3 Activating your Administrator Account After your Team Subscription is activated, inform your Sales Representative at Swivl which address you have been using to access Swivl Cloud, so an Administrator s Invitation can be ed to you. If you do not have a Swivl cloud address, register for one: cloud.swivl.com/register. Then, check your for a message from info@swivl.com'!3 Create a *free* Swivl Cloud account if this is the first time you re using Swivl.
4 Accepting the User Agreement When you receive your from follow the instructions in the message to confirm your request.!4

6 Accessing the Administrator Portal Hover over your account initials, then select Switch to Admin!6
7 Team Subscription and Composition Under your Team Name, you will find see your team members aggregate video minutes, your subscription expiration, and how many members you have at each service level, according to the number of users your account has been allotted.!7 Reminder: Standard service level limits are determined by how many Pro or Pro+ Users your Team has purchased. For every one Pro or Pro+ User you have, you are allotted five Standard Users.
8 Creating User Tags Create users tags based on their curriculum area, grade level, or department. It is recommended you create User Tags before adding team members. Tip: If you have a large team, user tags can help you sort through your team members analytics more quickly. They re also useful for filtering team members while you perform bulk actions such as: excluding, locking, downgrading, or upgrading team members service levels.!8
9 Adding Team Members - New Swivl Users To create new users, scroll down until you see the Team Members form. Fill out the form under Team Members for all required fields: first name, last name, temporary password (they ll be prompted to change this upon receiving an invite to join your team) and service level.* *User Tags and Groups are optional fields but you will be required to create entries for these fields before you can select them in this form. You may always apply User Tags and sort into Groups after team members are added to your team.!9
10 Adding Team Members - Existing Swivl Users To add an existing user enter that user s Swivl cloud address in the Team Members form in the field. Our system will recognize that there is already an account associated with that and prevent you from entering first name, last name, or assigning a temporary password. You ll still be required to assign a service level at this point. *User Tags and Groups are optional fields but you will be required to create entries for these fields before you can select them in this form. You may always apply User Tags and sort into Groups after team members are added to your team.!10
11 Adding more than 10 users If you wish to upload more than 10 users at a time, the success team at: success@swivl.com. We will send you a CSV template for you to fill out. With bulk import, we can assign User Tags, automatically sort your users into Groups and can even change the ownership of each Group if you wish for a different team member to manage its settings and individual group membership.!11
12 Assigning User Tags After a user has been added to your team, scroll down to the Team Members table. Select one or multiple users by checking the box next to their name and click on tags to apply an existing User Tag.!12
13 Filtering Members Activity by User Tag(s) Find your users by their User Tag quickly and easily by searching with filters.!13
14 Changing Members Access - Lock/Unlock When users leave your organization and you need to keep their videos but do not wish for them to gain access to their account, you should Lock the user. You can Unlock the user at any time. Check the box next to the user(s) name, select Access, then Lock or Unlock. Tip: Locking a user will free up a license on your Team!14
15 Changing Members Access - Exclude When users leave your organization and you no longer need access to their content, simply Exclude the user. The user will still be able to access their Swivl Cloud account after being excluded from your Team. Check the box next to the user's name and then select Exclude. Tip: Excluding a user will free up a license on your Team!15
16 Changing Members Access - Upgrade or Downgrade Service Level If you need to upgrade or downgrade a user on your team, change their service level. Check the box next to the user's name, then hover over License and select the appropriate service level. Tip: Switch out Standard users with Pro/Pro+ when you are have a limited number of Pro/Pro+ licenses to allocate to your Team Members.!16
17 Grouping Team Members Groups are the best way to bring individuals together to share best practices. Organize users into groups based on grade level, department, or curriculum area. Whenever a user selects Share with Group on their video, everyone in that group will be able to view and comment on the shared video.!17
18 Creating Groups Switch to the Groups tab. Enter a name and description and click Add to create a new group. Tip: De-select this box when you wish to manually select specific team members for each group. Otherwise, every team member will have access to the group.!18

21 Customizing Users Video Options Under the videos tab, you can create video tags, comment categories, and view every video uploaded by each of your users, regardless if that user has shared content with you.!21
22 Tagging Videos When your users upload their videos, they have the option of assigning a tag, created by you. In the Swivl Cloud user interface, users can use the search bar with video tag filters to find content quickly and easily. Tags can also help users find best practice videos. Tip: Video Tags can be customized to specific curriculum standards, instructional strategies, or more broadly, by subject area or department.!22
23 Creating Comment Categories When your users comment on their own or other users videos, they have the option of assigning a comment categories, created by you. In the Swivl Cloud user interface, users will be able to apply categories as they leave timestamped comments and search for videos that have certain comment categories applied. Tip: comment categories can be customized to highlight best practices and instructional tools. Many users bring in video coaching frameworks from experts like Jim Knight, Charlotte Danielson, Diane Sweeney, etc.!23
24 Viewing Team Members Videos Under the videos tab, scroll down to your videos feed for a list of all users uploads. Select a video for viewing!24
25 Accessing Basic Analytics When you select a user s video from your videos feed, basic analytics is shown.!25
26 Accessing Full Analytics File Under the videos tab, scroll down to your videos feed for a list of all users uploads. Then select Send Analytics!26
27 Accessing Full Analytics File The CSV file dives deeper into viewers' comments, comment categories, and if your users have multi-microphone robots, you may also view the breakdown of talk time between the teacher s and students microphones. When your excel file is ready, you ll receive a notification to download directly from Swivl cloud and you will also receive an from info@swivl.com'!27
28 Viewing Excel Report Your CSV file keeps a record of every interaction made on a video. It allows you to build a video coaching program that is sustainable and impactful.!28
