1 Conditions Changes for Version The process for adding Conditions (formally deficiencies) has been enhanced so that the user can provide more useful and detailed information for their customers. This module can be turned on in the Company Setup under Additional Features by checking the Use Deficiency Module checkbox. Server Changes Lookup Tables The lookup tables that have to do with Conditions have been moved to their own section. The following information can be entered in each of these lookups: Condition Area Types: This is where the user can specify where the Condition is occurring. For example kitchen, bathroom, dumpster, etc. Condition Details: This is where the user can specify in detail what the condition is. For example, if the Condition is that the dumpster lid has been left open, the condition details may be: Dumpster lid was noted as open. This can lead to conducive conditions that may allow for rodent activity in the area. Condition Types: This is where the user can specify groups of Conditions that they may fall into. These may include sanitation, structural, environmental, etc. Corrective Actions: This is where the user can specify ways in which the customer can resolve the Condition. An example may be: keep dumpster lid closed when not in use. Conditions: This is where the user can create Conditions (shortened version of Condition Details) and assign a specific Conditions Detail, Condition Type, Corrective Action, Responsibility and Severity that will default every time that specific Condition is added to an account. The recommended order to fill in these lookup tables are: Condition Details, Condition Types, Corrective Actions, Conditions and Condition Area Types. Please note that you must assign Conditions to Area Types in order for those Conditions to be available in those areas. 01LG
2 Adding a Condition on the Server The deficiencies button has been renamed to on the Location Detail screen. Clicking on the button will bring you to the Conditions List screen which will list any Conditions that are already on the customer s account. Click on to add a new Condition. With the Select Areas field, the user can select either a specific area or a device within an area (please note that the device checked must be in the same area that is checked). Once the Area and/or Device selection has been made, click on OK. Press PageDown or right click on the Condition field to select from the list of Conditions from the Conditions
3 Once a Condition is selected all the default information from the Conditions Lookup Table will default. If there is no default for the various fields on the screen, they can be selected by either clicking on the blue link next to the field or via dropdown. You can also freely type in these field. The Condition Detail and Corrective Action fields can include information up to 4000 characters. Click on to add the Condition to the account. The Condition will then be added to the Conditions List screen. If you hover over the Condition (shown above), it will expand to show more detail. Clicking on an existing condition will bring you to the Edit Condition Screen where you can edit or resolve the Condition.
4 Handheld Changes Area Detail Screen On the handheld, Areas that have Conditions in them will be indicated by a red box with an exclamation point. Areas that have no Conditions (or when all Conditions in the Area have been inspected) will have a green box with a checkmark in it. Adding a Condition When adding a condition, the Area will fill in automatically based on the Area you are currently inspecting. Tap on the button to switch the Condition to a different area. Tap on the button next to the Condition field to select the Condition to be added. You will first be prompted to select a Condition Type and then the Condition itself. If default Condition Details exist, they will default in the Condition Details field. You may also tap on the button to select from the list of Condition Details from the Condition Details lookup table. You can also freely type in the field (up to 4000 characters) When finished tap on the button to continue adding the rest of the Condition s information.
5 The Corrective Action To Be Taken By, Corrective Action and Severity will default to the options selected in the Conditions lookup table. You may change the options on any of these fields. The Corrective Actions field can be freely typed in (up to 4000 characters). Tap on when finished. Inspecting a Condition When inspecting an existing condition, you will see three tabs at the bottom. All information is editable except for the Condition. You can also resolve and/or add comments to the Condition. Tap on when finished.
