1 INTRODUCTION The guide describes the functionalities provided by the OpenWIS Administration portal. Ref.: UGA-OpenWIS-1 Vers.: 01.2 Date: 26/04/2012 Page : 5/80

2 ADMINISTRATION PORTAL 2.1 ALARMS Recent events The Recent Events page offers a searchable view of every event, alarm and error raised by the Dataservice module. The event table provides the date of the event, the component and process raising it, a severity parameter (INFO, WARN, ERROR) as well as a more detailed description. To be able to read the sometimes longer Description filed, an appropriate tooltip is displayed when moving the curser over a table field. By specifying search parameters (i.e. start- and end-date, the severity parameter, a process, a component or a description) the table can be configured to show only those events matching the given parameters. The parameters for Process, Component, and Description may contain the wildcard character % (see screenshot for an example). List of events: Event Severity Comment The arrival of critical, high priority data WARN A new high priority data (GTS Priority 1 or 2) has been ingested. The component X is in a degraded state ERROR One of the component (Ingestion, Feeding, Replication) Ref.: UGA-OpenWIS-1 Vers.: 01.2 Date: 26/04/2012 Page : 6/80

The loss or corruption of data ERROR A corrupted data (bad file, wrong format ) has been received and rejected. (in temp folder) Metadata validation failed ERROR The validation of a metadata has failed (insert, harvesting, synchronization) The ingestion of data for which no metadata record exists The size of the data Cache exceeds a defined value Dissemination request exceeds a predefined threshold Number of entries in the DAR catalogue exceeds a defined threshold Administrators and Operators fail authentication Unauthorized access attempt to the system from user Number of registered users exceeds a defined threshold Number of active authenticated users exceeds threshold Number of active anonymous users exceeds a defined threshold WARN WARN WARN WARN WARN WARN WARN WARN WARN A high priority (GTS priority 1 or 2) product has been ingested whereas no associated metadata was found. Hence a Stop-Gap metadata has been created. A dissemination request for one user request exceeds a predefined threshold. The number of metadata in the catalogue exceeds a pre-defined threshold. An attempt to authenticate as Administrator or Operator failed. When a user tries to access the system via federation whereas he is not allowed to When the number of registered users exceeds the threshold When the number of concurrent authenticated users exceeds the threshold When the number of concurrent anonymous users exceeds the threshold Delivery failed on dissemination system ERROR Error while trying to disseminate via the Dissemination Harness Size of products in one Staging Post exceeds threshold Failure to contact a local data source or when extraction fails Harvesting/synchronization task is complete WARN ERROR INFO When the total size of products in Staging Post of one user exceed the threshold Error while trying to access a Local Data Source (dedicated harness) User requests an extension of privileges INFO A user has requested a privilege extension for accessing (request/subscribe) a specific data Ref.: UGA-OpenWIS-1 Vers.: 01.2 Date: 26/04/2012 Page : 7/80

2.1.2 Global reports The Global Reports page offers sort-able table views for different data statistics. A period of 1 to 10 days can be specified to filter those statistics Volume of data disseminated per day The table contains the size of the data that has been disseminated to a given user on a specific date as well as that user s data threshold Overall volume of data disseminated and extracted per day This table contains the size of all the data that has been extracted and disseminated on a specific date Volume of data ingested per day This table contains the size of the data that has been ingested on a specific date Overall volume of data replicated per source and per day This table contains the size of all data replicated from a given source on a specific date. Ref.: UGA-OpenWIS-1 Vers.: 01.2 Date: 26/04/2012 Page : 8/80

2.2 METADATA SERVICE Create metadata Create metadata is accessible for editors or operator only. It offers the possibility to create a new metadata record from an existing metadata template. The metadata URN (unique identifier) must comply with a pre-defined format: urn:x-wmo:md:<authority>:<unique identifier> To create a new metadata: - Set the authority and a unique identifier (in the scope of the given authority) - Choose a pre-defined Template - Choose a Category - Click on Create button to create the new metadata Ref.: UGA-OpenWIS-1 Vers.: 01.2 Date: 26/04/2012 Page : 9/80

The metadata editor is then opened, allowing to edit the metadata content that has been initialized with the selected template Insert metadata Insert metadata is accessible for editors or operator only. It offers the possibility to insert a new metadata record in the system from an metadata XML file. Select your local metadata by clicking the Browse button, and adapt the file type (single file or MEF File). You can insert simultaneously several metadata by clicking on New button. Removing a file can be done by clicking the button. Up to 10 metadata can be added at a time. Continue by selecting: - the style sheet: an XSL transformation will then be applied before inserting the metadata - the type of validation: None, XSD or XSD and Schematron - the metadata category in which the metadata will be assigned Click on Insert to create the metadata. At the end of import, a report is presented showing the number of success/failure and the list of metadata that have been created and the list of errors. Ref.: UGA-OpenWIS-1 Vers.: 01.2 Date: 26/04/2012 Page : 10/80

2.2.3 Configure harvesting Harvesting is the process of collecting remote metadata and storing them locally. This process could be manually launched or scheduled as a periodic task Create/Modify a task To define a new harvesting task click New and choose the desire harvester: Ref.: UGA-OpenWIS-1 Vers.: 01.2 Date: 26/04/2012 Page : 11/80

You can modify the task definition by selecting it in the table and click on Edit. For both creation and edition of a harvesting task, a task definition dialog will then be shown, to define the parameters of the task. Some parameters are shared by all harvesting protocols and some are specifics. The shared parameters are: - Name: the harvesting task name (information only) - Run mode: o o On request: the task need to be run manually Recurrent: the task is run with a recurrent frequency expressed in Day/Hour/Minutes and will start immediately after creation (unless it s a backup task) - Validation: validation level of metadata before importing into the system (No Validation, XSD, XSD and Schematron) - Categories: the category to which the imported metadata will belong to after import Ref.: UGA-OpenWIS-1 Vers.: 01.2 Date: 26/04/2012 Page : 12/80

Note about Category: in case the metadata already exists in the catalogue, the metadata content will be updated if the harvested metadata is more recent than the existing one. If the selected category of the harvesting task differs from the category of the current metadata, the original category is kept, unless this category was draft. The following sections describe the parameters specific for each harvesting protocol OAIPMH The following specific parameters may be set for an OAIPMH harvesting task; - URL: the OAIPMH server URL; on OpenWIS system, both user and admin portal may serve as OAIPMH server; the URL is then - User Account (+ login / password): optional; if the connection request an authentication - Date Interval: optional; from/to date filter applied on update date of the metadata (insertion/update/removal date) - Set: mandatory; the remote set (category) of metadata to select (click on fetch first to retrieve the possible values from server; therefore the URL needs to be set) Ref.: UGA-OpenWIS-1 Vers.: 01.2 Date: 26/04/2012 Page : 13/80

- Prefix: mandatory; the metadata record type; typically iso19139 (click on fetch first to retrieve the possible values from server; therefore the URL needs to be set) - Deletion supported by server: whether the OAIPMH server supports deletion propagation (normally automatically set) - Incremental: incremental harvesting or full harvesting; in case of incremental, the from filter will be updated at each run of the harvesting task to retrieve only the last changes since the last run - Backup: optional; if a Backup deployment is selected, the task is considered as a backup task that will be activated only when the backup mode is switched on for the selected backup deployment File System Harvester File system may be seen as a standard harvesting task, allowing a full synchronization with the harvested directory, but it s also a convenient way to massively import a set of metadata into the Catalogue (in this case Local Import must be set). Ref.: UGA-OpenWIS-1 Vers.: 01.2 Date: 26/04/2012 Page : 14/80

The following specific parameters may be set for a File system harvesting task; - Directory: the location on server where to find the metadata files - Recurse: recurse or not in sub-folder - Keep local if deleted at source: to avoid deletion propagation - Local Import: whether this task is an import of metadata (or a normal harvesting task) - File type: metadata are as XML files or as part of MEF file (GeoNetwork archive) - StyleSheet: optional; a style sheet to apply before import GeoNetwork 2.0 Ref.: UGA-OpenWIS-1 Vers.: 01.2 Date: 26/04/2012 Page : 15/80

The following specific parameters may be set for a GeoNetwork harvesting task; - Host / Port: the Host and port of the GeoNetwork server - Servlet: Remote servlet ( geonetwork in most case) - User Account (+ login / password): optional; if the connection request an authentication - Filters: optional; query filters that will be applied when retrieving metadata; search can be performed on free text, title, abstract, keyword, options (digital/hard copy) and source - Backup: optional; if a Backup deployment is selected, the task is considered as a backup task that will be activated only when the backup mode is switched on for the selected backup deployment CSW The following specific parameters may be set for a CSW harvesting task; - Service URL: Remote CSW service; for OpenWIS or GeoNetwork system, the URL looks like: - User Account (+ login / password): optional; if the connection request an authentication - Filters: optional; query filters that will be applied when retrieving metadata; search can be performed on free text, title, abstract, keyword Ref.: UGA-OpenWIS-1 Vers.: 01.2 Date: 26/04/2012 Page : 16/80

- Backup: optional; if a Backup deployment is selected, the task is considered as a backup task that will be activated only when the backup mode is switched on for the selected backup deployment WebDAV The following specific parameters may be set for a WebDAV harvesting task; - URL: Remote WebDAV service - Recurse: recurse or not in subfolders - Validate: perform or not schema validation (legacy GeoNetwork option) - Backup: optional; if a Backup deployment is selected, the task is considered as a backup task that will be activated only when the backup mode is switched on for the selected backup deployment Remove a task Select the task to remove and click Remove, confirm. Ref.: UGA-OpenWIS-1 Vers.: 01.2 Date: 26/04/2012 Page : 17/80

Warning: Removing a harvesting task will remove all the metadata via this harvesting task, except in the case of File System Harvesting when the option Local Import has been set. As a consequence, removing the harvesting task may be long, depending on the number of harvested metadata. Hence, the action may show an error because the process takes too long time, but this error may be ignored as the deletion process will still be running in background. Once the deletion process is complete, the harvested is finally removed Activate/Deactivate and Run a task You can activate/deactivate a task by selecting it in the table and click the desire button. Ref.: UGA-OpenWIS-1 Vers.: 01.2 Date: 26/04/2012 Page : 18/80

If activate, you can run a task by clicking the button Run Remote metadata matching the harvesting request are collected locally According to the validation level selected, validation is performed For each valid metadata, manage extracted information and data policy association Ref.: UGA-OpenWIS-1 Vers.: 01.2 Date: 26/04/2012 Page : 19/80

Valid metadata records are locally imported into the database and linked to the extracted data policy, nonvalid metadata are logged in an error report Harvesting report Last harvesting report can be displayed by the Administrator. Select the task and click Report : Configure synchronization Synchronization tasks are specific harvesting tasks (described in previous section) with default pre-defined elements: - the protocol: OAI-PMH - the options: always incremental with deletion propagation - scheduling: recurrent - category (Set): the remote Set must correspond to a local category; the remote set is selected and the metadata will be assigned to the category of the same name (Refer to section for details on OAI-PMH task configuration) Ref.: UGA-OpenWIS-1 Vers.: 01.2 Date: 26/04/2012 Page : 20/80
