1 Objectives: Assessment Tools in D2L, Part 2: Dropbox Familiarize yourself with the Dropbox capabilities in D2L. Create folders and categories in the Dropbox. Edit a folder. Delete a folder. 2 Overview The Dropbox tool in D2L allows you to see users submission times, download submissions, and return submissions with grades and feedback. You can also restrict access to Dropbox folders by date and time, group membership, or special access permissions. I. What are Folders and Categories? Categories: Create categories to group and organize your Dropbox folders. For example, you can create a category called Assignments and have ten folders under this category (Assignments 1-10). You can also divide folders by weeks, units, etc., based on your course structure. This will help students (and you!) find the folder they need. Folders: Create folders to organize assignments that students turn in to you. II. To Access the Dropbox tool: 1. Once you re in the course, click on Dropbox on the Main Navigation Bar. 2. You will be taken to the Dropbox Folders page where you can add and edit new folders and categories. Assessment Tools in D2L, Part 2: Dropbox 2

3 Organizing your Dropbox I. Creating Folders A. Adding Folders through the Dropbox Tool 1. On the Dropbox Folders page, click on New Folder. 2. Enter all the information for your Folder. New Folder Page (continues on next page) Enter a name for your Folder. If you use Turnitin, you can set up submissions to be checked for originality. Create or select a category for this Folder. Individual submission folder: Each student has his/her own submission. Group submission folder: Students submit one submission per group. You must associate the Folder with a Group Category. Any group member can submit and view files for a group Dropbox Folder. Associate the Folder with a Grade Item in your Gradebook. If you associate the Folder with a Grade Item, you may edit how grades are displayed to students by clicking on the downward facing arrow and clicking on Edit Display Settings. Enter a value field for the assignment score. If you associate the Folder with a Grade Item, this number should match the Grade Item's Max. Points value. Assessment Tools in D2L, Part 2: Dropbox 3

4 New Folder Page (continued) Associate the Folder with an existing rubric or create a new one. If you associate a Rubric with the Folder, you can set the rubric as the default rubric used to generate a score for each student as you score each users submissions to the folder. Type instructions for students about what they are submitting in this Folder. Select the submissions options by clicking on the arrow. Choose how many files students can submit (one or unlimited) and if you want to keep all submissions, the most recent, or only allow one. Attach files or record a 1 minute maximum audio file for your students. Be sure to save! *Note: When you create a Folder that you want to organize under a Category, create the Category through the New Folder page. For other Folders in the Category, choose the Category name from the dropdown menu. Assessment Tools in D2L, Part 2: Dropbox 4

5 3. To edit availability of this folder, click on the Restrictions tab at the top of the New Folder page. 4. Enter your preferences. 5. Click Save or Save and New to create another folder. Restrictions Tab Decide when students have access to this Folder. Assign special access to this Folder. To add specific students click on Add Users to Special Access. A list of students enrolled in the class opens up. Check the names of the ones you want to have special access and click save. Establish Release Conditions: students must complete a task in D2L before having access to this Folder. B. Adding Folders through the Content Area 1. Click on Content on the Main Navigation Bar. 2. Click on the module where you would like to add your Dropbox. 3. Click on New and select New Dropbox from the menu. Assessment Tools in D2L, Part 2: Dropbox 5

6 4. You are directed to a new page to create the Dropbox folder. 5. Enter all the information and click on Publish. II. Editing Folders 1. On the Folders Page, click on the downward facing arrow next to the name of the Folder you want to edit. 2. Select Edit Folder from the dropdown menu. 3. Make your changes. 4. Click Save. III. Deleting Folders and Categories 1. On the Folders Page, click on More Actions and select Delete from the dropdown menu. 2. A list of categories and folders will show up on the Delete Folders Page. Check the items that you want to delete. Notice that the names of the Folders changed from blue to Assessment Tools in D2L, Part 2: Dropbox 6

7 black. This means you cannot click on the names. You can only check the boxes next to the ones you want to delete. 3. Click on Delete Selected. *Note: When you delete all the folders in a category, the category will be deleted as well. Viewing and Evaluating Submissions I. To access the Submissions Page of a specific folder: 1. Click on Dropbox on the Main Navigation Bar. 2. On the Folders Page, select the folder you want to evaluate. You can either click on the name of the folder or click on the downward facing arrow and choose View Submissions. 3. This takes you to the Folder Submissions for this particular folder. This page allows you to search and filter options of what you want to see from the Submissions page. *Note: If you change the Submissions options that you want to view, you need to refresh the page by clicking on the magnifying glass next to the search area. ` Assessment Tools in D2L, Part 2: Dropbox 7

8 II. To Evaluate Students Submissions: 1. Once you re in the Submissions Page for the Folder, click on the assignment link for the student you wish to evaluate. 2. You will be taken to the Evaluate Submission Page where you can view the assignment online with the document viewer or download it to work offline. 3. The Evaluate Submission page also has an Evaluation Panel to the right of the document viewer. The Panel provides the student s information and areas for you to grade and provide feedback. Student information. Allows you to preview what the student sees for this folder. Use to give or edit special access to the folder for this student. Associate the assignment with a rubric or create a new rubric. Grade the assignment and preview what the student sees. Provide written feedback. Upload a document or record a 1 minute maximum audio as feedback. Update: For the student to see your feedback. Retract: Doesn t allow the student to see the feedback. Saves your feedback as Draft. You can go back and update/publish for the student. 4. Once you re done with your evaluation, click on Update at the bottom of the page. Assessment Tools in D2L, Part 2: Dropbox 8
