2 GRADE REPORTING INSTRUCTIONS These instructions are for Elementary schools using the Standards Based Grading System. CREATE STANDARDS BASED GRADE REPORTING TABLE Click on button 7. Standards Based Grade Reporting A grade reporting table must be created for each grade reporting period. Three different grading tables are created during the course of the school year; one for each trimester. Even if grading scan sheets are not used, teachers can not post grades in the ABI system unless the grade reporting table is created for that grading term first. Click on button F. Create Standards Grade Reporting Table 1
3 Select the Current Marking Period and click on Create. Click on Exit to close. Starting and Ending Dates default to the dates and terms already set up for you when you select the Reporting Period. If the start and end dates are not displayed correctly, you can select them from the form. Use the dates according to the Calendar of Significant Dates issued by the district. MARKING PERIODS M1 = 1 st Trimester M2 = 2 nd Trimester M3 = 3 rd Trimester WARNING! Once you click the Create button this warning will appear. This is a very valid warning; you do not want to rebuild a grading file once it is built and scan sheets have been printed and teachers have started entering their grades. It will invalidate everything that has be entered or printed for that grading cycle. If you are certain you wish to proceed with building the current grade file Click on YES. Contact Richard or Kathy to provide grade posting windows for your terms. The grading window is the starting date that you are allowing teachers to start posting grades in the ABI system and the end date is the last day they can post for this term. Grading windows can be setup for all 3 trimesters at once. Be sure to notify your teachers of the grade posting window start and ending dates for each trimester. 2
4 CREATE/UPDATE STANDARDS GRADE REPORTING TABLE FOR ONE STUDENT After the grade reporting table has been created, changes can occur that will affect the grade table. For example, new students enrolled in your school after the current grading term has been built will not be included in the grade reporting table. Use this window to add new students to the current grading file only if you want them to receive grades for the current term. If you choose not to add them at this time, they will be added automatically to the next grading file when the next trimester file is created. A student that is already in the grade reporting table might be moved to a different grade level; therefore the student will need to be updated so that the correct standards appear for that student. (Note: you do not need to do an update for a student moving from teacher to teacher and remaining in the same grade level.) Click on button I. Create/Update Standards Grade Reporting Table for 1 student. Click the mouse on the Student to Change drop down arrow. The following selection box will display. Click the mouse on the drop down arrow of the Select Student from List to locate the student to be updated in the grade table and click on the OK button. The students name will now appear; click the Create/Update button. 3
5 The following message will now display. Verify that you have selected the correct student and click the mouse on the YES button to continue. A message will display when updated or created. Click the mouse on the OK button. The student selected will now be added or updated in the grade table. PRINT STANDARDS BASED MISSING REPORT This report will assist you in tracking teachers progress while they are posting their students marks online and help you in determining which teachers may need a reminder of the current deadline for posting marks. Click on button M. Print Standards Based Missing Mark Report 4
6 The Standards Based Missing Mark Report will print a detailed listing of all students that do not contain a mark for all categories or standards. Once you have clicked on the M. button the following selection box will display. Select the options for the report to be generated and click the mouse on the OK button. Print All Languages print in all languages Print in English Only print in English only Print Only CL print in correspondence language Print Only This Student print for only this student Grade to Print either print an individual grade or all grades Teacher to Print print an individual teacher or all teachers Teacher Name will print Teacher, Teacher Last Name/First Name or Teacher First Name/Last Name Include Inactive include inactive students Marks print for one or more marking periods The following is an example of the Print Standards Based Missing Mark Report. The check marks below the M1 and M2 are for the marking periods that are missing a mark. Click on the printer icon to print the report. 5
7 UPDATE ATTENDANCE TOTALS The Update Attendance Totals option MUST be utilized to calculate the attendance totals prior to the report cards being generated. The calculated attendance totals will then print on the report card when generated. From the Standards Based Grade Reporting form click the mouse on button N. Update Attendance Totals. This option will calculate the attendance totals for the term selected. The following options box will appear. Select the Term to Update and click the mouse on the Update Abs Totals button. When complete a message will display and the attendance totals will now print on the report cards when generated. PRINT STANDARDS BASED REPORT CARDS From the Standards Based Grade Reporting form click on button O. Print Standards Based Report Cards. The Standards Based Report Card prints on legal size paper in landscape orientation. Each school should obtain the template from Curriculum (Lennie Tate s office). It is a pdf file that you will use to print your own report card stock. It will print the back side of the report card. The Aeries system will print the standards and marks on the other side. 6
8 The following option box will display. Click the mouse on the following selections for the report cards to be printed: Print all Languages print report cards in ALL languages Print in English Only print report cards in English Only Print Only CL - print report cards in correspondence language Print Only this Student print report cards for Only this student Only Print Tagged print only students currently containing marks Grade to Print either print an individual grade or All grades Teacher to Print print an individual teacher or All teachers Teacher Name will print Teacher, Teacher Last Name/First Name or Teacher First Name/Last Name Include Inactive include inactive students Marks print for one or more marking periods Click on the OK button The following is a Standards Based Grade Report Card example. 7
9 COPY MARKS TO STANDARDS BASED GRADE HISTORY When a grading cycle has been completed, there is a process called Copy Marks to Standards Based Grade History. This process rolls all the marks into a different table for archiving. This allows school administrators to print an Elementary Transcript which is a complete record of a student s grades for each term for every year of their academic history. NOTE: Although instructions are included for copying marks to grade history we highly recommend you contact Richard Dech , or Kathy Reilly to perform this process. It takes well over an hour and ties up your workstation; we will be more than happy to do it for you. It is recommended that copying marks to Grade History not be executed until just prior to creating the grading file for the next term. That way any grade changes that need to be made after report cards have been printed are changed in the grading file only. Report cards can be reprinted at any time. If you copy the marks to grade history first, and then have to make grade changes, you must make the changes in both the grading file (button K Standards Based Grade Input on the Standards Based grading cycle form) and the grade history file (button R Display and Update Standards Based History on the Standards Based grading cycle form). From the form click the mouse on button Q. Copy Marks to Standards Based Grade History option. The following options box will display. Select the Marks to be rolled over into history and click the mouse on the OK button. The following message will display. To continue click the mouse on the Yes button. 8
10 The process will begin copying over to history the marks selected. A message will display when the process is completed. DISPLAY AND UPDATE STANDARDS BASED HISTORY After the Standards Based Grades have been rolled over into history the student information can be displayed and changes can also be made. Select button R. Standards Based Grade History from the Standards Based Grade Reporting form. The following form will display. Use the Locate options to select a student and display the history that has been previously rolled over from the Standards Based Grades. To filter the history information click the mouse on the Filter School Year drop down at the top right corner of the form. The years available to view will display. Click the mouse on the year selected and the form will filter out all other years of history. To filter out history information for a particular category, click the mouse on the Filter Category drop down. The only history displayed will be for the Category selected. 9
11 UPDATE GRADE HISTORY FOR A PARTICULAR STUDENT Use the Locate options to select a student and display the history that has been previously rolled over from Standards Based Grades. Click the mouse on the Change button. The cursor will display under the Marks column for the first standard displayed. Tab down to the Mark to be updated, enter the new mark and press Enter. The history will now be updated. NOTE: Any changes made in Standards Based Grade History WILL NOT be updated in the Standards Based Grades; you will have to update both grades and history. 10
12 PRINT ELEMENTARY TRANSCRIPT Click the mouse on button S. Print Elementary Transcript. Select limit report by option. Uncheck Print Contact option and click on OK. The following is an Elementary Transcript example. 11
