2 Appropriate Use and Security of Confidential and Sensitive Information Appropriate Use and Security of Confidential and Sensitive Information Due to the integration of Student, Human Resources, and Finance modules in Banner, it is imperative that you understand the importance of records security in regard to the access you may have in Banner. You may be granted access to information beyond what you need to perform your assigned office duties, but you should adhere to only the areas you are responsible for. Your access into Banner has been granted based on job duties and it is your responsibility to ensure the information you have access to is used appropriately. Because you have access to confidential information currently enrolled and former students, it is important that you comply with and are aware of the FERPA Act of 1974 (Family Education Rights Privacy Act). All information, unless you have been given written consent from the student, should be used for legitimate educational purposes only. It is necessary that All University employees become familiar with the following policies. Always as a precaution, below are some good standards you should always follow. Do not share your password(s) or store them in an unsecured manner. Do not leave your workstation unattended, it is your responsibility to keep any activity attached to your login id secured. Do not share any confidential and sensitive information with anyone, including colleagues, unless there it is to be used for business purposes. Do not leave any documentation that has any identifiable information pertaining to a student on your workstation without you being there to secure and protect it. ALWAYS, securely dispose of all documents, reports, screen prints, handouts that contain confidential and sensitive information by destroying or shredding up those documents. Contact the Office of the Registrar or refer to the Office of the Registrar s WEB site to find out more information pertaining to FERPA. TTU TTUHSC 2
3 Key Concepts Banner Terminology Forms: Key Block: A form is where information will be viewed. The Key Block is the top portion of a Banner Form; this is where you enter key information such as the Tech ID, Name, CRN, and Term to bring up information on the form. Blocks: Tabs: Term: CRN: Next Block: Blocks are areas on the Form. On some forms within Banner, there are tabs, also known as blocks. Select a tab to view the information affiliated with the tab. Fall, Spring, and Summer Terms are set up with a unique naming process. Refer to the Term Code instructions in this handout. Each course section is generated a five digit number that identifies the course section. The registration process uses the CRN. To activate the information on the form Previous Block: To move backwards to a previous block Roll Back: Save: Exit Form: To move back to the Keyblock area. To save information entered on a form. To close out the current form, click the large X (Exit) icon TTU TTUHSC 3

8 Key Block Blocks and Tabs Key Block Top Portion of the Form is called the Key Block area All information on the form relates to the Key Block data Enter in information such as Banner ID, Term, CRN, etc Key Block Blocks/Tabs The main body of the form Contains information pertaining the student, course, course section, etc Not all forms have Tabs, so in order to navigate through the form, you must do Next Block Four General Ways to Navigate through Tabs/Blocks Tab Click on the Tab: Address, Telephone Next Block/Previous Block Click on the Next Block Icon Click on the Previous Block Icon Block/Next Use the Menu Bar Click Block on the drop down menu Click Next Keyboard Shortcut Cntl + Page Down TTU TTUHSC 8
9 Banner Student General Navigation Banner TTU TTUHSC Log into Banner Log in with your: eraider Username/Password [Sign In] 3. INB Internet Native Banner TTUSPRD Production UDEV Test Exit out of Banner There are a couple of ways to close out Banner 1. Click on the Red X in the Upper Right corner 2. File/Exit (drop down Menu) The below message will pop up [Yes] To Close out Banner [No] Takes you back to Banner 4. Oracle Banner ID Log in with your: Oracle Username/Password [Connect] First Time Logging into Banner You may receive a pop up window to install Java Software Install Java Software or ask your Department Technical Support for assistance Forgot Your Password? Log In with your: eraider Username/Password Reset Password Link Follow Password Guidelines Enter Password Click Set Password Button Note: If you see any other message other than Password has been Changed, try again. If you continue to have problems with your password; contact the IT Help 742 help. TTU TTUHSC 9
10 General Menu and Layout Security: Each user will only see the forms they have access to according to their level of security To Open up the Student Menu 1. Highlight Student [*STUDENT] Double Click on folder 2. Folder will open showing all folders under the Student Menu TTU TTUHSC 10
11 Basic Navigation to a Banner Form (SPAIDEN) There are several ways to navigate to a Banner Form. In this example, we will navigate to the SPAIDEN Form In these instructions, we will go over two basic processes. 1. Navigate to SPAIDEN using Banner Menus, or 2. Type SPAIDEN in the Go To...field 3 Steps to SPAIDEN Through Banner Student Menu Banner Menu 3 Steps to SPAIDEN 1. Highlight > Double Click on Student Menu 2. Highlight > Double Click on General Person 3. Highlight > Double Click on General Person Identification form [SPAIDEN] Quick Steps to SPAIDEN 1. Type SPAIDEN in Go To Field 2. [Enter] Quick Step to SPAIDEN Using the Go To field Type in SPAIDEN in Go To...Field TTU TTUHSC 11
12 Components of a Banner Form In this manual, SPAIDEN is used as an example of a typical Banner form within Banner Student. The basic set up of all forms are the same; except SPAIDEN has Tabs and not all forms have Tabs TTU TTUHSC 12
13 How to look up a Student The following demonstrates three ways to bring up the student s information. This process works on any Banner student specific form. Use wildcards (when needed) to narrow down a search criteria. Wildcards A wildcard is a special character that represents one or more characters. Use wildcard symbols % and _ in the search criteria. Wildcards can be used to search for partial names, and Tech ID numbers. % (percent sign) represents any number of characters _ (underscore) represents one occurrence of a character To get these results All entries that contain sm All entries that begin with sm All entries that end with sm 1. Tech ID Enter Tech ID in the Student ID field [Enter] All entries that have m as a second character, and any characters after m 2. Name Search Enter in Last Name, First Name use wildcard % or _ (if needed) [Enter] ID and Name Extended Search window will pop up Click on Results Highlight person [Click] to select 3. Use drop down arrow to search Click on drop down arrow to SOAIDEN form Select Person Search Enter in Last Name, First Name use wildcard % or _ (if needed) [F8] Highlight Name [Double Click] in ID Field Enter this criteria... %sm% sm% %sm _m% Search by: 1. 15 Name Search Forms Two Name Search forms are available and can be used when searching for a student. SOAIDEN Person Search form SOAIDNS Person Search Detail form SOAIDEN SOAIDEN is also located in the Key Block area between the ID and Name field Displays Tech ID Last Name First Name Middle Name Birth Date Name Type SOAIDNS SOAIDNS displays not only the same information as SOAIDEN, but also includes: Displays Addresses Telephone Numbers Terms Curricula Summary Field of Study Use F8 feature to search SOAIDNS Use F8 feature to search TTU TTUHSC 15
16 Tips to Remember Options Menu Right Click in the body of the form (not in a field) to activate the Options drop down menu. Functions are unique depending on the Banner Form that is open. Some common functions are: Rollback, Save, Exit, Print, Add to Personal Menu. Title Bar The Title Bar displays all the forms currently open. The Title Bar will also display if the form is in Query [Q] mode. SPAIDEN Updatable SOADDRQ [Q] Query Mode Printing Three ways to print a form (screen print) Print Icon File > Print Shift + F8 Tech ID The Tech ID is the official TTU campus wide ID that replaces the Social Security Number. The Tech ID is a nine character number and will begin with the letter R. The Tech ID must be kept confidential. History of Forms The last 10 forms accessed are displayed since initially logged into Banner. When Banner is closed, the history of all forms accessed will be reset. Click on File drop down Menu TTU TTUHSC 16
17 Tips to Remember Continued View Current/Active Curricula Check the View Current/Active Curricula box in the key block area to display only the current and active curricula on student. This will assist in filtering out the historical programs that are no longer active. The View Current/Active Curricula box is located on SAAADMS, SGASTDN, SHADEGR, SGASTDQ. Carry forward Information Information entered in the key block will carry from form to form. For example: when the Tech ID is entered in the key block, the name and ID will carry forward to each student specific form. Banner WEB Windows Two Oracle windows will open when you sign into the Banner system. Both Windows MUST remain open, otherwise, Banner will be closed. Oracle Developer Forms Runtime Oracle Application Server Forms Services (grey blank window) Can t remember your password? Log into the Team web site to reset your password.
