1 Student orientation 2017 Getting started with the UP Portal, student , and clickup IMPORTANT: COMPLETE THE TICK LIST BEFORE 3 FEBRUARY P age

2 Very Important We request that you work through this document to familiarise yourself with the virtual systems that UP will use in the communication for the BEdHons programme. It is important that you sort out problems that might arise before the orientation session on 3 February There will not be time during the session to fix the problems and it will prevent you from participating fully in the orientation session. Use Table 1 on pp. 3 & 4 to guide you to the correct support. Use the tick list below to ensure you pay attention to everything BEFORE 3 February Done? 3 Introduction Welcome to the (UP). In this document, we will explain the following: What online systems you will use as a student and how to access them How to access your student account How to forward you student s to your personal account Welcome This document contains explanations on how the UP online environment works. Keep it in a safe place. You might need to look at it again later! At UP the following online systems are used: Online systems and support System URL (website link) What is it used for? Depending on what your lecturers use clickup for, you can find your class notes, study guides and progress marks here. 4 System URL (website link) What is it used for? Where do I get help? Turnitin In clickup modules where this assignment tool is used. Grading assignments electronically and to check assignments for plagiarism. elp/ Click on the Turnitin action tab, or search for Turnitin in the search bar. Library Accessing journal articles and renewing your books on loan online. Also, searching the catalogue and requesting books and articles from other libraries. Login to these use these databases. To connect to the Wi Fi on campus, follow these steps: 1. Open the Wi Fi settings on your device. 2. Select TUKS from the Wi Fi networks. 3. Log in using your UP Portal username and password. Please note that you must be registered (with registrations fees paid as applicable) to get full access to these systems. During your first year s registration at UP you receive a: Student number starting with a lower case u, followed by 8 digits (for example, u ). This number also appears on your student card Student address (administered through GMail). Your default UP will look like this: studentnumber@tuks.co.za (for example, u @tuks.co.za) Clever tip: Knowing your student number off by heart makes administrative processes easier you will be required to write this number on numerous forms and tests. It can also make it easier to remember your student address. Always keep your student card on you when you visit the campus, especially when writing exams. Without it, you may be refused entrance. 4 P age

5 1. The UP Portal To access the UP portal and clickup you need: 1. Access to the Internet (there is free access on campus in the computer labs and library). 2. An Internet Browser: e.g. Firefox or Chrome (latest versions). Do NOT use Internet Explorer. To install Firefox, visit US/firefox/new/ To install Chrome, visit 3. You will also need a PDF reader to read many of the documents provided. Install one from Login to UP Portal To log onto the UP Portal 1. Open your browser (Firefox or Chrome) 2. 6 3. Click on MyTUKS Login (at the top of the page) Figure 2: MyTUKS Login 4. Log into the UP Student Portal using your username (e.g. u ) (This is a lower case u followed by YOUR student nr). This is the same username and password that you will use for clickup, your student account, and Wi Fi on campus. For security reasons, your password will expire every 60 days (2 months). You must change your password every two months. If your mobile device is usually connected to the Wi Fi on campus, remember to type in the new password once you have changed it. 1. Navigate to the device s Wi Fi settings. 2. Tap to select the connection that you usually use. 3. Select Forget. 4. Reconnect using your UP Portal username and password. Note: You use the same password for the UP Portal, clickup and for connecting your own devices to the Wi Fi on campus. When you change your password on the UP Portal, it is automatically changed for clickup. However, you must log in again manually on your mobile device whenever you have changed your password. 7 Remember that the system is case sensitive. You must make sure that you use upper and lower case correctly when typing in your username and password. For example, U will not work. 5. If you are logging in for the first time, click on the New users link. The system will take you through the steps for creating security questions and to set up your password. Read the steps and information (on passwords and browsers) carefully. REMEMBER THE PASSWORD you provide. You will use it often. Once your security questions and password are set up, you can log in. The Student Portal will display. The page is roughly divided into 3 columns. Each column consists of a couple of portlets. Most of these portlets can be moved around to customise the screen according to your needs. If you are not successful in setting up your own password to log in to the UP portal and clickup consult the IT Helpdesk (see page 3) before the clickup orientation session. Figure 4: Student Portal On this student portal page you have access to information, such as student , study financing, your clickup modules, etc. Notice that there is a quick view area where you can see if you have any unread s. Let us look at the most important portlets. This is the clickup portlet: Figure 5: clickup portlet Click on the clickup home page link to access clickup (your online classrooms). Note: When you click on this link, the clickup Home Page will open. You may not have links to all the modules you registered for in clickup because lecturers might make those links available later / or may decide not to open a link in clickup. Ask lecturers whether there will be a module in clickup and if they opened it if you still do not see the link, consult the clickup Help desk (page 3). 7 P age

8 Another important section is the UP Gmail portlets. Figure 6: UP Gmail and Timetables portlets Click on the TUKS Gmail link to access your student from the Portal. Notice that the portlets also indicate how many unread s you have. The Student Centre link will take you to your online administration and academic pages. Figure 7: Student Centre portlets Here you will find your academic record, final marks for modules amongst other things. 1. Click on the Student Centre link. The Student Centre page will display. 2. In the Academic Information section, you can click on Print/View Academic Record to view your final marks at the end of a semester/year. Figure 8: Viewing your academic results 3. In the Personal & Contact Information section at the bottom of the page, click on Addresses. 8 P age

9 Figure 9: Personal & Contact Information 4. Open the tabs one by one and make sure that your contact information is correct on each of them. Most important is the address tab, since this is where you will see where your student s are sent to. Figure 10: addresses tab If any information is incorrect you must go to the Student Administration office to change it. Once you start studying at postgraduate level, you can add more addresses here to receive your communications at more than one address. Above the portlets, on the left hand side of the page, you will see the following icons in the action bar: Figure 11: Icons in the action bar The following icons are the ones that you might use the most: 1. Calendar 2. E payments 3. Library (access the library page from the UP Portal) 4. Parking (postgraduate students apply for parking discs here to park on campus from 14:00) 5. UP (this is where you can access your student account from the UP Portal) 9 P age

10 2. Student account Accessing your student account When you register at UP, you receive a free student address where you will receive all communication from the university. It is important to read these s, because your lecturers might want to remind you of assignments that are due, or notify you of changed exam dates, etc. It is important to read your students s daily. If you know that you will forget to read your student s, you can set your s to be automatically forwarded to your personal address (p. 13). You MUST do this yourself. You can access your directly through Google Gmail ( or through the UP Portal. There are 2 links on the UP Portal that will take you to the Gmail login page. 11 Note: Always un tick the Remember my Password checkbox. Otherwise the computer saves your login details, making it easy for other people to hack your account. The same goes for your personal accounts, and when working on other computers off campus. PLEASE NOTE: Whenever your UP Portal password changes, the password also changes for clickup, your student account and your Wi Fi access. Keep your password safe! Some students forget to log into their student account to see if they have received any communication from their lecturers or Student Administration. This can result in problems, because they might miss out on important announcements on tests and practical sessions. This is why you get to choose if you want to set up forwarding. This means that you can set your student settings to send all incoming s to another address. A copy of the is kept in your student account, so you can always access it later. Follow the diagram to help you decide if you want to set up forwarding: 11 P age

No Access your UP student account regularly If you find yourself forgetting to check your student account, complete the Forwarding activity Complete the Forwarding activity

13 forwarding Automatically forwarding your student s to your personal address Do you want to receive all your student s at your personal address? If so, follow these instructions: 1. Log into your student account (p. 11). Un tick the Remember my Password. (If you already have an account in Gmail, click on the Add account button to display the screen below.) 14 3. Click on the Forwarding and POP/MAP tab. 4. Click on the Add a forwarding address. 2 1 Figure 15: forwarding settings 5. A pop up block will appear, asking you to enter the forwarding address. Type the address where you want your s to be sent to. 6. Click on Next. 7. Click on Proceed. 8. A message will display, informing you that a confirmation code has been sent. (This confirmation code was sent to the forwarding address you provided.) Click on OK. Figure 16: Add a forwarding address message 9. Log into the account that you have chosen as a forwarding address. 10. Open the containing the confirmation code. 11. Click on the link provided, or if it does not work, copy the Confirmation code from The link will take you back to your student account. Alternatively, paste the Confirmation code in the field provided and click on Verify: 14 P age

Go to the student Gmail account again (to the Settings page and the Forwarding tab) 15. Select Forward a copy of incoming mail to and keep Gmail s copy in the Inbox. This way, you can view your s in your student account, as well as your private account. 16. 16 3. clickup Introducing clickup Log in and navigate in clickup clickup is the online classroom for each module that you are registered for. Depending on what your lecturers use clickup for, you can find your class notes, study guides, various activities and progress marks here. Log into clickup There are three ways to navigate to clickup: Directly through the clickup URL ( Through the UP Portal Through the Blackboard mobile app Let us look at both methods. Method 1: 1. Click on the clickup home page link. Figure 22: clickup home page link The clickup Home Page will display. The top of the page contains different tabs. Notice the clickup Help tab. You can click on it to navigate to the Help page. 17 P age

18 Figure 23: clickup Help tab Method 3: Blackboard mobile app You can also access clickup from most mobile devices (tablets, smartphones etc.): 1. Go to the App Store, or Play Store. Note: You can download the app from Blackberry App World, but some features on the app glitch occasionally. You might also experience problems when accessing clickup through the Opera Mini browser. 2. Search for Blackboard Mobile Learn. 3. Install the app. 4. Search for your school: clickup or. 5. Login using your Portal username and password. Let us look at the Courses section and the Global Navigation. Courses your Modules There are also three main columns that take up most of the space on the page. The column in the middle shows the modules that you are registered for. Note: You may not have links to all the modules you registered for in clickup because lectureres might make those links avialable later / or may decide not to open a link in clickup. Ask lecturers whether there will be a module in clickup and if they opened it if you still do not see the link, consult the clickup Help desk (page 3). 18 P age

19 1. To access the online classroom for a module, click on the link for that module. Figure 24: Click on a module link to access it Here is an example of a clickup module: Figure 25: Example clickup module Each clickup module might look different, depending on how your lecturer has set it up. Let us look at some of the features: 19 P age

20 Home icon Refresh button Logout button Content areas Menu Figure 26: Features in a typical clickup module Let us look at what each of these features are used for: Home icon: Click on the icon to navigate back to the landing page. The landing page is the first page you will see when accessing the module. Refresh button: Click on this button to refresh the screen. Menu: This is the navigation menu which you will use to access the different content areas in the module. The items in the menu are hyperlinked, so you can click on them to navigate through the module. Content area: In this space, you will find all the files, folders, information and quizzes that are posted in the module. Logout button: Remember to log out by clicking on this button when you are done. If you do not logout, anyone can access your account. Global Navigation 1. Click on the Global Navigation drop down menu in the top right hand corner of the page, next to your name. Figure 27: Global Navigation drop down menu The drop down menu will open. 22 Optional Setting up your clickup (Blackboard) profile Resources: Watch this video for more information about your Blackboard Profile Read the guidelines about the Social Tools (also on the next page) _1 Your clickup profile is your profile for your online classrooms. You can also connect with other people and share information somewhat similarly to Facebook and LinkedIn. Your clickup profile photo Be careful when choosing a photo for your clickup profile, because this photo will appear EVERYWHERE in clickup next to your name. Here are some tips: Use a photo of yourself not your pet, or a random object. This might be your first professional profile picture. Do not use a photo with you holding alcohol, or any incriminating substances. Do not use a photo that has someone else in it otherwise people might not know which one is you. Choose a photo which you can use to start building a professional network you never know if the person sitting next to you in class will one day help you find your dream job! 1. On the Global Navigation tab, click on the drop down menu. 2. Click on the photo icon. 3. Your profile will open. 4. Click on Edit My Blackboard Profile below your name. The page is devided into three main sections. On the left, you will see a black pane. In the middle is the section where you can type information about yourself. In the right hand section you can change your privacy options (see next section). 5. In the middle section, click on the Change Picture button. 6. Click on Use custom avatar image. 7. Select the picture from your saved files. 22 P age

23 8. Crop the picture if you need to. 9. Click on Save. Privacy options You can set your clickup profile privacy to: All Blackboard Users (visible to all people around the world that also use Blackboard for their online learning environment) My Insitution (only visible to people within UP recommended) Private Hidden Figure 28: Privacy Options 23 P age

25 Optional Personalise clickup Home You can personalise your clickup Home Page. The following table explains a few features that you can change on your clickup Home Page: What you can change How to change it Colour scheme Click on the clickup Home Tab. Click on the Notifications Dashboard or My clickup tab (you can apply these settings to both pages) Click on the Personalise Page button Select the link below the theme of your choice Click the Submit button The new colour scheme displays on the Notifications Dashboard page Add more modules (items that include content, links or tools, for example Needs Attention) to your My clickup or Notifications Dashboard pages. Select the Add Module link at the top Browse or search for the particular module you want to add Click on Add below the particular tool or link you wish to add Click on OK NOTE: This is NOT adding a module that you enrol for in your studies, e.g. NMQ 755. To enrol for your UP Modules, you have to go to the STUDENT CENTER/Student Admin offices. These modules are pieces of programming that adds functionality to your page. Change the order in which modules display on the Notification Dashboard Remove a module from the Notifications Dashboard Hover the mouse over the Module you want to move Drag and drop the Module to the position where you want it Hover the mouse over the block that you wish to remove Click on the X that appears at the top right of the Module to remove it Click the OK button Table 3: Personalising your clickup Home Page 25 P age
