1 Querying deeper with BEx Query Designer and Analyzer Product SAP NetWeaver Release 2004s Level Undergraduate/Graduate Intermediate Focus BI Reporting Author Nitin Kale Version 1.0 OBJECTIVE To derive business intelligence from a multidimensional source SAP BI InfoCube. Create queries in the Business Explorer Analyzer BEx. Use Characteristics and key figures. Create restricted key figures. Create calculated key figures. Utilize exceptions and conditions to customize reports PREREQUISITES SAP Business Intelligence solution for reporting is implemented. 2 Server Information The Server you will be using for this project is Index hosted at California State University, Chico. Through the SAP University Alliances Program, we have been given access to the SAP BI server that contains extensive data warehouses. Some are demo and other created by users. Page Use the SAP BI server information below to login. o Description: SAP Curriculum Congress Chico Server o Application Server - belfast.cob.csuchico.edu o System Number 90 o System ID BEL o SAProuter String - o Client Number 800 o Username: UA-XXX (XXX number to be assigned) o Password: SAP4US o After logging in, go to System User Profile Own Data Defaults Set the decimal notation to the second option (US) Date to MM/DD/YYYY, Save 2010 SAP AG Page 2
3 Task 1: Create a query to report the open order and net values You will use an InfoProvider (InfoCube) called Sales: Overview (0SD_C03) that contains data about Sales. 1. Login to the BELFAST Server. 2. Click on the SAP Menu icon. 3. Go to SAP Menu SAP BIW Modeling Data Warehousing Workbench: Modeling. Then Modeling InfoProvider Customer Relationship Management ERP Analytics Sales and Distribution Analyses SAP R/3 SD Sales Overview. In the context menu (right click) of the Sales Overview InfoCube, choose Display Data Model. 4. In the panel on the right, expand the key figures and dimensions (e.g. Customer) 5. Study the Data Model for the InfoCube. Identify the Key Figures, Dimensions and Characteristics. 6. You will design Queries based on the Sales InfoCube. a. To open the BEx Query Designer, go to Start Programs Business Explorer Query Designer b. Click on the System tab and then select the Belfast server. Click OK. c. Enter Client-800, User- Your username and Password your password, Language- EN. d. The Query Designer opens. Explore the various panels e. Click on New Query f. We will now select the InfoCube for our analysis. g. Choose InfoAreas Customer Relationship Management ERP Analytics Sales and Distribution Analyses SAP R/3 SD h. Select the InfoProvider Sales: Overview i. You are back in the query designer. You can see the key figures, dimensions and characteristics of the Sales InfoCube in the left panel SAP AG Page 3
4 j. Open the Rows and Columns panel k. From the Customer dimension, drag the Sold-to-Party and drop it into the Rows l. From the key figure folder, transfer Open Orders and Net val. into the columns 7. Saving the query a. Save query b. Choose Favorites, Description: UAXXX Customer Query c. Save 8. Now you will modify the query you just created a. Open the filter panel b. Choose Cal.Year / Month characteristic from the Time dimension and place it into the Filter Characteristic Restrictions area. We want to show results only for Jan 2006 March 2006 c. From the context menu for Cal. Year / month choose Restrict d. In the Show field, choose Value Range then Between e. Select Jan 2006 to March Choose Move to Selection (right arrow) f. Choose Ok. g. Expand the Calendar Year/Month characteristic. Now your Cal Year / Month characteristic is filtered to Jan 2006 March 2006 values. 9. You will now enable the users of your report to select data related to specific countries (as a free characteristic) a. Choose the Rows/Columns panel b. From the Customer dimension, transfer the Country into the Free Characteristics area. The Free Characteristics tree contains all characteristics that are not currently drilled down upon. i.e they are available for use by your users in the query report. c. Move Material from the Material dimension into the Free Characteristics d. Transfer Country from Free Characteristics into Rows 2010 SAP AG Page 4
5 e. Go to the Filter panel. From the context menu for Country, choose Restrict. In the show field, choose Single Values. Select Norway and move the selection using the arrow. Choose Ok. Expand the Country characteristic to show that it is restricted to Norway. f. Save Task 2: Create a query about employees with the free characteristics 10. You will now design a second query on your own using the procedure from the previous query. Here are the requirements a. Create a new Query. Query is based on the Sales:Overview InfoProvider (InfoCube) b. Characteristics - Sales group, Sales Office, Sales Organization from the Organization dimension to the Rows area c. Key figures Number of Employees in the columns area d. Plant characteristic as a Filter. Value Frankfurt e. Cal. Year/month characteristic into the free characteristics. f. Save the query under favorites. Description: UAXXX Employees Query g. Close the Query Designer. Task 3: Run the queries you created in Tasks 1 and Running queries a. Start Programs Business Explorer Analyzer b. Excel 2007 should open c. Go to Add-Ins BEx Analyzer Open Query d. Choose the Belfast server, Client 800, enter your username and password e. Find your Query UAXXX Customer Query 1 (under Favorites) f. Open 2010 SAP AG Page 5
6 g. You see the results of your query! This is a two dimensional table view of the multidimensional InfoCube. h. Click on Filter button to display all the characteristics available in this query (both displayed in the results table as well free characteristics) i. To add Material to your results table, right click Material and choose Add drilldown according to material in rows 12. Close the Excel workbook and do not save. 13. Now run the UAXXX Employees Query a. Click on the Filter button and then click anywhere inside the Filter panel b. You can now edit your query definition by opening the Query Designer c. Go to BEx Analyzer Tools Edit Query d. Remove the Restriction (Frankfurt) on your Plant characteristic from the query e. Choose Exit and use the query. Click yes to saving the changes. f. Go to the filter panel. Right click Sales Organization and Remove Drilldown. g. Go to the Sales Office in the Table. Drag the Sales Office field from its current location to the left of Sales Group so that you see them in the order Sales Office, Sales Group h. Right click the Sales Office header. Then sort ascending by key i. Right click the Number of Employees and sort descending j. Notice that for each Sales Office, the number of employees is listed in descending order. 14. Close the Excel workbook. Do not save. Task 4: Create a query using two Selections that depict the Net Value for the period leading up to 2003 and for the year 2003 itself. 15. Start by creating a new query a. Open the BEx Analyzer b. Click on BEx Analyzer Tools Create New Query c. New Query d. Choose Sales:Overview InfoProvider e. You are now in the query designer SAP AG Page 6
7 f. From the Customer dimension, drag the Sold-to-Party and drop it into the Rows g. Drop the Key Figure Net value into Columns. h. From the Sales Area dimension, drag the Division characteristic and drop it into the Filter section i. In the context menu for Division, choose Restrict j. Choose Single Values. Choose High Tech and add the selection. Ok k. Click the Key Figure Net Value (in Columns) l. In the Properties Panel (right side of window), click on Edit m. We want to restrict the key figure Net Value to sales in To do this, drag and drop characteristic Calendar Year/Month (from the Time dimension) to the Details of the Selection n. In the context menu of Calendar Year/Month, choose restrict. Choose a Value range between Jan 2003-Dec Move to the selection panel on the right. Ok. o. In the Description field, type Net val. for Jan-March Ok 16. Now you will define another selection at the Query Level a. Choose Net Value from the Key Figure folder and drop it into the Columns sections b. In the context menu for Net Value, choose Edit c. Move Cal year/month from the Time dimension to Details section d. From the context menu for Cal year/month, choose Restrict. Create a value range Less Than Jan Transfer and OK e. Description: Net Value up to 2003 f. Ok 17. Now you will define another selection for Slug a. Copy and paste the restricted key figure that you just created Net Value up to 2003 b. Select the copy, then Edit (context menu) 2010 SAP AG Page 7
8 c. Move the Material characteristic from the Material dimension into details d. In the context menu for Material, choose Restrict e. Search for Slug and move Enhanced Slug for fly wheel it to the Selection. f. Then right click the Enhanced Slug for fly wheel and Choose Exclude Selections. Ok g. Description: Net Value up to 2003 Except Slug h. Choose OK 18. Saving and executing the query a. Save query b. Choose Favorites, Description: UAXXX Selection c. Save d. Execute the query as a report in BEx by choosing Exit and Use Query (This may take a while) e. Sort by Net Value up to 2003 in descending f. Close the workbook without saving. Leave BEx Analyzer open. Task 5: Create a query about sales volume that has a Constant Selection function 19. You will now design another query a. Start a new Query based on the InfoAreas Customer Relationship Management ERP Analytics Sales and Distribution Analyses Customer InfoProvider b. Choose the Cal. Year/month characteristic under the Time dimension and place into Free Characteristics c. Go to the filter panel. In the context menu for Cal. Year/month choose restrict. Choose Single Values , , , and add the selection. Ok d. Move Material from the Material Dimension into Rows e. Choose Sales Volume from the Key Figure folder and drop it into the Columns 2010 SAP AG Page 8
9 sections f. In the context menu for Sales Volume, choose Edit g. Move Cal year/month from the Time dimension to details h. From the context menu for Cal year/month, choose Restrict. Single Values , , Add and then OK i. Description: Sales Volume j. Choose Ok. k. Copy and paste the Sales Volume selection you just created. l. Edit this key figure, Choose Constant Selection in the context menu for the Cal Year/Month. m. Description: Sales Volume Constant Selection n. Choose Ok. 20. Saving and executing the query a. Save query b. Choose Favorites, Description: UAXXX Constant Selection c. Save d. Execute the query in BEx by choosing Exit and Use Query (This may take a while) e. Click on the Filter button. From the context menu for Cal year/month characteristic, choose Drilldown: Down in rows. The values of the key figure with the constant selection remain unchanged, so that you can easily select reference values that can be used for additional calculations. Task 6: Create a query about sales volume with a Formula You will create a query that allows you to compare the sales volume of your individual soldto parties of sales org within two time periods. Also define four new formulae that list the difference and percentage variation of the sales volume of Nov and Dec Create a new query based on the Customer InfoProvider 2010 SAP AG Page 9
10 a. From the Customer dimension, drag the Sold-to-Party and drop it into the Rows b. From the Sales Area dimension, drag the Division characteristic and drop it into the Free characteristics section c. Now create two Selections UAXXX Sales Volume 11/01 and UAXXX Sales Volume 12/01. The names of these key figures tell you that they have their Sales Volume have been restricted by characteristic Cal Year/month to Nov or Dec d. These Selection key figures should be in your Columns area. e. In the context menu for Key Figures (in the Columns panel), Choose New Formula f. In the Properties panel, Description: UAXXX Sales Volume Diff 11/12 01 g. Edit h. From the Operands window, double click UAXXX Sales Volume 12/01 into the Detail View section. Then Minus. Then double click UAXXX Sales Volume 11/01 into the detail view section. Choose Ok. 22. Now you will define a second Formula a. Description: UAXXX % Variance Sales Volume b. Edit c. Create this formula by following the steps UAXXX Sales Volume 12/01, Operators Percentage Functions Percentage Variance (%) and UAXXX Sales Volume 11/01 d. Choose Ok 23. Now you will define a third Formula a. Description: UAXXX % Share Overall Sales Volume 12/01 b. Edit c. Double click Percentage Share of Overall Result (%GT) function and UAXXX Sales Volume 12/01 into the detail view area. Choose Ok 24. Now you will define a fourth Formula 2010 SAP AG Page 10
11 a. Description: UAXXX Result of Sales Volume 12/01 b. Edit c. Data function Result (SUMCT) and UAXXX Sales Volume 12/01 into the detail area. Choose Ok 25. Saving and executing the query a. Save query b. Choose Favorites, Description: UAXXX Formula and Selection c. Save d. Execute the query as a report in BEx by choosing Exit and Use Query (This may take a while) e. Notice that the currency is sometimes MIX. We will fix this by doing a Currency Translation f. In the context menu within the report results, Choose Query Properties Currency Conversion Convert to currency g. Target Currency: USD. OK h. Conversion Type: Average Rate-Current Date i. Ok j. Notice the changed currency k. Drilldown by Division then Swap with the Sold-to Party by using the Drilldown and Swap navigation functions. Division should be listed first, then Sold-to Party. l. Within each Division, sort the results such that the Sold-to-Party with the highest Sales Volume Diff 11/12 01 is listed first. Task 7: Create a query that displays sold-to parties, their materials, the relevant sales revenues, and the costs for the first two months of the year SAP AG Page 11
12 This query illustrates the use of properties and attributes of characteristics 26. Create a new query based on the Customer InfoProvider a. Move the key figures Sales Volume and Sales Volume MC into the columns b. For the characteristics, choose the following and move them to rows i. Dimensions Customer Sold-to-party ii. Dimensions Material Material iii. Dimension Time Cal Year/ month c. Restrict Cal year/month, Single Values , Save the query. a. Description UAXXX Characteristics b. Exit and run the query d. Open the filter panel e. From the context menu of Sold-to party, choose Properties Attributes and then select the attributes Location and Telephone 1. Note that Location, telephone 1 etc are the attributes of the characteristic Sold-to Party. 28. From the context menu for Sold-to party, choose properties a. Choose Display Text b. Set the Sort by Location Descending Ok c. To hide the results rows for the Cal Year/month characteristic, choose from the context menu for Cal Year/Month Properties Results rows Always Suppress ok Task 8: Define a query with Exceptions 29. Creating a new query with the following structure a. InfoProvider - Customer b. Characteristics in Rows Country, Material 2010 SAP AG Page 12
13 c. Key figure in Columns - Incoming Orders d. Free characteristics - Sold-to-Party e. Restrict Material to exclude the range to f. For the Country characteristic, choose the hierarchy (see right panel of screen, under properties) Country Grouping g. Choose Exception New Exception (in the menu bar). Right click New Exception (in the Exception panel). In the Properties Panel, find the first listed Exception Description - Exception Values. Edit h. Ensure that Exception is Active is checked i. Definition Tab Key Figures Incoming Orders j. General Tab Define Exception Values, choose New. k. Create the following Exceptions using Transfer after each Alert Level. Operator is Between Alert Level From Value To Value Bad 3 # Bad Critical Good Good # 30. Saving and executing the query a. Save query. Description: UAXXX Exceptions b. Exit and Run the query c. You notice Incoming Orders are highlighted in color (Exceptions) d. Convert the currency to USD e. Remove the drilldown for Material f. Collapse the Hierarchy of EMEA countries (double click the arrow). Hierarchies are used to create a tree like structure within a characteristic SAP AG Page 13
14 Task 9: Create a query using conditions Now you will create a query that allows you to restrict a report so that only the most important information is displayed (filtered). 31. Create a new query based using the following structure a. InfoProvider InfoAreas SAP Demo SAP Demo Purchasing Purchasing Data b. Include the following i. Free characteristics Vendor c. Rows Material, Purchasing Organization d. Key figures - Invoice Amount, Total Delivery Time 32. Save query. Choose Favorites, Description: UAXXX Conditions 33. In the query designer, choose Conditions (in the menu bar) a. Create a New Condition (right click the Conditions panel). Use the properties drop box to find the new condition. Description Invoice Amount < b. Edit c. Create a new condition with Key Figure - Invoice Amount, Operator - Less Than, Value d. In the Characteristic Assignment Tab, choose Purchasing Organization e. Transfer, Ok. 34. In the query designer, define a new condition. Description Top 5 and Bottom 3. Key Figure Operator Value Total delivery time Top N 5 Total delivery time Bottom N 3 Ok 35. In the query designer, define a new condition. Description Invoice > 10,000,000, or within 20 days Key Figure Operator Value 2010 SAP AG Page 14
15 Invoice Amount Greater than Total delivery time Less than 20 Ok 36. Exit and Use Query (This may take a while) a. All the conditions are active at this point. b. Then you can activate or deactivate each condition as desired by right clicking the results table and toggling condition state SAP AG Page 15
