1 My Information User Guide (International) This User Guide describes procedures for using My Information, which is a portal providing Ashland employees with a centralized area to access and maintain personal and work-related information. My Information is organized into different sections, each under a tab. See the Contents below for general instructions and instructions for each tab. 2 HOW do I access My Information? You may access My Information from any networked Ashland computer or any other computer with internet access. You will need your Ashland Network User ID and Password. Note: It is important to keep your password private as it is used to protect personal information. Also, exercise caution in deciding when and where to access My Information -- please refer to the privacy and security notice at the bottom of the My Information log on page for more information. To access My Information: 1. Access the Internet using your Internet browser. 2. In the address field, type in 3. Type in your Ashland Network User ID (including preceding letter). 4. Type in your password. (Case sensitive network password) 5. Press Enter. If you are having trouble accessing My Information due to User ID or password issues or would like to re-set your password, click the link Need help logging on? Revised Date: 14 Oct 2010 Page 2
3 HOW do I navigate My Information? After logging on to My Information, you will see the following screen. The highlighted areas are those that you can use to navigate within the site, as described in this section. Tabs Banner Menu Buttons/Icons My Information is organized into four tabs as described below. To go to a desired section, click the tab: 1. Overview (default tab) Serves as a table of contents and contains icons that correspond with the tabs across the top and links to the same areas. 2. Employee Search Search and view Ashland employee contact information and view personal contact data. 3. Personal Information Access and update your personal information. 4. Career and Job Contains a link to the Learning Management System (LMS). Revised Date: 14 Oct 2010 Page 3
4 HOW do I navigate My Information? (continued) Buttons/Icons visited. = Allows you to easily navigate to screens which you have = Allows you to go back to a previous screen. Do NOT use the back button/arrow in the upper-left corner of your browser. Instead, use this button. = Allows you to go to the next screen. Do NOT use the forward button/arrow in the upper-left corner of your browser. Instead, use this button. = Collapse tray is used to minimize the area. = Expand tray is used to maximize the area. = Options is used to open a new window, refresh the screen, or print screen. Note: This is the preferred method for printing, and you must use this option for refreshing (do NOT use the refresh button in the upper-left corner of your browser). Banner Menu Links My Information Help Link For assistance, click the Help link at the top of each page. From the new web page that will open, you can access the following: My Information User Guide in eleven languages Frequently Asked Questions (FAQs) (in English only) Contact information for local HR representatives Personalize My Information From the Personalize link you will be able to change the language displayed in My Information. 5 HOW do I navigate My Information? (continued) To change language in My Information: 1. Click Personalize in the upper right hand corner. 2. Click the button. 3. Click on the Language drop down box. 4. Select a language. 5. Click Save and close the screen. 6. Click Log Off, in the upper right hand corner then log back in to the system. My Information is now in the selected language. Log Off My Information To end your My Information session, click Log Off at the top. If you close the browser before you click Log Off, your session will continue until it times out. Revised Date: 14 Oct 2010 Page 5
6 OVERVIEW Tab The Overview tab serves as a table of contents and contains icons that correspond with the tabs across the top, and links to the same areas. EMPLOYEE SEARCH Tab From the Employee Search tab you can search and view selected Ashland employee contact information (Who s Who) and view your own personal contact data (View Own Data). To conduct an Employee Who s Who search: 1. Click Who s Who. (Links are on the Overview and Employee search tab) 2. Enter Last Name or First Name of the employee you wish to find. (For additional search fields, click Advanced Search.) If you do not know how to spell the employee s name, you can perform a search using a wildcard. To perform a search using a wildcard, insert an asterisk (*) on either side of the search term. Revised Date: 14 Oct 2010 Page 6

8 PERSONAL INFORMATION Tab From the Personal Information tab you can review or update the following services: Organizational and Salary Information (review only) Addresses Bank Information (only employees in Europe, the Middle East, and Africa can update this information through My Information) Family Member/Dependents (only employees in Europe, the Middle East, and Africa can update this information through My Information) Personal Data (only employees in Europe, the Middle East, and Africa can update this information through My Information) Basic Data Entry Process: Information being updated for the above areas always uses a four step process: Overview, Edit, Review and Save, and Confirmation. This area is also known as a Roadmap. ALWAYS use the navigation buttons that are provided at the bottom of these screens to move through the four step process. (Do not use the browser toolbar arrows.) Revised Date: 14 Oct 2010 Page 8
9 PERSONAL INFORMATION Tab (continued) On this page is a description of each step. To start, first select the link containing the information you want to change (Addresses, Bank Information, Family Member/Dependents or Personal Data). (An address change is used in this example below, however, the general steps of Overview Edit Review and Save Confirmation apply to all changes that you make in the Personal Information tab). Note: Data is displayed and entered using the Roman alphabet with the exception of Japan, South Korea, China, and Russia. 1. Overview Step A summary screen Not all personal information can be viewed on the Overview screen. To view additional employee information or make a change, click. Note: Actual screens vary from country to country; the screenshots to the right are only used as examples. 2. Edit Step Allows you to enter or change information. All fields that contain a red asterisk (*) are required fields and must be completed. (i.e., House Number and Street, City, etc.). Grayed-out fields cannot be filled in. Data must be entered in a specific format based on country specifications. Example 1: Postcode for US is a 5 digit number. (12345). Example 2: Postcode for Netherlands is 4 digits, a space, and 2 letters (1234 AA). Once you have entered changes, click. If data is not entered in the correct format or incomplete, an error message will appear at the top of the page and a red box will appear around the incorrect field(s). You will remain in the Edit step until all fields have been appropriately entered. The default is for the change to take place as of today. IMPORTANT: If the change is for the future, click Valid from button or Valid as of Future Date and enter the future date. You can click to go back to the previous step. 10 PERSONAL INFORMATION Tab (continued) 3. Review and Save Step Allows you to preview and verify your information before clicking. 4. Confirmation Step Once you click, a message appears that confirms that the changes have been saved. To exit the screen, select a link under the What do you want to do next? heading, or click. CAREER AND JOB Tab The Career and Job Tab provides you with access to the Learning Management System (LMS) by clicking on the provided link. Revised Date: 14 Oct 2010 Page 10
11 HELP with hr2u MY INFORMATION For assistance, you can access the Help link at the top of each page. 1. Click Help from the banner. 2. On the My Information Help page, if your language is set to English you will have a link for International Employee. Select this link. 3. Select the desired link(s) for more information.
