Visual Communica-on: Presenta-ons List reasons visual aids are used. Visual Communica-on Presenta-ons Iden6fy examples of visual aids. List principles of visual communica6on design. Design common visual aids. Design posters, fliers, and exhibits. Effec-ve Instruc-on with Presenta-ons Know your audience. Engage your audience. Give your audience a take- away message and/or materials. Making a Good Presenta-on Confidence Know the content Familiarity with the presenta6on materials Flip Chart Projector Computer Demonstra6on materials Engagement techniques Ques6ons Examples Visual Aids Almost anything you can use to get your point across. Visual Aids Anything used to communicate visually. Objects Wri6ng boards (chalkboards, dry erase board, and smart boards) Computer- generated slides Your body Posters/fliers Displays 1

People are visual- minded. We retain 20% of what we hear 50% of what we see and hear Reasons for Visual Aids To seize the viewer s a[en6on and help them to focus on major points. To translate words into meaning. To get your point across. Basics in Using Visual Aids Don t let visual aid distract from presenta6on. Audience must be able to see visual aid. Don t read! Handle materials and operate equipment properly and smoothly Visual Communica-on Design Principles Good visual communica6on design should a[ract the audience. Use large, eye- catching text or images, or something unusual. Visual Aid Design Principles Simplicity Simplicity Unity Emphasis Readability Organiza6on Balance Accuracy Parallelism Clarity Use fewer elements (text, images, and illustra6ons) Do not cram your visual aid full of text or images. 2

Unity Emphasis Enhance harmony in your visual communica6on. Keep background and text the same. Use similar graphic images on all slides. Focus the audience s a[en6on on specific places on your poster, exhibit, or slide. Anima6on Color Underlining Bold type Arrows Bullets Readability Simple, short, sentences that explain concepts carefully. May want to use these strategies to enhance readability: Bullet points Underline, boldface, italics Uppercase and lowercase Typeface Appropriate le[er size Font Sizes Subheadings: 20 points absolute minimum this is 20- point Body: points, normal, bold, Times Roman & Arial this is 24- point Main -tle: points, bold, regular, Times Roman & Arial this is 32- point Point Size Guide to Font Size Looks Like This! 12 Gators 24 Gators 36 Gators 44 Gators 48 Gators 54 Gators Font Styles Easier to read sans serif Serif AaBbCcDdEeFfGgHhIiJj Example: Times New Roman Sans serif AaBbCcDdEeFfGgHhIi Example: Arial, Helve6ca 3

Rules About Font Selec-on Use a sans serif font. Use a common font to prevent cross- plajorm woes. Only two font styles on a slide. Using ALL CAPS is bad, so is underlining and italicizing. Font and Background Considera-ons Use contras-ng colors for text Dark text on light background Light text on dark background NEVER use red text on dark green or dark blue background Colors Red should be handled with care (very influen6al color) Certain color combina6ons should be avoided red/green brown/green blue/black blue/purple Color selec6on Color plays an important role. color vibration Organiza-on Logical visual pa[ern that is easy to comprehend. Usually that is top, lek- hand side to bo[om, right- hand side. Don t overdo color. Visual Aid Design Principles Accuracy Balance Balance can be formal or informal. Text should be spelled and punctuated correctly. Sentences should be gramma6cally correct. All names should be correct. 4

Parallelism Clarity Items in a group must match one another. For example, if you use a fragment for one bullet point, all others on that slide should be a fragment, not a complete sentence. Present only one main idea. Content should be clear. Effec-ve Projected Materials Minimize words, words, words. Clip art, audio, video, graphics, photos need a purpose. Otherwise, don t use them. Effec-ve Projected Materials Prepara6on Screen size Overall visual display Viewer in LAST ROW is criterion Presenta-on Do s & Don ts Computer Slides Do s & Don ts DO: Maintain good eye contact with the audience. DO: Engage your audience. DO: Provide a way for your audience to learn more (handouts, to get handouts, Web site, EDIS pubs). DON T: Read to the audience. DO: Choose your background based on the room s ligh6ng. DON T: Use tons of special effects or random transi6ons. DON T: Overdo graphics or photos on your slides. More is not always be[er. 5

Posters and Fliers Visual Communica-on Posters, fliers, and exhibits A poster is a sign placed in a public place as an adver6sement or no6ce. Fliers are small posters, usually placed on bulle6n boards and typically used as adver6sements. Same principles of good design follow here. Usually big graphic or text. Posters and Fliers Can be created with various design programs: PowerPoint Word InDesign Poster/Flier Design Determine whether the heading or image will dominate. Create the poster/flier with these three important elements: heading, image, text. Arrange these elements un6l you have the look that will best communicate your message. Freestanding structures containing many media Photos Text Illustra6ons Video Computer screens Can be large or small. Freestanding structures containing many media Photos Text Illustra6ons Video Computer screens Can be large or small. 6

Most common are tabletop. Can be constructed from various materials (foam core, cardboard). Recent addi6on is the stand- up banner. Easily pulls up; easy to set up. Difficult to revise, unless you have a new banner created. Tips for Using PowerPoint Use the Slide Master for consistency. Create your own templates. Choose the Design Template (*.potx). Nudge objects (use CTRL key). Use Autoshapes to highlight a point or related text. Typically, displays/exhibits can t do it all. Good staffing at an exhibit is essen6al, especially at loca6ons where traffic is important, such as trade shows. Tips for Using PowerPoint Create a ques-ons slide with hyperlinks to topics. Choose your background based on the room s ligh6ng. Find free photos. Ideas on How to Use PowerPoint Diagrams and charts Capturing processes, such as photosynthesis or plant propaga6on, visually Ques6on and answer or role- playing games Mul6media biographies, using pictures, and recorded audio of famous quotes Student group projects and reports 7
