1 SPOL Planning at Daytona State College Change Your Password and Update Your Personal Information This is available at the top of the page wherever you are in SPOL Copying Unit Plan from Prior Year 1. Click on <Planning> on the navigation bar at the top of the page. 2. Click <Copy Objective Data>. 3. Select as Original Planning Year (current). 4. Select as Destination Planning Year Select Single Year. 6. Select from the Copy Options: Copy the objectives and all the associate data to the nest Planning Year. 7. Select from you Unit Plan the outcomes to be copy over. 8. Click on <Copy Data>. The system will display a message confirming the outcomes were copied successfully. 9. Make sure to enter the Unit Mission in the new unit plan, since this data was not copied over. Entering a New Outcome 10. Click on <Planning> on the navigation bar at the top of the page. 11. Click <Create a New Outcome> on the Planning Homepage. Outcome - Written so that it is Specific, Measurable, Action-Oriented, Results-driven, and Time-limited (SMART).

2 2 12. This will open the Create/Edit a New Outcome page. 13. Fill in the following data: Outcome Title - The nutshell version of the outcome short and descriptive. 14. Select from the drop-down box: Planning Unit the department that will carry out this outcome Original Planning Year the year the outcome will begin multi-year outcomes can be extended into future planning years Multi Year Outcome - Yes or No Outcome Purpose Select Unit Outcome Outcome Status - Select In Progress 15. Enter the Outcome description 16. Tie your objective to: Strategic Planning Priorities Strategic Planning Initiatives 7. Click the <save> icon (blue diskette) at the upper or lower right of the page. 8. You will then navigate to the Outcome Details page. 9. To do this, click on the <Select> button to the right of that data store (Strategic Plan Priority and Strategic Plan Initiatives). When the window opens, select as many items as appropriate (using the check boxes). Select one of these to be the primary by clicking the round radio button to the left of the check box. Click <save> to close the window and record your selections. 10. Enter individual records in each of the following areas (use the <Add> button to add a new record; to edit an existing record, either double-click on it or single-click to select and then click <Edit>): a. Assessment Measures the tools, methods, and/or data sources you will use determine whether or not you achieved your intended results. You need at least two to be Exemplary. b. Level of Achievement what you want to see happen as a result of a) the outcome overall and b) specific strategies c. Strategies the steps you ll follow or strategies you ll employ to achieve the outcome (click the dropdowns to add a due date, priority, and status use sort order to put the tasks in a specific order) i. You can also add the responsible party(ies) for each strategy, by clicking on the strategy, then <Assignment Detail>, then find the person(s) name(s). ii. If your strategy will involve additional budget, you can include this by clicking on the strategy, then <Budget Detail>, then <New>.

3 A small window will appear; please select budget account and the GL code that will best describe the request, then click <Next>. Enter the amount, then click Save. 11. Option data you may want to include when writing a new outcome: a. Document Management upload a document with supporting information 12. Approve the objective by clicking <Approve> at the top of the page. This takes the outcome out of draft.

4 2 Closing the Loop: Reporting Results Mid-year and at the end of the year, enter the following: a. Mid-Year Analysis detailing what has happened, challenges faced, successes achieved, changes in strategies, etc. b. End of Year Results describe what actually happened; actual results should relate to Level of Achievement and might be determined using the assessment measures you identified c. Use of Results describe what is next for continuous quality improvement knowing what you know now, what might you do differently in the future? d. Option data you may want to include when writing a new outcome - Document Management: Upload a document with supporting information Generating a Report and Printing a unit Plan To generate a Unit Plan report, do the following: a. Click on the Reports tab. b. Click on the Strategic Planning by Planning Unit link. A new window will appear.

5 In new window: 1. Select Planning Year 2. Select Planning Unit 3. Click on the arrow to exclude: i. Gap Analysis ii. Units Impacted iii. Associated Outcomes iv. SWOT v. Associated Standards 4. Click View Report c. Click on the purple diskette icon

6 2 d. Click on the Word option. A new window will appear. In the new window, click Open. A word file will open with your report.

7 To delete an outcome: Please delete all the strategies before deleting the outcome.
