1 Create your Faculty eportfolio for Promotion, Tenure and Sabbatical The Committee on Faculty Status has determined that Digication, the eportfolio system, is the preferred method to compile and submit documentation for promotion, tenure and sabbatical consideration. From siena.edu click on Siena Community in the upper right hand corner. Under For Everyone select Digication. Use your Siena credentials to login. Click Create in the upper right hand corner. Choose Use Classic Digication. Name your eportfolio. As a general rule all eportfolios should include your FULL name, ie JoeSmithFacultyPortfolio.
2 Create your Faculty eportfolio for Promotion, Tenure and Sabbatical Choose Faculty Portfolio Template. Make sure the box is checked to Use selected template s theme. Set your eportfolio as Private to Me. In the future you may add or delete permissions at any time. Under the Tagging select Do not allow tags. Under Comments select Allow Comments from: No One.
3 Create your Faculty eportfolio for Promotion, Tenure and Sabbatical Under Show Comments select Do not show comments until they have been approved. Check the box Apply comment settings to existing pages of this e-portfolio. Click on Create New e-portfolio.
4 Upload Content to Your eportfolio Choose the Faculty eportfolio you created for the purpose of Faculty Status requirement. On the View Sections tab click the section you wish to add files to. For example: Tenure Application. The left navigation panel is where you View Pages. The right content area is where you will Add A Module. To add a module click on the the type of module you wish to add and click Add This Module. Description of module types: Image/Video/Audio Module: enables you to display a single piece of media, such as a movie an image or PDF. Rich Text Module: provides editing that can contain formatted text and display links, files, and images. Gallery Module: module gives you the flexibility of presenting multiple images or PDFs on a page. Google Module: allows you to link to your Google Drive or Google Files.
5 Upload Content to Your eportfolio (continued) In our example we have selected the Image/Video Module (you would use this module or gallery module for a PDF upload). Make sure you are on the Edit tab. Click Replace this Media. Click on Choose File and upload your file (in our example, we are working in the PDR section, so you would most likely upload a PDF). *Note: If the Choose File button doesn t appear contact the ITS Help Desk at helpdesk@siena.edu or (518) for assistance in activating Flash. Once the upload is complete click Done.
6 Upload Content to Your eportfolio (continued) When all of your documentation has been uploaded and in the correct order then Publish the module. Click on the Publish tab and Publish Changes. **Note: Publishing the portfolio is not the same as submitting to Faculty Status for review. Adding Subpages (if adding for two year and four year review) Under Page click on Add/Edit Click on Add Page and type in page name.
7 Customizing Permissions Log into Digication with your Siena credentials. Click on the title of the eportfolio that you wish to share for review. In the upper right hand corner under Portfolio Tools click on Settings. Scroll down to Permissions and click on Custom Permissions in the lower right hand corner to give individuals permission for the Department and/or Dean review.
8 Customizing Permissions (continued) In the search engine, type in names of people in your department who will need access to review your eportfolio. Digication will automatically generate a list of people with matching credentials. Select the person s name and give them a Viewer Role. *Note: If a person doesn t appear on the list, it means they have never logged into Digication. Simply ask them to login once and you can add them to your permissions list. Scroll down to the bottom of the page and click on the Save button to save your changes. To share your eportfolio with reviewers you will need to provide the link to your eportfolio. Click on Portfolio Tools in the upper right hand corner and click on Settings. Under Create an e-portfolio section copy the e-portfolio Web Address.
9 Submittal Process for eportfolio After all content is uploaded and reviews are complete. Log into Digication with your Siena credentials. Click on the title of the eportfolio that you wish to submit for Promotion, Tenure or Sabbatical. In the upper right hand corner under Portfolio Tools click Submit. Click on the Committee on Faculty Status and click Next.
10 Submittal Process for eportfolio (continued) Choose the appropriate Assignment (Tenure, Sabbatical, Promotion) for which you are submitting your eportfolio and click Next. Choose the step Faculty Submission within the assignment to which you are submitting your eportfolio and click Next. Check the box next to the pages you wish to submit from your eportfolio. For example, if you are applying for Sabbatical check all of the documents under the Sabbatical Application. Be sure to select the application page as well (ie: Sabbatical Application).
11 Submittal Process for eportfolio (continued) After you chose your pages click on Save and submit. Once submitted you will receive confirmation. *Note: It is recommended to screenshot or print confirmation of your eportfolio submittal.
