3 Chemistry Departmental Emergency Assembly Points (EAPs) The Sapp Center building reports into one Emergency Assembly Points (EAP). For individuals who are located in the Sapp Center, report to EAP 2. When reporting to your EAP, look for the grey post with a blue triangle enclosed in a white circle. The Sapp Center is identified as Old Chemistry in Figure 1. REPORT TO THE BUILDING MANAGER AS SOON AS YOU ARRIVE AT YOUR EAP. Figure 1. CHEMISTRY/BIOLOGY AND DEAN OF HUMANITIES & SCIENCES EMERGENCY HEADQUARTERS The Sapp Center is situated within the Science Quad and for all building-related emergency requirements, the Point-of-Contact is the Sapp Center Building Manager. The Sapp Center is within the Dean of Humanities and Sciences (HSDO) and for all coordination, communication and business continuity emergency activities, the Point-of-Contact is the HSDO. The 1 st floor of Sapp Center houses the majority of the undergraduate teaching facilities, lecture halls, auditorium, conference rooms, Biology and Chemistry prep spaces, offices for the Building Manager, the Biology Lab Manager, as well as laboratory support staff. The 2 nd floor houses the undergraduate swing labs (5) for both Biology and Chemistry, Biology and Chemistry prep spaces, the optics lab, conference rooms and the majority of the Chemistry and Biology lecturer s offices. The 3 rd floor of Sapp houses the Organic Chemistry labs (5), the Chemistry prep space, some of the Chemistry lecturer offices, the Chemistry Lab Manager and support staff, the Science Library administrative staff space and one floor of the Robin Li and Melissa Li Ma Science Library. The 4 th floor houses the rest of the Li Ma Science Library space and a computer training room. The Sapp Center facility is utilized by students and visitors from around campus. Building safety exits and instructions regarding emergency procedures should be communicated to all occupants within the Sapp Center upon initial activities and to gain access to the use of space. It is the responsibility of the individual to familiarize themselves with the building safety exits and follow instructions from emergency personnel. 5 emergency situations, individuals should report to the relevant EAP and when safe to do so, they should report back to their home department, their supervisor, their Principal Investigator (PI) or designate of their location. The Sapp Center is managed by the Building Manager, Vivian Sampson. Vivian is responsible for Building Safety. She ensures the AED equipment is maintained, conducts annual fire inspections and works with building occupants to ensure compliance with county and state regulations. Note, AEDs are located on the 1 st and 3 rd floors of the building near the elevators. Chemical spill kits are located in All Labs. Fire extinguishers are located in All Labs. First Aid kits are located All Labs and in the Biology and Chemistry prep spaces. Bottled drinking water to be used in the event of an emergency is located in room 106 under the sink There are 20 Department Operations Centers (DOC) scattered across campus. Each DOC is responsible for a number of buildings in a specific area. During a campus wide emergency, the DOC is responsible for coordinating response and recovery by their school, department or business unit while serving as the interface between the campus community and the Emergency Operations Center (EOC). The DOC is responsible for ensuring that buildings have been evacuated and that first aid/aed/cpr is available, if needed. Through coordination with Operational DOCs, the local DOC ensures that buildings are secured, building damage is identified and reported to the EOC. The DOC will coordinate with other DOCs and the EOC to get the buildings back up and running to protect research and teaching. The Dean and the DOC Leader for the H&S DOC team are responsible for managing the DOC that the Sapp Center reports into. The H&S DOC works jointly with the local DOC to gather information; such as, life safety (confirmation and head count at the EAP), asset protection (building security) and resumption of the building operations in the event of an evacuation. In addition, the DOC works with H&S departments and programs to ensure they have a business continuity plan. Each department/program/center is responsible for developing an emergency action plan (to be distributed to all faculty and their research groups and staff) and a business recovery or continuity plan. This plan is maintained by the Building Manager for the Sapp Center and a copy is given to the Health & Safety person for the Dean of Humanities & Sciences. 6 III. IN CASE OF AN EMERGENCY... In the event of a HEALTH-THREATENING or PROPERTY-THREATENING emergency, ALL occupants of the building must: 1. Ensure that life-safety emergencies are reported to or Pull the nearest Fire Alarm 3. Turn off electric equipment and computers, close all hood sashes and stop reactions if safe to do so 4. Depart offices and leave doors unlocked though closed 5. Exit building and report to EAP and check in with the Building Manager 6. Do NOT re-enter the building until cleared by University Officials (Contact the Building Manager Vivian Sampson for updates) 7. After re-entering, report any safety or repair concerns to the Building Manager In the event of a NON-Health Threatening emergency, all occupants of the building must: For Chemical Spills 1. If necessary, evacuate the area 2. Notify the Building Manager immediately at Call EH&S at for spill cleanup 4. Complete an SU-17 incident report ( 24 hours AND fax to Risk Management at For Power Outages 1. Notify the Building Manager at During off hours (5PM 8AM), contact Stanford Facilities at AlertSU Stanford uses a layered communications strategy to communicate with faculty, staff, students and community members in the event of an emergency. AlertSU is the university s mass notification system. It allows university officials to deliver messages to Stanford faculty, staff and students in the event of a life-threatening situation on campus. If AlertSU is activated, you will receive emergency notifications via the contact points listed in your Stanford directory records. This should include: your office phone, text messaging on your cell phone, address and/or your home phone, if listed. All university provided cell phones are required to be listed in your directory information. Voice mail messages will be delivered to the phone numbers you provide if the number is not answered. More information about the AlertSU system is available at Note: Not all messages may arrive at the same time. Due to varying conditions some messages may arrive sooner than others. SMS text messages to your cell phone are predicted to be the most rapid form of delivery. 7 Be sure to keep your emergency information updated in If the AlertSU or the university s Outdoor Warning System is activated, follow the instructions immediately: For example, Shelter in Place means you must seek immediate shelter inside the building; if you are instructed to evacuate an area or building, you should do so immediately and proceed to the designated Emergency Assembly Point (EAP) for the building you are in. For updated information and instructions during an emergency, visit In the event that the university s IT systems are down, the university maintains a mirror of the emergency website at an offsite location. You will be able to access it in the same way you access the regular Stanford website. In Case of Earthquakes Earthquakes in the Bay Area may be inevitable, but damage from them is not. The steps you take before, during and after an earthquake will help make you safer and reduce injuries, damage and losses. First and foremost, plan for the personal safety of you and your loved ones. By having a solid personal safety plan in place, you will be better able to help the University if you are not worrying about your loved ones. The Stanford University EH&S Emergency Guide ( contains links to a variety of sites which will help you to better prepare for an earthquake. During an incident: Duck, cover and hold under a sturdy desk or table. Key links to earthquake preparedness The first link is a two-page summary on being earthquake safe at Stanford. The second link brings you to the Environmental Health and Safety Emergency Preparedness website, which is a good site to bookmark for future reference. 8 IV. SAPP CENTER EMERGENCY COMMUNICATIONS The Emergency Response Team working with the designated Sapp Center Emergency Coordinators will be responsible for the following: 1. Ensure that life-safety emergencies are reported to or Call to report an incident to EH&S within 8 hours of occurrence 3. Account for the safety of building personnel a. Confirm EAP Check-In by exercising the EMERGENCY PHONE TREE to identify missing personnel b. Turn in Department personnel check in form to Building Manager 4. Forward disaster impact reports to: Local DOC who informs the H&S Dean and DOC Leader 5. Report building safety or repairs assistance needs to the Building Manager Vivian Sampson 6.
