PURPOSE The purpose of this Guide is to provide information on how to use PostalWeb. This Guide assumes the client-specific PostalWeb site has already been created and communication between it and the Automation Scheduler with MDSM plug-in has been already provisioned (established) if necessary. For instructions on how to create and configure a new, client-specific PostalWeb site, please refer to the PostalWeb Setup Guide, which is available on the Window Book web site at: Registration is required. INTRODUCTION PostalWeb is a new, web-based service from Window Book that gives mail service providers a unique view of their successful and failed PostalOne! submissions for each of their CRID-specific Locations. This information can now be automatically obtained as attachments to s with no additional software necessary. The information may also be obtained as a file transfer via each location s Automation Scheduler s MDSM plug-in, which is part of Window Book s edm10x product system, which must be used by the mailer for this delivery method. Using PostalWeb, mailers can subscribe to or sign up for the automated delivery of finalized PostalOne! postage statements containing their underlying data in PDF and/or XML file formats. 8 Getting Started subscribe to receive one or both file types; however, the use of the XML file type allows the mailer to import these statement files into accounting applications. PostalWeb mobile apps are also available. Please see the PostalWeb Apps for Mobile Phones section for more information. SYSTEM REQUIREMENTS SCREEN RESOLUTION Minimum 1280 x 800 or higher. WINDOWS REQUIREMENTS Workstation Operating Systems: Windows 7 Professional and newer; Window Book support for Windows XP and Server 2003 products ended August 1, In addition, as of March 2016, Window Book s software applications (i.e. first time installs and ongoing updates) will no longer install on systems running these products. If any of these products are detected during the installation process, the installation and/or update will terminate. Server Operating Systems: Windows Server 2008; and Windows Server Processor: 1 GHz (x86); 1.4 GHz (x64); or 2GHz (or faster) recommended. RAM: 512MB minimum; 2GB (or more) recommended. Browser: The latest versions of Internet Explorer, Firefox, Google Chrome, or any modern browser available for supported operating systems, including the latest mobile browsers. APPLE MAC REQUIREMENTS Operating System: Apple Mac OS X or above. Processor: Intel Core Duo 1.83 GHz (or faster). Browser: Latest versions of Chrome, Firefox or Safari (including the mobile browser Safari ios 8). 9 Getting Started BECOMING A POSTALWEB USER The following is a summary of the process of becoming a PostalWeb user. A detailed description of the process is located in the PostalWeb Setup Guide, specifically the New User Sign-up section. The PostalWeb Setup Guide is available on the Window Book web site at: Registration is required. To become a user of a PostalWeb site, the new user must be invited to join by an existing user of the PostalWeb site. The invitation is in the form of an sent to the new user, and contains a link. When the new user clicks the link, a browser is launched and an Invitation Account Setup web page is displayed, a partial image of which is shown below: The new user then completes the form, and in the process creates a unique User Name and Password for future access to the PostalWeb site. After the new user completes the account setup and agrees to the terms, the mailer s PostalWeb login page is displayed. Upon logging in for the first time using the credentials created earlier, the new user is prompted to complete their Member Profile. Upon completion of the Member Profile, the new user is able to use the PostalWeb site Window Book, Inc. All Rights Reserved. Page 9 of 163

11 LOGGING IN AND CREDENTIALS Logging In And Credentials ACCESSING POSTALWEB To access their company-specific PostalWeb site, an employee must have the following information: Company-specific URL; and Login credentials (i.e. User Name and Password). This information is obtained when an employee is invited to participate in PostalWeb and they successfully complete the Invitation Account Setup. The company-specific URL refers to the PostalWeb site with the company name as a sub-domain (a prefix to the postalweb.net address). For example, if the company the user is associated with is named PW Example, Inc., the company-specific URL for PostalWeb might be pwexample.postalweb.net. To log in to the PostalWeb site, do the following: 1. Open a web browser and navigate to the company-specific PostalWeb.net website: 2016 Window Book, Inc. All Rights Reserved. Page 11 of 163

12 Logging In And Credentials 2. When the Login Information screen is displayed, enter the user name. The user name is not case sensitive: 3. Enter the password. The password is case sensitive; 4. Select (click) the Remember Me? checkbox to be able to be logged back in to the PostalWeb site automatically without having to re-enter the login credentials if the browser is closed after logging in: Page 12 of Window Book, Inc. 13 Logging In And Credentials After selecting the Remember Me? checkbox, a warning will appear: The Remember Me? selection will cause the login information to be stored on the computer used to log in from and should not be selected if on a shared or public computer. The Remember Me? selection will only function properly if the browser is set to accept cookies. Users should defer to their own company s policies regarding security and browser settings. 14 Logging In And Credentials If the credentials used to log in are accepted, the My Dashboard screen is displayed, or the screen designated as the Start Page ( see Special Features, specifically Setting The Start Page Via The Star Icon), and the user may start using their company s PostalWeb site: Page 14 of Window Book, Inc. 15 Logging In And Credentials If after clicking the Log In button, an error message appears to the effect that The user name or password provided is incorrect, carefully re-type the user name and password and click the Log In button again. If the error message repeats, use the Forgot your Password? and/or the Forgot your User Name? links: Seven consecutive failed logins due to an incorrect password (but using a correct user name) will cause the account associated with the user name to become locked for 30 minutes. After at least 30 minutes have passed, attempt the login again: 2016 Window Book, Inc. All Rights Reserved. Page 15 of 163

16 Logging In And Credentials If after clicking the Log In button, a page displays to the effect that the user s access has been denied, the user has likely been de-activated. In this case, the user must contact a PostalWeb user assigned an administrator role to have the account activated: If other errors persist or the log in process appears to stall, see Appendix 2 Troubleshooting Login Problems. 17 Logging In And Credentials RESETTING A PASSWORD The user must already have an existing account with the PostalWeb site to use this process. If a user is unable to recall their password, they can reset their existing password by clicking the link provided on the Login Information page Forgot your Password? : Clicking this link will start a process to reset the existing password. Upon successful completion of the process, the user s present password will be deleted and a new password will be assigned to the user by the website. The newly created password will be sent in an to the address listed in the user s Member Profile Window Book, Inc. All Rights Reserved. Page 17 of 163

18 Logging In And Credentials After the user clicks the Forgot your Password link, a new page will display, and the process of resetting the password will begin: 1. Enter User Name or ( ). To verify the identity of the person attempting to reset their password, the user must first enter either their User Name, which is not case sensitive, or their address. If entering an address, it must be the same address listed in the Member Profile for the account; 2. Complete the I m not a robot widget by clicking in the white square ( ) and selecting the required pictures or entering the required text. The I m not a robot has been successfully completed when a green check mark appears in place of the box: If the I m not a robot does not appear in the browser, consult Appendix 3, I m not a robot WIDGET DOES NOT APPEAR IN BROWSER. 3. After entering the user information, click the Next button; If there is no account on file with the entered User Name or address, an error will be displayed and the user will have to restart the process. 19 Logging In And Credentials 4. Enter the answer to the security question. The user must enter the answer to the Security Question, which is provided as a prompt on the screen. The answer entered here must be the same answer entered to the Security Question when completing the Invitation Account Setup form when initially signing up to access the PostalWeb system. The answer is not case sensitive: 5. Click the Reset Password button. The password will be reset to a new password, and an containing the new password will be sent to the address listed in the Member Profile; If the answer entered is incorrect an error will be displayed and the user will have to start the process over. 6. After receiving the and retrieving the newly created password, it can be used immediately to access the PostalWeb site. 20 Logging In And Credentials RETRIEVING A USER NAME The user must already have an existing account with the PostalWeb site to use this process. If a user is unable to recall their User Name they can click the link provided on the login page Forgot your User Name? : Clicking this link will start a process to send an message containing the user s existing User Name. The existing User Name will not be changed. Upon clicking the Forgot User name? link the Retrieve User Name page is displayed: 1. Enter the Address ( ). 23 PostalWeb Site General Overview POSTALWEB SITE GENERAL OVERVIEW LAYOUT FUNDAMENTALS The PostalWeb pages are organized into three main regions: Top Menu: The top menu shows the main categories available. Depending on the role assigned to the user, not all of the categories shown in the example will be visible; Side Menu (shown below in the expanded state): The side menu is typically a sub-menu of the main category selected. In its collapsed state, the side menu uses a menu icon To expand the side menu, click the menu icon : to denote its presence. 24 PostalWeb Site General Overview SPECIAL FEATURES Note the Star icon ( ), the Information icon ( ), the Getting Started help Icon ( ), and the basic help icon ( ) as shown below: Setting the Start Page Via the Star Icon The star icon is used to set the Start Page, i.e. the first page displayed immediately upon logging into the PostalWeb site: The default Start Page is the My Dashboard category with My Dashboard screen displayed. The star icon will show as solid black ( otherwise the star icon will be displayed as a blue outline ( ). To set the Start Page : ) when the currently displayed page is the Start Page ; 1. Navigate to the web page that is desired to be displayed first when logging in to the PostalWeb site; 2. 25 PostalWeb Site General Overview 3. If the star icon is displayed as a blue outline ( ), then click the Star icon to set the Start Page ; 4. The star will change from a blue outline to solid black; 5. A confirmation message will appear: The new setting may not become effective immediately depending on the web browser being used; it will be effective the next time the user logs in. Information Icon The Information icon on the upper right side of the screen, when clicked, displays a list of the three most recent Notifications in the upper right corner of the web page. 27 PostalWeb Site General Overview Clicking this icon will immediately display the Getting Started with PostalWeb page: The page previously displayed may be returned to by clicking the back button on the browser. The Getting Started with PostalWeb page contains colored areas (referred to in the Guide as tiles ) that, when clicked on, link to important Postalweb features, PostalWeb site tours, and a link to the online PostalWeb User Guide. Statement Batch Import: While this is currently displayed on the Getting Started with PostalWeb page, this feature has been removed and as a result clicking this tile has no effect; Get your API Keys: Immediately displays the Manage API Credentials page; Invite Additional Users: Immediately displays the Invite Users page (Administrator and Location Manager roles only); Additional Services: Immediately displays the Services page (Administrator role only); PostalWeb Tours: Immediately displays the PostalWeb Application Tours page, which contains tiles that, when clicked on, starts a tour of selected areas of the PostalWeb site: o o Navigation Tour: Introduces the basic elements of PostalWeb that are available on all pages; Dashboard Tour: Introduces the summary dashboard; 2016 Window Book, Inc. 33 PostalWeb Site General Overview ROLES All users of a PostalWeb site are assigned a role. A role can be thought of as a permissions level. When a person is invited to become a PostalWeb user (see Becoming a PostalWeb User), they are assigned a role by the site Administrator or Location Manager at the time the invitation is made. Their role can be changed at a later date by the appropriate personnel. The following is a list of the available roles and an explanation of each role: Administrator or Company Administrator has full access to the entire site and should be assigned with great care. Administrators can assign any role; IT Personnel has minimal access, similar to a user, but is intended for the purpose of targeting system messages such as critical updates to client software, for example; Location Manager or Company Location Manager has less access than an Administrator but has wide overall rights and is the only role besides an Administrator that can invite new users. Generally has control over all Locations and Location Users. Can only assign roles of Location Manager and Location User ; Location User or Company Location User has minimal access and is generally under the control of the Location Manager (and Administrator as well). Can access data from multiple locations as assigned by the Location Manager or site Administrator; Company CSR is a role designed specifically for a Customer Service Representative of the mailer. Intended to give the mailer control over releasing statements to mail owners. User or Company User typically only receives automated communications such as ed statements and confirmation pages but does not normally access PostalWeb s EDocs dashboards. The term user is used throughout this document as a general name for any member of a PostalWeb site, not as the specific role level of User or Company User. 35 POSTALWEB SITE MAP INTRODUCTION This section on PostalWeb organization is structured to be essentially a site map of the PostalWeb site to aid the user in navigation. Not all roles have the required permissions to view all categories and sub-categories. As an example, a PostalWeb user with the role of Location User is not able to view either the Company main category nor the Location main category, even though those categories are shown in this Guide. These limitations will be noted in each section. The PostalWeb site described here is that part of the site that is exposed after an existing user has properly logged in. For instructions referring to the registration of a new PostalWeb site, sign-up of a new user, or setup and configuration of a PostalWeb site, please refer to the PostalWeb Setup Guide, which is available on the Window Book web site at: Registration is required Window Book, Inc. 38 Click the Show button to reveal the filters: Start Date: The date shown is the LAST date of the jobs to be displayed (inclusive). Only jobs with dates previous to the date shown will be displayed. Jobs with dates after the date displayed will NOT be shown; Location*: Used to filter by a single location or all locations if desired. Any time the Start Date or Location settings are changed, the Refresh button must be clicked to update the displayed data. The Refresh button will turn blue in color when the displayed data is stale and the Refresh button needs to be clicked. The Reset button will reset the filter settings to their default settings. The jobs that are compiled for the Statistics display can be selectively filtered by date and location. 89 Invite Users Role Access: Administrator Inviting users is the first step in bringing new users on-board to use PostalWeb. The invitation is in the form of an to the prospective user. The contains a link which the prospective user must click on. Doing so will open a new web page that includes an application the new user must complete before being allowed to log in to the PostalWeb site. At the same time an will be sent to the person making the invitation to advise that the invitation has been accepted by the invitee. The person initiating the invitation must know the new user s address. To display the Invite Users screen select the Invite Users option on the side menu: To invite a new user, enter the following: First Name*: The first name of the individual being invited; *: The address of the user being invited. This is where the invitation will be sent; Role: Select the desired role from the pull down list. When the invitation is sent, the invitation is also added to the list of invitations in PostalWeb that are waiting to be replied to. Each line item shows: Invitee: The first name of the invitee; Role: The Role assigned at the time the invitation was made; The address the invitation was sent to; Added: The date the invitation was sent. Once the association is made, subscription services related to CSRs and their associated mail owners can be utilized. Unassigning Mail Owners Individually 1. Navigate to the Manage CSRs screen and click on the CSR s line item tile: 2. 105 When the trashcan icon ( ) is clicked, the icon is replaced with an undo icon, the mail owner s name is shown with strike-through, and a 3 second countdown timer starts, with the timer value displayed on the colored stripe: While the countdown timer is in progress, the undo icon may be clicked at any time to stop the process from completing. After the countdown timer goes to zero, the mail owner s name is removed from the list of mail owners associated with the CSR. The mail owner is only removed as an association to the CSR. Unassigning a mail owner here will not delete it from the main list of mail owners. The mail owner can be added (assigned) again to the CSR at any time after being removed. Clicking the cancel icon ( ) while the timer is counting down will not stop the removal process. The undo icon ( ) must be clicked to stop the process of unassigning the mail owner. 108 Delete button: Clicking the Delete button will cause the location to be deleted in its entirety. Therefore, each Location must be provisioned in its own unique installation of edm10x and the Automation Scheduler with MDSM plug-in to have data pertaining to that Location available on the mailer s PostalWeb site. 121 Mail Owners Role Access: Administrator The Mail Owners screen displays a list of the mail service provider s clients. It is displayed by selecting the Mail Owners menu option from the Company s side menu. This list of the mail service provider s clients auto-populates based on activity from PostalOne!: Each mail owner line item tile shows the following: Mail Owner: The name of the mail owner as it appears on postage statements; CRIDs/Locations: The CRIDs and locations associated with the mail owner from past postage statements; Exempt From CSR Release: The mailer can exempt a mail owner from the default CSR postage statement release process, so that the mail owner may receive postage statements directly from PostalWeb without the mailer s intervention. If set to OFF, the mail owner is not exempt from the CSR process. In this case, the only method by which the mail owner is able to receive postage statements via PostalWeb is through the mailer s CSR release process. OFF is the default setting. If set to ON, the mail owner is exempt from the mailer s CSR release process. In this case the mail owner is able to receive postage statements via PostalWeb without any intervention by the mailer, bypassing the mailer s CSR release process. 122 In addition to listing the mailer service provider s clients, the Administrator can perform a search for a specific mail owner or client by the following method: 1. Click the Show button to display the search fields: 2. Enter search criteria in either one of the fields: Mail Owner Name: The name of the mail owner. This entry does not have to be the complete name; only the first letter or letters need be entered; CRID: The CRID of the mail owner. This entry does not have to be the complete CRID number; only the first digits need be entered. Only one field may be used at a time to search for a client. 3. After the search text is entered for either field, the Refresh button must be clicked. The matching clients, if any, are displayed as a result. If there were no clients on file that matched the search text entered, the screen will be blank; there will not be any line items displayed. The Refresh button will turn blue in color when the displayed data is stale and the Refresh button needs to be clicked. Click the Reset button to clear the search fields. 129 Invite Users Role Access: Location Manager The Invite Users section of the Location category is only accessible from this area for the Location Manager. The same functionality is available to the site Administrator(s), but from a different area of the PostalWeb site, at the Invite Users side menu option within the Company category. Inviting users is the first step in bringing new users on-board to use PostalWeb. The invitation is in the form of an to the prospective new user. The contains a link, which the prospective new user must click on. Doing so will open a new web page that includes an application the new user must complete before being allowed to log into the PostalWeb site. At the same time an will be sent to the person making the invitation to advise that the invitation has been accepted by the invitee. The person initiating the invitation must know the new user s address.
