1 Bulk Patient Search 1 of 10 This tutorial steps through how to request Patient Rx reports for a group of patients at once by using Bulk Patient Search. Learn how to Access the Bulk Patient Search Add a group of patients by Manual Entry or by File Upload Validate format of a File Uploads Check the status of a Bulk Patient Search View Results Log in to begin This feature is available based on your role and permissions set by your administrator.

2 Bulk Patient Search 2 of 10 How to access Bulk Patient Search From the main menu select: RxSearch > Bulk Patient Search To initiate a Bulk Patient Search: 1. Decide between Manual Entry or File Upload 2. Create a Group Name for your bulk search 3. Select Prescription Fill Dates Let s walk through these steps in further detail.

3 Bulk Patient Search 3 of 10 How to Add a group of patients by Manual Entry or File Upload FIGURE 3.1 There are 2 options for adding patients to a bulk search. One is by manually entering each patient. The other is by uploading a csv file containing patient information. Manual Entry In Figure 3.1, 2 patients have been entered. For each patient entered their first name, last name, and DOB are required, indicated by red asterisks. To include another patient on the list, click Add to produce a new entry line. Then type the required patient information. To delete a patient from the list, simply click Remove. To finalize and run this search, see Screen 6

4 Bulk Patient Search 4 of 10 How to Add a group of patients by Manual Entry or File Upload (continued) File Upload is an alternative way to add patient information to a Bulk Patient Search. File Upload FIGURE 4.1 Your upload file must be in CSV format and include the field labels as they appear in the Sample File provided. Example First_Name Last_Name Birthdate Dave Testpatient 01/01/1900 Jane Public 02/02/1900 To upload your CSV file, click Choose File. Locate your file and open it. The file name should appear in the file upload box. (Figure 4.1) It is best to check the file for format errors by clicking Validate Format. This will provide you with a CSV results file you can download.

5 Bulk Patient Search 5 of 10 Validate format of a File Uploads (continued) This downloaded results file (Figure 5.1) will notate any row that has issues by including an explanation in the Errors column. You can correct errors in your original csv file, then resubmit the file. Validation Feedback Sample CSV Download FIGURE 5.1 If the error column is empty, as shown (Figure 5.1), that means your file has no errors and is ready for the Bulk Search request. Now we can finish the final requirements to request a Bulk Patient Search.

6 Bulk Patient Search 6 of 10 Create a Group Name for your bulk search Create a group name for the Bulk Search you are submitting. This is to help you locate it in the Bulk Search History after the searches are complete. Select Prescription Fill Dates Enter the date range you would like the system to pull data from for each patient. In this example, the system will look no further back than 4 years from the current date. This preset will vary depending on a PMP s setting. The date range defaults to a 1 year span, but can be expanded. Click Search to initiate the Bulk Patient Search

7 Bulk Patient Search 7 of 10 Check the Status of a Bulk Patient Search A green success message will appear when the search starts to process without any issues. The newly created bulk group appears at the bottom of the same screen in a closed section called Bulk Search History. Click the arrow to expand or collapse the section. Bulk Search History All Bulk Patient Searches you request will be housed in this location. Number of Patients: The total number of patients included in the bulk search. Processing: Current number of patients still in processing. When this reads zero all are done. Incomplete: These are finished searches where a patient matching the submitted information could not be identified. Ready: Patient Rx reports ready to be viewed. Bulk Search Name: The Group Name you named this search. It s also a hyperlink to an overview of all results and outcomes called the Bulk Patient Summary.

8 Bulk Patient Search 8 of 10 FIGURE 8.1 Bulk Patient Summary Selecting the name of the bulk search from the Bulk Search History will bring up the Bulk Patient Summary. Sample of a completed Bulk Patient Search FIGURE 8.2 The Summary is an overview of: All patients you included in the bulk search The current status or outcome of each patient search processed. For completed reports in Ready status, the number of prescribers, dispensers, and prescriptions found within the Rx Fill Date range specified. The Supervisor field indicates the name of the supervisor for whom a delegate ran the report. If you are a supervisor this field will be blank.

9 Bulk Patient Search 9 of 10 Viewing Results In Bulk Patient Summary In this example, Dave Testpatient s results are ready. The blue highlight indicates a selection has been made. By clicking on a line, the card at the bottom of the screen is populated with patient information and the outcome of the search. View the total number of prescriptions, prescribers, and dispensers between the Rx Fill Dates specified. Access the Patient Rx Report by clicking the View button at the bottom. The Refresh button opens the RxSearch Patient Request screen prepopulated with the criteria previously entered for this patient. It allows you a chance to adjust the criteria and run a new report. In Request History All Bulk Patient Searches will appear in Request History as if they were each individually requested.

(Figure 8.1) Ready: A patient matching the criteria was found and had prescriptions filled within the date range specified. (Figure 10.1) Incomplete Status Example FIGURE 10.2 Reason: Multiple Patients Found FIGURE 10.2a Reason: No Matching Patient FIGURE 10.2b Incomplete: No patient could be Identified matching the criteria provided. (Figure 10.2b). Incomplete can also mean that Multiple Patients were found. (Figure 10.2a). In this case, click Try Again to view the multiples and determine which records you want, then run the report. No RXs Found Status Example FIGURE 10.3 No RXs Found: A patient matching the criteria was found, but no prescriptions were found for this patient within the date range specified. Note that you can still view this report, but there will be no prescription data listed. (Figure 10.3)
