that are done on the master station or passed to the master station is immediately sent to all client stations. Client: There can be an unlimited number of client stations (as lo known as Slaves ) on a TSW network. The client station retrieves its database from the master station, and loads it into its dynamic memory. Client stations can search for, insert, and update registrations. With the Networked Brackets option in addition to the Networking option, the client stations can also update brackets, display individual match scoreboards, and display the team points in real time. When a client station saves changes, the changes are to immediately shown on the master station, and then in turn shown on the other client stations. FIGURE 3. Configuration of TSW Network on a LAN 4 Configuration of the Local Area Network (LAN) The recommended configuration for the Local Area Network (LAN) that will connect the computers of the TSW Network is as follows: Closed network with no other devices. All IP addresses assigned to the computers on the network should be fixed instead of automatically assigned by the switch/router. Networking TSW STRONGVON Tournament Management System 4 of 21

5 Configuration of Computers The fixed IP addresses are on the same subnet mask, using the same default gateway. You can use the Ping function from the DOS prompt to ensure the computers of the network see each other. The configuration of the DNS server addresses is irrelevant, so you can leave these addresses blank if you do not plan to access the Internet. Avoid connecting to the Internet to simplify your network configuration and reduce the disruption in the connectivity among the computers. Figure 4 shows a typical configuration used in the full deployment of TSW Networks. If you are using only the Networking option, then you can access and change brackets only on the Master station. If you are also using the Networked Brackets option, you can also access and change brackets on multiple client stations as well as display a running tally of team performance (Team Scoreboard). If you are using the Match Scoreboard option, you can also display a scoreboard for each individual match on an external monitor. 5 Configuration of Computers 5.1 Common Capabilities Each computer on the network must have the following characteristics: Operating system must be Windows XP, Windows Vista, or Windows 7. At least 100 MB of available hard disc space for installation of TSW. At least 512 MB of dynamic memory (RAM). STRONGVON Tournament Software (TSW) installed. The same version that is installed on the master station (server) must also be installed on the clients. Two-button mouse connected. There are many functions enabled by use of the right mouse button. Connectivity to switch/router using Ethernet (RJ45) or wireless (WiFi). 5.2 External Monitors If you are using the TSW Network Bracketing and TSW Scoreboard option, you can maximize the capabilities of the TSW Network by obtaining an external monitor for each computer where you plan to display the match scoreboard or live team performance scoreboard. A laptop with an external VGA output (D-type 15-pin connector) is a typical configuration that will work. 4 The Windows configuration for the external monitor should be set as an extension of the desktop so that the scoreboard does not occupy the same screen as the main TSW software application. Once your external monitor is connected, do the following to enable the external monitor as an extension of your PC desktop: 4. 6 Configuration of Computers FIGURE 4. Typical Setup of Equipment and LAN 1. Open Control Panel. 2. Open the Display Settings window (shown in Figure 5) from the Control Panel. On Windows XP, the Display Settings is accessible from Display Properties on the Control Panel s main window. On Windows Vista and Windows 7, the Display Settings window is accessible from the Personalization or Appearance and Personalization icon, at the Adjust screen resolution link. 3. In the Display Settings window, click on the monitor marked as 2 to select the settings for the external monitor. 4. Enable the Extend the desktop onto this monitor checkbox, and select the highest resolution possible for the external monitor. Ensure that the external monitor is not used as the main monitor. 7 TSW Network Settings 5. Click on Apply to apply the new settings and accept the new settings if the desktop is correctly extended onto the external monitor. To test if the desktop is extended to the external monitor, click and drag an icon or window from the desktop of the main monitor onto the external monitor. 6. Click Ok to close the Display Settings window and save the new settings. FIGURE 5. Display Settings for External Monitor 5.3 Assignment of Master Station Assign the fastest, most powerful, and most reliable computer as the Master station. This is because all data to and from each client computer must travel through the Master station. The faster the Master s computer, the faster the data will travel throughout the network. The Master s computer must be very reliable because it houses the central database on which all the clients rely. 6 TSW Network Settings The Settings window within the TSW software is where you specify the network settings of a computer so the computer can be included in the TSW network. Do not log into your STRONGVON account because you do NOT need access to the STRONGVON server to specify these settings in the software. 6.1 Accessing the Settings Window To access the Settings window in TSW: Networking TSW STRONGVON Tournament Management System 7 of 21

8 TSW Network Settings 1. Run TSW. 2. Do not log into your account. If you ve already have the latest tournament database on your computer, select Get Local when you are prompted at the start. If you ve never downloaded the tournament database, or you want to overwrite the local database, select No when prompted to Clear and Reload from Server. 3. Click on the Settings button at the top. This opens the Settings window. 6.2 Master Station (Server) On the computer assigned as the Master station, configure the following fields in the Settings window (as shown in Figure 2): 1. Place a check mark for the checkbox Enable TSW Networks. 2. Place a check mark for the checkbox Run this TSW as master. 3. In the field Listener Port enter the port number on which the master listens for data. Use a port number that does not conflict with another function on the computer. For example, 7000 is a normally a non-conflicting port number. 4. In the field Name enter the name MASTER or some other appropriate name for identifying the master station within the network. 5. When you save the Settings window, you will see the station s IP address appear in the top title bar with the words Running as Master. 6.3 Client Station (Slave) For the computer at each client station, configure the following fields in the Settings window (as shown in Figure 7): 1. Place a check mark for the checkbox Enable TSW Networks. 2. Ensure that there is NO check mark for the checkbox Run this TSW as master. 3. In the field Server IP enter the IP address of the Master station. 4. In the field Server Port enter the same port number used as the Listener Port on the master station (see previous section on configuring the Master Station). 5. In the field Listener Port enter the port number on which this client computer listens for data. Use a port number that does not conflict with another port on the computer. This value can be the same value as that of the Server Port field. 6. In the field Name enter an appropriate name for identifying this station within the network. For example, for the weigh in station enter WEIGH IN, or for mat 3 enter MAT 3. When you save the Settings window, the software will immediately attempt to connect with the master database. If this station finds the master, the master database will successfully load on the station PC, and you will see the station s IP address appear in the top title bar with the words Running as Client. 9 Instant Messaging FIGURE 6. Settings for Master Station If the client station does not detect the master station, then you should see the error message similar to the one shown in Figure 8. If you get this error because the master station is not running properly, exit the software and set up the master station as described in Section 6.2. After the master station is properly running, run TSW on the client station again, and you should be able to connect to the master station. If you ve made a mistake in configuring the fields on the Settings window of a client station, you will need to click Ignore when given the error shown in Figure 8. After clicking on Ignore the software will run with no database loaded. You can then click on the Settings button again to correct the values. When you save the corrected values, the client will make another attempt at communicating with the master station. 7 Instant Messaging TSW provides the ability for networked stations to exchange instant messages among each other over the LAN. A list of connected stations appear in both the Settings window and in the status bar at the bottom of TSW window (shown in Figure 9). The instant messaging capability allows for vital communication between the stations for Networking TSW STRONGVON Tournament Management System 9 of 21

Error when Master database not found triggers like when to start or stop running brackets, which brackets to run on which mats, and when a competitor is delayed for his match. 7.1 Sending Messages To send a message to another TSW station on the LAN: 1. Select the station from either the status bar at the bottom left of the window, or from the Settings window. Networking TSW STRONGVON Tournament Management System 10 of 21

This opens a window where you can type in a message for the target station, as shown in Figure Type in a message for the target station. FIGURE 10. Send Message Window 4. Click Send, and the message is received on the target station within about a second, as shown in Figure The target station can then click on Reply to send a response. 7.2 Receiving Messages When a station receives an instant message from another TSW station on the LAN, a window immediately opens with the sender s message and message timestamp. The sender s name, IP address, and listener port appears in the title bar. To reply to the received message, click on Reply, which opens a window where you can type in your reply message. Message Received Window 8 Re-synchronizing Clients to Server 8.1 Initial Synchronization Upon connecting to the master station, the client station automatically goes through an initial synchronization of all data. In other words, the client station loads the entire master database into its dynamic memory for viewing and processing. The data in the client s cache memory is updated each time the Master database is updated. Thus, the client station is always in sync with the server database. 8.2 Manual Full Re-synchronization There may be occasions when the client station is out of sync with the master database, so you must manually initiate the re-synchronization. When using the Network Bracketing option, a manual re-synchronization of a client station is good practice just after completing the selection of all winners on a bracket; this ensures that the bracket data has been properly saved to the master database and also ensures that the client has the most accurate data for the other brackets. To initiate the full re-synchronization on a client station so that the data is reloaded from the master database: 1. Click on the Brackets tab on the Client station. 2. Click on the phrase Division Tree on the Division Tree on the left of the Brackets tab. This opens a popup menu. 3. Select ReSync from the popup menu. This initiates the re-synchronization process, which could take 5 to 20 seconds, depending on the amount of data to share among the network. When the process is finished, the right mouse menu will disappear from view. Networking TSW STRONGVON Tournament Management System 12 of 21

13 Running TSW Network Tests 8.3 ReSync of a Bracket Only the Master Station can perform a Clear Bracket or Reload Bracket function. Client stations can only clear and load each node individually. When the Master station performs a Clear Bracket or Reload Bracket function, the client stations automatically performs a re-synchronization with the master so that the changes from the master are seen throughout the network. If the client station is currently viewing a bracket that is being cleared or reloaded by the Master station, the client will be notified immediately that the current bracket is being re-synchronized. If the client station is not viewing the bracket while it is being cleared or reloaded, the station will not be notified of the bracket re-synchronization, and the resynchronization will occur in the background. 9 Running TSW Network Tests 9.1 Testing the Networking Option After you have set up the LAN (as described in Section 4) and installed the same version of TSW on each station, follow this procedure to execute a network test. 1. Ensure that you have the Networking option enabled on your event. 2. Run TSW on the master station and load the latest local database of a valid event. Do not log into your STRONGVON account. Log out of your STRONGVON account if you ve already logged in. This test does not require that you are connected to the Internet. 3. Configure the Settings window of the master station as described in Section 6.2, and leave TSW running as Master on the master station while you continue to set up the client stations. 4. Configure the Settings window of each client station as described in Section 6.3. When you save and close this window on the client station, TSW immediately attempts to connect to the master database. If the master station is properly running, you should see TSW running with the IP address of the client station in the title bar (next to the phrase Running as Client ) and the software loaded with the master database. 5. On the master station, click on the Registrations tab to display the list of existing registrations in the local database. 6. On each client station, click on the Registrations tab to display the list of existing registrations on the master database. 7. Verify that the list of registrations are identical on the master station and all client stations. 8. On a client station, click on the New button and add a new manual registration. 9. Verify that the new manual registration that you just entered in the client station appears on the master station and all other client stations. 14 Running TSW Network Tests 10. On the master station, click on the New button and add a new manual registration. 11. Verify that the new manual registration that you just entered on the master station appears on all client stations. 12. On another client station, select an existing registration and click on the Edit button in the lower right of the window. 13. Edit one or two fields on the registration, and then click on Submit to submit your changes. 14. Verify that the changes you just made on that registration is updated on all other stations. 9.2 Testing Networked Brackets Option To test the execution of brackets on multiple stations, follow these instructions: 1. Ensure that you have both the Networked Brackets and Networking options enabled on your event. 2. Execute the test for the Networking option as described in Section 9.1. Weigh In Processing on the Network 3. After a successful test of the Networking Option, go to any client station and click on the Brackets tab. Select a bracket that has its competitors loaded into the first round. 4. Double click on any node in the first round of that bracket. This opens the Assign Assistant window displaying all the competitors associated with this bracket (as shown in Figure 12). FIGURE 12. Assign Assistant Window 5. Click once on a competitor s name listed on the Assign Assistant window, and click on the Process button on this window. Alternatively, double click on the competitor s name in the list. This opens the Weigh In window for that competitor (as shown in Figure 13). Networking TSW STRONGVON Tournament Management System 14 of 21

15 Running TSW Network Tests FIGURE 13. Weigh In Window 6. Enter a value for the official weight and click on Save. This will record the value in the Official Weight field. Any weight restriction enabled on this bracket will be re-evaluated with the newly saved value for the Official Weight field. 7. Select another competitor s name on the list of the Assign Assistant window, and click on the Process button again. Alternatively, double click on the competitor s name. This opens the Weigh In window for this competitor. 8. Click on the Disqualify button to mark this competitor as disqualified on this bracket. You have the option of entering a value for the official weight just prior to clicking on the Disqualify button, which records the official weight and marks the competitor as disqualified Notice in the Assign Assistant window that the color of the line that has the disqualified competitor is now displayed in orange. Also notice that the Current Bracket View displays in orange each node that shows the disqualified competitor. 10. Close the Assign Assistant window. 11. Verify on the master station and other client stations that the official weight of the first competitor and the disqualification of the second competitor have been updated throughout the network. 12. Go to another client and view the same bracket where you processed the disqualification. 13. Double click on any node in the initial round to open the Assign Assistant window again. 14. Click once on the same disqualified competitor, and then click the Process button. Alternatively, double click on the disqualified competitor. This opens the Weigh In window again. Notice that this window no longer displays the Disqualify button because the competitor is already marked as disqualified. 15. Click on the Qualify button. This clears the disqualification mark for this competitor on the Assign Assistant window and on the nodes where he is placed in the Current Bracket View. 16. Notice that all the other stations have also cleared the disqualification mark for this competitor. 5. The value in the Official Weight field and the disqualification marking are independent of each other. Thus, recording an official weight does not automatically mark the competitor as disqualified. 16 Running TSW Network Tests Bracket Execution on the Network 17. On a client station, access another bracket on the event with its competitors already loaded into their nodes. 18. Select the winner on a match whose winner has not yet been selected. To select the winner, double click on the winner s node to open the Select Winner window. If you have enabled the Match Scoreboard option on this event, you can run and display the scoreboard for the current match just prior to selecting the winner of the match View the same bracket on the master and any other client stations to ensure the winner has been updated throughout the network. 20. Select another match winner on the same bracket on a client station, while displaying the same bracket on the master and other client stations. Notice that the match winner is updated on all stations within about a second. 21. Right mouse click on the winner s node that you just completed and select Clear from node from the popup menu. This clears the match winner. 22. Confirm on the other stations that the match winner has been cleared. Moving a Competitor to Another Bracket 23. On the master station, access another bracket on the event with its competitors already loaded into their nodes. Notice on the Division Tree (located to the left of the Current Bracket View) that the competitor count for that bracket is the same on all the stations. 24. On the master station, select a first round node that is loaded with a competitor s name. 25. Right mouse click on the selected node, and select Registrant Info. This opens the Update Registrant window for the competitor. 26. Choose a different selection for a category field that will move this competitor to a different bracket, and click on Submit to save your change. 27. Notice on the Division Tree of all stations that the competitor count has been deducted by one on the current bracket, and the count on the bracket where the competitor was just moved increased by one. Also notice on the Master station that the competitor s name appears in the Non-Placed list to the right of the Current Bracket View. 28. On the master station, click once on the name of the moved competitor on the Non Placed list (located to the right of the Current Bracket View). This displays the bracket where the competitor has just been moved in the Current Bracket View. 29. Click on the Reload Bracket button. This removes the existing matches of the bracket and auto-loads the bracket with the newly moved competitor included. 6. View the same bracket on the other stations to verify that the bracket has been reloaded throughout the network. 9.3 Testing the Team Scoreboard on the Network When the Networked Brackets and Networked options are enabled, you are able to display the Team Scoreboard on any station on the network. You can even have multiple stations display the Team Scoreboard simultaneously. The Team Scoreboard is constantly updated with the latest results as the brackets are being completed on the TSW network. To test the Team Scoreboard on the network: 1. Execute the test for Networking and Networked Brackets options as described in Section 9.1 and Section 9.2. This ensures the network is properly set up for the testing of the team scoreboard on the network. 2. On one of the client stations, attach an external monitor and configure the computer to extend its desktop on the external monitor as described in Section On the master station, click on the Brackets tab. 4. Right mouse click on the words Division Tree at the top of the Division Tree (located to the left of the Current Bracket View), and select Team Point Setting from the popup menu (as shown in Figure 14). FIGURE 14. Accessing Team Point Settings on Master 5. Assign the number of team points awarded for each first, second, third, and fourth place winners (as shown in Figure 15). If there is no fourth place winner, set the points for Fourth Placed to be exactly the same as the value in Third Placed. The points assigned in this window are assigned to each bracket by default. You can override this point assignment for each individual brackets at a later time. 6. After saving the default assignment of team points on the master station, perform a manual re-synchronization of the brackets as described in Section 8.2. This updates the team points on all client stations. 7. Go to the client station with the external monitor and select the Brackets tab. Networking TSW STRONGVON Tournament Management System 17 of 21

Right mouse click on word Division Tree in the upper left of the window, and select Team Point LiveMode from the popup menu. 9. When prompted, select Monitor 1 to display the team scoreboard and select the desired team scoreboard. (as shown in Figure 16), and click on Ok. You can repeat this procedure later if you wish to select another team scoreboard. FIGURE 16. Selecting External Monitor for Team Scoreboard 10. If you do not have a fourth place winner, the select Yes when prompted to consolidate third and fourth places (shown in Figure 17), and the team scoreboard will combine the tally for third and fourth place columns. If you are determining the fourth place winner, then select No. The team scoreboard appears on the external monitor. If none of the brackets are completed, then there should be no team scores tallied. FIGURE 17. 19 Automatic Backup 11. On a station that is not displaying the Team Scoreboard, access a bracket with its competitors already loaded into their initial matches, preferably one with 4 to 8 competitors in a single elimination bracket. 12. Select all the winners for all matches on this bracket. The placement table containing the first, second, third, and fourth places should be automatically populated immediately after you select the winner of the last match on that bracket. If the checkbox for the third place match was not enabled on the bracket, then only the first and second place winners are automatically calculated, and you must manually select the third and fourth places. If the placement bracket does not display the winners that you want to recognize, you can manually override the nodes in the placement table by double clicking on the node. 13. When the placement table is complete, notice on the Team Scoreboard on the external monitor has been updated with the team points from that bracket. 14. Manually override the third place winner by double clicking on the third place node in the Placement table and select a different name for the third place. 15. Notice the Team Scoreboard is updated with the team of the new third place winner. Also notice that the other stations are also updated with the same bracket data. 16. Right mouse click on the fourth place winner s node in the placement table, and select No Placement from the popup menu. This indicates that the fourth place winner is not applicable for this bracket because of disqualification or other exceptions. 17. Notice on the Team Scoreboard that the tally for the fourth place winner for that bracket is removed. Also notice that all the other stations are updated with the null placement for fourth place. 18. Go to the Master and click on the Re-Load Bracket button on this bracket. This clears all winners and the placement table for that bracket, and does a clean reshuffle of all the initial matches, separated according to academy names. 19. Notice on the Team Scoreboard, the placements for that bracket are completely removed. 20. Notice on all client stations, that the same bracket has been updated to match the data displayed on the Master. 10 Automatic Backup When running using a TSW network at a live tournament, you should enable the Auto Backup feature on the master station. The Auto Backup feature can only be enabled on the master station because the master station is where all data collected from the TSW network is being saved. When you enable this feature, the master station automatically performs a periodic backup. Each backup saves the entire environment of the tournament at the precise moment the backup is generated. Each backup is time stamped and dated so you know exactly when the data was captured. Networking TSW STRONGVON Tournament Management System 19 of 21

20 Automatic Backup Once saved, any backup environment can be restored at any time. This is especially helpful if there was a failure on the LAN that would corrupt that data, or if you need to later retrieve data that has been overwritten Configuring Auto Backup To configure the automatic backup on the master station: 1. Click on the Settings button in TSW. This opens the Settings window. 2. Click on the Backup Directory field. This opens a directory browser window. 3. Select the directory where you want all the backup environments to be stored. This is also the directory where manual backups, that are generated by clicking on the Backup button, are stored. 4. Click on the Auto Backup (minutes) field, and enter the frequency of backups. The minimum value is 1. The first backup automatically generated will occur when this value in minutes has elapsed. For example, if you configure 5 in this field, then the first auto backup will occur after the first 5 minutes, and will continue generating an auto backups every 5 minutes. 7. FIGURE 18. Configuring Auto Backup 10.2 Restoring a Backup To restore a backup that has been generated either automatically or manually: 1. Click the Strongvon.com menu item from the top of TSW. 7. If you configure this value to be very low, you are making the frequency of backup very high. Ensure that you have enough hard disc space to accommodate your backup files, and remember to reconfigure or turn off auto backup when you no longer need to that frequency of backup. 21 Automatic Backup 2. Select Restore Local Data from the submenu. 3. When prompted to do so, select the date and time of the backup instance. Each backup generated will be listed in the pull down menu of this selection field. If you do not see the desired backup instance listed in the pull down meu, go back to the Settings window and double check if the backup directory that is currently configured is the same directory when the desired backup was generated..
