1 Deltasoft Student Register User Manual Aug
2 Introductions Student Register covers the following features: Admission process Family management ID Cards Certificates Promotions & Class history Leaving process Database Connectivity Server Name If SQL Server is installed on same PC then you can enter [.\SQLExpress ] If SQL Server is installed on a different PC then enter PC Network name in place of Dot. For example if Server PC Name is SERVER then[ Server\SQLServer ] Databases Enter Main and Pics database names. If Biometric device is installed for attendance then enter its database too. User login User base login system is implemented. On every record saving or modification time user information is also stored with each record. The default password for Administrator is 123. But after login it could be changed by him. 2
3 Main Interface Main Menu To open a sub menu press any section on main menu Click on submenu option to open a form or perform an action. To change user or current user password Double click on user name in status bar To create new reminder Double click on new reminder icon To open previous reminder Double click on a row in reminder list 3
4 Session 1. Press [ New ] 2. Enter Dates 3. Press [ Save ] Classes & Sections Create Classes 1- Press [New] 2- Select Category 3- Enter class name 4- Press [ Save ] Create Sections 1- Select a class 2- Press [ New] in sections toolbar 3- Enter section name 4- Press [ Ok ] Note: Minimum 1 Section is required for every class. Documents & Tasks 1- Select a class 2- Select any document 3- Press [ Add Doc ] Note: These docuemts list will be attached for every new admission automatically. 4
5 Admission Form To Create New Family 1- Press [ New ] in Family section 2- Enter data and press [ Save ] in Family toolbar To Select an Existing Family 1- Type some initial letters in father name 2- Select target family from drop down appeared list. To enter new student data 1- press [New] on student toolbar 2- Check [ ] Admission confirmed. 3- Latest GRNo will be appeared automatically. It could be change but duplication is not allowed. 4- Enter remaining data 5- Select current class 6- Press [ Save ] Search Options Picture Assingment Print Admission Form Common Mistakes A- Enter GRNO and press Enter B- Check Name Search ON and type initial letters of student name, and select target student form appeared list. 1- Right cick on picture frame 2- Select Browse 3- Select a picture 4- Press [Ok] 5- Press [ Save ] on top toolbar Press [ Print ] on top toolbar Always press TAB key after data entry of each field. It will jump on next field automatically. Student will not be saved if family data is not saved of selected. 5
6 Setting Student Fee Structure 1- Press [ Set Default Fee Structure ] to import default fee structure 2- To change fee ( click on target row and enter new fee and press [ Change ] 3- To apply % Disc on default Tuition Fee, Enter percentage and press Apply icon. 4- To Freeze Fee Strucre, Check Freeze and press [ Save ] 5- To make a student 100% FREE, Check fee account and press Delete icon. Required Documents On every new admission required documents list is imported. Just check collected documents and press [ Save ] on top toolbar. More documents or tasks could be append for a student in special cases. Left School 1- Enter date of leaving 2- Enter cause of removal 3- Press [ Left ] 4- Make sure that To Date in class history is same as Date of Leaving 6
7 Class History Features This panel shows current and all previous classes. Student availability in other modules depends on From and To Dates. It means if a student From date is 15 th Apr 2017 and you need to generate his fee challan, you must set issue date 15 th Apr 2017 or greater. To Transfer/Promote a student into another class 1- Select Session 2- Enter From and To Dates 3- Select New Class 4- Press [ Transfer ] 5- It will create a new row To Change class data 1- Double click on target row 2- Change Session, Dates or Class 3- Press [ Update ] To Remove class row 1- Select target row 2- Press [ Remove ] Note : A class will not be removed if related records are not ZERO Combining two classes related record 1- Check source class 2- Select Target Class 3- Press [ Shift Recs ] Keep In Mind If two classes From Date and To Date and conflicted with another class or by mistake an operator entered a class twice in history with same dates then it will create double fee challans, Double attendance and double obtained marks etc. So be carefull when entering more classes. 7
8 Actions at End to Each Session Deltasoft Multi Students Show students 1. Enter a date 2. Check one or more classes 3. Enter criteria (Current, Admission etc.) 4. Press [ Refresh ] To open a student admission form 1. Double click on a row To View Reports 1. Check some or all students 2. Press [ any report ] To Delete Mutliple Students 1. Check target students 2. Press [ Delete Students ] To Left Senior Most Class 1. Check target students 2. Enter Cause romoval 3. Enter Date of leaving To Promote Students into new classes 1. Click on [ Promote or Left] 2. Select Promote 3. Promote classes one by one from Senior to Junior ( eg: 9 th 10 th, 8 th 9 th, 7 th 8 th,.., Nur KG ) 4. Show student of a class and check them 5. Check target class 6. Enter date of promotion 7. Select target session 8. Press [ Promote ] 8
9 Periodic Reports 1. Select any dates 2. Click on any report 3. Reports will be created into excel format. 9
10 Happy Birthday SMS 1. Select any month 2. Press [ Show Students having Birthday in this month ] 3. Student list will be displayed 4. Check target students 5. Check contacts 6. Press [ Send SMS ] 10
11 ID Cards 1. Select Session 2. Click on a class 3. Check students 4. Press [ Generate ID Cards ] 5. To print ID card press [ Print ] Note: Student ID Card design is customizable i.e. school own design could be embed in software 11
12 Student Certificates There are three certificates : SLC / TC Reference Certificate Provisional Certificate Steps 1. Open related form 2. Search student 3. Enter remaining data 4. Press [ Save ] 5. Press [ Print ] 12
13 Things to Remember In Crystal Reports To Print Reports Click on printer icon. To Export Reports Click on envelope and select any format. To check items in lists Right click mouse to open popup menu and select required option Database connectivity If your application is closed after showing error of database connectivity then : 1- Check is SERVER PC is on. 2- Check your networking connection health. Consult with network administrator. 13
