2 User set-up and general notes before you begin 1.a. Set-up Before logging in to ADAMS, there are a few things you need to check: Check which browser version you are using. ADAMS will work with Microsoft Internet Explorer Version 5.5 or higher; Netscape Version 6.0 or higher; AOL V 7.0; or Firefox. To verify which version you are running, click on Help /About from the browser s main menu. If you have a version earlier than these, an upgrade can be downloaded for free from the following websites: Verify if you have a popup blocker, if so you must disable it. 1.b. Log-in When logging in to ADAMS, always include the S in the https part of the site address, as without it you will be unable to access the site. The ADAMS URL is: You will be greeted with the following log-in screen: Enter your Username and Password and click on the log in button to enter the site. When using ADAMS record for the first time each athlete has to sign/accept a declaration of use:

3 - 3 - When you log in for the first time you will immediately be asked to change your password. Your new password should be at least 8 characters (figures and/or letters) in length. After confirming your password you will once again be greeted by the log-in screen. Log in again with your user name and your new, self-chosen password. You are the only who knows this password so make sure you remember it! Your team leader may already have logged in a first time and chosen a new password so get in touch with him/her for agreements about ADAMS!

4 - 4 - You may change the language by clicking on your name in the top-right hand corner of the screen (next to LogOut). 1.c. Forgotten user name /password If you forget your user name and/or password send an message to elitesporter@vlaanderen.be (do not click forgot your password?/paswoord vergeten?, as the message sent will not reach the right Flemish administrator), or telephone 02/ (during working hours ). Locked out of the user system If you enter your username and password incorrectly three times the system will lock you out for 60 minutes. For security reasons, you will not see any indication that your account has been locked out. If you need to log in before this time has passed then contact the ADAMS administrator. 5 - 5 - Unique user name and password If you try to log in when you are already logged in you will see the following message: If you click yes the other user session will be terminated. This may occur after you have terminated an ADAMS session without properly logging out. For example, if your computer crashes. PROBLEMS/QUESTIONS ELITESPORTER@VLAANDEREN.BE 02/ (OFFICE HOURS) 1.d. Basics The following information is important when using ADAMS: The system is configured to TIME OUT automatically after 30 minutes of inactivity, whereupon you have to log in once more. The Back button of your browser (the button used to return to a previous webpage) is not supported by ADAMS. You can only navigate through the ADAMS menu. To return to the ADAMS Homepage click on the ADAMS logo in the top left-hand corner of the screen. When you wish to exit the program, click on LogOut on the top right-hand side so the system can close safely. Lastly, check that your screen resolution is set to 1024x768 pixels for optimum performance. This can be set in Display Properties within the control panel in a Windows operating environment (use mouse to right-click on the desktop properties then tab set-up ).

6 Completing profile Clear agreements have to be reached within the team about what information (competitions, training, ) the team leader enters, and what you as an athlete have to enter in your individual account (postal address, Daily residence, )! Agreements have to be reached about the team leader's access to your individual account! You as a top athlete are the person with the ultimate responsibility for your individual ADAMS account and the whereabouts entered! The first thing to do is to complete your profile (address and contact details ). Your team leader may do this for you if necessary. After you log in the main screen will appear: click on your name in the left-hand menu or on "my profile. Use the following screen to check and edit your profile:

7 - 7 - Click on edit, then on the plus sign to add and enter an address: Here you may enter one or more addresses and contact details, click on save to save:

8 - 8 - You should also specify an address to facilitate communications between the ADAMS administrator / government administration (in the event of problems, to forward information rapidly, for ADAMS-related mailshots, etc.). When all the information is entered you need to click on save on the top or bottom-right hand side of the screen!!! It is important to keep the address and contact details up-to-date!!! In its official correspondence with athletes, the administration uses registered letters hence the right address is very important! An address is important to facilitate day-to-day communications with the athlete.

9 Working with whereabouts location descriptors Athletes who use ADAMS have to create and confirm a whereabouts so antidoping organisations can consult at any time the information they need about the present and future whereabouts and activities of the athlete. The whereabouts may be entered and confirmed by the athlete personally or by his/her legal representative. Agreements have to be reached within your team about what information (competitions, training, ) the team leader enters, and what you yourself as an athlete still need to provide. You as an athlete are the person with the ultimate responsibility for your individual ADAMS account and the whereabouts entered! Consult your team leader for further details. The rules were changed on 1 January 2009 ADAMS so from now on. Location descriptors are submitted every quarter compared to every month before. Top athletes are expected to set aside one hour on every day of a quarter when they are available for an out-of-competition check for doping. This one hour testing slot has to be between 6 in the morning and 11 in the evening. The screen below can be used to submit whereabouts, create new location descriptors, check your calendar and consult the history of the information submitted. Click on whereabouts on the left-hand side, and then on the applicable quarter to call up this screen. 3.a. Required location descriptors The following location descriptors are required according to the International Standard for Testing for each quarter: Postal address: the athlete's present postal address Daily residence: the place where the athlete spends the night. Training location Competition location Location descriptors are used to record the location of athlete activities that occur on an ongoing and regular basis. Creating a location descriptor saves the user having to define the new location time and time again. Location descriptors may be set as not applicable, if, for example, the athlete is not taking part in competitions during a specific quarter.

10 Top athletes are expected to set aside one hour on every day of a quarter when they are available for an out-ofcompetition check for doping. This one hour testing slot has to be between 6 in the morning and 11 in the evening. To submit a whereabouts the 4 above-mentioned location descriptors have to be created or indicated as not applicable. The one hour testing slot also has to be entered for each day of the quarter, otherwise the whereabouts cannot be submitted. Proposal/agreement: The team leader (or the athlete personally) enters a daily residence and postal address and chooses the one-hour-testing-slot. Training location and competition location then have to be set as not applicable, these are entered as group information by the team leader using the team account. Get in touch with your team leader to reach agreements about the input!!! 3.b. Creating the required location descriptors 1. Go to the Whereabouts Control Panel and click on the applicable quarter. 2. Use the Whereabouts Control Panel and click on Create for the relevant required location descriptor (postal address and daily residence).

11 Here you can specify that the location descriptors competition and training location should be selected as being not applicable (see agreement on previous page). Training and competitions are thus entered by the team leader using the team account. 3. A new screen appears: 4. In the label calendar section, fill in a relevant name (such as house, postal address). This is then shown in ADAMS. 5. Select a category (if you are heading for a destination abroad use the category Other with travel for the label, for daily residence go to the calendar to choose your hotel as the location, or possibly your home address if you were still there in the morning). 6. Fill in the required address, country and city field and any other relevant fields. 7. Click on the bottom or top right-hand side on save and go back. 8. Repeat these steps for any other required location descriptors. Other non-required location descriptors are also created according to the above procedure (physiotherapist, hotel, fitness, etc.).

12 Completing and managing the calendar As a team athlete you first of all need to enter your postal address, daily residence and one-hourtesting-slot in the calendar of your individual account. Agree with the team leader if you should do this yourself (in the final analysis the ultimate responsibility does lie with you) or if this should be the responsibility of the team leader. The team leader uses the team account to enter the training and competition information for the entire team. Click on populate calendar. Select the correct location descriptor from the drop list. Next fill in the starting and end time. NO starting and finishing time has to be provided for the location descriptors postal address and daily residence. The One hour testing slot is completed according to the same procedure:

13 select the location descriptor, check the checkbox under One hour testing slot and then fill in the starting time. This is shown in the calendar by the symbol for an exclamation mark (!). On the screen above all the remaining days of the quarter have been selected with the one hour testing slot from 7 am to 8 am at the residence. You are therefore specifying that you are home from 7 am to 8 am and are available there for an out-of-competition check for doping. Click on populate calendar and continue to be able to select new location descriptors and fill in the calendar. Once you have filled in all the location descriptors for the quarter click on Populate calendar and finish (bottom left-hand side of the screen).

14 You now return to the Whereabouts control panel. Training and competition location have been set as not applicable". You will see here the number of location descriptors filled in per quarter When you have finished making the entries you lastly have to confirm the information entered by clicking on "submit" on the top right-hand side in the quarterly overview!!! Once you have completed this, change the status from not submitted to submitted. The history of the information submitted may be consulted at the bottom of the screen. This can also be done by clicking in the relevant month in the left-hand column.

15 a. Modifying whereabouts: The whereabouts may be entered in ADAMS at any time (for changes in the future) up to the day itself. The system adds codes if changes have been made: M: MODIFIED MT: MODIFIED TODAY Deleting entered location descriptors: click on the cross (X) next to the location descriptor you wish to delete. Making changes: select the required day(s), then select the appropriate location descriptor on the bottom left-hand side and click on add to selected days. This calls up Populate Calendar, you fill in the starting and finishing time and confirm on the bottom left-hand side with Populate calendar and finish (the same procedure as shown earlier). Clicking here automatically selects all the days of the week in question. In this example we want to input for the selected days a fitness training from 10 till 12am. Select new single entry and click on add to selected days (you could also make a location descriptor for the fitness location first, so you can use it in your account easily in the future).

17 - 17 -!!! N.B.!!! After making changes to your individual account or when the team leader has entered competition and training information via the team account, these entries have to be confirmed/submitted again by clicking on the top right-hand side of the quarterly overview on "re-submit"!!! You will receive a reminder message in your account!!! Summary: hence there is always an opportunity in ADAMS to make changes to the whereabouts for changes in the future (up to the day itself: for example, at midday changes may be made for the evening). After making a change this has to be re-submitted by clicking on the resubmit button (on the top right-hand side of the Whereabouts control panel ).

18 b. Printing the calendar As soon you have entered all your whereabouts you can create a printout/overview of this. The procedure is as follows: select the monthly overview in the menu on the left and press on Whereabouts details (bottom righthand side). Select the required period and then press on view. This overview may be printed out by you.

19 c. Adding annexes/attachments: ADAMS can be used to add annexes to a specific period. The procedure is as follows: select underneath add an attachment. Next choose/select the required period (to which the annex applies), and add the file via paging (select the date via the calendar do not type in by hand!!!), and click attach and continue.

20 You can notice a paperclip symbol in the calendar on the days relating to the annex. You may consult an annex by clicking underneath on the name of the annex. Annexes may be removed by clicking on the cross (x). In the example above an annex has been added from 21 to 24 December along with the programme for a training program (paperclip symbol). You also have to adjust the Daily residence (overnight stay location) together with the one-hour-testing-slot!!! Your team leader can/will use the team account to add annexes, with, for example, the team's weekly programme, the week-long course programme, etc. These may be consulted in your personal calendar. Remember to click on resubmit in the quarterly overview if this is required by the system. Reach an agreement with your team leader to decide who enters what information!!!

21 d. Copying location descriptors In order to avoid having to re-create location descriptors that were created previously, these may be copied from one quarter to the next. The procedure is as follows: In the main screen click on My whereabouts and then on the quarter into which you wish to copy the location descriptors (in this case 2009-Q4, not submitted ). This calls up the Whereabouts control panel. Halfway down this screen on the right is the copy previous quarter s locations on which you should click. You may now check the locations whose information you wish to copy into the new quarter and then click on copy selected locations into. You may follow the same procedure for the following quarters.

22 Team activities entered by the team leader Your whereabouts in the case of competitions and training, for example, are entered by your team leader for the whole team (weekly for example) in an ADAMS team account. The team leader may also add annexes with, for example, the team's weekly programme, a training programme, etc. A clear agreement has to be reached within the team about what information (competitions, training, ) the team leader should enter and what you as an athlete still need to enter (Daily residence, one-hour-testing-slot, )! Reach an agreement with your team leader about the official having access to your individual account in order to enter information! You as a top athlete are the person with the ultimate responsibility for your individual ADAMS account and the whereabouts entered 5.a. Confirming/submitting group information in the team athlete's individual account After the team leader has entered the group information in the team account, the individual athlete has to confirm this entry in the individual account by re-submitting the individual's quarter. After logging in to your individual account you will see the following message on your home screen:

23 The monthly overview also makes it clear that entries have to be "re-submitted (the message submitted on the top right-hand side of the screen therefore refers to the previous situation prior to the entry of the new information). In the quarterly overview you have to confirm the entry by clicking on the resubmit button.

24 The reminder message disappears and the submission history is updated: 6. Declaration of use Permission to use for therapeutic purposes Starting from 1 January 2009, owing to the therapeutic requirements no permission is needed for the use of glucocorticoids administered by intra-articular, periarticular, peritendinous, epidural, intracutaneous and inhalatory routes. Top athletes have to register the use of these in ADAMS. This is done by clicking on the drop list under your name (in the left-hand column featuring new ) and then clicking on declaration of use. This calls up a new screen. The sports organisation has to be NADOF- NADO Vlaanderen. Towards this end, type in the first letter and then click on the magnifier to call up a smaller screen in which you type in NADOF and click on search. The appropriate organisation now appears in the declaration of use, and you next fill in the relevant field and click underneath on declare. It is best to fill in the declaration of use with your doctor when the medication is being provided to you or prescribed. Athletes (both top athletes and otherwise) have to report the use of these agents, as well as any medication taken or administered, to the examining doctor during the check for doping. Intramuscular and intravenous injections require permission for therapeutic purposes. Full details about this issue are available at 7. Changes to the whereabouts by SMS: ADAMS now has a SMS function. If no Internet connection is available, you can adjust the whereabouts by mobile phone or PDA (to be used only if there is no alternative!!!). What to do? - Enter your mobile phone number in ADAMS (beforehand when you still have access to the Internet) in the My profile screen under the description contact details. Do this by first clicking on the top righthand side on edit (dial +32 ), select mobile for type of telephone and check use SMS. Save everything by clicking on the bottom-right.

25 A test connection button will appear. If you click on this you will receive an SMS asking you to send a three-figure code by SMS to (N.B.: you have only 24 hours to send the message after which a new test request has to be undertaken) - As soon as the configuration with the code has been confirmed, test OK in addition to test connection will appear. (N.B.: a delay is possible!) - Via add telephone number you may enter up to 3 numbers. Each mobile phone number has to be confirmed separately. - Your mobile phone number is now linked to your ADAMS profile. - Create an SMS specifying the change and send the message to The message is automatically added as an annex to your calendar (N.B. : a delay is possible!) and is therefore visible for the inspection bodies. - The next time you log in to ADAMS with a computer you will be asked to re-submit the amended quarter, for confirmation purposes. A few comments: - The system may be used solely to report adjustments when no Internet connection is available. - An SMS may be used only to report changes in relation to quarters submitted earlier. The quarters still have to be reported by computer. - The cost per message is roughly 0.40/SMS. - The ADAMS annex features the Canadian sending time! The actual Belgian sending time is 6 hours later!!! Example: From: 32 To: Be Provider date: 13-Feb :03 Canadian time (GMT-5) -> SMS sent on 13-Feb-09 at 08:03 Belgian time (GMT+1)!!
