2 WHAT S NEW IN SUMMARY DAT-MAIL DAT-MAIL version GET A LOAD OF THIS! We ve added additional TDM functionality to DAT-MAIL s Transportation View beyond what we announced in our May software release that provides DAT- MAIL users one-click access to LTL shipping. Now, users cannot only get quotes, they can manage their quotes from within DAT-MAIL! Click the Learn more! button for more information; CHECK IT OUT! As you may recall, in the May software release, Window Book announced that we have been working on a more streamlined, faster way to create postage statements. We call it Quick Statements. This new feature provides a much faster and simpler statement generation process that is well-suited for large or complex mailings. This typically includes commingled MLOCR Mail.dat files and large Periodical mailings. We ve made great strides in this function s progress we ve integrated the ability to print Quick 8125 s as part of Quick Statements and included the automated printing of Quick Statements (and 8125 s) in AWAM. It does work differently than our current statement generation function, so make sure to click the Learn more! link to see how it works and what it will do for you; and WOW! We ve made some critical improvements to our DIME interface involving batch content and reference assignment; as well as, single job content/reference assignment, that users won t want to miss. 5 DAT-MAIL DAT-MAIL version Get a load of this! You may recall in our May release of DAT-MAIL, we added a new button that provided DAT-MAIL users one-click access to LTL shipping through Truck Direct Mail (TDM) from DAT-MAIL s Transportation View. We also said that over the coming months, mailers of time sensitive materials would have the ability to dynamically estimate prices and transit times for LTL drop-shipping from any origin, and submit shipments directly within the DAT-MAIL application. Well, Window Book is pleased to announce that in this June release, we ve made strides down that path and added even more TDM functionality! From within the Transportation View, DAT-MAIL users can select NDC or SCF entry points for a file and actually get a quote right from TDM! Simply select all or some of the desired entry points and click the Create new TDM Quote button. Once your quote request is complete, it will display for you right in DAT-MAIL (i.e. LTL Shipping Prices screen), providing you the detail you need! But WAIT there s more! DAT-MAIL users can also get a TDM ID assigned to the issued quote to set up shipment! Just click the Create TDM Quote-ID button. Continued 5

To convert the quote into a job on the TDM site requires a Window Book/TDM account. The registration of an account occurs on the TDM site.

6 And we re still not done! Once the quote ID is create successfully, the LTL Shipping Prices screen (i.e. quote details screen) will update. At this time, the user can either Exit the screen and return to the Transportation View OR turn the quote into a shipment (i.e. Go to Quote button)! To convert the quote into a job on the TDM site requires a Window Book/TDM account. The registration of an account occurs on the TDM site. It s an easy, straight-forward process that takes no time at all. You re going to love Quick Statements! As you may recall, in the May software release, Window Book announced that we have been working on a more streamlined, faster way to create postage statements. We call it Quick Statements. This new feature provides a much faster and simpler statement generation process that is well-suited for large or complex mailings, which typically includes commingled MLOCR Mail.dat files and large Periodical mailings. Quick Statements is available to all Clients who are set up in DAT-MAIL for Release Only mode, which is controlled through the PostalOne! tab in the Setup screen (i.e. File > Program Settings > Program Setup). 7 This turns off the updating of the postage databases that are used by the reports in DAT-MAIL s Statements program. Not to worry! This kind of reporting is still available to you online in PostalWeb for those who are using it to retrieve their statements from PostalOne!. Create your own reports and download them in both PDF and Excel formats! Click the icon to see a demonstration of PostalWeb s robust reporting tool. Things to know about Quick Statements: When you release mail, you will see a Print Quick Statements checkbox. In addition, you will also have options to force new statements when Entry Point, Segment, or Container Group Description changes. These statements will exactly mirror what PostalOne! will do when it generates its statements. The statements will only include mail that is being marked ready-to-pay with that release and there could be multiple statements if there were different values in any of PostalOne! statement generation key fields; In addition, we ve integrated our Quick 8125 function, which now uses the same data source as Quick Statements. To run Quick 8125, select (i.e. check) the 8125 option. When the processing for Quick Statements completes, a Quick Statements Select Statements to Print screen will display, listing all of the generated statements. All of the statements will be selected by default (you can deselect any of the statements if preferred). Click the Print button. Continued As the processing completes for each statement, the statement will display on the screen (i.e. USPS form 3602-R). In the case of multiple statements, print or close one statement to be able to complete processing and view the next statement. Once all of the quick statements are printed/closed, the Quick 8125 statements will display (if the 8125 option was selected). 7

And if you use AWAM, you ll be pleased to know that in the next software release, this June release also supports automated printing of these quick statements in AWAM. I Our new Quick Statements function is not only faster than the old statement generation process, but is equally as automated and convenient! Even though the Print 8125 option is available in the Auto Print Settings noted above, there are some known issues with it that will be addressed in our next software release. These issues are: 1) When calling from AWAM import profiles and choosing auto statement printing with 8125, the statements print successfully to physical printer and PDF but the 8125 does not. The 8125 PDF is created but the hard copy output is not; 2) The 8125 PDF is created, but with an incorrect folder name. The location will be one level up in a folder named with a token (depending on options chosen but as an example [Job Number] ). The PDF will be in that folder with a file name whose prefix is the expected folder name followed by the rest of the expected file name; and 3) When called from an AWAM post-process profile, the statement printing process freezes, requiring the mdimpdaemon707.exe to be shut down using Task Manager on the AWAM server. There is still some work being done with Periodicals, which will not be completed until our next release. In future months, Window Book is going to be implementing this new statement generate process to replace the current one. The benefits will be much faster statement generation and printing, which can be done after the Mail.dat file for PostalOne! has been exported. This way, the statements are created in PostalOne! as quickly as possible. The statement databases will be updated as a background task so it won t tie you up. Lastly, we will be dramatically simplifying the Statement Generation screen. Data in the Mail.dat that can be changed from the Navigator screen will unable to be changed in the Statement Generation screen. Fields that are not populated on PostalOne! statements (like our comments), will also no longer be available. Window Book understands this is a significant change, so as the switchover gets closer, we will be hosting webinars to demonstrate how it works. Please keep in mind there are HUGE benefits to these changes. We re making DIME better! Today, mailers that have multiple Mail.dat files related to a job have to assign content and reference information one job at a time. In this June release of software, we ve introduced a new feature that lets mailers update multiple Mail.dat files with the same content info and will allow the reference information to either be batch updated from hand-entered data, or be automatically assigned based on other data in the Mail.dat file. This new feature is accessible via the Other Programs > DIME menus and is called Batch Assign Reference Info. Continued 9

A DIME Batch Job Reference Update screen will display. You can either enter information in the reference fields that will be updated to all of the selected jobs or choose one of the options from the pull down menus provided that will be automatically assigned instead. These options include: Historical Header Job ID (this is the job ID that will be sent to PostalOne!); Formatted Historical Header Job ID (this will assign the first 5 characters to your job number and the last 3 characters to your list ID); Mail.dat Job Number (this is the mailer s job number in each of the Mail.dat files; Continued 10

11 Mail.dat Job Name (this is the mailer s job name/description which usually has version information); DAT-MAIL Internal Job ID (this is a sequential number assigned to each mail.dat file and is used by DAT-MAIL a an internal job identifier); DIME Job Number (this is the first 5 digits of the historical header Job ID); and DIME List ID (this is the last 3 characters of the historical header Job ID). The same pull downs are also available for single job content/reference assignment. The use of this new batch assignment process will speed up the processing of jobs with multiple Mail.dat files in the current user interface and will be a major part of our new DIME user interface and the DM Scan module both of which are coming soon! 11

12 BY/FOR VALIDATE! By/For Validate! version Resolving by/for conflicts and eliminating Full Service assessments just got easier! We ve added the ability to auto-upload your Mail.dat files so you no longer have to! Auto Validation is a new function in By/For Validate! that allows mailers to set up a hot folder where By/For Validate! will automatically search for Mail.dat files to upload as long as the service is running. The Mailer controls the service (i.e. starts and stops it) within the Auto Validation tab. The utility must be launched/running for the service to run. By/For Validate! has three default folders the mailer can use with the Auto Validation function: AutoImport (where the utility searches for Mai.dat files to upload); AutoProcessed (where the utility places the Mail.dat files after they have been uploaded and processed); and AutoFailed (where the utility places files that failed to upload/process). The location and names of these folders can be changed by the mailer if desired by clicking the corresponding folder icon. By/For Validate! saves mailers time and money. It is used to check Mail.dat files after they have been created by the sorter, but before the files are uploaded to PostalOne!. 12

Cannot be QuickFixed (fuschia) Cancel/Delete (orange) Finished Successfully (blue) To assist you with understanding what each color represents, we ve included a colorization legend that provides an example of each color and it s corresponding status. To view the legend, simply click the LEGEND button located on the Submissions panel. Click the X located in the legend s top right corner to close the legend. 13

14 Avoid staging hang-ups and upload delays. With our current staging logic, if a submission fails, any submissions for the same job that occur after the failed submission will not be uploaded to PostalOne! and will be moved to a status of Pre-staging until the failed submission is fixed and uploads successfully. So what s the problem? When a server validation error occurs, but a Mail.dat file still uploads to PostalOne!, you would need to submit a cancel statement, and/or delete job request; however, our current staging logic would not let the cancel or delete request upload because MailDrop Engine sees the first submission as failed, even though the upload completed. So how do you get around this? edm10x along with MailDrop Engine has been modified to assign these two types of requests a special status of either Cancel or Delete. If a submission is flagged as a Cancel or Delete, it will bypass the normal staging logic and automatically be uploaded up to PostalOne!, even though there is a failed submission that came before it for the same job. In addition, the Submissions panel in edm10x now contains a new column titled Special Type, which easily identifies if a submission is a cancel statement or delete job request. In addition, the line items for these submission types turn orange in color. These new special status types for cancel statement and delete job requests will help avoid upload delays and the need for manual intervention in situations where a server validation occurs, but a file still uploads to PostalOne! 14

You know how, in MailDrop Engine s Advanced Settings screen, you could clean up (shrink) the WBDB database log with a simple click of a button? Well now you can do the exact same thing, but for the WBDBCLA database! Set the desired size for the log file (default is 500 MB) and click the Shrink Log button. That s it! Window Book recommends performing this action during off-peak hours to insure other Window Book applications are not busy accessing the WBDBCLA database. This same recommendation applies to the WBDB log cleanup function as well. 15

16 POSTAL PACKAGE PARTNER PPP version Out with the old While researching a Client inquiry regarding customs forms for APO/FPO/DPO shipments, it was discovered that there was an obsolete pop-up message that appeared when selecting the APO/FPO tab in PPP s Daily Shipping screen. It had to do with the old Laser Substrates pre-printed customs forms, which are no longer permitted. We removed this pop-up message (see image below) so that it no longer displays. In addition to eliminating the pop-up we also removed obsolete the Laser Substrates Customs ID Setup button from the Advanced Settings tab of the Mailer Configuration screen (i.e. File > System Setup > Mailer Configuration). 16

17 Making our PMOD interface more useful. In earlier versions of PPP; specifically, the Open & Distribute Import function (i.e. File > Open & Distribute Import), if a mailer selected Mixed Trays Box Sizes as the PMOD Tray Type, and they had EMM trays included, PPP would attempt to put too many EMM trays in a sack based on the maximum a Client would select. This was because EMM trays differ in height and in this instance, PPP was not accounting for tray height. In this June release, the calculation has been modified so that how many tray-ft going into a sack is now calculated as, a 1 foot tray counts for 1 foot, a 2 foot tray for 2 feet, and an EMM tray counts as 3.5 tray feet. In addition, we changed the Maximum Trays Per Sack field label to Maximum Tray/FT per sack to provide a more accurately description of the corresponding setting. 17
