7 Chapter 1: Introduction Introduction Introduction Chapter Overview Welcome to the Liaison Enterprise Navigation System User Guide. Liaison Enterprise Navigation System (LENS) is Liaison s cloud-based monitoring software designed to offer full visibility of application to application (A2A) and business to business (B2B) messaging within one user interface. With LENS you can view electronic business documents exchanged with trading partners via DXP. If you are a consumer of other Liaison data management services, you can also use LENS to monitor data received via those services (ADX, Liaison Exchange VAN, etc.). Chapter1: Overview provides an overview of the LENS user interface and includes instructions on how to log in to LENS for the first time. Chapter 2: Working with Transactions explains how to monitor your traffic via LENS. This chapter includes instructions on viewing and downloading transactional data, reviewing transaction audit logs, and exporting transaction grid records. Chapter 3: Searching in LENS provides instructions on the various ways to search for messages via the LENS user interface. Chapter 4: Customizing LENS provides instructions on how to customize LENS to meet your transaction viewing preferences. Instructions include configuring default views, creating layouts, configuring notifications, setting date and language preferences, and more. Chapter 5: Managing User Accounts provides instructions on how to create user profiles and manage user roles in LENS. Appendix A: Document Types provides a table that lists the document types support by DXP. The table includes X12 document type, X12 document number, EDIFACT document code, and transaction type information. 7

8 Chapter 1: Introduction Document Conventions Document Conventions This section describes the various documentation conventions that this manual uses. When appropriate, the left of this guide displays notes, references, and warnings. These notes are identified by the following icons: Designates a reference relevant to the adjacent text. The reference may refer to a procedure, text in another document, or a definition. Designates there is additional information that is relevant to the text on the right side. Designates a warning or important piece of information. This guide also utilizes text formatting to help you locate and identify information. Review the table below for more information about the text formatting this guide uses. Text Format Example Explanation Bold Bold Italics Italics Click Done. Go to the User Details section. In the AS2 Server field, type ZZ_QUAL. Liaison LENS Please review the Liaison LENS User Guide for more information. See the Introduction section on page 6. Denotes user interface elements such as a section of a screen, field, button, page, check box, or menu. Also indicates literal text that should be typed. Indicates a product name or document title. Indicates a reference to a document section, chapter, or a filename. Open the configuration.cfg file. KEY + KEY CTRL + N Indicates that both keys specified should be pressed at the same time. For example, to execute CTRL + N, you would simultaneously press the CTRL key and the letter N on the keyboard. Links You can find additional information at Indicates a hyperlink. SMALL CAPS Press ENTER. Denotes a key located on the keyboard. > From the Partners menu select Actions > Add Trading Partner. Indicates navigation to a particular menu item. 8

9 Chapter 1: Introduction About Business Activity Monitoring About Business Activity Monitoring Integrated business processes can span several systems, integration middle-wares, and companies. While each piece of the integration chain typically provides some kind of tool for activity monitoring and maintains status and audit log information, there is a general lack of end to end visibility. Typical Integration Landscape with Lack of End to End Visibility The fragmented nature of monitoring and possible gaps in responsibilities can cause severe prolonged disruptions in critical business messaging. Liaison s Business Activity Monitoring (BAM) cloud solution enables full end to end visibility, covering all relevant components of the integration chain. LENS End to End Visibility LENS provides full transparency to critical A2A and B2B messaging through a single, modern, unified user interface This is achieved by integrating different messaging components (Hubs) to LENS. 9

11 Chapter 1: Introduction LENS Overview LENS Overview With LENS you can create custom user views that provide a global perspective of your integration operations and business processes. This section provides an overview of each page within LENS. Detailed information about the options can be found in subsequent chapters. Please note that the availability of certain functions depends on the how LENS has been configured for your organization. If you would like to activate specific features, please contact your organization s system administrator for assistance. The LENS User Interface consists of the following pages: Dashboards Page (page 13) - view aggregated transaction data and metrics. The dashboard allows you to monitor the performance of your B2B processes from one location. You can also create and save dashboards from this page. Transactions Page (page 14) - view, filter, and analyze transactional data. Partners Page (page 22) - view trading partner information. Support Page (page 23) - create and monitor service requests sent to Liaison support. This page is only available to Administrative users. Each LENS page utilizes a similar page header that consists of a main menu and a submenu that is specific to the page that you are viewing. 11

12 Chapter 1: Introduction LENS Overview LENS is highly interactive and on most pages, you can click data and text to jump to a more detailed view of information. For example, when viewing a dashboard, you can click any of the areas (outlined in red below) to jump to the relevant section in UI that provides more information. 12

13 Chapter 1: Introduction LENS Overview Dashboards Page The dashboard allows you to view metrics for your business processes and monitor performance. The dashboard has numerous customizable widgets including charts, trending analyses, transaction lists, and transaction count summaries. Some of the text displayed on dashboard can be clicked, directing you to a filtered view. You can identify this text by hovering your mouse over the text. If an underline displays, you can select the text and see a filtered view. For example, in the Top 10 Senders, Last 24 hours graph below, clicking on a trading partner name displays all messages sent by the selected trading partner in the last 24 hours. LENS users can create multiple personalized dashboards and share dashboards with other users in their organization. Below is an example of a populated dashboard. For detailed instructions on working with dashboards, please review the Working with Dashboards section on page

14 Transactions Page Chapter 1: Introduction LENS Overview The Transactions page lists all of your organization s transactions. You can create filters to create a view that shows transactions relevant to your business needs. Detailed information on working with transactions can be found in Chapter 2: Working With Transactions on page 29. Instructions on how to create a filter can be found in the Configuring Filters section on page

15 Chapter 1: Introduction LENS Overview Expanding the Transaction View Clicking the down arrow located next to the right of a transaction record displays additional information about the transaction. Optionally, you can also click the set of double down arrows located in the secondary header to expand the transactions for all records. The information that displays is dependent upon the type of transaction that you are viewing. Any text displayed in blue, when clicked, will direct you to a filtered view of the transaction grid. For example, if you select an Inbound Interface type such as HTTP, the transaction grid refreshes to display all transactions with an inbound interface type of HTTP. 15

16 Chapter 1: Introduction LENS Overview Viewing Transaction Details When you click the arrival time of a message, you can view the transaction details, event log, related transactions, and associated payloads for the selected record. You can click the copy icon ( ) to copy the URL of the active transaction. Only users with the proper access rights will be able to access the transaction. 16

17 Chapter 1: Introduction LENS Overview Viewing Transaction Options When you click the gear icon, the additional transaction options display. These options allow you to view the contents of a transaction. The options that display are dependent on the type of transaction you are accessing and your access rights. For example, administrative users have a Reprocess option. Below is a sample Details screen that displays when you select the Open Package option for a Functional Acknowledgment. Keep in mind that the options displayed are specific to the type of transaction that you are reviewing. From this screen you can select any of the other options to review Event Log information, related transactions, and associated payloads. 17

21 Chapter 1: Introduction LENS Overview The Trends graph is interactive. As you hover over the graph you will see transaction counts for a time period. If you click on a transaction count, transactions received during the time period are displayed below the graph. This listing is similar to the Transaction message grid. You can click in the column headers to narrow your results, view transaction details, and many of the other functions you perform from the Transaction message grid. 21

22 Chapter 1: Introduction LENS Overview Partners Page From the Partners page you can view information about your trading partner connections and use the action menu to search for a trading partner using a Qualifier and Identifier, or export the list of partner connections to a CSV file. 22

23 Support Page Chapter 1: Introduction LENS Overview LENS is fully integrated into the Liaison Messaging Hub, giving users the ability to raise support requests directly from the LENS application without having to call or anyone. Support requests are routed directly to the Liaison Support Center and you can monitor your new and past tickets from the Support page. You can view ticket details by clicking the subject description. Support page access is limited to administrative users. 23

24 Chapter 1: Introduction Accessing LENS Accessing LENS To gain access to LENS, contact DXP Support. Once your account is activated, you will receive an with your username, password, and a link to access LENS ( User Types LENS allows you to customize the information shared within your organization through the use of Administrative users. Administrative users have the ability to create user groups and add restrictions to the functions that individual users can perform. For more information about user roles, please review Chapter 5: Managing User Accounts on page 32. Your Initial Login The first time you login to LENS, you are required to enter a new password. This is a one-time procedure that you will only need to complete again in the event of a password reset. Follow the steps below to access LENS for the first time or after a password reset. 1. Type in your browser. 2. Press ENTER. The LENS login page displays. 3. Enter the Username and Password provided by Liaison Support. Both fields are case sensitive. 24

25 Chapter 1: Introduction Accessing LENS 4. Click Login. The following screen displays. 5. Complete the User Setting section using the field descriptions below. Date format Time format Determine how dates should be displayed in LENS. You can change this from the user s Profile menu at anytime. Determine whether time should appear using a 24 hour or 12 hour clock. The timezone defaults to the timezone that is used in your web browser. Language Select whether to view LENS in English or Finnish. 6. After reviewing the terms of use, select the I have read and accepted the Terms of Use checkbox to indicate that you accept the terms provided. 7. Click the Continue button. Once the login process is complete, the LENS Dashboard page displays. 25

26 Chapter 1: Introduction Contacting Liaison Support Contacting Liaison Support Should you need additional assistance, please feel free to contact Liaison Customer Support. Support is available 24 hours a day, 7 days a week. You can contact the support team via phone at , via at support@liaison.com, or use the Support page in LENS to create a request that can be monitored via the LENS UI. Note: The Support page is available to administrative users only. Creating New Service Requests To create a service request, access the Support page and click the New Service Request link in the Support page menu. The following page displays. Use the descriptions on the page to create a service request. Once you have competed the fields, click the Create button in the upper right corner of the page. 26

27 Chapter 1: Introduction Contacting Liaison Support Reviewing Service Requests By default, the Support page lists all open support tickets; however you can use the Status and Type drop-down lists to view all, open, or closed, service requests of various types. Additionally, you can search for tickets by entering text in the Search text field. After you select your search criteria from the drop down list and enter any text in the Search field, click the Search button (located to the right) to execute the search and view the results. 27

28 Chapter 1: Introduction Next Steps Editing Support Requests You can add additional information to a ticket or republish a ticket from the ticket detail. From the Support page, locate the request you want to update and click the Subject field for that ticket. The ticket details display. Next Steps Scroll to the bottom of the page to the Additional Information section. Here you can upload additional attachments or enter additional comments. Click the Send button to upload your file. Click the Reprocess button in the upper right corner of the page to save your changes, Now that you are familiar with the LENS user interface, you are ready to begin monitoring your DXP traffic in LENS. Please review Chapter 2: Working With Transactions on page 29 for instructions. 28

30 Chapter 2: Working With Transactions Introduction Introduction This chapter provides instructions on how to use the Transactions page to monitor your DXP traffic. DXP supports XML messages and XML with embedded EDI messages called Opaque. The Transactions page has two views - Search and Trends. The Search view is where you will spend most of your time reviewing transactions. This is the default Transactions page view and it displays all of your DXP traffic for the past 365 days. The Trends view displays a graph charting your network traffic activity. Note: Any filters you apply in the Search view are automatically applied to the data displayed in the Trends view. 30

31 Chapter 2: Working With Transactions Viewing Transactions Viewing Transactions To access your messages, select the Transactions page from the LENS toolbar. A screen similar to the one below displays. The data that displays is an unfiltered view of all the transactions you are allowed you to view. The table below explains all the LENS fields that display in the transactions grid on Transactions page. Note: You can use the Level drop-down list to show interchanges, documents, or both interchanges and documents in the transaction grid. Field Name Arrival Time Sender Name Sender Org ID Receiver Name Receiver Org ID Liaison Transaction ID Sender Transaction ID Description Indicates the date and time (in Eastern Time) the transaction was received by Liaison. Name of sending company. Indicates the OrgID of the Sender. Name of receiving company. The Organization ID (OrgID), from the XML envelope, of your trading partner. Indicates the Liaison Transaction ID automatically assigned by Liaison when the transaction was processed. The transaction ID from the transaction sender. The Sender Transaction ID for XML documents is assigned by the sender. The Sender Transaction ID for EDI documents is created using data from the ISA and GS segments of the EDI document. 31

32 Chapter 2: Working With Transactions Viewing Transactions Field Name Transaction Type Transaction Status Description Identifies the Transaction Type found in the Subject field. This field displays whether the transaction is EDI X12, Order, Invoice, etc. Displays the status of a transaction via the transaction status icon. The following fields pertain to Opaque XML Messages that contain EDI Data. EDI Sender EDI Receiver EDI Type ISA CTRL Number GS CTRL Number Indicates the EDI Sender ID (ISA06 or UNB02:01). Indicates the EDI Receiver ID (ISA08 or UNB03:01). Identifies the Functional Group ID code (GS01 or UNG05). The ISA Control Number (ISA13 or UNB05). The GS Control Number (GS06 or UNG05). Contains the FA status information for the document. If an FA has been returned the value in the AK901 is used to determine the FA status. Possible values are: Waiting An FA for this document has not been received. Waiting Timed Out (late FA) FA for this document has not been received and is now considered late. Accepted FA was received and indicated a status of Accepted for the functional group. FA Status Accepted with Errors FA was received and indicated a status of Accepted, But Errors were Noted for the functional group. Partially Accepted FA was received and indicated a status of Partially Accepted, At Least One transaction was Rejected for the Functional Group. Rejected FA was received and indicated a status of rejected for the functional group. No FA Expected For this document type, the trading partner is not using a Functional Acknowledgement. FA Suppressed FA was sent, but is not available. 32

33 Chapter 2: Working With Transactions Reviewing Transaction Statuses Reviewing Transaction Statuses In LENS, you can determine the status of a transaction via the transaction status icon. The transaction status icon is located in the Transaction Status field (below the Arrival Time field) in the transaction grid. If you are utilizing a single line layout, the icon will appear next to the Arrival Time. Clicking the transaction status icon creates an instant filter that displays all transactions matching the status you clicked. For example, if you click the failed icon, the screen refreshes and displays all transactions within the filter that have failed. Icon Transaction Status Batched Delivered Delivery Disabled Delivery in progress Processing On Hold Ready for Pickup Failed Description The transaction has been added to the next outbound transmission and will be delivered at the next scheduled batch send. Some EDI transactions are transmitted to the VAN in periodic, short intervals. Document has been delivered to the receiver. The transaction has not been sent to the recipient. This may be true for EDI Functional Acknowledgements when Liaison is performing FA reconciliation. Indicates that the transaction has been successfully processed and is being delivered. DXP will try five (5) times to deliver a transaction. If the transaction is not successful on the fifth try, the status is changed to On Hold. Delivery retries occur every five minutes. The transaction is currently processing through the DXP. The transaction was received by Liaison, but has not yet been delivered. If delivery was not successful after five tries, the transaction is placed in an On Hold status. Liaison Customer Support receives alerts for any transaction that is placed On Hold. The Support team will troubleshoot the issue until successfully resolved. A transaction batch has been closed and is ready for pick up. Once the batch is sent, the status changes to Delivered. Transaction unable to be delivered or the transaction could not be processed. The failure could be based on document syntax, trading partner configuration, or communications. 33

34 Chapter 2: Working With Transactions Viewing Transaction Details Viewing Transaction Details You can view interchange and document details for a transaction by clicking the single down arrow that appears next to a transaction. The record expands to show basic transaction details. Click the arrow again to collapse the transaction details. You can view detailed information about the contents of a transaction by selecting the icon located next to a transaction record. Selecting this icon displays the Transaction Details submenu. The options that display on the submenu are dependent upon the type of transaction that you are accessing. Please note that the Reprocess option is available to Administrative users only. Selecting any of these options opens a new window that displays additional transaction details. From this screen you can view the transaction content, download the transaction content, and search the transaction content. 34

The header gives you the option to wrap the text to make it easier to read. You can also download the transaction content, or enter text in the search field to search the transaction for specific text. 35

The header gives you the option to wrap the text to make it easier to read. You can also download the transaction content, or enter text in the search field to search the transaction for specific text. 36

37 Chapter 2: Working With Transactions Viewing Transaction Details Reviewing Images If you receive an image, you can open in the same way you open other transactions. Select the Image option. You can download the image by clicking the download icon located in the upper right corner of the screen. Reviewing Packaging Details For some transactions you are able to view transaction details, an event log, as well as related transactions and payloads from one screen. Simply click on the header to view more related information. From the Payloads menu you can jump to view associated Inbound of Outbound Content. 37

38 Chapter 2: Working With Transactions Viewing Transaction Details Reviewing EDI Message Details There are two methods that you can use to view detailed information about the contents of an EDI message (e.g., delimeters, contents, etc.) from the Transactions grid - via the shortcut menu (gear icon) located to the right of a record and by clicking on the record s Arrival Time. Reviewing EDI Message Details from the Shortcut Menu If you select the icon located next to a message and then select the EDI details option. The EDI Details page displays information about the selected message. The Contents section, which displays by default, lists the raw EDI data. If needed, you can click the formatting icon to view the transaction data wrapped. 38

39 Chapter 2: Working With Transactions Viewing Transaction Details Click on the Details link to view basic information about the message, including the status of the Functional Acknowledgement and delimeter information relevant to the EDI message being viewed. Reviewing EDI Message Details from the Message Arrival Time If you click on the Arrival Time of a message record, a page displays showing various EDI details. From this page you can also view an event log, related transactions and associated payloads. In addition, administrative users have the ability to reprocess the message. You can copy the transaction URL and share the transaction with another LENS user by clicking the copy icon ( ) located in the header. Only users with the proper access rights will be able to access the transaction. 39

40 Chapter 2: Working With Transactions Viewing Transaction Details EDI Details Fields The table below describes the various fields that may display on the EDI details section when reviewing an EDI message. Field Name Interchg Ctrl No ISA Sender ISA Receiver ISA Status Group Ctrl No GS Sender GS Receiver GS DocType Description The Interchange Control Number (ISA13 or UNB05). Indicates the EDI Sender ID (ISA06 or UNB02:01). Indicates the EDI Receiver ID (ISA08 or UNB03:01). For ANSI X12 documents, this field is not used. For EDIFACT documents, indicates whether the CONTRL has been received. The Group Control Number (GS06 or UNG05). Indicates the EDI Sender ID (G302). Indicates the EDI Receiver ID (GS03). Identifies the Functional Group ID code (ST01 or UNG01) of the EDI document. Contains the FA status information for the document. Statuses include: Waiting An FA for this document has not been received. Accepted An FA was received and indicated a status of Accepted for the functional group. Accepted with Errors An FA was received and indicated a status of Accepted, But Errors were Noted for the functional group. GS Status Partially Accepted An FA was received and indicated a status of Partially Accepted, At Least One transaction was Rejected for the Functional Group. Rejected An FA was received and indicated a status of rejected for the functional group. Waiting Overdue When Liaison is performing FA Reconciliation this field indicates if an FA has not been received back in the time allotted for this trading partner. Manually Reconciled The Trading Partner has verified receipt of the data, however they are unable to send and/or re send the FA. Segment Terminator Element Separator Sub Element Separator Release Delimiter Not Enabled For this document type, the trading partner is not using the Functional Acknowledgement. Identifies the hex character (according to ASCII) of the segment terminator. Identifies the hex character (according to ASCII) of the element separator. Identifies the hex character (according to ASCII) of the sub element separator. For EDIFACT identifies the hex character (according to ASCII) of the release character. 40

41 Chapter 2: Working With Transactions Downloading Transaction Content Downloading Transaction Content You can download the contents of a transaction by accessing the transaction submenu. Click on the icon located next to a transaction record, then select the download icon next to the item you want to download. Reviewing the Transaction Event Log The transaction event log lists document processing information. It indicates when a transaction was received by Liaison, if the transaction has been mapped, whether the transaction received an error, and when the transaction was delivered to a partner. You can review the event log of a transaction by clicking on the Arrival Time of a message record. A page displays showing various EDI details. Select the Log link. The log information displays. You can also access this information by selecting the icon, then selecting one of the submenu options. To access this information, click the Log link. The log information displays. Field Name Date Level Code Description Component Auto Refresh Description Date and Time event occurred. Contains processing status information. Valid levels are: I Information. Information as to which process has run. W Warning. A system warning was generated, does not in itself prohibit the document from processing. E Error. An error was encountered at a process. The Code number for the process that ran. The text description for the process that ran. The sub system used. Turn this option on to update the log with the latest information. This feature is helpful if the message is still processing and you want to monitor updates. When active, the Auto Refresh indicator is blue. 41

42 Chapter 2: Working With Transactions Reviewing Related Transactions You can also review a visual timeline of the log by clicking the down arrow located to the right of the Timeline View header at the bottom of the log. You can return to the event log table by selecting the up arrow located next to the right of the Timeline View header, at the top of the page. Reviewing Related Transactions You can view transactions related to the specific event that you are viewing when you select the Related Transactions link. You can view the data in a table format, timeline format, or both. To access this information, click on the Arrival Time of a message record. A page displays showing various EDI details. You can export the transaction grid into a comma separated value (CSV file). You should note that the CSV file is generated based on the active filter. Be sure to adjust the transactions grid so that it is displaying that data that you want to review. 1. From the Transactions page, access the Actions drop-down list. 2. Select the Export to CSV file option. The Export to CSV File Screen displays. 43

44 Chapter 2: Working With Transactions Next Steps 3. Complete the fields at the top of the screen using the field descriptions below. Filename Delimiter Row count Enter a name for the CSV file. By default, this field is pre-filled with the filename transactions.csv. You can leave the default value (a comma) or choose your own delimeter. By default, this is set at 100. Enter the maximum number of rows that should appear in the spreadsheet. If your search results return more than the specified number or records, your results will be truncated. 4. Select the check box next to the fields that you want to appear in the CSV file. When you have finished selecting the fields for your CSV file, click the Save button at the bottom of the screen. The file is generated. Note: The Arrival Time automatically appears in the file. 46 Chapter 3: Searching in LENS Introduction Introduction LENS has multiple search methods that allow you to search for transactions: Using the LENS Search Field Search Field - The LENS search field (located in the blue menu bar on top of each LENS page) allows you to search for specific text/values such as document number, organization ID, or even a supplier name. Filtering Pane - The Filtering pane (located on the Transactions page) allows you to utilize various search criteria to find specific data. You can save your filters so that you can create a custom view that only displays data relevant to you. Column Filtering - on the Transactions page you can enter search criteria directly into a column header. The LENS search field is located in the blue menu bar that displays on top of every screen in LENS. In the Search field, enter the text you want to find. You can enter entire words, number combinations, or just a portion of the text/value for which you are searching. The field also supports the use of qualifiers, wildcards (cannot be used as a leading character), and boolean operators. The field is not case sensitive. Once you have finished entering your search criteria, press the ENTER key or click the magnifying glass icon. When the search is complete, the transaction grid displays all the transactions that meet the criteria specified. If you want, you can save the filtered view so that you can perform the same search later. To do this, click the Filters dropdown list and select the Save current filter option. For example, if you want to search for a specific Liaison Transaction ID, enter the ID (or a portion of the ID), then press the ENTER key or click the magnifying glass icon. The Transactions page displays all relevant transactions. You can further narrow your search using the options displayed in the Filtering pane. For more information about the filtering feature, review the Using the Filtering Pane section on page

48 Chapter 3: Searching in LENS Using the Filtering Pane Using the Filtering Pane The filtering pane allows you to search for messages using the various filters provided in the left pane. Essentially, the filters allow you tailor your transaction grid view by drilling down to the most detailed elements of a transaction record. Once you have the information that you want to view, you can save the filter and share it with others or simply store it on your dashboard so that you can quickly access the view whenever you choose. 48

49 Chapter 3: Searching in LENS Using the Filtering Pane General Filtering Options Filters can be used to apply as a default view for the transaction grid. They can also be used for dashboard widgets, allowing business process owners to gain a high level view of messages as well as share this information across a group of users who need to access the same information. Clicking the down arrow located next to a filter header allows you to view the options available for that particular search. For example, if you click the plus sign located on the EDI Type header, a screen similar to the one on the right displays. The filter automatically lists the top 5 EDI types that appear in your transaction data. Next to the EDI Type is the number of messages that correspond to the EDI type. In the screen above, there are 68,200 invoices in the transaction view. If you click on the text INVOIC (or the transaction number) the transaction grid updates to only display Invoice EDI transactions and EDI Type is added as an active filter. If you select one of the links in the EDI Type box, you will notice that the EDI Type box moves. It now appears at the top of the filter pane as an Active Filter. 49

50 Chapter 3: Searching in LENS Using the Filtering Pane You can add additional EDI Types to the filter by clicking the Select more link. A screen appears displaying all possible EDI Types. Select any additional EDI Types to include in the filter and those you want to exclude from the filter then select the corresponding button. Additionally, you can type characters in the Search area at the top of the screen and press the ENTER key to quickly find an EDI type. The transaction grid updates to display the choices that you selected. 50

51 Chapter 3: Searching in LENS Using the Filtering Pane Notice that the upper left corner of the grid displays the total number of transactions that met the search criteria selected. There is no maximum, LENS will display all applicable messages. Once you have found the information that you need, you can click the Clear All link located in the Filtering pane to remove the filter. Alternatively, you can save the filtered search by clicking on the Filters drop-down list and selecting the Save current filter option. You can access the filter again via the My Saved Filters section on the Dashboards page or by selecting the filter from the Filters drop-down list. If you have a large number of filters, you can use the Search field to find the filter that you want to use. For instructions on how to create a filtered view on the fly, please review the Creating Filters On The Fly section on page

Use the arrows to the left and below the date to select the from day. Use the time fields below the calendar to enter the time range. Repeat this process to specify the to date and time. Click the Set button to apply the filter. 54

Press Enter to initiate the search. You can enter search criteria in multiple column headers. Be sure to press the ENTER key to initiate the search. Notice that the Filtering portion of the screen updates to display the criteria you entered in the column header. Enter text in any number of the search fields then click the Apply Column filters button to execute the search. The transaction grid updates to display the records that meet the criteria you entered. You can remove the column filtering by clicking the X symbol located next to the filtered column. 55

58 Chapter 4: Customizing the LENS Interface Introduction Introduction LENS provides a customizable user interface that allows you to create an efficient workspace. This chapter provides instructions on how to customize your LENS display preferences. Customization features are set within your user profile and on the Transactions page. Changing the Transaction Grid Display Mode By default, the transaction grid uses a comfortable display that provides plenty of whitespace; however, if you prefer less whitespace, you can change the transaction grid to a compact display which allows you to view more records without scrolling. To change the display mode, select the Actions menu on the Transactions page and select an option from the Display Mode section. 58

59 Setting Date and Language Preferences Chapter 4: Customizing the LENS Interface Setting Date and Language Preferences You can customize the way dates are displayed in LENS as well as the default language for your user interface. These are the same options that you can set when logging in for the first time. Note: The display preferences you select here are tied to your user name and only affect your instance of LENS. 1. Access your user profile by selecting Profile the drop down list next to the user name located in the upper right corner of the LENS page. 2. Use the Date Format drop-down list to determine how dates should display in LENS. 3. Use the Time format drop-down list to determine whether time should appear using a 24 hour or 12 hour clock. 4. Use the Timezone drop-down list to select the timezone that should be used when displaying transaction details. 5. Use the Language drop-down list to select whether to view LENS in English or Finnish. 6. Click the Save button in the upper right portion of the page. Your changes are immediately implemented in LENS. 59

Although these settings will be your default display preferences, any layouts that you apply to a view will override these default settings. You can always revert back to your default settings via the Layouts drop-down list on the Transactions page. 1. Click on the username located in the upper right corner of the LENS page. Select the Profile option from the drop-down list. The Profile page displays. 2. Select the Settings link. 60

Basic Settings Landing page Select the page that should appear after you log in to LENS. Default Dashboard Select the Filter settings that should display automatically when you log into LENS. Session timeout Specify how long the application should wait before logging out of an inactive session. Default Transaction Settings Level Filter Transaction grid layout Default date range Select whether you want to view interchanges, documents, or both in the transaction grid. You can change this setting directly from the Transactions page by selecting the Level drop-down list. Select a default filter to apply to the Transactions page. If you do not select a filter, the Transactions page will display all messages by default. You will still have the option to apply a filter directly from the Transactions page. Select a default layout for the transaction grid. If you do not select a layout, the system default will be used. You will be able to change the layout directly from the Layout drop-down list on the Transactions page. Note: See the Working with Layouts section on page 69 for instructions. Select the age of the messages that should appear in the transaction grid by default. Selecting 7 displays one week of information. LENS contains a maximum of 365 days worth of data. Please note that if you have been using LENS for less than 365 days, the maximum number of days you can view corresponds to the number of days that you have been using LENS. This can be changed at anytime by applying a date filter. 61

If you receive a small amount of traffic and prefer to see all of your trading partner data in one place, you may want to select Yes and have the filtering pane removed from view. When you click the plus sign on a filter header, the top results display. Here you can determine how many results are displayed. Deselect the checkbox next to any filters that you do not want displayed in the Filtering pane. 4. Click the Save button in the upper right corner of the page. 62

63 Chapter 4: Customizing the LENS Interface Configuring Shares Configuring Shares Shares allow you to exchange information with other LENS users in your organization. You can share dashboards, layouts, filters, and monitors with others. Likewise, other users can share their dashboards, layouts, filters, and monitors with you. The Shares link displays both the items that have been Shared By You and Shared To You. Sharing can be helpful if you and others in your organization frequently search for the same information or if your coworker is out of the office and you need to be able to monitor traffic that they would normally monitor. If your coworker shares their filters with you, you will easily be able to see what they look out for when monitoring traffic. 1. Click on the username located in the upper right corner of the LENS page. Select the Profile option from the drop-down list. The Profile page displays. Select the Shares link. 63

64 Chapter 4: Customizing the LENS Interface Configuring Shares 2. To create a share, click the plus icon located next to the item (dashboard, layout, or filter) that you want to share. A page similar to the one below displays. 3. Using the Select your share drop-down list, select the item you want to share. In this example we are sharing a dashboard so you are choosing from a list of dashboards that you created. 4. In the Share to drop-down list, select All to share with anyone in your company or select Person to select specific persons with whom the item should be shared. 5. Click the Share link. The person(s) with whom you shared should now be able to see your filter in the Shared To You portion of their Shares section. 64

65 Chapter 4: Customizing the LENS Interface Creating Notifications Creating Notifications You can stay abreast of activity within LENS by creating alerts that notify you when a new document has been received or there is a document error. You can create as many notifications as you like; however, only a maximum of 10 notifications per user can be active at anytime. Follow the steps below to create a notification. 1. Click on the username located in the upper right corner of the LENS page. Select the Profile option. Select the Notifications link. 2. Click the plus icon location below the notification table. A new row displays at the bottom of the notification table. 3. Complete the screen using the field descriptions below. Name Description Condition Type a name for the notification you are creating. Type a description for the notification. Use the arrow to select under which condition LENS should trigger a notification. Frequency Determine how often you want to receive notifications. 65

66 Chapter 4: Customizing the LENS Interface Creating Notifications Filter to CC Columns You can tie an alert to a specific filter. For example, if you want to receive a notification when any transaction is received, you would not assign a filter to this notification. However, if you want to receive a notification whenever Trading Partner A sends a transaction, you would (1) create a filter that only shows data from Trading Partner A then (2) choose that filter from the Filter drop-down list. For instructions on how to create a filter, please review the Using the Filtering Pane section on page 48. Type the address of the person who should receive the notification. The address defaults to the address listed in your user profile. If there is anyone else who should receive the notification, enter their address here. The notification that you receive will list the arrival time of newly arrived messages or messages with an error. You can select additional fields that you want displayed in the alert Click the Save button. It is not necessary to log out in order to begin receiving notifications, they will begin immediately. All notifications are sent by noreply@liaison.com. Note: You can turn off a notification at anytime by selecting the checkbox in the On/Off field located to the left of a notification name. A marked checkbox indicates that the notification is active. To permanently delete a notification, click the trash can icon located to the far right of the notification record. 66

67 Chapter 4: Customizing the LENS Interface Configuring Filters Configuring Filters Filters allow you to create saved searches that are easily accessible from the LENS Transactions page. You should consider creating a filter if there are searches that you perform regularly (e.g., viewing all XML messages, messages from a specific trading partner, etc.). Please review the Using the Filtering Pane section on page 48 for information on using the Filtering pane. Most filter functions are available from the Filter dropdown menu located on the Transactions page. The drop-down list displays several options: Saved filters - lists filters that you created and saved. If you have multiple filters, you can use the search box to locate a specific filter. Shared to you - lists filters that others in your organization created and have chosen to share with you. See the Configuring Shares section on page 63 for details on sharing filters. Save current filter - save the filtering method currently displayed on the Transactions page. For example, if you have filtered the transaction view so that only XML messages are displayed, selecting this option creates a filter that displays XML messages only. Type a name for the filter that you are creating and click Save. Share filters - select which filters to share with others in your organization. You can share it with everyone or specific persons. Selecting this option takes you to the Shares page. See the Configuring Shares section on page 63 for detailed steps. Edit shares - select to edit shared filters, layouts, and dashboards. Selecting this option takes you to the Shares page. For more information, review the Configuring Shares section on page 63. Delete filters - select the filter(s) you want to delete from your filter list. If you delete a filter, the filter is no longer available as a shared filter. 67

For example, you can select a value in the message grid such as Logistics or select a value from the transaction details such as FTP. The transactions grid automatically updates to show only transactions that match the criteria you selected. Notice that the Filtering pane to the left also updates to display the filtered field value(s) that you selected. You can save this filter by selecting Filters > Save Current Filter from the Filter drop-down list located in the upper right corner of the page. You can remove the column by clicking the X or the Clear link located in the Filtering pane. 68

69 Chapter 4: Customizing the LENS Interface Working with Layouts Working with Layouts Layouts determine which fields appear in the transactions grid, which columns you want displayed, the column order, and how each field should be sorted when displayed on the Transactions page. To access layouts, open the Transactions page then click the Layouts drop-down list located in the upper right portion of the screen. The drop-down list displays several options: Saved layouts - lists layouts that you created and saved. Shared to you - lists layouts that others in your organization created and have chosen to share with you. See the Configuring Shares section on page 63 for details on sharing filters. Create new layout - create a new layout for the transactions grid. For detailed instructions, please review the Creating a New Layout section on page 70. Edit current layout - select this option to edit the layout that you are currently viewing. Back to original layout - return to the LENS default layout view. Share layouts - select which layouts to share with others in your organization. You can share it with everyone or specific persons. Selecting this option takes you to the Shares page. See the Configuring Shares section on page 63 for detailed steps. Edit layout shares - select to edit shared filters, layouts, and dashboards. Selecting this option takes you to the Shares page. For more information, review the Configuring Shares section on page 63. Delete layouts - select to delete a layout. If you delete a layout, the layout is no longer available as a shared filter. 69

70 Chapter 4: Customizing the LENS Interface Working with Layouts Creating a New Layout To create a new layout, select the Create new layout option from the Layouts dropdown list. The Layout Editor displays. There are two ways that you can proceed from here. You can use the Fill with Defaults button to populate the grid with the default values or you can choose the specific fields that you want to display. Note: Even if you choose to use the Fill with Defaults button option to add default fields, you can alter the layout using the Layout Editor, which is described in the image below. After you have added all the fields that you would like to see in the layout, click the Save button. 70

71 Chapter 4: Customizing the LENS Interface Working with Layouts Creating Column Layouts On The Fly You can click on the metadata displayed in an expanded transaction record and have the selected field automatically added to the column layout. For example, if you expand a transaction record and click Interface in the Outbound section of the metadata, the transaction grid updates to include Outbound Interface as a column displayed in the transaction grid. You can save this column layout by selecting Layouts > Save Current Layout from the Layouts drop-down list. You can remove the column by double clicking on the column header that you just added. 71

72 Chapter 4: Customizing the LENS Interface Adding Trading Partners Adding Trading Partners When you access LENS for the first time, you will notice that the Partners page is already populated with all of your trading partners. Note: You may not see all trading partners if your company administrator has restricted viewing. This section provides instructions on how to add trading partners to LENS. Follow the steps below to add a new trading partner to LENS. 1. Access the Partners page. 2. Click on the Actions drop-down list. Select the Add trading partner option. The Add Trading partner screen displays. 3. Enter the trading partner s Company Name, Qualifier, Identifier in the respective fields. 4. Use the VAN Identifier drop-down list to select the VAN that the trading partner uses. 5. Click the Add button. Please note that some trading partners cannot be added via LENS due to their security requirements. If you attempt to add one of these trading partners, a pop-up screen displays an alert and allows you to send your add request to the support team for processing. 72

73 Chapter 4: Customizing the LENS Interface Working with Dashboards Working with Dashboards The LENS dashboard allows you to view multiple reports at once from one central location. The dashboard is designed to provide metrics that allow you visually monitor your network traffic. It can contain a mix of filtered lists, trend analysis, and charts. Dashboards are configured from the Dashboards page and can include the following types of reports: Simple Top Chart (e.g., top senders/receivers) Donut Chart (e.g., top 10 transaction types) Trending (e.g., amount of orders received daily) Transaction List (e.g., all messages sent to Supplier A) Service Requests (premium feature) My saved filters - Quick access to saved filters (e.g., Supplier A messages) General Note The reports are interactive. You can click on a trading partner name, transaction ID, or transaction types to be taken to the specified data in the transactions grid. For example, you can click on the sender names in the The Top 10 Senders, Last 24 Hours report. You can click on the sender name to view the transactions in the transactions grid. From there you can use the Search, Summary, and Trend options to further analyze the transactions that have taken place. 73

From this menu you can: Share - share this dashboard with others in your organization. You can share it with everyone or specific persons. Selecting this option takes you to the Shares page. See the Configuring Shares section on page 63 for detailed steps. Delete - delete this dashboard. Deleting the dashboard also removes it from being shared with others. Duplicate - create a copy of the dashboard. This also enables editing of the individual widgets. Create new - create a new, blank dashboard. See the Creating a New Dashboard section on page 75 for details on sharing filters. Manage dashboard - return to the LENS default layout view. 74

By default, the preconfigured default LENS Dashboard displays. You can create a new dashboard from or edit the LENS Dashboard to create your custom home page. From the Dashboard page, click the Create New button located in the upper right corner of the screen. In the Name field, enter a descriptive name for the new dashboard. Click the Create New button. Blank widget areas display on the screen. Click the Add New Widget link within one of the boxes (the location of the box mimics where the widget will appear on the dashboard). The box updates to display the different widgets options from which you can choose. 75

76 Chapter 4: Customizing the LENS Interface Working with Dashboards Hover your mouse over the icons to view a description of each widget type. Click an icon to configure a widget of the selected type. They are eight types of widgets available; however, you can only select a maximum of 6 widgets for each dashboard. Use the following graphic to finish creating your dashboard. You should note that you can create multiple chart types within one dashboard. For example, you may want to create multiple Simple Top Charts. You can create one for incoming orders, one for transactions with validation errors, and another for a EDI documents. You can use your mouse to drag and drop the widgets to different locations on the dashboard. Also, you can change a widget layout to display one or two widgets per line. When you do so, a white vertical bar appears between the widgets; drag the white bar to resize the widgets. 76

Once you have placed all the widgets that you want to add, click the Done button located in the upper right corner of the page. The page refreshes and displays your new dashboard. Editing a Dashboard You can edit dashboards created by you at anytime by accessing Manage Dashboard link. Note: You cannot edit the default LENS Dashboard. The dashboard refreshes to display edit and delete icons in the upper right corner of the widgets. 77

This chapter provides guidance on creating users and managing user access. User roles allow an organization to restrict the content that a user can view in the LENS interface. The following user roles are currently supported: Standard User - access to all LENS pages and functionality except for user account creation. Customer Admin - access to all LENS pages and functionality including user account creation. Updating Your User Profile You can update your user profile by clicking on your name in the upper right corner of LENS. The Account drop-down list displays. From here you can manage your user profile, carry out administrative tasks (displays for Administrators only), and logout of LENS. 80

81 Chapter 5: Managing User Accounts Password Management Password Management LENS has the following password requirements: New password must be different than previous password. Password must be a minimum of 8 characters and contain at least 3 of the following types of characters: lowercase, uppercase, numeric, and special characters. Valid special characters are: [A-Z], [a-z], [0-9], [äåöäåö!# %&/ ()=?@ $ {[]}\\\\]. After 10 unsuccessful login attempts, the account is locked and you must contact Liaison support to unlock the account. Resetting Expired Passwords LENS passwords expire every 90 days; you will be prompted to change you password upon expiration. In the New Password field, enter your password using the password requirements listed at the bottom of the screen. In the Confirm New Password field, enter the new password again. When you are finished, click Continue. The LENS Profile page appears. 81

Access your user profile by clicking the arrow located next to your username located in the upper right corner of the LENS page. 2. Complete the fields in the Username and Password section, then click the Save button in the upper right portion of the page. Your new password is saved. 82

83 Chapter 5: Managing User Accounts User Administration User Administration From the Administration menu you can create users, roles, and assign access rights. To access the Administration options, click on the user name in the upper right corner of the LENS page and select the Administration option. Note: If you do not have this option, you do not have administrative rights; contact your Company Administrator for changes in role access. Once selected, the Users page displays. Let s take a closer look at the various options available on the Users page. 83

84 Chapter 5: Managing User Accounts Working with User Lists Working with User Lists If you have a large number of user records, enter some text for which to search (such as a first name, last name, username, domain name, etc) in the Search field. The user list populates with the information entered. If you only want to include active users in your list, select the Hide deactivated users checkbox before clicking the Search button. 84

85 Chapter 5: Managing User Accounts Creating a New User Creating a New User Follow the steps below to create a new user. In this section you will add the user profile and assign LENS access rights. 1. Click on the user name in the upper right corner of the LENS page and select the Administration option. The Users page displays. 2. Click the Create New User link. The Create New User screen displays. 3. Complete the screen using the field descriptions below. Username Full name Phone Type a username. We recommend using the user s address. Type the first and last name of the person. Optional. Type the user s phone number. Type the address of the user. You can change the address associated with the account from the User Profile menu. 85

86 Chapter 5: Managing User Accounts Creating a New User Password You can choose to have LENS generate a temporary password or you can enter a password for the user. Regardless of the option you select, the user will be prompted to enter a new password upon initial login. If you select the Give Password option, complete the additional fields that display. Premium User Language Select this check box. Select whether to view LENS in English or Finnish. 4. Click the Create button. The User Rights page displays. 86

87 Chapter 5: Managing User Accounts Creating a New User 5. Next you need to assign the user to a user group. There are two ways to this: (1) you can use the Search field to find a specific group or (2) you can scroll through the list of available user groups and click the plus sign located next to the group that you want to add. You should note that there are two types of groups - user groups and administrator groups. By default, only user groups are displayed, but you can click the Show administrator groups checkbox to view any administrator groups to which you have rights to assign a user. You can assign the new user to multiple groups. Each time you click the plus sign, the right portion of the screen is populated with user group to which you have assigned the new user. Tip: If you have multiple users who should have the same access rights as the user you are creating, you should click the Create new user with same active user groups link at the top of the page. This allows you to add another user with access rights that match those of the user you are creating. 6. Once you have finished adding the user to user groups, click the Save button in the upper right corner of the LENS page. 87

All of these actions can be performed from the Account Information page. Note: LENS locks user accounts after 10 failed attempts; you must contact Liaison Support to unlock locked user accounts. This section discusses how to manage account information for users. All of the options discussed in this section can be accessed from the Users Page. To access this page, click on the user name in the upper right corner of the LENS page and select the Administration option. The Users page displays. Select the Account Information link. The Account Information displays for the user. 88

Click the Send button. The user is sent an from support@liaison.com. This contains the user s new password for the user. When the user accesses LENS, they are required to set a new password. Setting New User Passwords You can assign a new password for a user by clicking the Set New Password button. With this option, you can choose the password to use. The Set New Password screen appears. 89
