1 Online Broker Recon Process The Broker submits a request to reconcile and/or update the broker information for member(s). The system details the summary report with number of records submitted, processed, failed and reason for the records erring out. The system will provide a hyperlink to the output and exception report specific to the broker in the Broker Recon SmartVUE. The Brokers and agencies are able to retrieve and download reports displaying the Recon records submitted and processed/failed. The consolidated Summary Report of all brokers/agencies who submitted and/or executed Recon process for the day. The Executed/Exception summary report will be available on Broker Portal 24 hours after Recon file is loaded into VUE. When to use this Process If you have a member, missing from your online Book of Business or FFM data is outdated and/or Broker has entered data inaccurately.

2 Molina Broker Portal 1 1. Login to your Agent Broker Portal. Recon Files 2 2a 2. Hover over Broker Recon on the top bar and select Recon Files September, 2016 Page 2

3 Download Recon Form 3 3. To download the Recon Form, click the paper icon with a green arrow pointing up. Broker Recon Form Template 3b 3a 3a. The dialog box above appears, Do you want to open or save Broker Recon Template.xlsx 3b. Click Open, the Broker Recon Template launches in Excel 3c. Click on Enable Editing September, 2016 Page 3

4 Recon Form 3d 3e EXAMPLE 3d. The Recon form opens. 3e. Please complete all fields in the document in order for the system to process the form successfully. Save Document 3f 3f. After you have entered the all the necessary information, name the document and save it to your desktop as shown above. September, 2016 Page 4

5 Submit Recon Form 4 4. To upload the recon form for processing, click the paper icon with a blue arrow pointing up. Retrieve the Recon Form The dialogue box above appears. 6. Click the browse button September, 2016 Page 5

6 Locate Recon Form 7 7. Locate the Recon form you previously saved to your desktop 7b. Return to the Broker Recon Portal to upload the Recon file to VUE Upload Recon Form 8. Click saves to upload the Recon Form. September, 2016 Page 6

7 24 Hour Alert Message 9. Once you select save the message above appears. 10. The End-user who submitted the AOR file changes, return to Broker Portal 24 Hours later. Common AOR Execution/Exception Reports Results Error Code Error Description Error Message1 Not enough information provided for this record, please fill all the mandatory fields - Error #1 Error Message2 The Broker information in the Recon file does not match our records. Please correct and submitting the file again - Error #2 The Member was never effective: this policy terminated prior to the Error Message3 effective date. If you have any questions, please contact the MP BSU - Error #3 Error Message4 The Member was entered more than once in the reconciliation file - Error #4 Error Message5 The Member didn't exist in our system- Error #5 Error Message6 You are already the Agent of Record for this Member - Error #6 Error Message7 We already have another AOR for this record, Please submit and AOR change form. Once the RECON automatic process is completed, a consolidated execution report should be available on the Broker Portal of the given Agent/Agency. The summary report shall include the following AOR updates: a. Number of records submitted, processed, erred out b. For the erred records, split between the 2 following cases: i. Broker is already the AOR on the record ii. Rest of the errors September, 2016 Page 7

8 Retrieve and Download Reports Within the Broker Portal; navigator to Broker Recon tab 2. Click on drop-down menu and select Recon Files within the Recon SmartVUE Summary Panel 3. Click on the Recon File (hyperlink) in Summary Column to launch the AOR Execution/Exception Reports Results September, 2016 Page 8

9 Recon Report Results 1. You are now able to retrieve and download reports displaying the Recon records submitted, processed, and failed. 2. This report will advise you of if you have been updated as the AOR or if there were, any issues that you may need to contact us directly for. 3. Once the RECON automatic process is completed, a consolidated execution report should be available on the Broker Portal of the given Agent/Agency. The summary report shall include the following AOR updates: a. Number of records submitted, processed, erred out b. For the erred records, split between the 2 following cases: i. Broker is already the AOR on the record ii. Rest of the errors 4. The Excel Output Execution / Exception Recon summary report (same format for both Agent and Agency) will contain the following 3 Tabs in the execution/exception reports: Execution Summary: gives an overview of the # of records that have been processed and erred out. Recon Successful: list the records for which a Broker Attribute has been created. Recon Failed: list the exceptions that have been erred out by the process. (Please refer to Common AOR Execution/Exceptions Reports Results for further error details.) September, 2016 Page 9
