1 Contents Procedure Overview Edit Address Process Step Copy Address Process Step Create Foreign Address Process Step HR Data Verification Report & Master Data Sheet Procedure Overview Overview To gain an understanding on how to maintain an entry in the Address screen for an employee by updating the following: Start Date End Date Type of Address Address Telephone number The mailing address for appointed staff normally is the departmental address, based on the org. unit code on the Org. Assignment screen. If the mailing address is incorrect and the employee is not on leave, check the employee's addresses for an active Physical Location or Hospital address (subtype 7 or Hxx). If such an address exists and the ending date is and if the departmental address should be used, then delimit the Physical Location or Hospital address by changing the ending date. Do NOT delete the Physical Location or Hospital address, as history should be maintained. If the org. unit address is incorrect please complete the Request for Set-up or Change of an Organizational Unit to change the departmental address. This will change the departmental default address for all employees in that org. unit. HRIS Procedure Document FINAL For Assistance with this Process

2 Edit Address Process Step This process should only be done if the record was erroneously created and no historical record will be maintained. 3. Click on to Overview and choose a record to be changed. 4. Click on to change the record. Change Address Screen (0006) 1. If necessary, change the Start Date and End Date 2. If necessary, change the Street and House No 3. If necessary, change the 2 nd Address Line 4. If necessary, change the City 5. If necessary, change the Province 6. If necessary, change the Postal Code 7. If necessary, change the Telephone Number 8. Click on to Save. HRIS Procedure Document FINAL For Assistance with this Process

3 Copy Address Process Step This process will create a new record and historical record will be maintained. 3. Click on to Overview and choose a record to be copied. 4. Click on to copy the record. Copy Address Screen (0006) 1. Enter the new Start Date 2. Change the Street and House No 3. Change the 2 nd Address Line 4. Change the City 5. If necessary, change the Province 6. Change the Postal Code 7. If necessary, change the Telephone Number 8. Click on to Save. Previous record will automatically be delimited. HRIS Procedure Document FINAL For Assistance with this Process

4 Create Foreign Address Process Step 3. Click on to create. 4. Select. Create Address Screen (0006) 1. Click on. Choose Country Key Pop up a. Indicate the country by selecting from the list. b. Click to continue. 2. Enter Start Date 3. Enter Street and House No. 4. Enter Postal Code/City 5. If applicable, enter Telephone number 6. Click on to Save. HR Data Verification Report & Master Data Sheet Run the Data Verification Report after changing/copying/creating Address screen has been completed. This report identifies inaccurate, incomplete or missing employee data. This report provides HRIS users with a tool to verify the entire employee record by checking data on each infotype and by cross-checking data consistency between infotypes Personnel Actions Screen. HR Data Verification Report 1. Click on the HR Data Verification Report Button at the top of the screen HRIS Procedure Document FINAL For Assistance with this Process
