1 When working with Adobe InDesign you can access assets cataloged in Cumulus via native InDesign panels provided by the Cumulus InDesign Client. Which assets are available to you depends based on your permissions as a Cumulus user. You can quickly find the assets you need either by browsing a catalog, or the category tree, or by using Cumulus powerful Quicksearch function. Placing files into the layout is simple case of drag and drop. Any file format supported by Adobe InDesign can be used. Once the layout is complete, you can easily catalog it as a new asset, or check it in as a new version of an already existing asset. This guide describes the Cumulus InDesign Client and the Cumulus menu in Adobe InDesign from the user s perspective. Explanations are given for each of the program s menu options. Understanding conventions used Instructional steps are identified by numbers: 1. This would be the first step (and could be the last as well). 2. This would the next step (and could be the last as well). Named user interface elements buttons, menus, text fields, etc. are displayed in bold. For example: Select Open. Successive actions (such as selecting a submenu of a menu) are connected with the > sign: Select File > Open. Cumulus Portals can be used on desktop or laptop computers as well as on tablets and smart phones. In general, instructions will work for both, computers with traditional screens and devices with touch screens. Just keep in mind that on a traditional screen you select an element by clicking, and on a touch screen by taping.

5 CUMULUS INDESIGN CLIENT CUMULUS INDESIGN CLIENT PANELS Cumulus InDesign Client Panels Cumulus InDesign Client provides four native InDesign panels for the access to Cumulus catalogs and functions from within InDesign. These panels can be accessed via a new entry in Adobe InDesign s Window menu, Cumulus. It provides following sub menus: Records Displays the records of the selected catalogs. If no catalog is open or a connection to a Cumulus Server is not yet established, the Connect to Server and the Open Catalog dialogs are opened first. Categories Displays the category tree(s) of the currently open catalog(s). Information Displays the metadata information belonging to the currently selected file in the Records panel. Preview Displays a preview of the currently selected file in the Records panel.

6 CUMULUS INDESIGN CLIENT CUMULUS INDESIGN CLIENT PANELS The Records Panel The Records panel displays the records of all opened catalogs Panel menu 2 Performs a Quicksearch. 3 Opens a selection list of previous Quicksearch items and saved search queries (including a Find All search). (For more information on search options and saving queries, see the Cumulus Client User Guide.) 4 Entry field for Quicksearch (Default: a contains search in the record fields Record Name, Document Text, Notes, Keywords, and Categories. A search item will be found if it is contained with one of the fields.) 5 Clears the quicksearch field and performs a Find all search. 6 Toggles the sorting order (ascending/descending). 7 Displays the current sorting criterion. 8 Opens a selection list of available sorting criteria. 9 The Add to Cumulus or Check-in to Cumulus button works as a short cut to the Add to catalog and Check in functions. Which button is displayed depends on the state of the currently active file in InDesign: whether it has not yet been added to a catalog so far, or whether it was checked out from Cumulus before. The Records panel allows you to browse and to search for records. To perform a search, enter text into the search field, or choose a predefined search query from the drop-down menu. The result of your search is displayed in the Records panel. (For

Right-clicking on any record displayed in the Records panel evokes a shortcut menu offering further options: Information Opens the Information panel and displays information on the respective asset (metadata). Preview Opens the Preview panel and displays a preview of the respective asset. Delete Deletes the respective record. You can choose to delete contained records (if any) and the asset itself additionally. Attach/Detach Categories Assigns the respective asset to the categories that are selected in the Categories panel, or detaches these categories from the asset. Check Out Checks out the respective asset (only active with assets under version control, e.g. Cumulus Vault). If no checkout location is specified in the InDesign Client properties, a dialog opens to select the checkout location. Undo Check Out Cancels the check-out of the asset (only active with assets that are already checked out). Check In Checks in the respective asset as a new version (only active with assets that are already checked out). Double-clicking on a record in the Catalog panel opens the related Information panel or Preview panel, depending on your Cumulus user settings. NOTE: Double-clicking on a record of an InDesign asset opens this document in InDesign. InDesign documents from a location that supports versioning (e.g. Cumulus Vault) are checked out additionally.

8 CUMULUS INDESIGN CLIENT CUMULUS INDESIGN CLIENT PANELS Information and Preview panels can also be opened via the shortcut menu. If Information and Preview panels are already open, their contents follows the selection in the Records panel. Assets can be inserted into any InDesign document by dragging the respective record from the Records panel and dropping it onto a document opened in InDesign. Which metadata (or record fields) are displayed in the Records panel depends on the selected Record View Set. InDesign Client users can select from the same range of Record View Sets as they can with the Cumulus Desktop Client. With the Records panel, you can switch between the settings for the Thumbnail View or the Report View of the selected Record View Set to display the records of a catalogs. NOTE: Most of the user interface settings specified in the Record View Sets, such as background color or font settings, are ignored by the InDesign Client. However, font color settings for record fields will be respected in both the Records panel and the Information panel. This offers administrators a convenient way to highlight certain metadata information in the InDesign Client. The Categories Panel The Categories panel displays the category trees of the currently open catalogs. A triangle icon to the left of a category name denotes that there are sub-categories; clicking this icon expands or collapses the sub-categories. If you select a category name by double clicking, only such items will be displayed in the Catalog panel that belong to that category. Double clicking several category names will display all items belonging to any of the selected categories.

10 CUMULUS INDESIGN CLIENT CUMULUS INDESIGN CLIENT PANELS The Preview panel provides controls to adapt the size of the preview Panel Menu 2 Adjust preview size to a certain percentage of the original. 3 Adjust preview size to the size of the preview panel. 4 Increase preview size. 5 Decrease preview size. 6 Adjust preview size to 100% of the original file. The Information Panel The Information panel displays metadata information of the asset that is currently selected in the Records panel. The contents of this panel follows the selection in the Records panel. Which information (record fields) is actually displayed depends on the selected Record View Set. (This Record View Set may be different from that used by the

The Information panel uses the settings for the Asset Information window for the presentation of metadata information Panel Menu 2 Separator Click a separator to collapse/expand the section below. 3 Metadata edit field Select an editable metadata field on the Information panel. Its contents is displayed here and can be edited. 4 Saves the modified metadata Which metadata (or record fields) are displayed in the Information panel depends on the Asset Info View settings of the selected Record View Set. InDesign Client users can select from the same range of Record View Sets as they can with the Cumulus Desktop Client.

However, font color settings for record fields will be respected in both the Records panel and the Information panel. This offers administrators a convenient way to highlight certain metadata information in the InDesign Client. The Panel Menu Each of the four panels provides a panel menu offering specific functions. Select Catalog Opens a dialog to select the catalog(s) to be opened. If the connection to a Cumulus Server is not yet established, the Connect to Server dialog is opened first. Close Catalog Opens a dialog to select one or more catalogs to be closed. Disconnect Closes all open catalogs and disconnects the InDesign Client from the Cumulus Server. Record View Set Opens a list of available Record view sets (Records and Information panels only). Thumbnail View The items of the selected catalogs are displayed in thumbnail view (Records panel only). Report View The items of the selected catalogs are displayed in report view (Records panel only). Only Master Assets if activated, only master assets are displayed. When working with Adobe InDesign documents, master assets are the document files (Records panel only). For more information on master assets and asset relations, see the chapter Managing Related Assets in the Cumulus Client User Guide. Information Opens the Information panel and displays information on the selected asset (metadata) (Records panel only).

13 CUMULUS INDESIGN CLIENT CUMULUS INDESIGN CLIENT PANELS Preview Opens the Preview panel and displays a preview of the selected asset (Records panel only). Attach/Detach Categories Assigns the selected asset to the categories that are selected in the Categories panel, or detaches these categories from the asset (Records panel only). Assign Metadata from Template Opens a list of available Metadata Templates. Select the desired one to apply it to the selected asset (Records and Information panels only). Delete Deletes the selected record. Additionally, you can choose to delete contained records (if any) and the asset itself (Records panel only). Add Document to Catalog Adds the current InDesign document to the open catalog. If more than one catalog is opened, you must select the desired catalog. Check In Checks in a previously checked out InDesign document as new version. This function is only active with a version control system, e.g. Cumulus Vault. About Opens a window with information on the InDesign Client Properties Opens a dialog to specify InDesign Client properties, such as automatic login options and a checkout location for version controlled assets.

14 CUMULUS INDESIGN CLIENT THE HOW-TO SECTION The How-To Section This section provides instructions on the most common tasks to be performed with the Cumulus InDesign Client. Configure Properties NOTE: You may not be able to perform all tasks described in this guide. Which tasks you are actually allowed to perform depends on your user permissions which are defined by the Cumulus Administrator. Cumulus InDesign Client properties contain the configuration of an automatic login and the possibility to specify a checkout location for assets from a version control system like Cumulus Vault. Enable Automatic Login With automatic login enabled, you will be logged into the specified Cumulus Server automatically each time you open a catalog. You ll never see the Connect to Server dialog.

15 CUMULUS INDESIGN CLIENT THE HOW-TO SECTION To configure the automatic login: 1. From the panel menu of any In InDesign Client panel, select Properties. The Cumulus InDesign Client Properties dialog is displayed. 2. Activate the Enable Automatic Login option. 3. Specify the server you want to be connected to. 4. Specify whether you want to be logged in as a guest or as a registered user. To be connected as a registered user, enter your user name and password. 5. Click OK to confirm your settings and to close the Cumulus InDesign Client Properties dialog. Specify a Checkout Location for Assets under Version Control If a checkout location is set, all version controlled assets (e.g. from Cumulus Vault) will be stored in this location when checked out. If no checkout location is set, you will be prompted to select a storage location each time you check out such an asset. To configure a checkout location: 1. From the panel menu of any In InDesign Client panel, select Properties. The Properties dialog is displayed.

16 CUMULUS INDESIGN CLIENT THE HOW-TO SECTION 2. Click the browse button ( )to open a file browser and navigate to the desired storage destination. It is strongly recommended to select an empty folder as check-out location. 3. Click OK to confirm your settings and to close the Cumulus InDesign Client Properties dialog. Specify the PDF Output Handling While cataloging or checking in InDesign documents, Cumulus InDesign Client can create PDF files from these documents. In order to quickly overlook which of your PDF files originate from InDesign documents, you may want to keep the.indd extension in the file names of the generated PDF files (e.g., MyFile.indd.pdf instead of MyFile.pdf). To keep the.indd extension in the name of created PDF files: 1. From the panel menu of any In InDesign Client panel, select Properties. The Properties dialog is displayed. 2. In the PDF Output Handling section, activate the Include.indd extension in PDF file name option. 3. Click OK to confirm your settings and to close the Cumulus InDesign Client Properties dialog.

17 Open Catalog / Connect to Server CUMULUS INDESIGN CLIENT THE HOW-TO SECTION In order to use Cumulus InDesign Client together with Adobe InDesign, you must first open a Cumulus catalog. To open a Cumulus catalog 1. From the panel menu of any In InDesign Client panel, select Select Catalog (OR, it the panel is still empty, click Open Cumulus Catalog). If the automatic login is enabled in the Cumulus InDesign Client properties, or if you are already connected, the Open Catalog dialog is displayed. Continue with step 3 2. If the automatic login is not enabled and you are not already connected to a server, the Connect to Cumulus Server dialog is displayed. Specify the Cumulus Server, and select whether to connect as a guest or as a registered user. To be connected as a registered user, enter your user name and password. NOTE: The Server and Name fields contain the information you used for your last login, as does the Password field, if the Remember Password option has been activated. Click OK. The Open Catalog dialog is displayed. 3. Select one or more catalogs to work with, then click OK. You are connected to Cumulus. The records of the selected catalog(s) are displayed in the Records panel.

18 CUMULUS INDESIGN CLIENT THE HOW-TO SECTION Close Catalog / Disconnect from Server Open catalogs can be closed at anytime. With the last catalog closed, you are automatically disconnected from the server. To close a catalog: 1. From the panel menu of any In InDesign Client panel, select Close Catalog. The Close Catalog dialog is displayed. 2. Select the catalog(s) you want to close and click OK, or just click Close all to close all open catalogs. With the closing of the last catalog, the connection to the server is closed automatically. To close all open catalogs at once: 1. From the panel menu of any In InDesign Client panel, select Disconnect. All open catalogs are closed immediately. The connection to the server is closed.

19 Opening InDesign Files CUMULUS INDESIGN CLIENT THE HOW-TO SECTION To open InDesign documents cataloged in Cumulus from within the InDesign Client: 1. In the InDesign Client Records panel, double-click on the record of the InDesign document you want to open The respective document is opened in InDesign and can be edited. NOTE: Double clicking InDesign documents from a location that supports versioning (e.g. Cumulus Vault) checks them out additionally.

20 Placing Assets in InDesign Documents CUMULUS INDESIGN CLIENT THE HOW-TO SECTION Using assets from a Cumulus catalog in InDesign documents is a simple case of drag & drop. To place an asset in InDesign: 1. From the Records panel, drag the record of the asset you want to use onto an open document in InDesign. 2. Drop the record onto an existing frame. The asset is inserted into that frame and can be further edited. OR Drop the record to a place outside an existing frame. InDesign creates a new frame for that asset. It can there be further edited.

21 Checking out Documents CUMULUS INDESIGN CLIENT THE HOW-TO SECTION Checking out /checking in only applies to assets stored in Cumulus Vault (or any other version control system). You may check out any asset from such a catalog. To check out an InDesign document: 1. In the Records panel, select the record of the document you want to check out, then select Check Out from the shortcut menu. The document is downloaded to the checkout location specified in the InDesign Client properties. If no checkout location is specified, you will be prompted to select one. Checked out InDesign documents are automatically opened in InDesign.

22 CUMULUS INDESIGN CLIENT THE HOW-TO SECTION Adding InDesign Files to a Cumulus Catalog Any document open in InDesign can be added to an open Cumulus catalog. If the InDesign document contains linked files from sources other than a Cumulus catalog, these files will be added to Cumulus automatically. The links to these files will be replaced with the corresponding Cumulus URIs. Additionally, a PDF file may be generated from that document and also added to the catalog. To add an InDesign document to a catalog: 1. Click Add to Cumulus on the Records panel, OR Select Add Document to Catalog from the panel menu of any In InDesign Client panel. The Add Document to Catalog dialog is displayed. 2. If more than one catalog is open in the InDesign Client window, select the catalog to which you want to add the document. 3. If necessary, select the Asset Handling Set to be used. 4. Optionally, activate the Create PDF and add to catalog option. You may also want to activate the Show InDesign s PDF export window option. The InDesign s PDF export window allows to select or modify PDF export settings. For further information refer to the Adobe InDesign documentation. The InDesign Client will remember your PDF related settings as defaults until you change them again.

23 CUMULUS INDESIGN CLIENT THE HOW-TO SECTION 5. Click OK. The document is added to the selected catalog. If the Create PDF and add to catalog option has been activated, a PDF file is generated and added to the catalog, too. NOTE: You may be prompted to save your document in InDesign before it is added to the catalog.

24 Checking in Documents CUMULUS INDESIGN CLIENT THE HOW-TO SECTION Any previously checked out document can be checked back in again as a new version. If you have added files from sources other than a Cumulus catalog to the InDesign document, these files will be added to Cumulus automatically. The links to these files will be replaced with the corresponding Cumulus URIs. Additionally, a PDF file may be generated and added to the catalog. NOTE: Checking-in a document creates a new version of the document in Cumulus. However, the document itself remains checked out from Cumulus (and open in InDesign) to facilitate further editing. When you are done with the editing, you must additionally select Undo checkout from the shortcut menu of the record, which will also close the document, or close the document manually and then confirm the Undo Check Out operation. To check in a document as new version: 1. Click Check-in to Cumulus on the Records panel, OR Select Check In from the panel menu of any In InDesign Client panel in order to check in an open InDesign document, OR Select the record of the document you want to check in and select Check In from the shortcut menu. The Check In dialog is displayed. 2. Optionally, enter a comment.

25 CUMULUS INDESIGN CLIENT THE HOW-TO SECTION 3. If necessary, select the asset handling set to be used. 4. Optionally, activate the Create PDF and add to catalog option. You may also want to activate the Show InDesign s PDF export window option. The InDesign s PDF export window allows to select or modify PDF export settings. For further information refer to the Adobe InDesign documentation. The InDesign Client will remember your PDF related settings as defaults until you change them again. 5. Click OK. A new version of the document is created in Cumulus as a new version. If the Create PDF and add to catalog option is activated, a PDF file is generated and checked in, too. NOTE: You may be prompted to save your document in InDesign before the check in process can take place.

26 Deleting Records CUMULUS INDESIGN CLIENT THE HOW-TO SECTION Depending on your permissions, you may be able to delete records from a catalog.. Additionally, you can choose to delete contained records as well (e.g, the records for individual pages of an InDesign or PDF document). Furthermore, you can choose to delete the asset together with the record. To delete a record: 1. On the Record panel, select the record you want to delete an choose Delete from the shortcut menu or the panel menu. 2. If you want to delete the contained records or the corresponding asset, too, activate the respective options. 3. Click OK. The record (and, if selected, the contained records and the asset) are immediately deleted. NOTE: Be carefully with deleting assets! Deleting an asset may have unwanted side effects, e.g. if an asset is referenced in an other catalog!

27 Viewing and Editing Asset Information CUMULUS INDESIGN CLIENT THE HOW-TO SECTION With Cumulus InDesign Client, information about assets (metadata) can be viewed in the Information panel. Depending on your permissions, you may be able to edit or modify some of theses metadata. With the InDesign Client, only information in string fields and string list fields from which you can choose a value (i.e. Rating or Status) can be edited. To view or edit information about an asset: 1. If the Information panel is already open, just select a record in the Records panel. The metadata of the selected asset is displayed. 2. If the Information panel is not open, double click a record in the Records panel, OR select a record and choose Information from the shortcut menu. The Information panel is opened, displaying the metadata of the selected asset. 3. Select the field you want to edit. If the selected field value is user editable, the entry field at the bottom of the panel turns active and displays the current value. 4. Enter your modifications: String fields can be edited by simply typing into the field. String list fields with predefined values offer a drop down list to select a value. 5. Click Save to confirm your edits. The changed value is displayed in the respective field, and the appropriate record in the Cumulus catalog is updated immediately

28 CUMULUS INDESIGN CLIENT THE HOW-TO SECTION If you leave the entry field without saving your changes first, Cumulus asks you to either save or discard your changes. NOTE: Which information you see depends on - the fields contained in the catalog to which the asset belongs, and - the Record View Set that is currently active. You can change the Record View Set via the panel menu of the Information panel. Assign Metadata from a Template A Metadata Template is a means to add new metadata values to assets, or modify existing ones, in a convenient and consistent way. You can apply metadata information from any available Metadata Template via the Records panels or the Information panel. To apply metadata information from a Metadata Template to an asset: 1. Select the respective record in the Records panel, or open its Information panel. 2. From the panel menu, choose Assign Metadata from Template, then select the desired metadata template. 3. Confirm your selection with OK. The asset s metadata is modified immediately.

29 Attach/Detach Categories CUMULUS INDESIGN CLIENT THE HOW-TO SECTION Cumulus categories can be attached to and detached from individual asset directly from within the InDesign Client. To attach or detach categories to or from an asset: 1. In the Categories panel, select the category or categories which you want to attach to (or to detach from, if they have been attached already) a selected asset. 2. In the Records panel, select the record of the respective asset and choose Attach/Detach Categories from the panel menu or the shortcut menu. A dialog is displayed which lists the selected categories. 3. Depending on what you want to achieve, click either Attach Categories or Detach Categories. The categories are attached or detached immediately. NOTE: You can only attach or detach categories if they belong to the same catalog as the selected asset, and you can only attach or detach categories from one single asset at a time.

See also Asset Action, Trigger Action. Asset A general term describing any type of digital media (including graphic, page layout, presentation, sound, and video files) that has value to its owner. Asset Action Combination of certain functions saved under a chosen name that is performed on assets in Cumulus. Asset Handling Module When cataloging and accessing assets, Cumulus uses different modules: Asset Storage, Asset Processor, Metadata and Filter modules. Asset Handling Set A setting that defines how assets are handled during the cataloging process and when accessing assets. Asset Information The information about an asset as stored in the record associated with the asset. Asset Information window A special Cumulus Desktop Client window that displays the information about a cataloged asset. This information is stored in the asset s record. (See also Record.) Cumulus also provides an Information View and an Information Pane.

32 CUMULUS 2016, CANTO GMBH. ALL RIGHTS RESERVED. CUMULUS GLOSSARY Asset Reference The mechanism by which Cumulus tracks the actual location of an asset managed in a Cumulus catalog. AXR (Asset Cross References) Automatic detection of usage and cross-references of assets within Cumulus. Cumulus is able to detect links and placed assets in compound documents such as QuarkX- Press, EPS, Adobe InDesign, and Illustrator (version 8, 9) as well as Microsoft Word and PowerPoint documents. Boolean A system of logic based on two possible values: true or false. Cumulus uses the Boolean operators "and" and "or" to combine search conditions. Cache A temporary storage area where frequently accessed data can be stored for rapid access. Catalog A special file (with the extension.ccf ) that Cumulus creates to manage cataloged assets. See also Asset and Cumulus Catalog File. Catalog file name Name of the special file for a catalog ( with the extension.ccf). The catalog name defaults to this file name (without the extension). The catalog name can be changed without changing the catalog file name. See also Cumulus Catalog File.

Catalog Administrator Cumulus user with administrator permissions for a catalog who can edit the Catalog Settings. Category Cumulus categories are used to organize records, much like folders are used to organize files in a traditional filing cabinet. But the asset can appear in any number of Cumulus categories at one time. They are similar in purpose to keywords used in other programs. See also Folder category and Related category. Category Information window A special Cumulus Desktop Client window that displays the information about categories. Category Exchange File See Cumulus Category Exchange File. Category pane Located on the left side of the Collection window. The Category pane displays category names in a hierarchical list. Multiple tabs are provided so that categories can be created and displayed in separate tabs.

For each tab different display options can be set. Central asset location A central asset location is a single storage location used to store certaindigital assets. Employing a central asset location ensures your assets remain accessible to all, and can more easily be accounted for. Client A computer user who accesses a server application (such as the Cumulus Server) across a network. Client/server architecture A software configuration in which users (also called clients) access a server application across a network. Collection Any set of records from any one catalog, including their display properties. A collection can be saved (see Cumulus Collection File) and opened again. A collection whether saved or unsaved is always connected to its catalog. In order to open a particular collection you must have access to its catalog. Collection window A Cumulus Desktop Client window featuring two panes (Category pane and Record pane) that function as the central user interface.

A menu that opens when clicking the right mouse button / Control key + mouse button. The available options are related to the selected object. Controlled vocabulary A restricted list of words or terms used for labeling, indexing or categorizing. Controlled vocabulary schemes provide a way to organize knowledge for subsequent retrieval. They mandate the use of predefined, authorized terms, in contrast to natural language vocabularies, where there is no such restriction. CSS Cascading Style Sheets. A stylesheet language used to describe the presentation of a document written in HTML or XML. A CSS file defines how elements should be rendered on screen, on paper, in speech, or on other media. Cumulus An indispensable digital asset management system for organizing and managing digital assets. See also Asset. There are different editions of Cumulus designed to meet the needs of anyone who wants to keep track of their digital media: Cumulus Workgroup and Cumulus Enterprise.

The Administrator is responsible for keeping the catalogs running smoothly for Cumulus Client users, backing up catalogs, and other tasks. Cumulus application window The main Cumulus Desktop Client window containing the menu bar, the toolbar, the statusbar, and as child window(s) the Collection window(s) with various panes. Cumulus Action See Asset Action. Cumulus Catalog File A special file(with the extension.ccf) that Cumulus creates to manage cataloged assets (digital media). Cumulus Category Exchange File A file ( with the extension.cce) that Cumulus creates when exporting category information. Cumulus Collection File A special file ( with the extension.cfe) that Cumulus creates to manage saved collections. Cumulus Portals The ideal tool to publish and market digital assets on dynamically generated Web pages to the Web.

Cumulus Server The computer where Cumulus Server software is installed and where Cumulus catalogs should reside. Cumulus Vault A Cumulus feature. A full-featured Version Control System that manages user access to asset files and provides up-to-the-minute information on each asset s version history. Cumulus Web Client Provides Cumulus catalogs online and offers read/write access for metadata edits as well as asset uploads and downloads to users with a standard Web browser. Details view Each record appears in the Record pane as a text listing that includes fields you can define (e.g., record name, file format, resolution, etc.). See also Thumbnail view. Drag and Drop A way to move user-interface objects by dragging them with the mouse and dropping them into targets.

Technology that provides unlimited possibilities to add new functionality or to integrate Cumulus into workflows. EJaPs are Java code that runs within the Cumulus application. EJSP Embedded Server Plug-In. Technology that provides possibilities to add new functionality, or to integrate Cumulus into workflows. ESPs are similar to EJaPs (Embedded Java PlugIn). Whereas EJaPs are Java code that runs within the Cumulus application, ESPs are Java code that runs at the Cumulus Server. EXIF Exchangeable Image File Format. Standard for storing interchangeable information in image files, especially those using JPEG compression. Most digital cameras now use the EXIF format. The format is part of the DCF standard created by JEIDA (Japan Electronics and Information Technology Industries Association) to encourage inter-operability between imaging devices. Cumulus can read EXIF metadata information while cataloging. You can view and edit this metadata. See also Metadata. Filters Software utilities that Cumulus uses to capture information about an asset during the cataloging process. These automatically created categories resemble the folder or directory hierarchy in which the assets reside. They are identified by a smaller folder in their icons. They are created by default but this option can be disabled. FTP File Transfer Protocol. A standard Internet protocol, which is the simplest way to exchange files between computers on the Internet. HTTP HyperText Transfer Protocol. A standard Internet protocol, which is the protocol most often used in the World Wide Web to transfer information between servers and browsers. Information window Special Cumulus Desktop Client windows that display the information about records or catagories. See also Asset Information window and Category Information window. IPTC International Press Telecommunication Council. Standard for digital text applied to an image. Applications used for professional imaging, support IPTC; e.g. the text information in Photoshop is a subset of the IPTC information. Cumulus can read IPTC metadata information while cataloging. You can view and edit this metadata and Cumulus can write your changes back to the asset. See also Metadata.

CUMULUS GLOSSARY Java Server Page Java Server Page (JSP) is a technology for controlling the content or appearance of Web pages through the use of servlets, small programs that are specified in the Web page and run on the Web server to modify the Web page before it is sent to the user who requested it. JSON JavaScript Object Notation. An open-standard format that provides a syntax for storing and exchanging data. This common data format is used for asynchronous browser/server communication. LDAP Lightweight Directory Access Protocol. Directories containing information such as names, phone numbers, and addresses are often stored on a variety of incompatible systems. LDAP provides a simple protocol that allows you to access and search these disparate directories over the Internet. Media file Any electronic or digital media file (including graphic, page layout, presentation, sound and video files). See also Asset. Menubar Appearing at the top of the Cumulus application window, the menubar houses menus that contain every program command.

It is the information stored with each asset such as file name, location, etc. Different types of assets have different metadata fields: an image file, for example, would contain information on color and resolution, while an audio file would have a field for the playback duration. Palette Mode View mode that is specially designed for using Cumulus with another application, e.g. a desktop publishing application. In palette mode the Cumulus application shrinks to a palette that can conveniently be used with another application. That way you can easily drag and drop cataloged assets into other applications. Path/Pathname A description of the location where a file is stored on a computer hard drive, server, or removable medium (such as CD-ROM, Syquest, Zip, Jaz, or MO cartridges). Preview A special program mode in which you can examine cataloged assets such as video clips, sound files, and image files. Query A combination of search conditions. Queries can be saved to disk and loaded into the Find window.

Records store valuable information about an asset, such as the file name, file location, file type, resolution, etc. Record Exchange File See Cumulus Record Exchange file. Record pane Located on the right side of the Collection window, the Record pane displays records as thumbnails or plain text. See also Record, Thumbnail view and Details view. Related category An alias of an existing category that acts as a virtual cross reference to the original category. You can use related categories to place multiple instances of the same category under various parent categories, without having to copy the entire contents of the category. By default, the names of related categories are displayed in italics with a (related) appendix. Record View Set A setting that defines how records are displayed in the different view modes Cumulus provides: Thumbnail View, Details View, Info View and Information window. Resolution The number of pixels per inch in any graphic file format. Higher-resolution files have a higher number of pixels per inch than lower-resolution files. Working with higher-

Script A list of instructions executed by a computer. Scripts are used by Cumulus to perform complex tasks automatically. Server/Client Asset Transfer A Cumulus feature (especially useful in a cross platform environment) that allows users in a network to access assets for previewing, copying and transferring via their connection to the Cumulus Server. With this feature the user is not forced to have direct access to the computer where the asset is stored. Only the computer running the Cumulus Server requires this access. Simple search A search query consisting of one search condition. Portals See Cumulus Portals. Skin A term for the particular way in which information is arranged and displayed on a computer screen. Statusbar A bar providing descriptions on category/record status.

CUMULUS GLOSSARY TAG file The Cumulus Metadata Exchange file format, which Cumulus can create when cataloging assets from a location where you are allowed to save files. The file has the same name as the asset ( with the extension.tag). TAG files can hold all information that can be viewed in the Asset Information window and more. For example, if a particular asset has been cataloged into different catalogs, this information is part of that asset s TAG file. Thumbnail A miniature display of a cataloged asset. Thumbnail view The record appears with a miniature display of the cataloged asset in the Record pane. Toolbar A standard program tool that offers buttons as shortcuts to commonly used commands. Tooltip A small floating descriptive window that appears above a toolbar button when the cursor is positioned over it. Trigger A stored procedure that is activated automatically when a specified event occurs. Cumulus Triggers can be used to perform many tasks, such as auditing catalogs,

Trigger Action The action performed when a Cumulus Trigger is activated. See also Action. URL Uniform Resource Locator. The address of a file (resource) accessible on the Internet. Workflow Administrator Cumulus user with Workflow Administrator permissions. A Workflow Administrator can create, edit and delete workflows; add them to, delete them from and update them in catalogs; and remove them from assets (files).. XMP Extensible Metadata Platform. Adobe s XMP is a labeling technology that allows you to embed metadata into the asset itself. With an XMP-enabled application (e.g. all applications of Adobe Creative Suite), information about a project can be captured during the content creation process and embedded within the file and into a content management system. Cumulus can read XMP metadata information while cataloging. You can view and edit this metadata and Cumulus can write your changes back to the asset. See also Metadata.
