4 System Requirements Before using SharperAgent Version LLC, you should check the following items: 1. You must have Internet Explorer version 6.0 or later - How to check: Launch Internet Explorer, click Help and then click About Internet Explorer. 2. You must have Adobe Acrobat Reader Version 6.0 or later - How to check: Click on the Start button, click on Control Panel, Click on Add/Remove Programs, Look for Adobe Acrobat or Adobe Reader in the list of programs and it will list the version number next to it. 3. You must have Adobe SVG Viewer version The SharperAgent, LLC system will check your system for this program and if it is not found, you will have the opportunity to download it. Note: you may have an older version loaded, in which case you will need to uninstall it prior to logging in to SharperAgent, LLC. To uninstall SVG viewer 3.0 click on Start, then Control Panel, then Add or Remove Programs. Once this loads, scroll down this list until you find Adobe SVG Viewer 3.0 and click on the Remove button. Now just follow the instructions until it s finished. If you are still having problems you can call the help number listed below. 4. You must have Macromedia/Adobe Flash Player 8 Or higher to use Marketing In Motion How to check: Click on the Start button, click on Control Panel, Click on Add/Remove Programs, Look for Adobe Flash Player 9 Active X or "Macromedia Flash Player 8" in the list of programs. If you do not have this program you can download it from 5. You must allow pop-ups for SharperAgent, LLC to work properly. If you use a pop-up blocker, refer to the manufacturer's instructions on how to "Allow Pop-Ups for This Site" (you should only have to do this one time). Note: If you have Windows XP on your system and have recently downloaded Service Pack 2 from Microsoft, then you have a pop-up blocker installed. This will not necessarily affect the Marketing In Motion website, but to make sure you can add the Marketing In Motion website to your Allowed Websites list by clicking on Tools and then Pop-Up Blocker, and then Pop-Up Blocker Settings. Once in this menu type in and click Add. This will add the Marketing In Motion website and guarantee that the Service Pack 2 Pop-Up blocker will have no effect on the Marketing In Motion website. 6. SharperAgent, LLC is designed to work with a screen resolution of (at least) 1024 x 768 or you may be unable to see some controls and options - How to check: Right click on your desktop and select Properties then click the "Settings" tab. The screen resolution will be displayed on the lower left and if your monitor is capable of the above resolution, you will be able to adjust the setting with the slider. 5 Starting SharperAgent The first screen you are taken to upon entering SharperAgent displays the user requirements to use this piece of software. Once you have complied with these requirements you can check the box at the bottom of the page and hit next and you will be taken to the Today Screen and this welcome page will not show up anymore. 6 Today Screen The Today screen is your personalized start page. You can modify almost everything on the page, including changing the position of elements, adding more tabs, adding more content, and even adjusting the settings on some of the widgets. Learning The Basics The first thing you may want to do is change the position of all your widgets. To do this just move the mouse cursor over the title bar of a widget and click and drag it to where you want it to go. All the other widgets will move out of your way. If there are widgets you don't want, you can simply click the x in the corner of each to close them. Next to the close button are buttons for refreshing the widget and in some cases a button to access the settings. Creating Tabs To create a new tab, simply click on the add tab button. This will create a new tab with a generic name that you can easily change. Just double click on the tab name and it will turn into a form field. Once you are finished typing in your new name, click anywhere else on the screen and this name will be saved. Now it's time to go to the next step and add some widgets to your new tab. 7 Adding More Widgets To add more widgets, click on the tab you want to add them too, and then click the add more widgets to this tab link in the upper right hand corner. You can add as many widgets as you would like on this page, and when you are finished, click << Go Back to be taken back to your newly updated Today screen. You can move all these new widgets around until you get them into the right places and you're done! Removing a Tab To remove a tab, all you have to do is remove all the widgets inside it. The next time you come to your Today screen, that tab will be gone. Saving Your Layout Saving your layout is easy. As a matter of fact, you don't have to do anything. Anytime you navigate away from the Today screen, your layout will be saved automatically, including the current active tab. When you return, it will be just like you left it. Requesting an RSS Feed If there's a site or an RSS (Really Simple Syndication) feed that you like, that we don't have. Please us at todayscreen@sharperagent.com. Today Screen Legend: What Do All These Colors Mean? We designed different colored headers to help you organize and find widgets easier. Each widget you select for your Today screen is in a particular category and each category uses a different header color. The chart below shows the different colors for each of the categories. 8 The Contact Manager Clicking here will open or close the contact list on the left On the Contact Manager screen, the buttons across the top will allow you to manage your contacts. You can enter or upload contact information, organize your contacts into "Groups" (farms), search your contacts by groups or interests and then them everything from simple messages to professionally designed marketing pieces such as newsletters, fliers, greeting cards and postcards. Add Individual Contacts Accessing and Editing Contact Information Working with Multiple Contacts Other Contact Management Functions Entering Contact Information Even if you don't initially have an address for your contacts, you can still use the SharperAgent Contact Manager to organize client information, schedules, appointments, tasks, notes etc. Obviously, if you want to marketing pieces to your clients, you will need a valid address for them. Adding Individual Contacts On the main Contact Manager screen click the Add A Contact button. SharperAgent User Guide Page 8

9 This will open the "Add a Contact" screen. On this panel you can enter the basics: name, address, phone numbers and so on, and at some point click to store the information. Notice on the right you have a lot of other options. On the Personal Info screen you can enter birthdays, anniversaries, children's names and the name of the person who referred the client. In addition, you can define your own data fields for any purposes that make sense to you. SharperAgent User Guide Page 9

10 On the Consumer Info screen, you can add information regarding the client's real estate holdings and related data. You can also collect ad hoc notes in the "Important Information" window. The Second Contact screen allows you to save information regarding a second contact who is somehow affiliated with, or related to, your primary contact. SharperAgent User Guide Page 10

11 The Groups and Interests screen is very important to use. You can assign your contacts to one or more "Groups" and/or "Interests". To do this, select the group or groups you want to associate this contact with and use the right arrow to move them into the selected groups box. Selecting interests works the same way. To select multiple groups or interests at once you can hold down the "Ctrl" button your keyboard while clicking. Later you will be able to search for a group and send marketing pieces that are targeted at that group or you can take advantage of dozens of thematic pieces that center of various "Interests" such as sports or gardening. Notice that you can add your own Groups or Areas of Interest, so you will probably want to immediately add Groups that reflect your Market Development Areas ("Farms"). Simply click on the button under either window and enter your own "Farm" names. SharperAgent User Guide Page 11

12 The Phone Numbers screen allows you to enter additional phone numbers for your client and you can define your own field names for 5 more numbers. Similarly, the Addresses screen allows you to enter additional addresses for your client OR other addresses associated with your client. By checking the appropriate box or boxes you could copy s to other individuals who are not otherwise entered in your contact manager. SharperAgent User Guide Page 12

13 In addition to the primary contact address, you can add two more addresses on the Mail Addresses page - perhaps the site addresses of investment property, or maybe their summer/winter home. Note by checking one or more of the "Send to:" boxes you can select the address(es) that will be printed on mailing labels or envelopes. Finally, the Preferences screen lets you select the "delivery preferences" for the contact. Note: the "Allow Bulk " is checked by default. Should a client "Opt Out" on one of your ed marketing pieces, this box will be un-checked and the system will no longer send to that contact; you will be notified by of this occurrence. 14 Accessing and Editing Contact Information You can view and/or edit a contact's information by selecting (clicking on) the contact's name in the Contact Manager. This will open the Contact's extended information screen. Notice all the options on the right. If you click on Edit Contact, you can go back and edit the contact's information as described in the last few pages. SharperAgent User Guide Page 14

15 Click on Send Marketing and you can select a marketing piece to to your contact; either a pre-built newsletter, a marketing card, a sports schedule or a customized piece that you saved previously such as a property flyer, a greeting card or newsletter that you created. Click on Send Text and you can send your contact an from the emarketing system. You are presented with a message composer that has most of the formatting options of a Word Processor including several fonts, several font sizes, spell checker, colored text and background etc. You can also attach up to three files to the , and by clicking on a "Stationary" option on the right, your will be framed in a professionally designed page that is branded with your identity and contact information. SharperAgent will add to the stationary options with both permanent and "seasonal" frames. If you click on Add Note, you can enter ad hoc notes pertaining to the contact. These notes will then be displayed in chronological order any time you select this contact. SharperAgent User Guide Page 15

16 The next few options are very similar. If you click on Add Important Date, you can select a date from the date picker at the top left. You can then enter a Subject (that will appear on your calendar), a reminder option (the system will send you an ) and notes about the date or appointment. If this is to be a recurring event, you can check the box and click on Recurrence to select how the event is to recur. Note that the "Range" of recurrence is defaulted to 10 but you can override this with an appropriate selection. SharperAgent User Guide Page 16

17 The next three options, Schedule a Meeting, Schedule a Phone Call, and Schedule a Task all have similar selections to the above "Add Important Date" function, including the date picker, reminder, notes and recurrence. Clicking the Print Letters/Labels option allows you to print a letter, label, or envelope for the currently selected contact or group of contacts. Note: Printing a label for a single contact does not make much sense since you will print the first label on a sheet of 30; this option is really intended for use when you have multiple contacts selected by checking the boxes in the contact list (see "Working with Multiple Contacts" later in these notes). 18 If you select either Labels or Envelopes, the system will create a file in "Rich Text Format" (.rtf) which you can save on your system to be opened by your word processing program. (Note: the.rtf format is universally recognized by most Word Processors). If you select the Letters option, you will see a small editing window where you can create a letter without leaving the emarketing system. You just need to enter a subject and the message itself, all of the addressing, salutation and signature areas are pre-formatted for the currently selected contact. When you have completed the letter, you click SUBMIT and you will have the option of either saving the letter (in.rtf format) on your system or opening it in your default Word Processing program. If you click on the Print Contact Info option, you can print all the information entered for the currently selected contact. Finally if you click on the Delete Contact option, you can delete the currently selected contact from your database. In addition to the options on the right of the screen, when you have selected a contact by clicking on their name in the contact list, you will see a row of blue buttons in the middle of the screen. These buttons allow you to: View Notes - View all notes already entered for the contact in date order (the default when we open the contact screen). View s - View all the s that the emarketing system has sent to the contact. SharperAgent User Guide Page 18

19 View Tasks - View any tasks you have set up related to this contact. View Meetings - View any meeting appointments you have set up with or related to this contact. View Calls - View any phone calls you have scheduled for this contact. View Important Dates - Shows any important dates you have set up realted to this contact. Working with Multiple Contacts By checking the box to the left of one or more contacts on the Contact Manager screen, you can work with multiple contacts. The moment you check the first box, you will see the screen below. Notice on the right hand side that most of the options previously discussed for a single contact also work with multiple contacts. You can a Marketing piece or text message (the same piece or message) to multiple contacts. You can add a note that will appear on all selected contact's records. You can add an important date, schedule a meeting, phone call or task for/with the selected contacts. You can print a letter (the same letter) or print envelopes and labels for each one of the selected contacts. You can print the Contact information for all the selected contacts and you can delete all the selected contacts. On this screen, you have two additional options: Download Contacts will allow you to save a file on your system or to a removable disk. The file will be created in "Comma Separated Value" (.csv) format and will contain all the information from the selected contact records. You should probably do this regularly for all your contacts to ensure that you always have a backup. You could also put the file on a disk and give it to your favorite printer for mail-merging with printed marketing material. The.csv format is universally recognized by just about every printing or publisher application. SharperAgent User Guide Page 19

20 The first step in downloading your contacts is to decide which fields you want to download. From the list of available fields on the left, select one or more and use the arrow to move them to the "selected fields" list. You can also double-click on individual fields to move them over. After selecting the fields you want to download, click the button. This will bring you to the screen to the right where you can receive further instructions and click the button to download your file. SharperAgent User Guide Page 20

21 Add to Group allows you to assign all the selected contacts to a group. Add to Campaign allows you to assign all the selected contacts to a campaign. To learn more about setting up and managing your campaigns go to the Campaigns topic. Other Contact Management Functions Let's take a look at the other large buttons on the Contact Manager screen. The View Contacts button forces a display of all your contacts in the contacts window; this is the default view when you open the Contact Manager screen. Note that you view contact names 14 at a time and you can navigate to the next or previous "page" by clicking the arrow buttons at the bottom of the main. You can also see a total count of your contracts next to the buttons. Clicking on a letter in the blue column to the left, will display contacts with names beginning with that letter. 22 Clicking the View Groups button will display all of your groups with check boxes to the left of each one. Checking one or more of these boxes and then clicking the yellow Show Contacts button at the top of the window will display the contacts that you previously assigned to that group or groups. This is one way to select a group of contacts in order to send a marketing piece targeted at that group. Search Contacts is another way to search. Checking the appropriate box will let you search for contacts assigned to a group or by areas of interest, or you can search using very specific information in the contact records after you click Submit. will display a list of popular contact Management applications from which emarketing can upload contact information. 23 Clicking on an application name will display the step by step instructions for creating a file that emarketing will recognize. On the right you can track your progress step by step through this process. At any point that you need to go back to redo a step, click on the step in the navigation and you will be taken back. Note: each step in the import process is sequential so going back to a step means you will need to go back through the intervening steps in order to ensure the proper uploading of your contact file. You may want to print the instructions that apply to your application to guide you through the process. The instructions for Microsoft Outlook are shown here. SharperAgent User Guide Page 23

24 After you create the file of contacts that you wish to upload, you are prompted to browse your system to find it and are given the opportunity to assign the new contacts to a group before they become part of your existing database. You can also create a new group at this point by clicking Add New Group. Note: In this illustration, I created a temporary folder in Outlook called "Investors" and copied some contacts into it. I then selected that folder rather than the entire "Contacts" folder described in the instructions above. After clicking Submit on the above screen, you get to see the first few rows of data from the imported file. If everything is in the correct location, clicking Accept will add the entire file to your contact records. There are also options to have our system check to see if you are uploading duplicate records. SharperAgent User Guide Page 24

25 If no duplicate records are found, you will be greeted with a screen telling you that your upload was successful. In the event that duplicate records are found, you will be given several options about which records to upload and which to discard. To help you make your decision, you can hover your mouse over an address to get more detail about the record. Note: If your contact records are stored in some other application such as Microsoft Excel or a list in Word, you can probably still upload them by following the instructions under "Unlisted Source" on the first "Upload Contacts" screen. If all else fails call the Help Center number listed under that button on the left of the screen. The Manage Groups button allows you to add and delete group names or areas of interest for your contacts. It will open a screen similar to those depicted on page 6, but there will be no contact identified. Finally, the Send button allows you to send a marketing piece or a test from the emarketing system to someone who is not in your contact list. Editing Your Profile My Profile Upload Your Picture Upload Bulk Stamp All the marketing material that you or print from the SharperAgent system will be personalized or "Branded" with your contact information and picture, so you should update your profile as soon as you have access to the site. 26 My Profile Click on the My Profile button on the left of the screen. This will bring up the "My Profile" screen. Enter your contact information, phone numbers, address and website as you want them to appear on your marketing pieces. You should also upload your photograph. Notice you can have several photographs saved in the system and you can set the picture that will appear on your marketing pieces by clicking the button under the picture frame. A new box will appear with a list of images that are available for you to select. Click the "radio" button next to the image of your choice, and then click the button. This will set your profile image. SharperAgent User Guide Page 26

27 Upload Your Picture To upload your own picture, click the button instead of choosing an image that is already uploaded. This will bring up the box to the right. Type in a title to help you remember this image in the future. Click on the browse button to select a file from your computer. This brings up the "Choose File" pop-up. Navigate to your picture on your system. In this example the picture was previously saved in the "My Pictures" folder on the C: drive. Select (click on) the picture file and click Open. 28 The picture you select in your profile will appear on all your marketing pieces, ed or printed, until you select a different default picture. Once you have uploaded an image, it is automatically added to your list of available images the next time you want to set an image. If you later decide you no longer need this image, you may click the red "x" next to the image name to delete this from your account. Images with gray buttons next to them cannot be deleted as these are the default images that were loaded into your account when you signed up. Upload Your Bulk Stamp The United States Postal Service offers bulk mail service for businesses who require high volume mailing. One of the options to indicate postage payment is to use a "Permit Imprint" more commonly referred to as a "Bulk Stamp". If you have applied for and obtained a Permit Imprint from the USPS, you may upload it to your profile to be included on all of your Marketing Materials that are mail ready (for instance Postcards.) To upload your own bulk stamp, click the button underneath the bulk stamp sample. This will bring up the box to the right. Click the browse button to find the proper file to upload, the same way you did to upload your agent photo. Once you have selected the correct file, click the button. SharperAgent User Guide Page 28

29 Once you have uploaded a bulk stamp to your account, it will appear in your list of images that appears when you click the button. If you wish to delete your bulk stamp you may click on the red "X" next to the words "Bulk Stamp". If you have a new bulk stamp that you wish to upload, you may simply upload the new stamp and it will replace your old stamp. When you have entered all your contact information and selected a default picture click at the bottom of the window. Working with Marketing Materials Select a Marketing Piece Newsletters Preview Printing Order Printing Save Web Post Cookie Crumb Navigation Create/Edit EZ Editor Changing a Header Inserting/Writing Articles Getting Started with Marketing In Motion The emarketing system provides you with hundreds of professionally designed marketing pieces that can be ed to your clients or printed and distributed by regular mail. You can elect to send pre-built pieces such as newsletters and marketing postcards, or you can customize templates to create your own newsletters, fliers, greeting cards, marketing postcards, sports schedules and multi-page guides. The "customization" ranges from minor, to quite advanced allowing you to build a completely custom piece. Since there are so many pieces provided by the system, these notes will cover the in-depth creation of just a few. Once you have learned how to use the editing tools and features, you should have no trouble customizing any of the pieces. SharperAgent User Guide Page 29

30 Select a Marketing Piece screen. Click the blue Marketing Materials button on the left of the main This will launch the Marketing Materials screen where you can select what type of marketing material you want to create. Clicking on one of the buttons on the left of this screen will initiate the creation of your marketing piece. Newsletters We will start with a pre-built newsletter: Click Newsletters You can now select either "Pre-Built" or "Build Your Own". Click the Pre-Built newsletter button. 31 This will open a screen where you can browse pre-built newsletters. When you click on one of the icons you will see a gray box appear indicating that the piece is selected. As soon as you do this, you will see a list of options appear on the right. Preview will open a separate scrollable window where you can see how the newsletter will look in an version, including your "branding" - picture, , phone numbers, and website. will open the editor that we saw earlier but with your contact list in a window on the right. 32 For this example, we will place a check mark in a number of boxes to the left of the contact names and click the yellow Add to button at the top of the list. As soon as you do this, you will see the selected contacts (the people who will receive this newsletter appear in the "Send-To List" to the left of your contact list. You can uncheck any individual(s) in the Send-To List that you decide should not receive this , or you may decide to click the button and start over. Note: that you can toggle between the whole contact list or Groups/Interests by clicking the buttons at the top of the list. So for example, you could click Groups, select "Client", click Add to and then send the -newsletter to all of your contacts in the Client group. Now you can type in a subject for the and enter a message that will appear ahead of the newsletter. SharperAgent User Guide Page 32

33 Note: that you can also attach up to three files to any by clicking the When you have completed the message, click The Print option will launch the Adobe Acrobat viewer on your system allowing you to first preview the print version of the piece, and then by clicking the Print icon on the Acrobat menu bar, you can print the piece on your personal printer. Note: that the pre-built newsletters are two sided so you need to understand how to produce two sided prints on your system. Unless you have a printer capable of duplex printing, you will probably need to scroll to the first page, click print, enter the number of copies on the print driver and select "Current Page". Once you have printed the front pages, take them out of the printer, turn them over and put them back in the paper tray, scroll down to the second page and repeat the procedure above. The Order Printing option will launch a series of screens that allow you to place an order with Impact Marketing for high quality printing of the marketing piece. Have your credit card ready, enter the number of pieces you need and the finished product will be delivered to your office via courier within 72 hours. The Save option will again open the Adobe Acrobat viewer and then by clicking the Save icon on the Acrobat menu bar, you can save the marketing piece as a.pdf file ("Portable Document Format") on your local hard drive or perhaps a removable disk to take to your favorite printer. 34 Web Post offers you three options for "linking" to the marketing piece. All of these links are coded in HTML (Hyper Text Markup Language), which is the "programming" behind web pages. Copy this code and then paste it into an . The first link can be used in a many places but is most useful for pasting into messages, especially if your client has an AOL address. AOL only allows their dial-up users to receive a single small attachment to an message. Documents like the above newsletter become very large files and so would be stripped off by the AOL system if they were attached to an . However, if you copy the HTML code from Option 1, and paste it in the body of your message, your contact will be able to click on the "hot" link and view the document in their browser. The second option lets you create a graphic link (a "button") on your website that will allow site visitors to view the document. The third option provides a text link - "Click Here" - that you can edit. Perhaps "Click here to see my Investor Newsletter." Note: To use these last two options you will need to be able to edit your website in HTML. SharperAgent User Guide Page 34

35 Cookie Crumb Navigation Note: that the SharperAgent system employs something called "Cookie Crumb Navigation." On many pages you can see a "trail" of your selections. You can click on the trail and jump back to that page. You don't have to back all the way out or start over. Use it now to get back to the "Newsletters" page. Now let's click on the Build Your Own Newsletter option. This will allow you to select one of several Newsletter templates provided by the SharperAgent system at the top and you can access any newsletter you may have saved previously shown at the bottom under "My Pieces". 36 Just like the pre-built selection, when you click on a template, the gray border appears denoting its selection, and you see a couple of options appear at the right. newsletter. Clicking on Create/Edit will allow you to start building your own The screen is now divided into two sections. On the left is the template showing the general layout and on the right is the editing panel. Notice all the "change" buttons on the template; rolling your mouse pointer over any editable object will highlight the item to be changed. Clicking on a highlighted area will launch the edit function. SharperAgent User Guide Page 36

37 Let's start by clicking on the banner (header) at the top of the template. The EZ Editor immediately displays a number of pre-loaded banners. Scroll up and down to find one you like, click the small radio button at the left to select it and then click at the bottom. The corresponding header will be displayed on the template. Note also that you can header. Clicking that option will instruct you as to the precise size of the graphic necessary for best display when either printing or ing the marketing piece. Once you have uploaded your own header, it will appear at the top of the window under "My Headers" with a selector button on the left. You can use the system. option to remove headers you have uploaded from the SharperAgent User Guide Page 37

38 Now click on one of the news article boxes in the template. The EZ Editor will show a scrollable list of pre-written articles that you can choose from. In the same way that you selected the header, you can scroll up or down, click the radio button on the left and then click template.. The corresponding article will appear in the selected area of the By repeating these steps for all of the news article boxes, you can quickly build a newsletter using the pre-written articles. You can also select a color for the text as well as the background and you can spell check selected text. As you type your article, you will see it appear (a little delayed) in the selected box on the template, allowing you to judge the size and fit. Once you have finished, Name the article and click (just under the text editing window); your article will be added to the "My Articles" section which appears above the pre-written articles in the Article Editor (see top of this page). Click the radio button on the left of the article's title, and then click to place it in the box on the template. 40 Marketing In Motion System Requirements The first screen you are taken to upon entering Marketing In Motion displays the user requirements to use this program. Once you have complied with these requirements you can check the box at the bottom of the page and click on next to be taken to the Contact Manager. This welcome page will no longer show up when you log in. To turn this page back on you can go to Help Center and then Preferences. Select the option at the bottom of the screen to re-activate this page. SharperAgent User Guide Page 40

41 Editing Templates Navigating Categories In order to get to the Marketing In Motion templates from the main page, click on the Marketing Materials tab in the far left blue column. Then click on the Marketing In Motion tab in the Step By Step frame. Then click on the Home Shows tab. Now you can select the appropriate tab for the template selection that will most closely match your presentation needs. If you have just one or two photos in mind for your presentation you will want to select the 1 or More Photos tab. If you have at least three photos in mind for your presentation, you can select a template from either the 1 or More Photos tab or the 3 or More Photos tab. This will bring you to the Marketing Presentations templates associated with that category. Cookie Crumb Navigation Note: The Marketing In Motion system employs something called "Cookie Crumb Navigation." On many pages you can see a "trail" of your selections. You can click on the trail and jump back to that page. You don't have to back all the way out or start over. Use it now to get back to the "Marketing Materials" page. Selecting a Template to Edit At this point you will be prompted to upload the Adobe Flash Player if it is not currently installed on your computer. Please follow the directions in the System Requirements section. Once you have navigated through the steps listed above, you will see a selection of marketing pieces to choose from. You may select from the Marketing Pieces template library or from your own pieces that you have previously edited and saved. The marketing pieces in the Marketing Pieces template library will be labeled with a title depicting the theme. When you save a piece you can title it anything you wish. That piece will then be saved under the My Pieces section at the bottom of the frame. Create/Edit Preview SharperAgent User Guide Page 41

42 Once you have selected a piece from the Marketing Pieces template library by clicking on it, two options will be available to you in the far right column. At this time you may choose to create / edit the presentation or preview it. Once you have selected a piece from the presentations that you have previously edited and saved (in the My Pieces section in the lower frame) you may chose to create / edit, preview, , web post or delete. Regardless of which template you select to work with, once you select the create / edit option you will be advanced to the Marketing In Motion Editor. Marketing In Motion Editor Overview This is the Marketing In Motion editor page. On this page you can edit slides, text, music and pictures. You can use the edit controls at the top of the screen to modify the presentation or you can click a highlighted area of the presentation to the left to change the content of the presentation. Helpful Hints: The Helpful hints frame can be found in the top right hand corner of the Marketing In Motion editor page. This will display helpful hints regarding the frame you are currently in or working on. There is an EXIT button in this frame. Clicking on this button will exit you out of the Marketing In Motion editor. Once you click on it you will be reminded to save your work or be allowed to cancel the request to exit. The frame directly under this one will also provide helpful hints regarding the various options available at this point in your presentation creation. Edit Action Buttons SharperAgent User Guide Page 42

43 Use the edit controls located at the top of the screen to add and remove slides in your presentation. These are the Edit Action Buttons. (NOTE: Edit Action buttons do not function if you are in the process of editing an element in your marketing presentation. If you receive a message that the function is disabled while you are editing, click on the DONE button at the bottom of your editing box and try again.) Preview The button will launch a preview of the slide show presentation. This will show you exactly what your recipient will see when they click the "Take Virtual Tour" link in your or view your web post. Save The button will allow you to save your work. If you are saving your work for the first time, you will be prompted to name your presentation before you save it. Once you have saved your presentation, the save option will simply save changes to the presentation. Make sure you save often! NOTE: If you save your presentation without editing all of the slides in it, you will receive a warning that you have saved unedited slides and you should complete editing them with your own materials before you send the presentation out. Save As The button will allow you to save an existing presentation under a new title. Your existing presentation will still exist under its original title and the new presentation will exist with the changes you ve made prior to selecting the "save as" option. NOTE: Before you save your marketing presentation, preview and check the "I have previewed the presentation" box. If you attempt to save the presentation without checking this box, you will receive a reminder to preview your work and then check the box. Current Slide Indicator The current slide indicator will tell you where you are in your presentation. It will list the slide number following the total number of slides in the presentation or it will indicate that SharperAgent User Guide Page 43

44 you are currently on the summary slide. The summary slide does not count as a slide in the presentation. As you navigate through the Marketing In Motion editor, the Summary button will bring you back to the summary slide. When the presentation is completed, the summary slide is the final slide at the end of your presentation. This slide is meant to be used as a closing to your presentation where you summarize the content of your presentation. The images and data you use here will appear in the that is sent to your recipient(s). NOTE: The images on the summary slide will not appear in the photobox / thumbnail pane. The Previous and Next buttons will either take you back to the previous slide or advance you to the next slide. You can continue to click on either button to advance all the way through the presentation to the beginning or the end. The Add and Remove buttons will allow you to add or remove a slide from your presentation. When you add a slide to your presentation, it will be added as the last slide. When you remove a slide from your presentation, the last slide will be removed. Slide additions and removals occur sequentially from the end of the presentation. It is a good idea to preplan the sequence in which you want your slides to appear before you add your images and text. When you click on the music button you will be given the opportunity to select specific music to be added to your presentation. The frame at the right of the screen will bring up a sound file tree to select your sound choices from. The sounds are filed within categories based on the music theme. Once you select the music of your choice, a pop-up window will ask if you want to set the sound. Once you click the Yes button, you will be able to preview the presentation with the sound. You will not be able to preview the presentation with the sound unless you "set the sound". You may change and re-set the sound as many times as you wish before you finally save your piece. Template Pane The Template Pane is the frame that shows the actual marketing presentation template. Once you have selected a slide to edit, wait until it is fully loaded on the screen. Then move your mouse on top of the portion of the slide that you wish to edit and click on it. This will bring up an Image box, a text box and a description box in the Edit Element Pane to the right or a Text Editor box, depending on which portion of the slide you are editing. 45 Edit Element Pane When you highlight and click an element in the template pane the edit element pane will change and give you the tools necessary to edit the element. If you select a text element in your slide you will be presented with a text editor so you can change the text. This portion of text will be seen on the slide show presentation. If you select an image element you will be presented with your library of saved images to choose from as well as the opportunity to upload a new image to your library for use. In templates with a PhotoBox/Thumbnail feature, when you select an image you will also be presented with a Caption and Description field. This text will appear under the image in the PhotoBox/Thumbnail section. These fields will only be seen in the PhotoBox/Thumbnail feature. When you change the photo you will see it appear in the PhotoBox/Thumbnail section and when you click Done you will notice it also added in to your slide in the position you selected. Remember to click on the Done button at the bottom of the Edit Element Pane each time you make changes to a slide. You must do this in order to activate the Edit Action Buttons at the top of the screen. Photo Box/Thumbnail The PhotoBox/Thumbnail feature is only available in some templates. This is a feature that allows a consumer to navigate all the images you add to your presentation without the animation. You simply click a thumbnail and a large version of the image appears along with a caption and description. When changing an image in a slide you will see the PhotoBox/Thumbnail section appear in the template. Once you select an image and type a caption and description you will see them appear in the PhotoBox/Thumbnail section. When you click the Done button the PhotoBox/Thumbnail section will go away and you will see that the image you selected is now in the slide as well. Remember the text you insert into the Caption and Description fields will only appear in the PhotoBox/Thumbnail section of your presentation and not in the slide. Some slides require more than one image field to be populated. There will be an image in the Photobox/Thumbnail for every image. If you use the same photo in multiple image fields, that photo will appear in the Photobox/Thumbnail multiple times as well. SharperAgent User Guide Page 45

46 Working with Saved Templates Select a Template Once you have navigated through the categories via steps listed previously (see Navigating Categories), you will see a selection of your saved pieces in the bottom portion of the last Step By Step frame. This section is labeled my pieces. You may also click on the File Cabinet directly under the first Step By Step frame after you click on the Marketing Material button from the main screen. From there you will select the category of your choices and only your saved pieces will appear. Now you can select the piece that you wish to work with. Create/Edit Once you have selected a piece from presentations that you have previously edited and saved you may chose to create / edit, preview, , web post or delete. Once you select the create / edit option you will be advanced to the Marketing In Motion Editor. (see Marketing In Motion Editor Overview) Preview The preview button will launch a preview of the slide show presentation. This will show you exactly what your recipient will see when they click the link in your or view your web post. The you send is a postcard that matches the template you selected with a link to the presentation. The data from the summary slide of your presentation will merge into the . Once the recipient opens the they will be directed to a button that will allow them to see the Virtual Home Tour. Web Post Web Post offers you three options for "linking" to the marketing piece. All of these links are coded in HTML (Hyper Text Markup Language), which is the "programming" behind web pages. Copy this code and then paste it into an . SharperAgent User Guide Page 46

47 The first link can be used in a many places but is most useful for pasting into messages, especially if your client has an AOL address. AOL only allows their dial-up users to receive a single small attachment to an message. Documents like a lengthy presentation become very large files that might be stripped off by the AOL system if they were attached to an . However, if you copy the HTML code from Option 1, and paste it in the body of your message, your contact will be able to click on the "hot" link and view the document in their browser. The second option lets you create a graphic link (a "button") on your website that will allow site visitors to view the document. The third option provides a text link - "Click Here" - that you can edit. Perhaps "Click here to see my Featured Home Tour." Note: To use these last two options you will need to be able to edit your website in HTML. Using the Advanced Editor So far you have been selecting and editing elements in the template using the basic editor. By clicking the you can be much more creative. SharperAgent User Guide Page 47

48 You will notice that all the buttons on the template disappear, but you can still select (highlight) most of the elements for modification. You will also see that the EZ Editor window has expanded to accommodate several more editing tools. At the top you can click the button and place your own picture on the marketing piece, or you can click the button and place a new text box virtually anywhere on the piece. Once you have placed these elements on the template, you can "drag" them to a different location and resize them much like using a Desktop Publishing program. Notice the Layer controls at the bottom of the EZ Editor. When items are placed on a marketing piece, each one will reside on its own "layer" and the layers are "stacked" above the paper in the order that you created them. So if you move one item to the same location as another, the one you created most recently will be on top. By clicking the plus ( minus ( ) buttons you can move a selected layer backwards or forwards as desired. Let's do some "Advanced" editing... ) and SharperAgent User Guide Page 48

49 In this example, we will create a small article surrounding a picture of our latest listing. First we should probably "open up" some space to work with. Click inside one of the text boxes on the template to select it (indicated by the shading). Then click the The text box will disappear. button. Now we will place a picture of the listing in the newly created white space. Click. This opens the File Tree showing a folder called "My Pictures". Note: This is Not the "My Pictures" folder on your hard drive, this is your folder on the emarketing site where you can save your pictures for inclusion with marketing pieces. Once you have uploaded some pictures to the site, there will be a small plus (+) sign beside the folder; clicking on the plus sign will "expand" the folder. SharperAgent User Guide Page 49

50 To upload a picture, click below the window. This opens up the Upload New Image window. Enter a name for your image and then click Browse to locate the picture file on your system. You should now see the pop-up window "Choose File". Navigate to the folder containing your picture, click on the file to select it and then click Open. SharperAgent User Guide Page 50

51 You will return to the "Upload New Image" window and you should see the file path to your picture file next to the Browse button. Click Save to upload the picture to the emarketing site. You can now click on the plus sign beside the "My Pictures" folder and then scroll down to the picture you just uploaded. Click on it to select it - indicated by the gray shading, and then click. Watch the template on the left. Your picture will be dropped on to the top left corner of the marketing piece, and will already be "selected" indicated by a heavy black line around it. While it is selected, you can "drag" it to a different location and you can resize it. Click your mouse pointer inside the picture frame, then click and hold the left mouse button while moving the mouse to the right. Note: You must move the mouse very slowly. This is not a program running on your system. SharperAgent User Guide Page 51

52 When you have the picture approximately where you want it, you can start experimenting with Resizing it. Clicking the arrow button, will shrink the picture; clicking the arrow button, will grow the picture by small increments. Note that you can also rotate the picture for effect in either direction by 10 degree increments using the Rotate arrow buttons, and you can place the picture in front of, or behind other elements on the piece by using the and Layer buttons. the Now we will place some text around the picture. 53 Similar to the picture above, you will see a text box drop on to the top left corner of the piece, and just like the picture box, we can drag it, resize it and change its layer position relative to other elements. You will also see the text editor window appear on the right. Here a text box has been dragged to a position just above the picture and re-sized as necessary. You can separately re-size a text box's height (H:) and width (W:) by clicking the and buttons under "Resize". In the text editor, begin to enter a description of the listing watching on the left to see when the box is full. When the first box is filled, we add another text box to the right of the picture, sized as necessary and then continue entering the description, again watching the formatting in the template. 54 Finally, we add a third box under the picture and finish the article. When you are satisfied with your layout, you need to save your marketing piece. If you did not use the Advanced Editor, just click the button at the bottom of the EZ Editor. You will then have to enter a title for the piece and confirm that you have previewed it (proof read it) before finally saving it. If you did use the Advanced Editor you can immediately give the piece a title, confirm that you have previewed and then save it. Note also that you can Add Another Page in both cases. 55 The Other Marketing Pieces Guides Greeting Cards Personal Greeting Cards Flyers Postcards Sports Schedules The selection, editing and distribution capabilities just discussed for creating newsletters can be applied in small to large part to all the other marketing pieces in the emarketing system. So for the rest of the marketing materials, we will summarize the creation process for each one. Guides The guides currently available in emarketing comprise Home Buyer or Seller's guides and two U.S. government guides regarding Lead Based Paint and the EPA Mold Guide. The cover of the Buyer's and Seller's guides can be customized with your client's name and you can use the Advanced Editor to perhaps add pictures or text. Selection is the same as before: click on a guide (it will be highlighted in a gray box), and then click on Create/Edit to modify the cover. SharperAgent User Guide Page 55

56 Greeting Cards When you select Greeting Cards, you are taken to another selection screen where the cards are arranged in categories. Some of the categories are further sub-divided but you will ultimately select a piece by clicking on it, again denoted by the gray highlighting. Then click Create/Edit as before. The Greeting Cards all have a graphic on the left and a text box on the right where you add your personalized message. Clicking in the text box will launch the same editor as before. 57 Additionally, notice at the top of the EZ Editor box, you also have access to the other side of the card for the printed version and to the footer should you elect to send the card by . With the exception of the areas grayed out to meet U.S. Post Office regulations, you can use the Standard or Advanced Editor to personalize the back of the card. Personal Greeting Cards An option on the initial Greeting Card selection screen allows you to create completely customized greeting cards. Clicking Upload Your Own will present you with a single selection: Upload Your Own Greeting Card. SharperAgent User Guide Page 57

58 You will see a template similar to the other greeting cards, but now you can upload your own graphic on the left. Notice that you are given explicit instructions for the size and resolution of the graphic for either ing or printing. When you click on the image area, you will see the familiar "My Pictures" folder on the right allowing you to select a picture already stored on the emarketing system, or to upload a new picture from your computer. This shows a card created to celebrate the one year "Anniversary" of a home purchase with a picture of the client's home inserted on the left. SharperAgent User Guide Page 58

59 Flyers Selecting Flyers on the initial Marketing Materials screen will take you to an array of Company designed property flyers. Simply select (click on) a template and click Create/Edit. Clicking on any text box will launch the text editor allowing you to change tag-lines, descriptions, price, etc. SharperAgent User Guide Page 59

60 Clicking on a picture will bring up the "My Pictures" folder and you can replace the template pictures with your own. The Advanced Editor is available to customize the piece even more, perhaps adding pictures of your "team" or adding a banner advertising an open house. Once you have completed the design you can save the piece and it will be added to the "My Pieces" selection for future use. Postcards Clicking on Postcards in the main Marketing Materials menu will take you to another selection menu where you can pick three series of listing-related card sets - "For Sale", "Just Sold", and "Open House" or you can choose "Marketing". The listing-related cards are all editable and similar in layout to the flyers above. Note that you can also edit the back of the cards and the footer area as explained in the greeting card description earlier, and the Advanced Editor is available for additional customization. 61 Clicking on Marketing will take you to yet another selection menu where you can pick from several themes. There are literally hundreds of professionally designed cards available and more are continuously added. When you pick a theme you will again see a series of small graphics where you can select a piece by clicking on it. If you then click Create/Edit, you will see the pop-up shown below, indicating that there are no areas on the card that you can edit with the standard EZ Editor, but you can immediately launch the Advanced Editor and make some changes. Since graphics cover most of the face of the Marketing Cards, you will most likely just want to customize the back of a piece. SharperAgent User Guide Page 61

62 Similar to the "Personal" Greeting Card discussed earlier, you also have an Upload Your Own option on the Marketing Cards selector, and again you are given explicit instructions regarding the size of the graphic that in this case will cover the entire face of the card. Sports Schedules The final selection on the Marketing Materials menu is "Sports Schedules", where you can pick a sport and then select your local team's template. Once again, you will be able to make small changes to both sides of the card using the standard editor and the Advanced Editor is also an option. SharperAgent User Guide Page 62

63 The File Cabinet The File Cabinet provides immediate access to any marketing pieces that you have created and saved previously. You can access the File Cabinet by clicking on the link on the Marketing Materials section. When you click the blue "File Cabinet" button you will see the same selection screen that you did under "Marketing Materials", but when you select a category, you will just see your saved materials for that category. 64 When you click on any piece in the Filing Cabinet, you will have exactly the same options as you did when you created it. Campaigns Setting Up a Fixed Date Campaign Adding Contacts to a Campaign Setting Up a Days Between Campaign Campaign Reports Campaigns allow you to "plan ahead" to send a series of marketing pieces to a group of contacts on a predefined schedule. You can set the campaign up to each piece on specific dates. For example, consider a set of gardening "themed" marketing postcards where each piece is designed for a specific month of the year. Alternatively, you can set up a campaign where each piece is set up to follow the previous by some number of days between. Note that you can set the campaign up and then decide which contacts should be added, and you can add and delete contacts from the campaign while it is in progress. The main difference between the two options above is that when you add someone to the "fixed date" campaign after it has started, the contact will receive the next scheduled piece - so if you add them at the end of May, they will miss the gardening cards for the months prior to June. Whereas in the "days between" option above, your contact will receive all the pieces starting with the first one and at the frequency you chose, no matter when you add them to the campaign. 65 Click on the blue Campaigns button. You will see the options below. Note that the "Pre-built Campaigns" will be set up by our Marketing Department. You will be able to simply select one you like and then add your contacts. Custom Campaigns will let you manage your campaigns once you have them set up. Click to begin building a custom campaign. Setting Up a Fixed Date Campaign SharperAgent User Guide Page 65

66 You should now give your campaign a name that will mean something to you later. In this example we will set up a "fixed date" campaign, so check the "Date" radio button. If you check the radio button beside "Use Default Subject" you can enter a Subject that will appear on every in the campaign. Note: you will be able to change them individually later. Click to proceed. Now we need to add marketing pieces to the campaign. Click. SharperAgent User Guide Page 66

67 You are presented with the familiar Marketing Materials selector screen. You can use any of the pre-built marketing pieces (with the exception of the Guides), or you can select pieces that you have customized and previously saved in the system. In this example we will use the Gardening series of Marketing Postcards. Click Postcards, then Marketing Cards then the Gardening series. Select the first piece in the series. You will see a preview of the piece and using the date picker you select a specific date that you want the sent. Notice that you modify the subject for this piece now. When you are finished, click SharperAgent User Guide Page 67

Place a checkmark next to the contacts you would like to add to the campaign and then click the yellow button at the top of the list. On this screen you have the option of checking one or more contacts and deleting them (from this campaign - not your contact list!). You can also Pause and Un-Pause the campaign as necessary. When you are satisfied with the campaign and the contacts assigned to it, click Your campaign is now listed under Active Campaigns. to return to the Campaign Manager screen. 70 Setting Up a Days Between Campaign Now we will set up a Days Between campaign. Click the the Campaign Manager screen (above right). button on Give your campaign a name and this time click the Days Between option on the left. Once again we have the option to override the default subject, and we must decide when we want the contact to receive the first piece. In this case we left the default 1 day after the contact is added to the campaign. Click and again and select the second piece. Now we can decide where in the sequence of s we want this piece. 72 Click and again to select another piece. Notice that each time we select a piece, we can reorder the delivery sequence. We can opt to make it first or last in the sequence or we enter a number of "days after" and by using the drop-down, pick the piece to be followed. Shown here, we inserted "Recommended Wine For Beginners" between the "History of Wine" and "Pairing Wines With Cheese". When you have selected all the pieces, click to return to the Campaign Manager screen. You can now manage the contacts for this campaign as you did for the "fixed dates" campaign. 73 Notice on the Campaign Manager screen, you can select and campaign by clicking its radio button and then on the right, you can "Manage Contacts", "View Content", "Edit Content", or "Delete Campaign". Campaign Reports Click the blue Campaigns button on the left of the screen to return to the main Campaigns screen. Now click the View Campaign Reports button. Select a campaign by clicking its radio button, then click any of the report titles on the right. The Summary campaign report shows how many s are scheduled in the campaign, how many have been sent, how many were opened by the recipients, and the percentage of the total recipients who opened the pieces. 74 The Campaign Report lists all the pieces in the campaign and details for each one how many were sent, opened, and a percentage. The Contact Report lists all the contacts assigned to the campaign and how many pieces were sent to them, who opened them and a percentage. Notice the Auto Newsletter Campaign option on the main campaign screen above on this page. This campaign will send out a fresh newsletter (by - not for printing) every month. It will contain several articles that are "hot linked" from titles at the top and you will be able to customize it with your own articles and listings. The Calendar Clicking the blue Calendar button on the left of the screen will allow you to manage your schedule and appointments. The initial screen is defaulted to a "Monthly View". You will see any events you have previously scheduled for yourself or with your contacts. Clicking on the title of an event will open up the detailed view of that event. Events are color coded (the legend is at the lower right), Tasks are yellow, Meetings blue, Phone calls red, and Important Dates are green. SharperAgent User Guide Page 74

75 You can navigate to different months by using the arrows on either side of the current date window at the top, and you can print the calendar by clicking "Print" also at the top. You can add an event from this view by double clicking on a date. This opens a pop-up where you can select the type of activity from a drop-down menu, you can pick a different date from the date picker and you can pick a time and reminder.
