2 Best Practices Makegoods Introduction Occasionally there will be times where your site is unable to air all spots as ordered. In broadcast, this can occasionally result in the need to make good on a failed promise to air a certain spot at a certain time. VIERO RMS revenue management (T&B) s makegood capability is designed for these instances. Dealing with makegoods is an almost daily occurrence in Traffic. So it s important to understand how makegoods work, when to use them, and the impact they can have on your station s bottom line. In this best practice we discuss the fundamentals of makegoods and how to process them. How makegoods work In the course of reviewing exception and pool reports you will occasionally discover that a particular spot needs to be made good. You need to make Sales a part of this process because it is from this department that you should be receiving frequent, written instructions on how to handle your station s makegoods. There are several ways that a spot can be made good; each of these methods is discussed in the sections below. Marking a spot as a makegood from Verification Due to various reasons, there may be occasions when a spot is scheduled to air but it does not actually air. Following the Best Practice process, this spot will either be set to an exception and you will wait for makegood in- Makegoods - 2 -
3 structions from the AE, or in some cases you will immediately send the spot to the pool to be rescheduled. Prior to the spot being sent to the pool for rescheduling, you have the ability to flag this spot as a makegood. This process is recommend as when a spot is marked as a makegood this alerts the system to print the ordered date for the spot and the makegood reason on the invoice. Because rescheduling the spot outside of the originally ordered parameters requires client approval, marking a makegood spot with the makegood reason allows the client to readily identify any makegood spots. In order to mark the spot as a makegood, you will need to select the spot and then click on the Makegood button on the tool bar at the top of the Verification window, as illustrated below. Once selected, you will need to choose the appropriate reason and click OK. Once the spot is flagged as a makegood, you will need to send the spot to pool for rescheduling. Figure 1. 4 Important Note Spots that have been set to an exception or have been verified can be set as makegoods, unless they have been invoiced. Once invoiced you will not have the ability to apply a makegood reason to the spot. The system will not allow the user to set a makegood spot to a regular spot status if the makegood spot was created from a makegood order line. Marking a spot as a makegood from Log Manager When working your log, you may determine that a spot will need to be scheduled outside of the original order parameters. When these occasions arise, and you have client approval, you have the ability to mark a spot with a makegood reason. This process is recommend as when a spot is marked as a makegood, because this alerts the system to print the ordered date for the spot and the makegood reason on the invoice. This process is recommended because it will allow you and the client to avoid wasted time and energy researching spots that aired outside of the order parameters. This option is available for spots that are on the schedule or in the pool. Once the spot is marked with the makegood reason, a flag denotes the makegood status, as illustrated below in Figure 2. 5 Important Note: The order confirmation will not reflect that the spot is flagged as a makegood in Log Manager. Copying an order line as a makegood The third way to make a spot good is to copy the order line as a makegood order line for the spot that needs to be made good. This process is handled from the order level and allows the user to show the makegood status on both the order confirmation and the invoice. Typically this will be used when an order line will require multiple pool spots to be made good. For this process to be completed, all necessary makegood spots must be located in the pool. To begin the process, you will need to copy the order line as a makegood by selecting the Copy as Makegood check box in the Copy Order Line pane, as illustrated in figure 3. Makegoods - 5 -

7 Important Note: If you enter order line parameters which would result in the number of spots being created, to be greater than the number of pool spots available then the system will warn you of such. Once you click Save to copy the order line as a makegood, the Pool Spot Removal window opens and you can select the pools spots that you would like to remove, as illustrated in figure 4. Pool spot Removal dialog box with spots selected for removal from pool Depending on the billing type of the order (i.e., broadcast or calendar), the system will display the pool spots for the existing order line for the current broadcast month or calendar month. The current month is derived from today s date. You can also view all pool spots for the order line by Makegoods - 8 -
9 changing the radio button setting in the Selection Criteria group box to be Show all pool spots. The Show only locked pool spots check box allows you to view only the spots that are locked in the pool. After you select the spot(s) you would like to remove from the pool, you will need to assign a makegood reason. As with the other makegood processes, the makegood reason and the original ordered date will print on the invoice. Once an order line is copied as a makegood, you will be able to see which line the new makegood order line was copied from in the order archive window in the MG OL column, as illustrated in figure 5. 10 Figure 5. Order line copied as a makegood Important Note: Copying an order line without the Copy as a Makegood option selected will trigger a new Target Rate Index (TRI) for that order. You should not create a non makegood order line for your makegoods and leave the missed spots as either a pool spot or as an exception. Doing this will impact commission calculations for the Account Executive by impacting the TRI. Makegoods
