Cumulus makes it easy to quickly organize, find, share, and track all of your digital files: photos, logos, presentations, videos, as well as PDF, Office, or InDesign documents anything digital, on any platform. Cumulus Portals is Cumulus easy to-use website portal, offering fast file access and secure online file distribution to anyone on the Web. Files in public catalogs can be searched, previewed, and downloaded, and with any device desktop computers, laptops, tablets, and even smart phones. Cumulus Portals

It informs you about what Cumulus Portals is, and what can you do with it, the look & feel of Cumulus Portals on different devices, and how you can achieve different tasks with Cumulus Portals. Just keep in mind that on a traditional screen you select an element by clicking, and on a touch screen by taping.

5 Some Cumulus Basics WELCOME! Catalogs Cumulus organizes its files in catalogs. Depending on administrative settings, you can access one Cumulus catalog or even several Cumulus catalogs via Portals. Categories Every Cumulus catalog is structured with categories. Each file in a catalog can belong to one or more categories. Cumulus catalogs can employ hierarchical category systems that span multiple levels. When you log in into Portals, a graphical overview of the current catalogs top-level categories is displayed. Select the catalog name or category you want to start with to switch to an overview page showing the files contained in the selected catalog or category. From that overview page you can, of course, navigate further in the categories hierarchy. The Basket Your basket is a temporary repository for files. You can add as many files as you need to the basket, from any overview or collection page, and you can remove single files or all files at once. The contents of the basket can be sorted according to various criteria such as Record Name or Creation Date, etc. Files in the basket can be downloaded and added to a collection all in one go, or individually. Because the basket is a temporary repository, its contents is cleared when you end your Portals session. Every time you log in into Portals, you start with a clean and empty basket.

6 WELCOME! Collections A collection is a persistent repository for files. Once you have created a collection, it will still be available the next time when you log in into Portals. Collections can be private, that is, only available for their creator, or shared with other Cumulus users. And there are download collections. Download collections are a means to share files from within Cumulus catalog with non-cumulus users. Whenever you create a download collection, you send a links to this collection to anybody you want to invite to make use of it. You can add as many files as you need to a collection, from any overview or collection page or from the basket. The contents of a collection can be sorted according to various criteria such as Record Name or Creation Date, etc. All files in a collections can be downloaded, added to a different collection, added to the basket, or printed, in one go. Single files in a collection can be previewed, added to the basket, added to a collection, downloaded, and removed from the collection.

7 LOOK AND FEEL Look and Feel As a state-of-the-at web application, Cumulus Portals adapts its look & feel to the size and capabilities of the device used and size of the browser window it is running in. For example, on a phone or in a narrow browser window, content is displayed in a single column view; on a tablet or in a larger browser window, the same content might be shown in two or more columns. Also the display of control elements adapts to the available space. See it in action!

10 About the Different Pages LOOK AND FEEL Top level page The top level page provides a graphical overview of the current catalog s top-level categories. Select a catalog name, or select the category you want to start with, to switch to an overview page showing the files contained in that catalog or category. Overview pages Overview pages display the files that belong to a catalog, to a selected category, to a search result, or to a collections. All overview pages follow the same pattern:

11 LOOK AND FEEL They show the respective files as thumbnails. The thumbnails can be sorted according to various criteria such as Record Name or Creation Date, etc. They have a header section providing a search field and several other options (Find out more about the The Header). They provide a filter section. If there is enough space on the device or in the browser window, the filter section is displayed as a sidebar, otherwise it can be evoked via the filter icon. Details For any file in Portals, a details page can be displayed, providing a preview image of the file and selected metadata, as defined by an administrator. Collections Overlay The collections overlay displays a list of all collections available to you. You can narrow down the number of collections by filtering them by type, and you can search for specific collections by name. Each collection in the list provides a menu icon. Selecting the icon opens a menu containing the actions available with that collection (Open, Information, Share, Add to basket, Delete). If you open a collection, its contents is displayed in a specific overview page. On top of a collection page, a row of Buttons provides all available actions (depending on your user permissions): display information about the collection download all files in the collection create a download collection from all files in the collection print collection using Cumulus Print Templates add all files in the collection to the basket,

12 LOOK AND FEEL delete the collection. On small devices / narrow browser windows, these functions are hidden behind a menu icon. Basket The basket overlay displays the contents of your basket, as well as buttons for the available actions (depending on your user permissions): download all files in the basket add all files to a collection print all files in the basket using Cumulus Print Templates remove all files from the basket On small devices / narrow browser windows, these functions are hidden behind a menu icon.

13 The Header LOOK AND FEEL The header is visible on every Portals page and always contains the same elements. However, depending on the size of your device or browser window, some of them may be hidden initially. The different headers Full-length header The full-length header contains the following elements: A logo the Cumulus logo by default, but may be adapted a company s logo by an administrator) Select this logo to switch to the Landing Page. Collections Select this button to see an overview of all collections you have access to. The number of available collections (if any) is displayed on the button. 17 How-Tos This section provides short instructions on how to achieve the main use cases with Cumulus Portals. NOTE: You may not be able to perform all tasks described in this guide. Which tasks you are actually allowed to perform depends on your user permissions which are defined by the Cumulus Administrator. NOTE: For Portals to work properly, cookies must be enabled in your browser!

18 Find Files via the Search Field The most simple way to find files in a catalog is to use the Search field in the Portals header. If you enter a search term, Portals looks for a match in selected metadata of the files and displays the matching files. By default, Portals searches metadata such as file name, document text, notes, keywords, and categories. To use the Search field to find items in the currently open catalog: 1. Enter a search term a name, a number... into the Search field and select the Find icon to start the search. How to search more precisely To search more precisely, you can enter two search terms and combine them in various ways: Two or more terms are automatically combined with AND. Entering Canto Cumulus will result in all files that contain Canto and Cumulus in the supported metadata fields. Two or more terms enclosed in double quotation marks ( ) are handled as one single search term. Entering Canto Cumulus will result in all files that contain the phrase Canto Cumulus (i.e. the words Canto and Cumulus separated by a space) in the supported metadata fields. Two or more terms separated with two pipes ( ) are combined with OR. Entering Canto Cumulus will result in all files that contain either Canto, or Cumulus, or both in the supported metadata fields.

19 Prepending a term with a minus symbol (-) searches for files that don t contain that term. Entering Cumulus -Cloud will result in all files that contain Cumulus, but do not contain Cloud in the supported metadata fields. Searching with an empty search field finds all files.

20 Use Filters On overview pages, you can use filters to narrow down the number of displayed files in order to just get what you need. You can filter by categories and by selected metadata, depending on administrative settings. Large devices/browser windows The filter bar is always visible. Selecting/deselecting a filter takes immediate effect. A bread crumb row on top of the filter bar offers an instant overview on currently active filters. Additionally, you can easily clear filters via the bread crumbs

21 See how it works Small devices/browser windows The filter bar is hidden by default and can be blended in by clicking the filter icon. Selecting / deselecting a filter takes effect only after the Apply button has been selected. With the Clear all button, all filters will be cleared immediately.

23 View Details of a File In Portals you can view the details of a file on a separate page. The details view displays a preview image together with various information on the file. Which information is actually displayed depends on administrative settings. Large devices/browser windows 1. Select the view icon on the thumbnail of the file whose details you want to see. The detail of the file opens. You can add the file to the basket or to a collection or download it directly from it s preview. If a file contains multiple pages, you can scroll page by page using the respective controls that are displayed on top of the preview image. For videos that are published to a Video Cloud, two additional controls are provided: Embed Code and Video Link. For details, see Using Videos from a Video Cloud. From the film strip to the left, you can open further files in the details view.

25 The details of the file opens. You can add the file to the basket or to a collection or download it directly from it s preview. If a file contains multiple pages, you can scroll page by page using the respective controls that are displayed on top of the preview image. For videos that are published to a Video Cloud, two additional controls are provided when you click the sandwich icon : Embed Code and Video Link. For details, see Using Videos from a Video Cloud.

26 See how it works Quick Preview (large devices/browser windows only) On large devices / browser windows, an additional quick preview is available, providing a smaller preview image and less information than the details view.

27 To use the quick preview (large devices/browser windows only!): 1. Select the thumbnail of the file you want to preview, The quick preview opens. You can add the file to the basket or to a collection or download it directly form it s quick preview. See how it works.

28 Use the Basket You can add any file to the basket, from overview pages, or from a file s preview,. You can also add all files in a collection to the basket in one go. All files in your basket can be downloaded, printed, added to a collection, or removed from the basket in one go. Furthermore, each file in the basket can be downloaded, added to a collection, or removed from the basket individually. Adding Files to the Basket You can add single files to the basket from anywhere, and you can add all files from a collection in one go. To add single files to the basket: 1. On the thumbnail of a file, select the basket icon. On small devices, select the menu icon, then select Add to basket. The file is added to the basket. To add all files from a collection to the basket: 1. On a collection page, select the basket icon on top of the page. On small devices, select the menu icon, then select the basket icon.

30 Displaying Your Basket To display your basket 1. In the header, select Basket or the basket icon. On small devices, select the menu icon, then select Show Basket. An overview page containing the files in your basket is displayed.

31 Remove Files from the Basket You can remove single files from the basket, or all files at once To remove a single file from the basket: 1. On the thumbnail of a file, select the trash can icon. On small devices, select the menu icon, then select the trash can icon. The file is removed from the basket. To remove all files from the basket in one go: 1. Select the Empty Basket button on the top of the page. On small devices, select the menu icon, then select the trash can icon. All files are removed from the basket.

32 Print Files in the Basket You can print all files in the basket using Cumulus Print Templates. As a result, a PDF file is created. To print all files in the basket: 1. Select the Print button on the top of the page. On small devices, select the menu icon, then select the printer icon. The Print window with available Print Templates is displayed 2. Select a Print Template. A preview indicates how the final page will look. 3. Select Print. A PDF is generated according to the settings in the Print Template, depicting all files in the basket.

33 Download Files from the Basket You can download single files from the basket, or all files in one go. To download a single file from the basket: 1. On the thumbnail of a file, select the download icon. On small devices, select the menu icon, then select Download. The Download window is displayed. Select an option that is applied to the file you want to download. 2. Select Download. The selected option is applied and the file is downloaded to your default download location. To download all files in the basket: 1. Select the Download button on the top of the page. On small devices, select the menu icon, then select the download icon. The Download window is displayed. Select an option that is applied to the files you want to download. 2. Select Download. The selected option is applied and the files are downloaded to your default download location.

34 Add Files from the Basket to a Collection You can add single files from the basket to a collection, or all files in the basket in one go. To add a single file to a collection: 1. On the thumbnail of a file, select the collection icon. On small devices, select the menu icon, then select the collection icon. The Add to collection window is displayed 2. Decide whether you want to create a new collection (then you must select the Type either Shared collection or Private collection and enter a name), OR add the file to an existing collection (then you must select the desired collection). 3. For a new shared collection, you must additionally define whether the collection shall be shared with all Cumulus users, or with selected users only. 4. Select Save. The file is added to the selected collection. If a new collection is created, it will be available in the collections list.

For a new shared collection, you must additionally define whether the collection shall be shared with all Cumulus users, or with selected users only. The file(s) are added to the selected collection, or a new collection is created. A new collection is added to the collection overview.

38 Displaying Available Collections To view the collections available to you: 1. Select on the Collections item in the header. On small devices, select the menu icon in the header, then select Show collections. A overview on all collections available to you is displayed. You can narrow down the number of displayed collections by type, and you can search for collections by name, Select the desired collection to open it.

40 Remove Files from a Collection You can remove single files from a collection, or you can delete the whole collection. To remove a single file from a collection: 1. On the thumbnail of a file, select the trash can icon. On small devices, select the menu icon, then select the trash can icon. The file is immediately removed from the collection. To delete a collection entirely: 1. On the top of the page, select the trash can icon. On small devices, select the menu icon, then select the trash can icon. 2. Confirm the deletion of the collection. The collection is deleted.

41 Add Files from a Collection to an other Collection You can add single files from a collection to a new or exiting collection. 1. On the thumbnail of a file, select the collection icon. On small devices, select the menu icon, then the collection icon. The Add to collection window is displayed 2. Decide whether you want to create a new collection (then you must select the Type either Shared collection or Private collection and enter a name), OR add the file to an existing collection (then you must select the appropriate collection). 3. For a new shared collection, you must additionally define whether the collection shall be shared with all Cumulus users, or with selected users only. 4. Select Save. The file is added to the selected collection. If a new collection is created, it will be available in the collections list.

42 Share a Collection via a Download Link You can share a collection to non-cumulus users via a download Link. Technically, this means the creation of a new collection of type download. 1. In the list of available collections, select the menu icon on the collection you want to share, the select Share. OR On the to of a an open collection, select the share icon. The Send Collection Link window is displayed 2. You must: enter the addresses of the designated recipients (Send To) define the permissions the recipients have on the files in the collection, by checking th appropriate options under Recipients can. 3. You can: change the Name of the collection, e.g. to something more meaningful change the default Subject text add a message Text modify the Embargo date and the Expiration Date require a Password 4. Select Send to create the new collection and send s to the recipients.

43 A new download collection is created containing the same files as the original collection. An is sent to each of the recipients you have specified, providing a link that will open the collection in Cumulus Portals. The new collection is available in the collections list.

44 Print Files in a Collection You can print all files in a collection using Cumulus Print Templates. As a result, a PDF file is created. 1. Select the printer icon on the top of the page. On small devices, select the menu icon, then select the printer icon. The Print window with available Print Templates is displayed 2. Select a Print Template. A preview indicates how the final page will look. 3. Select Print. A PDF is generated according to the settings in the Print Template, depicting all files in the collection.

45 Download Files You can download single files from overview pages and from detail pages. You can also download all files in your basket or in a collection in one go. To download single files: 1. On the thumbnail of a file, select the download icon. On small devices, select the menu icon, then select Download. 2. Select an action to be performed before the file is downloaded. 3. Select Download. The files are downloaded immediately to your default download location.

48 Using Videos from a Video Cloud Videos available in a catalog can be additionally published to a Video Cloud for better availability, worldwide distribution and public streaming. For video files that are published to a Video Cloud, two additional controls are displayed on their details pages: Embed Code and Video Link. Embed Code Copy and paste this code into a web page s source code to directly embed the video and an appropriate player into the web page. Additionally, you can choose a convenient size for the player (default: responsive, that is, the player adapts to the size and the abilities of the device and browser used by the viewer of the video). Video Link Copy and paste this link into, for example, a tweet or an , to share the video.

49 Reset Your Password Depending on administrative settings, you may be able to change your password yourself. To reset your password, 1. On the Sign In page, select the Reset password link. 2. Enter your user name and select Submit. An is sent to your address with further instructions. NOTE: Only Cumulus users with a valid address will receive an .

57 CUMULUS CUMULUS GLOSSARY Action Function or combination of certain functions. Cumulus provides different types of actions. See also Asset Action, Trigger Action. Asset A general term describing any type of digital media (including graphic, page layout, presentation, sound, and video files) that has value to its owner. Asset Action Combination of certain functions saved under a chosen name that is performed on assets in Cumulus. Asset Handling Module When cataloging and accessing assets, Cumulus uses different modules: Asset Storage, Asset Processor, Metadata and Filter modules. Asset Handling Set A setting that defines how assets are handled during the cataloging process and when accessing assets. Asset Information The information about an asset as stored in the record associated with the asset. Asset Information window A special Cumulus Desktop Client window that displays the information about a cataloged asset. This information is stored in the asset s record. (See also Record.) Cumulus also provides an Information View and an Information Pane.

58 CUMULUS CUMULUS GLOSSARY Asset Reference The mechanism by which Cumulus tracks the actual location of an asset managed in a Cumulus catalog. AXR (Asset Cross References) Automatic detection of usage and cross-references of assets within Cumulus. Cumulus is able to detect links and placed assets in compound documents such as QuarkX- Press, EPS, Adobe InDesign, and Illustrator (version 8, 9) as well as Microsoft Word and PowerPoint documents. Boolean A system of logic based on two possible values: true or false. Cumulus uses the Boolean operators "and" and "or" to combine search conditions. Cache A temporary storage area where frequently accessed data can be stored for rapid access. Catalog A special file (with the extension.ccf ) that Cumulus creates to manage cataloged assets. See also Asset and Cumulus Catalog File. Catalog file name Name of the special file for a catalog ( with the extension.ccf). The catalog name defaults to this file name (without the extension). The catalog name can be changed without changing the catalog file name. See also Cumulus Catalog File.

59 CUMULUS CUMULUS GLOSSARY Cataloging The process by which a user adds one or more assets to a catalog. Catalog Administrator Cumulus user with administrator permissions for a catalog who can edit the Catalog Settings. Category Cumulus categories are used to organize records, much like folders are used to organize files in a traditional filing cabinet. But the asset can appear in any number of Cumulus categories at one time. They are similar in purpose to keywords used in other programs. See also Folder category and Related category. Category Information window A special Cumulus Desktop Client window that displays the information about categories. Category Exchange File See Cumulus Category Exchange File. Category pane Located on the left side of the Collection window. The Category pane displays category names in a hierarchical list. Multiple tabs are provided so that categories can be created and displayed in separate tabs.

60 CUMULUS CUMULUS GLOSSARY Category View Set A setting that defines the display options for the Category Information window. For each tab different display options can be set. Central asset location A central asset location is a single storage location used to store certaindigital assets. Employing a central asset location ensures your assets remain accessible to all, and can more easily be accounted for. Client A computer user who accesses a server application (such as the Cumulus Server) across a network. Client/server architecture A software configuration in which users (also called clients) access a server application across a network. Collection Any set of records from any one catalog, including their display properties. A collection can be saved (see Cumulus Collection File) and opened again. A collection whether saved or unsaved is always connected to its catalog. In order to open a particular collection you must have access to its catalog. Collection window A Cumulus Desktop Client window featuring two panes (Category pane and Record pane) that function as the central user interface.

61 CUMULUS CUMULUS GLOSSARY Compound search A search query consisting of two or more search conditions. Context menu Also called shortcut menu. A menu that opens when clicking the right mouse button / Control key + mouse button. The available options are related to the selected object. Controlled vocabulary A restricted list of words or terms used for labeling, indexing or categorizing. Controlled vocabulary schemes provide a way to organize knowledge for subsequent retrieval. They mandate the use of predefined, authorized terms, in contrast to natural language vocabularies, where there is no such restriction. CSS Cascading Style Sheets. A stylesheet language used to describe the presentation of a document written in HTML or XML. A CSS file defines how elements should be rendered on screen, on paper, in speech, or on other media. Cumulus An indispensable digital asset management system for organizing and managing digital assets. See also Asset. There are different editions of Cumulus designed to meet the needs of anyone who wants to keep track of their digital media: Cumulus Workgroup and Cumulus Enterprise.

62 CUMULUS CUMULUS GLOSSARY Cumulus Administrator A person who configures and manages Cumulus catalogs. The Administrator is responsible for keeping the catalogs running smoothly for Cumulus Client users, backing up catalogs, and other tasks. Cumulus application window The main Cumulus Desktop Client window containing the menu bar, the toolbar, the statusbar, and as child window(s) the Collection window(s) with various panes. Cumulus Server The computer where Cumulus Server software is installed and where Cumulus catalogs should reside. Cumulus Vault A Cumulus feature. A full-featured Version Control System that manages user access to asset files and provides up-to-the-minute information on each asset s version history. Cumulus Web Client Provides Cumulus catalogs online and offers read/write access for metadata edits as well as asset uploads and downloads to users with a standard Web browser. Details view Each record appears in the Record pane as a text listing that includes fields you can define (e.g., record name, file format, resolution, etc.). See also Thumbnail view. Drag and Drop A way to move user-interface objects by dragging them with the mouse and dropping them into targets.

64 CUMULUS CUMULUS GLOSSARY EJaP Embedded Java PlugIn. Technology that provides unlimited possibilities to add new functionality or to integrate Cumulus into workflows. EJaPs are Java code that runs within the Cumulus application. EJSP Embedded Server Plug-In. Technology that provides possibilities to add new functionality, or to integrate Cumulus into workflows. ESPs are similar to EJaPs (Embedded Java PlugIn). Whereas EJaPs are Java code that runs within the Cumulus application, ESPs are Java code that runs at the Cumulus Server. EXIF Exchangeable Image File Format. Standard for storing interchangeable information in image files, especially those using JPEG compression. Most digital cameras now use the EXIF format. The format is part of the DCF standard created by JEIDA (Japan Electronics and Information Technology Industries Association) to encourage inter-operability between imaging devices. Cumulus can read EXIF metadata information while cataloging. You can view and edit this metadata. See also Metadata. Filters Software utilities that Cumulus uses to capture information about an asset during the cataloging process. 65 CUMULUS CUMULUS GLOSSARY Folder category Folder categories are automatically created by Cumulus during the cataloging process. These automatically created categories resemble the folder or directory hierarchy in which the assets reside. They are identified by a smaller folder in their icons. They are created by default but this option can be disabled. FTP File Transfer Protocol. A standard Internet protocol, which is the simplest way to exchange files between computers on the Internet. HTTP HyperText Transfer Protocol. A standard Internet protocol, which is the protocol most often used in the World Wide Web to transfer information between servers and browsers. Information window Special Cumulus Desktop Client windows that display the information about records or catagories. See also Asset Information window and Category Information window. IPTC International Press Telecommunication Council. Standard for digital text applied to an image. Applications used for professional imaging, support IPTC; e.g. the text information in Photoshop is a subset of the IPTC information. Cumulus can read IPTC metadata information while cataloging. You can view and edit this metadata and Cumulus can write your changes back to the asset. See also Metadata.

66 CUMULUS CUMULUS GLOSSARY Java Server Page Java Server Page (JSP) is a technology for controlling the content or appearance of Web pages through the use of servlets, small programs that are specified in the Web page and run on the Web server to modify the Web page before it is sent to the user who requested it. JSON JavaScript Object Notation. An open-standard format that provides a syntax for storing and exchanging data. This common data format is used for asynchronous browser/server communication. LDAP Lightweight Directory Access Protocol. Directories containing information such as names, phone numbers, and addresses are often stored on a variety of incompatible systems. LDAP provides a simple protocol that allows you to access and search these disparate directories over the Internet. Media file Any electronic or digital media file (including graphic, page layout, presentation, sound and video files). See also Asset. Menubar Appearing at the top of the Cumulus application window, the menubar houses menus that contain every program command.

67 CUMULUS CUMULUS GLOSSARY Metadata Metadata is any data that helps to describe the content or characteristics of an asset. It is the information stored with each asset such as file name, location, etc. Different types of assets have different metadata fields: an image file, for example, would contain information on color and resolution, while an audio file would have a field for the playback duration. Palette Mode View mode that is specially designed for using Cumulus with another application, e.g. a desktop publishing application. In palette mode the Cumulus application shrinks to a palette that can conveniently be used with another application. That way you can easily drag and drop cataloged assets into other applications. Path/Pathname A description of the location where a file is stored on a computer hard drive, server, or removable medium (such as CD-ROM, Syquest, Zip, Jaz, or MO cartridges). Preview A special program mode in which you can examine cataloged assets such as video clips, sound files, and image files. Query A combination of search conditions. Queries can be saved to disk and loaded into the Find window.

68 CUMULUS CUMULUS GLOSSARY Record The actual catalog entry Cumulus creates when an asset is added to a catalog. Records store valuable information about an asset, such as the file name, file location, file type, resolution, etc. Record Exchange File See Cumulus Record Exchange file. Record pane Located on the right side of the Collection window, the Record pane displays records as thumbnails or plain text. See also Record, Thumbnail view and Details view. Related category An alias of an existing category that acts as a virtual cross reference to the original category. You can use related categories to place multiple instances of the same category under various parent categories, without having to copy the entire contents of the category. By default, the names of related categories are displayed in italics with a (related) appendix. Record View Set A setting that defines how records are displayed in the different view modes Cumulus provides: Thumbnail View, Details View, Info View and Information window. Resolution The number of pixels per inch in any graphic file format. Higher-resolution files have a higher number of pixels per inch than lower-resolution files. Working with higher-

69 CUMULUS CUMULUS GLOSSARY resolution files usually requires more memory and hard disk space than working with lower-resolution files. Script A list of instructions executed by a computer. Scripts are used by Cumulus to perform complex tasks automatically. Server/Client Asset Transfer A Cumulus feature (especially useful in a cross platform environment) that allows users in a network to access assets for previewing, copying and transferring via their connection to the Cumulus Server. With this feature the user is not forced to have direct access to the computer where the asset is stored. Only the computer running the Cumulus Server requires this access. Simple search A search query consisting of one search condition. Portals See Cumulus Portals. Skin A term for the particular way in which information is arranged and displayed on a computer screen. Statusbar A bar providing descriptions on category/record status.

70 CUMULUS CUMULUS GLOSSARY TAG file The Cumulus Metadata Exchange file format, which Cumulus can create when cataloging assets from a location where you are allowed to save files. The file has the same name as the asset ( with the extension.tag). TAG files can hold all information that can be viewed in the Asset Information window and more. For example, if a particular asset has been cataloged into different catalogs, this information is part of that asset s TAG file. Thumbnail A miniature display of a cataloged asset. Thumbnail view The record appears with a miniature display of the cataloged asset in the Record pane. Toolbar A standard program tool that offers buttons as shortcuts to commonly used commands. Tooltip A small floating descriptive window that appears above a toolbar button when the cursor is positioned over it. Trigger A stored procedure that is activated automatically when a specified event occurs. Cumulus Triggers can be used to perform many tasks, such as auditing catalogs,

71 CUMULUS CUMULUS GLOSSARY records and categories. Cumulus Triggers can be set for catalogs, records and categories. Trigger Action The action performed when a Cumulus Trigger is activated. See also Action. URL Uniform Resource Locator. The address of a file (resource) accessible on the Internet. Workflow Administrator Cumulus user with Workflow Administrator permissions. A Workflow Administrator can create, edit and delete workflows; add them to, delete them from and update them in catalogs; and remove them from assets (files).. XMP Extensible Metadata Platform. Adobe s XMP is a labeling technology that allows you to embed metadata into the asset itself. With an XMP-enabled application (e.g. all applications of Adobe Creative Suite), information about a project can be captured during the content creation process and embedded within the file and into a content management system. Cumulus can read XMP metadata information while cataloging. You can view and edit this metadata and Cumulus can write your changes back to the asset. See also Metadata.
