7 Viewing Student Information Introducing SunGard Higher Education Banner SunGard Higher Education Banner is the Enterprise Resource Planning (ERP) suite that integrates all departments and functions across NMSU onto a single computer system that can serve each individual department s need. Internet Native Banner (INB) is the web version of the Banner suite. NMSU employees will use INB to access vital university administrative information. INB can be accessed through a web browser. The suite acts as an interface between users and an Oracle database containing NMSU administrative data. The NMSU Banner suite is composed of six systems: Student, Financial, General, Advancement, Financial Aid, and Human Resources. The integrated suite uses rules and validation tables to ensure the data are entered and accessed correctly. Since the Banner systems are highly integrated and share a common Oracle database, all users of the system see common database information in real time. 7 of /25/2012

9 Viewing Student Information Getting Started In this section you are given information that you will need before you can start using Banner, including understanding how to access the system and the basics of the system design. Getting Access to Banner Access to Banner is requested on the Web from the Division of Student Success. The following instructions guide you through the process of gaining access to Banner. Once you have completed the following steps to request access to Banner, you will receive an verifying that access has been granted and notifying you of your password. Instructions 1. Open a browser session. 2. Type the URL: (alias: onestop) The Pete s one-stop-shop Web site displays. 9 of /25/2012

10 Banner Student 3. Click on Student System/Data Access Request located on the side bar. The New Mexico State University Student System/Data Access Request Form will display in Adobe Reader. ( 4. Fill out the New Mexico State University Student System/Data Access Request Form. 5. Print the form. 6. Follow the directions as stated at the top of the form. You can call Pete s one-stop-shop at PETE (7383) with any questions about the Student System/Data Access Request Form. 10/25/ of 128

11 Viewing Student Information Terminology Understanding the terms provided in this manual help you to understand the explanations and instructions presented in this manual and to present clear, specific questions that you may have about the information provided. This table defines the basic components of the Banner suite. Suite System Modules Forms Fields Validation Tables Blocks The SunGard Higher Education Banner suite is an administrative software application developed specifically for higher education institutions by SunGard. The software acts as an interface between users and an Oracle database containing New Mexico State University administrative data. The NMSU Banner suite is composed of six systems: General, Student, Advancement, Financial, Human Resources, and Financial Aid. Each system is composed of specific modules that break out components of the system. Forms are screens that contain fields. Fields are areas in a form that are used either to display specific data (such as a last name, address, or NMSU ID number), or to insert data. Validation tables contain Lists of Values (LOVs) that are pre-defined for a specific field. Blocks are groups of related fields within a form. For more terms, see Appendix A: Glossary 11 of /25/2012

12 Banner Student Semesters to Terms Terms in Banner are first defined by the calendar year (2010, 2011). Semesters are defined by a two digit number as follows: 10 Spring 20 Summer 30 Summer II 40 Fall For example, Spring 2010 the term would be The 30 term extension was used for and prior to the academic year. The 30 extension has to remain designated as a Summer II term, due to academic history. Banner Structure Banner is organized as a hierarchy. 14 Banner Student Naming Conventions All Banner forms, reports, jobs, and tables have seven character names that follow the structure rules outlined below. Using the Student Person Identification or SOAIDEN form as an example: Name: S P A I D E N Position: Position 1 identifies the product owning the form, report, process or table. In the case of the SPAIDEN form, the first letter S refers to Student. Position 2 identifies the application module owning the form, report, process or table. In the case of the SPAIDEN form, the second letter P refers to Person. Position 3 identifies the type of form, report, job, or table. In the case of the SPAIDEN form, the third letter A refers to an Application form. Positions 4, 5, 6, and 7 are unique identifiers for the form, report, job, or table. In the case of the SPAIDEN form, the last four letters IDEN refers to Identification. For more information, see Appendix C: Banner Naming Conventions Logging onto Banner Banner supports authenticated user access, meaning that the system verifies your credentials and you are given access to the system based on your assigned security. To use Banner as an authenticated user, you must successfully log on by providing your credentials: NMSU Username, and Banner Password. Instructions 1. Open a browser session. 2. Type the URL: (alias: INB) The Logon screen displays. You can create a bookmark in your browser for quick access to Banner. 10/25/ of 128

16 Banner Student Introducing the Banner Interface Once you have logged onto Banner you will be presented with the Main Menu. This menu is the starting point for navigating throughout Banner. Menu Bar Tool Bar Title Bar Auto Hint Status Line Menu Bar Using the menu bar at the top of every form, you can access an option using a drop-down menu at any time, except when you are working with a dialog box, alert box, or List of Values (LOVs). If a menu item is dimmed, the item is unavailable. Tool Bar Toolbars are sets of buttons that perform common functions. When you move your cursor to a button and pause for a second or two, a yellow rectangle appears with text that describes the function of the button. To use a button function, click the appropriate button. You can click a button any time, except when you are working within a dialog box, alert box, or List of Values (LOV). A dimmed button is disabled and cannot be clicked. 10/25/ of 128

17 Viewing Student Information Title Bar The title bar shows the descriptive form name, the seven-character form name (FOAIDEN), the release number of the form software, and the name of the database you re logged into. Auto Hint The auto hint at the bottom of the form can contain the following information for the field where the cursor is located: Brief field description Error and processing messages Keyboard equivalents, if you can access other blocks, windows, or forms from the field. Status Line The status line directly under the auto hint line can contain one or more of the following messages: Record: n/n List of Values Enter Query Shows the number of the current record followed by the total number of records in the current block. If there are more records than fit in the window, the total appears as a question mark (for example, 3/?) until you scroll to the last record in the block. Once the last record is displayed, the total appears as a number (for example, 3/15). Indicates the field has a List of Values. Indicates the form is in query mode. My Links The My Links section of the Main Menu allows you to customize the menu to meet your needs. This section also allows you to change your password. See Appendix E: Changing your Password. You can also access outside Web pages. One of the standard links is to the NMSU home page. There are six Personal Links that allow you to choose certain Web pages to access. 17 of /25/2012

19 Viewing Student Information Accessing Forms in Banner In the Banner Suite, the term forms can be thought of as screens. The five-form types below are the most common: Main Menu Application forms Validation forms Query forms Used to navigate through Banner. Used to enter, update, and query information. Used to define values. When you look up a code or select the list function, these values appear. Used to look up existing information. Query forms can only be accessed from another form. For example, on SFAREGS when you search for a CRN, the form it uses is SFQSECM. SFQSECM cannot be accessed from the Main Menu or Direct Access. Inquiry forms Used to look up existing information. They can be accessed from the Main Menu, from another form with Direct Access, or with Object Search. Although there are several ways to navigate in Banner, you must navigate to a form to be able to look up or process information. 20 Banner Student Navigating Using the Main Menu The Main Menu allows you to select forms in Banner. Each system in Banner is represented by a folder, which can be expanded to view nested folders (forms) in that system. You can easily navigate through the system by expanding the nested folders. Once you see the item you want listed, open it by double-clicking. 10/25/ of 128

21 Viewing Student Information Navigating Using the Form Name You can navigate to a form by using the seven-letter form name in the Direct Access Go To field. Direct Access can be used from either the Main Menu or from a form. Once you are accustomed to Banner s interface and the form names, Direct Access is very convenient. Using Direct Access from the Main Menu The Main Menu has the option of Direct Access from the Go To field. 1. In the Go To field, type the seven-character name of the form. 2. Press ENTER. The form displays. 21 of /25/2012

22 Banner Student Using Direct Access from a Form You can also use Direct Access while a form is open. 1. From the File menu, click Direct Access (F5). 2. Type the seven-character name of the form in the Enter a Valid Name field. 3. Press ENTER. When you use Direct Access from a form, the current form remains open. When you exit the requested form, job, or Quick Flow, you are returned to the original calling form. Searching for a Form You can search for a form using Object Search if you know part of the name, description, or type. If you do not know the exact form name, this is a very useful search tool. There are three ways to access Object Search: On the Main Menu, double-click the Go To field On the Main Menu, select the Search button next to the Go To field. On the File menu, click Object Search The Object Search form displays. 1. Type your search criteria in the Name, Description or Type fields. 2. From the Query menu, click Execute (F8). A list of the forms matching your criteria displays. 3. Scroll through the list and double-click the form name. The form displays. 10/25/ of 128

23 Viewing Student Information Selecting a Recently Accessed Form To reopen a form that you had used in your current Banner session, the File menu lists the last 10 recently used forms at the bottom of the drop-down menu. You can reopen any of these forms by simply selecting the form name you wish to access. The forms that do not appear in this list are the QuickFlow (GUAQFLW), Direct Access (GUAPARM), and Object Search (GUIOBJS) forms. 23 of /25/2012

25 Viewing Student Information Using the Menu Bar The menu bar comprises several option menus. These menus give you the commands you will need to use while working in Banner. The following menus are available in the Banner menu bar: File menu Edit menu Options menu Block menu Item menu Record menu Query menu Tools menu Help menu File Menu The File menu contains standard SunGard SCT Banner and Oracle functions. Some of the menu items call other forms. When you exit the called form, you return to the form you were previously using. Direct Access Object Search QuickFlow Select Rollback Save Refresh Print Displays the Direct Access form (GUAPARM), which is used to access a form by its seven character name. Displays the Object Search form (GUIOBJS), which is used to search for a menu, form, job, or QuickFlow with part of the name, description, or type. Displays the QuickFlow form (GUAQFLW), which is used to access a QuickFlow. Returns you to the calling form and enters the selected value into the field that called the form. On Application and Inquiry forms: Clears all information (except key information) and returns the cursor to the first field in the key block. On Validation and Query forms: Returns the cursor to the first field on the form. Saves all changes entered since the last time you saved. Clears the Auto Hint line. Prints the current window with the date and time in the title bar. 25 of /25/2012

26 Banner Student Exit Exit QuickFlow Preferences Accessed forms On forms and windows: Exits you from the form, window, or Banner if you are located at the Main Menu. On Main Menu: Exits you from Banner. In Query mode: Cancels the query and takes the form out of query mode. Exits you from a QuickFlow. Displays the Personal Preferences Maintenance form (GUAUPRF), which is used to customize your view of Banner. List the recently accessed forms in the current logged on session and allows you to quickly re-access forms that were previously viewed in your current session (up to ten). Edit Menu This pull-down menu contains the functions used to edit text items. Cut Copy Paste Edit Cuts selected text and places it on the clipboard. Copies selected text to the clipboard. Pastes text from the clipboard to the spot where the cursor is located. Displays the Editor window, used to enter or update text. You can display this window from most fields. It is particularly useful in long data fields. Options Menu This pull-down menu contains navigation options. Navigation options vary from form to form and depend on where the cursor is currently located. Some options take you to other blocks within the current form. Other options take you outside the current form to related forms. 10/25/ of 128

27 Viewing Student Information Block Menu This pull-down menu contains the functions used to navigate among the blocks of information on a form. Previous Next Clear Moves the cursor to the previous block that has at least one enterable field. If the previous block is in another window, that window is opened. Moves the cursor to the next block that has at least one field where data can be entered or edited. If that area is in another window, that window is opened. Clears all information from the current block on your display (information is not removed from any records or tables). Item Menu This pull-down menu contains the functions used to navigate among the fields or items on a form. Previous Next Clear Duplicate Moves the cursor to the previous enterable field in the current block. Moves the cursor to the next enterable field in the current block. Occasionally, Next field moves the cursor to the first enterable field in the next block. Clears all information from the current field on your display information is not removed from any records or tables). In a blank row of a repeating record, copies the contents of the same field in the previous record into the new record. This is different from using copy and paste. 27 of /25/2012

28 Banner Student Record Menu This pull-down menu contains the functions used to work with records on a form. Previous Next Scroll Up Scroll Down Clear Remove Insert Moves the cursor to the first enterable field in the previous record. Moves the cursor to the first enterable field in the next record of the current block. If the cursor is in the last record, a new record is created. Scrolls up the list of repeating records, putting the first displayed record near the bottom of the list. Scrolls down the list of repeating records, putting the last displayed record near the top of the list. Clears all information from the current record on your display (information is not removed from any records or tables). Removes all information from the current record. When you click Save, the removed information is deleted. There is NO undo for Remove, so any Remove action is permanent. Inserts a new blank record into the list of existing records. Duplicate Lock Duplicates the contents of all fields in the record and copies them into a new record. Temporarily locks the contents of the record so no other Banner user can update or alter it. Save, Rollback, and Exit release the lock. Query Menu This pull-down menu contains the functions used to query information in the database based on specified criteria. Enter Execute Last Criteria Cancel Count Hits Fetch Next Set Puts the form into query mode so you can enter search criteria to see what information is already in the database. Searches the database and displays the first set of records that match the search criteria. Enters the criteria from the last search (enabled only when one is in Query mode). Cancels the query and takes the form out of Query mode. Counts the number of records that match the search criteria and displays that number in the Auto Hint line. This is a special function that depends on the query to work. If more records meet the search criteria than fit in the window, replaces the current set of displayed records with the next set. 10/25/ of 128

29 Viewing Student Information Tools Menu This pull-down menu contains SCT Banner Xtender Solutions and SCT Workflow. If you are able to access these tools, you will be trained by a representative from within your department. SCT Workflow SCT Banner Xtender Solutions An SCT solution that automates, simplifies, directs, and manages the flow of information through an entire organization. SCT Workflow can pass electronic documents, information, and tasks from one role player to the next for action, according to NMSU business rules. An integrated document imaging and electronic document management system for SCT Banner applications. It is designed to meet the imaging and document management requirements of higher education. 29 of /25/2012

30 Banner Student Help Menu This pull-down menu contains a number of forms of help. Online Help Displays new online information for the current field. Disable if online help is not available for the form. Dynamic Help Query Dynamic Help Edit Help Show Keys List Displays the Dynamic Help form (GUAHELP) in query mode, which is used to display help for a field, block, or form. Displays the Dynamic Help form (GUAHELP) in edit mode, which is used to edit traditional help for a field, block, or form. Displays the Oracle Item Properties window for the current field. Displays the Keys list, which lists the functions and their equivalent keystrokes available for the current form, window, and field. Displays the List of Values (valid entries for the current field) if one is available. The field name will be highlighted in blue, and List of Values is indicated in the Status Line. Display Error If an Oracle error occurs, displays the code that is in error. Display ID Image With the cursor in an ID field, the image associated with the ID will be displayed, if available. Calendar Calculator Extract Data with Key Extract Data No Key Technical Support About SCT Banner Displays the calendar. Displays the calculator. This allows you to Extract Data with Key information to a.csv file. Allows you to Extract Data without Key Information to a.csv file. Allows you to do the following: Turn SQL Trace On Turn SQL Trace Off Reconnect to Database. Displays the About Banner form (GUAABOT), which identifies the current form, release number, date, and time. 10/25/ of 128

31 Viewing Student Information Using Shortcuts to Navigate Banner offers you many ways to accomplish most tasks. When using a form there are three ways to execute commands: through the menu bar, the toolbar standard buttons, and keyboard equivalents. Using the Toolbar The toolbar is comprised of Standard Buttons used to execute commands. Many of these buttons have a command that can be found in the menu bar. When you need to use one of the standard buttons, simply click on the button. For a complete listing and description of the buttons, refer to Appendix D: Function Conversions. Save Rollback Select Previous Block Next Block View/Send Message Print Workflow Submit Workflow Release View Supplemental Data Exit Next Record Previous Record Remove Record Insert Record Cancel Query Execute Query Enter Query BDMS- Display Document BDMS- Add Document Broadcast Message Fine-Grain Access Control Multi-Institution Keyboard Equivalents In many cases, you can use combinations of keyboard keys to access a form, window, block, or field. To access a form with keyboard equivalents: 1. Read the Auto Hint message to determine whether a predefined function lets you navigate to another form, (Count Query Hits, Duplicate Field, Duplicate Record, Exit with Value, and List are the most commonly predefined functions). 2. If a predefined function is available, use Show Keys (help pull-down menu) to find the keyboard equivalent for the predefined function. 3. Use the keyboard equivalent to access the form. 31 of /25/2012

32 Banner Student To access a tab or block with keyboard equivalents: Use the keyboard equivalents for Next Block (CTRL + PAGE DOWN) and Previous Block (CTRL + PAGE UP) to move among blocks or tabs. If the Next and Previous Blocks are in another tab, these keys take you to the other window. Sometimes there are actually two blocks that visually appear to be one, making it seem as though you are moving within the same block. To access a field with keyboard equivalents: Use the TAB key (Next Field) and SHIFT + TAB keys (Previous Field) to move among fields. If a field has the auto-skip feature, the cursor automatically moves to the next field as soon as you enter the required number of characters. Program Functions and Keyboard Equivalent Commands Click on the Show Keys toolbar icon, select Help, and then choose Show Keys from the menu bar (or press CTRL+F1) to acquire a list of program functions and their keyboard equivalents. Available keys change from screen to screen. In addition, not all keyboard commands are available from every form. 10/25/ of 128

33 Viewing Student Information Identifying Blocks A block is a section of a form or window that contains related information. There are two types of blocks: Key Block contains identifying information such as an ID, or record identifier. Other Blocks contain information pertaining to the key block information. A form contains at least two blocks, one key block, and one other block. Each other block can be identified by the bordered edge. Most blocks have a title. There are three exceptions: A key block does not have a title. If a form or window has only one block, the block does not have a title. If a form has a key block and only one other block, the second block has no title. Key Block Other Block Other Block Other Block 33 of /25/2012

34 Banner Student Key Block The first block (key block) on most forms contains key information like an ID number or record identifier. The key block determines what is entered or displayed on the rest of the form. All information on the form references the key block. The key block has at least one field and sometimes more. For example, a form that maintains population selection information may have key block fields for both an application and a selection ID (population selection). The key block stays on the form as subsequent blocks appear. Occasionally, another window may appear on top of the key block if the window is unusually large or if the key block is not pertinent to the window. When the cursor is in the key block, enterable fields in the key block are enabled. When you leave the key block, enterable fields in the key block are disabled. Other Blocks Other blocks contain additional details pertaining to the key block information. Each block contains information related to the key block and is usually enclosed in an outlined box. The number of other blocks will vary from form to form and often contain optional fields. 10/25/ of 128

35 Viewing Student Information Querying Information Querying is the process of searching for information already entered in the database. You can use inquiry forms, query forms, and most application forms to perform queries. Some forms automatically open in query mode, usually because a large number of records related to the form have to be retrieved. When a form opens in query mode, the status line displays Enter Query. You can immediately specify search criteria to narrow the search. If a form does not open in query mode, you must put the form into query mode before you can enter search criteria. In this section we will cover: Defining Query Functions Using Wildcards in a Search Common Search Forms Common Search Fields Searching for a Person Searching for an Entity Searching Phonetically Searching with More Detail. Defining Query Functions The following functions are query functions that can be used in Banner. All of these functions are located in the Query menu on the Menu Bar. These functions are active only when the form or field you are in is available for a query. Enter Execute Last Criteria Cancel Count Hits Fetch Next Set Puts the form into query mode so you can enter search criteria to see what information is already in the database. Enter Query appears in the status line. Searches the database and displays the first set of records that match your search criteria. This function is enabled only if you are in query mode. Enters the criteria from your last search. You can change any of the criteria. This function is enabled only if you are in query mode. Cancels the query and takes the form out of query mode. Counts the number of records that match the search criteria and displays that number in the auto hint. Replaces the current set of displayed records with the next set of records if more records match the search criteria than fit in the window. This function is enabled only if you are in query mode. 35 of /25/2012

36 Banner Student Using Wildcards in a Search You may not always know the exact wording or spelling for which you are searching. You can use wildcards to help with your search. A wildcard is a symbol that represents one or many characters in a word. You can use the following wildcards in the search criteria: Percent sign (%) Underscore (_) The character (%) represents any number of unspecified characters. The character (_) represents one occurrence of an unspecified character. Examples of Partial Name Searches: smith, M% This search will return all ID s with the last name smith, first names starting with M. %, Barbara This search will return all ID s with first name Barbara. %onz%, Mary Jone_, Cindy This search will return all ID s with the last name containing onz and the first name Mary. 39 Viewing Student Information Viewing General Person Information (SPAIDEN) The Identification form (SPAIDEN) is the first form used to enter biographic/demographic data about a person into Banner. You must enter information about a person into Banner before you can complete any transactions for that individual. SPAIDEN can be used for two purposes: To create a record for a person who has never been identified to the system. To add or update biographic/demographic information about a person who was previously defined in Banner. The ID number and name are the minimum pieces of information the system requires to process information for transactions for a person. These items are entered on the main window of the SPAIDEN form. 39 of /25/2012

40 Banner Student Searching for a Person The Person Search form (SOAIDEN) searches for any person in the database. It may be accessed from all forms that require an ID number in the key blocks. This form may be used to determine the correct ID number for a person using the query capabilities of the system. The name, ID number, birth date, change indicator (an indicator to record name and ID changes blank for the current record), and name type are displayed. Instructions 1. 47 Viewing Student Information Viewing Student Admissions Application Information (SAAADMS) In order to view the status of a student s admissions application, you may view Admissions Application form (SAAADMS). This form is a complete list of all applications entered into Banner for this student, including the status, decision, major and department. Use this form to view the status of an application. In order for information to be viewable on SAAADMS, an application for admissions must exist for the ID. The Admissions Office creates an application on the SAAADMS. 1. On the Main Menu, in the Go To field, type SAAADMS and press ENTER. The Admissions Application form (SAAADMS) form displays. 2. In the ID field type the student ID. The Banner system requires a General Student Record to exist before a student can register or be registered for a course and have tuition and fees assessed. The forms that feed into General Student (SGASTDN) are used by Banner to ensure that the student is registered into the correct courses and is assessed the right fees and tuition. If the General Person has completed the Admissions process and is now a General Student, you can search for and view a General Student (SGASTDN) record. To View for a General Student Record, perform these steps: Instructions 1. On the Main Menu, in the Go To field, type SGASTDN and press ENTER. The General Student (SGASTDN) form displays. 2. Here is a table of terms for your understanding: Student Status Student Type Residency Fee Assessment Rate Class Full- or Parttime A student s status is changed to inactive if the student has not been enrolled for one calendar year. This field identifies the student s type for the effective term, such as new or continuing. This field identifies the student s residency for the effective term, helping to determine tuition. This field identifies a student s specific assessment rate for the effective term. This field states a student s current class (freshman, sophomore). It is not a static field but changes based on completed credits, and other designated attributes for graduate students. Not currently used. 53 of /25/2012

54 Banner Student Viewing Curricula You may view a student s curriculum in SGASTDN. Be sure you are looking at the current, active record to find the student s curriculum for the term. You can have multiple curricula records attached to any one General Student (SGASTDN) record; however, when a change is made to the Curricula form, such as changing of majors, then a new General Student (SGASTDN) record is generated. Within a single term, however, curricula changes can be continuously made and there will be no new General Student (SGASTDN) record created. There will be records of every curricula change. Terminology Catalog Term Program The catalog regulations your cohort was admitted under and must graduate with. Program is new to NMSU. It combines campus, college, and student level (MA HSC BS is short for Main Campus - Human and Community Service Bachelor s of Science ). In order to make changes to major, college, or degree, you must change the overall program. 10/25/ of 128

55 Viewing Student Information Viewing Academic Sanctions When students do not maintain adequate academic standing, they begin a process of Academic Warning to Academic Probation I and II, and finally to Academic Suspension. Each stage imposes more structure and limitations on the student in order to help the student return to normal academic standing. The intent is not to punish, but to help the student return to normal academic standing and success. Since some of these limitations involve limitations on the number of credit hours, students on Probation or Suspension may be subject to loss of financial aid. It is the responsibility of the student to determine the impact of their changed academic standing on their financial aid. Notification to students of academic warning probation or suspension appears on the student s grade report at the end of each grading period. Code Description 00 Regular Good Standing - Semester and Cumulative GPA are above a Good Academic Standing after a previous academic standing of 01, WA, P1, P2, AP, AR and the cumulative GPA is above a WA Warning - Allowed only the first time in which the cumulative GPA drops below and the previous academic standing was either 00 or WA. The form is query-only and will display all registered courses and related information for the term or date range and student specified in the key Information of the form. Use the date range to search on open learning courses. A person must be a student and have registered for courses using the Student Course Registration form (SFAREGS) or web registration for this form to be useful. Instructions 1. 67 Viewing Student Information Viewing Linked Courses On the Course Section Information tab, the Link Identifier field is used to designate the code used to link courses that must be taken concurrently, as in a Lecture and Lab course that share the same subject and course number. This action will link sections together and will create an error message at registration should a student try to register for one linked course without the other. If you find a course with the Link Identifier populated, you much search for the courses that are linked. Searching for the courses that are linked is done in the same manner as looking for the original course. This section provides the procedure for completing the registration process: Entering CRN codes for all courses Completing the course saving process for all courses entered in the SFAREGS form Reviewing and correcting any course registration errors that may appear during the course saving process Instructions 1. Type SFAREGS in the Go To field and press ENTER. The SOADEST form will appear as soon as the SFAREGS form loads. The SOADEST form only appears once per logged in session. 2. 80 Banner Student 3. Enter the academic term in the Term field. 4. Enter the student ID number in the ID field. 5. Click the Next Block button (CTRL + PD DOWN). The cursor should move into the next block, unless there are any holds placed on the student s account. If a student has any holds placed on their account, you will not be able to move to the next block and you cannot register the student. The cursor will move to the Hold field. Follow the instructions in the Reviewing and Overriding Holds on a Student s Account section of this manual before continuing the registration process. IF THERE ARE HOLDS, you may review the holds and direct the student to the appropriate party to have the hold resolved. IF THERE ARE NO HOLDS placed on the student s account, continue the registration process. 6. Click the Next Block button (CTRL + PAGE DOWN). The cursor will be in the Course Registration Number (CRN) field located in the Course Information block. 7. Enter the first CRN. 8. Select Enter to log the entry. 10/25/ of 128

Registration staff may need to make grade mode changes for courses that the student wants to audit, or take as Pass/Fail. Change grade modes by entering them in the Grade Mode field. Click on the Search button above the Grade Mode field to view all grade mode options. 11. You may also need to enter the number of credit hours selected by the student for variable credit courses such as thesis, selected readings, etc. The Message field will list the range of hours available for the course. 12. The Message field may open and list the range of hours available for the course. If the Message field does not open, use the Tab key to move across the fields located in the Course Information block that are related to the CRN in question. When the cursor reaches the OVR field, the Message field should appear and provide the available credit hour range. 13. If a student is registering for a variable credit course, enter the number of credit hours the student selected in both the Credit Hours and the Billable Hours fields. 14. Click the Save button (F10). The cursor should automatically move to the Fees field. A Y will appear in the field to indicate that fees have been immediately assessed. 81 of /25/2012

86 Banner Student There are three buttons that you will use to make these modifications: Replace is used when you are changing the entire program. When a student is changing from the program "MA-ENGL-BA" to the program "MA-AGRO-BS," use this button. This button wipes out all the curriculum information, as well as major, minor, etc. Update is used when you add a minor or concentration to the program. For example, if a student has a program of MA-FLNG-BA, use the Update button if the student is changing their concentration from Spanish to French. All the curriculum information is copied, so you just have to change Field of Study. You can also use this button to update the student's catalog year. Duplicate is used when you're adding a second major to the student. Be sure to change the priority on either the original curriculum or the new curriculum. (You can't have two current, active programs with the same priority.) Also, select the Change Curriculum link from the drop down menu on Program. You can not add a second major without adding a second program. Apply to Graduate is NOT going to be used at this time. If this button is used, it will not allow the student to apply fro graduation through the online application. This section outlines exactly what needs to be done in Banner to update a student s curriculum. The SFAREGS form contains vital information regarding a student s Admissions Information. Banner will allow you to change this information if you have access to update this form. HOWEVER, ONLY the ADMISSIONS STAFF is AUTHORIZED to make admissions changes. Changes to this information are a violation of your security privileges and may result in loss of your Banner Security. 87 Viewing Student Information Changing the Primary Major To Change the Primary Major, perform the following actions: Instructions 1. Click the REPLACE button. 2. Each program must be assigned a priority and you can't have two current, active programs with the same priority. If the major you are adding is the second major indicate priority 2 and so on. 3. In the Program field, click the Search button. The Option List appears. 4. Click on Change. The Change Curriculum form appears. Scroll down the list and double click on the specified Program. The Program field and all other necessary fields on the SFAREGS form are automatically filled. You will NOT need to change ANY other fields. 5. Click the Save button (F10). Adding a Minor, Concentration or Teaching Field Adding a minor, concentration, or teaching field can be done in the Field of Study tab. To Add a Minor, perform the following actions: Instructions 1. Click the Update button. 2. From the Field of Study tab, click the first empty Current field available. Banner automatically fills the Activity, Status, Term, and Catalog fields. 3. In the Department field, either: a. Type the corresponding Department Code, or b. Click the Search button. The Option List appears. i. Click on All Department Codes. ii. On the Main Menu, in the Go To field, type SFASLST and press ENTER. The Class Roster form displays. 2. Type the Term. 3. Type the CRN. 4. Click the Next Block button (CTRL + PAGE DOWN). The Class Roster displays. The Sequence number does not indicate the number enrolled in the class. It is the order that the students registered for the class. 104 Banner Student Using INB Printing a transcript is a two-step process in Banner. The first step tells the computer whose document to print (ordering the transcript) and the second step orders the printout. Order one transcript at a time; if you order more, they won t page-break in between. To Order a Transcript, perform the following actions: Instructions 1. On the Main Menu, in the Go To field, type SHARQTC and press ENTER. The Transcript Request (SHARQTC) form displays. 2. In the ID field, type the student ID 3. Click the Next Block button (CTRL + PAGE DOWN). 4. From the Record menu, click Insert. 5. In the Level field, enter the appropriate code: UG Undergraduate GR- Graduate AL- All 10/25/ of 128

You can always use the EPRT (e-print) code if you are unsure of which code your department uses. 7. Use the scrollbar on the right side of the Type field to view the types of transcripts available. 8. Double click on the transcript type for your college or area. The Transcript Type field on the SHARQTC form is automatically filled. The Official field is only for use by the Registrar. Do not click in this field. 9. Click the Issue Information tab. 10. In the Issued field of the Transcript Destination block, type your name. 11. Click the Save button (F10). 105 of /25/2012

Click the Exit button (CTRL + Q). To Order the Printout of a Transcript, perform the following actions: Instructions 1. On the Main Menu, in the Go To field, type SHRTRTC and press ENTER. 108 Banner Student 8. In the Name and Description fields, type an appropriate name and description for your Parameter Set. 9. Click the Save button (F10). Look for the Log (.log) and List (.lis) file numbers at the bottom of the Banner screen. If you save your parameters as described above, the next time you print a transcript you can choose your parameter set from the drop-down menu. All the values used with this transcript print order will be saved. You will only have to change the student ID number each time you use the Parameter Set. IF you choose not to save the Parameter Set, then click the Save button (F10). To print the transcript, perform the following actions: Instructions 1. In the Options menu, click on Review Output (GJIREVO). The Saved Output Review GJIREVO form displays. 2. Double click in the File Name field. The Available Files box displays. 3. Double click on the.lis file. 4. In the Options menu, click Show Document (Save and Print File). A message explaining you have selected to show the file in the browser displays. 5. Click Yes.
