1 Welcome to the Banner training course. Banner SIS (Student Information System) is the application used in the university to supports the management of programmes and modules as well as the administration of students from point of application to conferral. It is supplied by the Sungard SCT and is maintained by MSU. The aim of this course is to introduce the Banner Student Information system to new members of staff or those who simply wish to brush up on their skills. At the end of this course you should feel confident about using Banner and be able to do the following: Perform a search for a student Retrieve student details (for example personal, academic & enrolment details) Run a photo class list Organise your personal Banner menu Change your Banner password 1

2 Accessing Banner Forms On opening Banner you will see the General Menu screen. In order to view a form you must enter the form name in the Go To field in the main Banner window. Press enter to access the form. Searching for students SWGENQY is the student general enquiry form that you will be utilising in your day to day use of Banner. To access this form type SWGENQY in the Go To field in the main Banner window. Press enter to access the form. The SWGENQY form opens with an alert box. Click OK to proceed. To view student information, enter the student number in the student number field (as shown below) and press control & page down at the same time. The student's most recent record appears. If you do not know the ID number see the searching for a student section below. What to do if you do not know a student's number Click on the down arrow beside the Go To field in the main Banner window. This brings you into a new form called SOAIDEN which is the person search form. Any Banner form can be populated by using this command 2

3 Example of how to use this form: We want to search for a student called Elizabeth O'Reilly who we know started in In order to refine the search we are going to use a wildcard which in Banner is %. A wildcard will enable us to refine the search to only those students who started in We enter the following: The % sign after the 05 will return all students who started in 2005 with the name we have entered. The % sign between O and Reilly will ensure that all O Reillys are return regardless of whether there is an apostrophe, no apostrophe, a space or no space between the O and Reilly of O Reilly. Having entered the details above we execute the query by pressing the F8 key. We then get the following: To return to SWGENQY to view the details of this student double click in the ID field. All names such as O Reilly, O Connor should be entered into Banner in the format O Reilly. However this is not always done 3

4 See below for a screenshot of what SWGENQY looks like: SWGENQY can be broken up into 3 sections: Section 1 The first section contains the student's personal details - student number, name, address, telephone number etc. The Address block contains the recorded addresses. All students have both a permanent and term address. If no term address is supplied then the permanent address is entered as the term address. To scroll between the permanent and term addresses click into the address field and use the up and down arrow keys on your keyboard. Again to view different telephone numbers click into the telephone number field and use the up and down arrow keys on your keyboard. The cursor must be in the address field or phone field to scroll between records. 4

5 The hold box will be ticked if there are holds against the student's record. The hold information may be viewed by accessing the SOAHOLD form through the direct access field or via Personal Menu. The comments button is displayed if comment information is recorded on the student's record. To view the information click the button. This brings you to the SPACMNT comment form. To view information press control & page down at the same time. Press Exit to return. Section 2 The second section contains the academic details of the student - the programme they are enrolled for (including the programme code, the level, their major etc. The Academic information appears below the address block. The academic year displayed is the most recent year in which the student registered. The level code indicates the level of the student (i.e. undergraduate, postgraduate). To scroll between years click into the year field and use the up and down arrow keys on your keyboard. The college to which to student is attached appears below the Academic Year field. There are 5 Colleges within UCD and each has a unique code: Code CB CC CD CE CF College Business and Law Eng, Maths & Physical Sciences Human Sciences Life Sciences Arts and Celtic Studies The programme code and major code appears in the box to the right of the level code. An example of a programme code is BHAGR001 (Agricultural Science). Within this programme are a number of majors - for example - FSS1 (Food Science). For a student registered to the programme Agricultural Science and majoring in Food Science the above codes would appear in Banner for them. These codes are very important especially if you are running Business Objects reports in which the programme or major code is a necessary parameter to input. Remember you can find the relevant code here in Banner. 5

6 Section 3: The third and final section holds details such as registration status enrolment status and conferral status. The final letter indicates whether the programme is full or part time. The Student and Enrolment status fields display the student s current statuses. A fully registered student who is not repeating must have Registered in the student status field and Enrolled in the Enrolment status field as shown above. A student repeating internally would have Registered to Repeat and Enrolled to Repeat in the corresponding fields. Other statuses are detailed in the table below. Along the right hand side of the form, underneath the student's photograph is a number of buttons: Clicking on the first button "Registration" brings up a new form which displays the modules that the student is registered to for the selected term. 6

7 You may see the same module code appear twice. For example MIS in the above screenshot. However under the Schedule Type you can see that one is a Lecture and one a Tutorial. To exit this form click Return. This brings you back to the main student enquiry form - SWGENQY. The next button "Acad. History Trad." will only be applicable to nonmodular, traditional students. Thus no information will be held here for modular students. The button "Acad. History Mod." displays a students GPA details by Semester and Stage: In the above example you can see Semester 1 GPA. In the section below, Stage GPA, the status is incomplete as the semester 2 credits are not in as yet. To view the Module Information click the "Module Information" button. This opens a new form SHACRSE. To populate this form press the control & page down keys on your keyboard at the same time. The following appears: 7

8 Thus all details of the module including the grade the student achieved are displayed. To exit the form click the X in the top right hand corner. This brings you back the GPA information. Click Return to return to SWGENQY. The final two buttons "Additional Info" and "Attributes" contain further student information. Running a photo class list in Banner: In the Go To field in the main Banner window type in SWSCLST and hit return. Again, a security warning comes up, to continue, press ok. In the Term field you can either press the down arrow beside it and select the term or simply type it in. The same applies to all of the fields. Fill each of the fields with the parameters that you want so that it looks like this: 8

9 You can see that a wild card % is used in the course field. This will return all the CRNs (Course Reference Numbers) associated with this module. Click run class list and the class list will generate as a PDF which can be saved or printed. Changing a Banner password Type GUAPSWD in the Go To field at in the main Banner window. This will bring you to the Password change form. In the Oracle Password field type your current password. In the New Oracle Password field type whatever you want your password to be from now on. The password requirement is that it be at least 6 characters long and contain at least one digit. Repeat this new password in the Verify Password field. Click the save icon. Please note: This only changes your Banner password and does not affect your network, UCD Connect or Business Objects password. Checking a student's address: Type GOAEMAL in the Go To field in the main Banner window. Hit the return key on your keyboard to bring the form up: 9

10 Again to populate the form press control and page down at the same time. You will then see the students address in the Address field. There may be more than one address but when corresponding with a student ALWAYS use their ucdconnect address. Once you have the Address field populated you can simply copy the address and paste it into the message that you are sending. Personalising your Banner menu: To create a Personal Banner Menu, type GUAPMNU in the "Go To" field or double-click the "Organise My Banner" link in My Banner. Type the form name you wish to add into the right pane. Save your changes by either, clicking the save icon or by pressing the F10 key on your keyboard. Exit the form and your Personal Menu will be updated with the forms you have added. 10
