1 Submitting a childrens legal aid account Introduction This topic looks at completing the synopsis and submitting an account. It also looks how you can reset an account to draft if needed. By the end of this topic you will be able to describe how to: complete the synopsis submit an account reset an account to draft Scottish Legal Aid Board,

2 To begin creating a new account you need to select the Accounts tab. The first time you enter a case you will see this screen. From this screen you can chose to submit a Nil Claim or to create an account. If you wish to create an online account select Save & Continue (Online). To submit a paper account select Save & Continue (Paper). Please note we cannot accept a mix of paper and online claims for the same case. Scottish Legal Aid Board,

3 To navigate select the tabs displayed beneath the LARN. These tabs can be used to navigate back and forward between the account screens. To complete the synopsis questions click on the synopsis tab The synopsis can be completed once your involvement in the case has concluded. Once you have entered the details in the synopsis select Save. You cannot request payment until the synopsis is fully completed. Scottish Legal Aid Board,

4 To add Fees and outlays click on the Work Breakdown tab. To add fees and outlays click on Add Work Item. Scottish Legal Aid Board,

5 From this screen you can also view and edit any work items you have previously added. When you have completed the synopsis and added all the work items you can submit your account. This is done by selecting the Work Breakdown tab from the Case Summary screen. If you have added a work item relating to an outlay you should upload the attachments at work item level. To submit the account click in the box. Then select Request Payment. You can also select the work items to be added from the icon bar at the bottom of the screen. Selecting the downward arrow will open a list of options. From here you can select which items you wish to be included in your next payment request. Scottish Legal Aid Board,

6 N.B. Once you request payment the account will validate. If the validation fails you will get warning message. If a red warning message displays you will not be able to submit your account until you address the error. If you try to submit the account and you have not uploaded an attachment you will see the messages shown above. Yellow warning messages are advisory. You will still be able to submit your account but if the issue is not addressed by the time the account is assessed the work item may be abated or payment delayed Scottish Legal Aid Board,

7 If a warning message appears you can amend the work item or upload an attachment before you request payment. In the example above an attachment has now been uploaded. When you select Request Payment If all the information has been correctly entered you should now see the Payment Request screen. This screen contains the selected work items and the information completed on the synopsis. You should review the details. If you need to change any of the details select the Back to Account button. 8 Once you have reviewed your account and if there are no changes to make you should complete the declaration and then select Submit to SLAB. You will find the declaration at the bottom of the Payment Request screen. Once the account has been submitted you will see a confirmation message advising you of this. The account status will also change to Submitted. If you submit the account too early or in error you can reset it to draft. However, this can only be done while the status shows Submitted or Registered. To reset the account to draft select the reset icon. Scottish Legal Aid Board,

9 When you select reset icon the Reset payment to draft window will be displayed. Select the reason for resetting from the dropdown list and then select the Submit button. Once the account has been reset to draft the status will change. You will be able to amend the account and add further work items. Scottish Legal Aid Board,

10 Once the account has been received by SLAB the status will change to Registered. You can print a copy of the payment request summary by selecting the Printer icon. If you wish to view the work items that were included in a particular claim you can do this by selecting the downward arrow icon. This can be found under the eye symbol. You have now completed this topic. You should return to the main menu if you wish to look at other topics. What s next?
