2 1. LIBRARY ACCOUNTS 1.1 Who can get a Public Account? Public Accounts for people who are NOT LSE users or members, meaning that they don't have a LSE network account already. Having an account issued, they would then use it to access systems maintained by the library, as visitors or borrowers. This means that both borrowers and visitors can have a public account, and this account is issued by Library staff members. 1.2 Who can create and close library accounts? To access this application, you will need the role LIBRARY STAFF on LSE For You. A Library Staff Member with this role is able to create and close LSE Public Accounts for library visitors General view of LSE For You With the Library Staff Role, the options available at your LSE For You account are the following: Admin Close LSE Public Account close LSE Public Accounts Invite to Create Library Visitor (Borrower) Account create LSE Public Accounts 2 3 2

Invite to Create Library Visitor (Borrower) Account 2.1 How to invite a borrower to open an LSE Public Account This option will allow library staff members to send invitations to create LSE Public Accounts to new library visitors borrowers. Because LSE Public Accounts are meant for members of the public, any non-lse member that wishes to access LSE services, such as the library, needs to be invited to open a public account. To send an invitation, the library staff member will need to have either a player reference (Playref) generated for a new visitor (borrower) in a separate system at the Library, or the address of the borrower. Without a playref or an address, it is not possible to send an invitation to open a new LSE Public Account Searching existing account/querying The first step is to search if there is already an account for that user. Insert the playref or of the borrower to verify whether there is an account associated with that playref or By To verify an existing account using this option, please insert the borrower s and click Query. This will enable search on all existing users with LSE Public Accounts. 3

4 You will have one in three possible results: A) Account is found with association (playref) This page shows that there is already an LSE Public Account and associated with library membership. This is a ready-only screen. B) Account is found without association/membership This page shows that there is already an LSE Public Account, which has not been associated with library access. You have the option to associate the account with the library membership. 3.3 C) No account is found and send invite 3.4 This page shows that there isn t an account or invitation associated to the borrower s . Without an LSE Public Account, the user cannot access the Library services. You have the option to send an invite to create a new LSE Public Account. 4

5 2.2.2 By playref To verify an existing account using this option, please insert the borrower s generated playref and click Query. This will enable search on all existing users with LSE Public Accounts. You will have either one of two results: D) Account is found with association (playref) Similar to the result A) searching by (in 3.2.1), this page shows that there is already an LSE Public Account and associated with library membership. This is a ready-only screen. E) No account is found 2.3 Associating membership There are two ways of associating LSE Public Accounts with library membership: by and by playref. This is only possible if you search a playref or , an account is found and there is a form available to associate the existing account (see 3.2.1, B)). Similar to the result C) searching by (in 3.2.1), this page shows that there isn t an account or invitation associated with this playref. However, you don t have the option to send an invite to create a new LSE Public Account because you need a username, which is usually the borrower s address

6 2.4 Sending invitation There are two ways of inviting borrowers to open LSE Public Accounts: by and by playref. This is only possible if you search a playref or , no account is found and there is a form available to send an invite (see 3.2.1, C)). 3.4 To send an invite, please confirm the /playref that you wish to send the invite to and click Invite. The user will receive an with an invitation to create an LSE Public Account. The invitation will expire within two weeks. Some notes: (1) Please remember that if the borrower has an existing account, they cannot be invited for a new account. (2) Do not invite s containing the LSE Domain since this application concerns LSE Public Accounts and not LSE Network Accounts. (3) Also note that even if the LSE Public Account is created with the purpose of giving access of Library services to a borrower, the account management is still made within LSE For You, where the account holder can change their password and update their security settings. 6

7 3. Admin Close LSE Public Account 3.1 Closing an LSE Public Account This screen will allow you to administratively close an LSE Public Account. Use this functionality with caution and only if the user has been previously inform of this procedure. This can be used in situations where an account holder has forgotten their password and the answers to the reset forgotten password security challenges they set but wants to access services. The only way around this is to close the existing account and invite them to open a new one. 2.1 Insert the LSE Public Account username and then click Submit. This username is usually an address. Then an will be sent to that address advising the user that their account has been closed. Write the user s LSE Public Account username and click Submit. You will be prompted with a message informing you that the account has been closed. 7

8 Warnings: (1) Please note that, once closed, the account cannot be reopened. Because the account and the associated user profile are permanently deleted, the user cannot use that account any more to access any systems/services. A new account will have to be created for the user. (2) Also note that sometimes the user, by agreeing to close their account, might not be aware of the consequences of this, such as permanently losing the access to other services, such as access and request of transcripts.
