3 The Great Lakes Health Connect application allows a user to send, receive, and manage Direct HIPAA compliant, provider to provider secure messages from any web browser. IN ORDER TO COMPLY WITH HIPAA REGULATIONS, NEVER SHARE YOUR PASSWORD. Logging in to Enter the following address in a web browser: GLHC recommends bookmarking the website. Enter the entire Direct address and password. Click the Enter button to proceed. After successfully logging in, the Inbox will display. The Inbox features are similar to other electronic mail web services. Inbox The Inbox looks similar to other electronic mail web services. The Inbox is organized into the following sections: Actions, Folders, Messages, Attachments, and Message Text. 4 Quick notes about the Inbox New messages are highlighted in bold text. Click on a message to view the complete text in the Message Text panel. Buttons at the top of the screen allow for the following actions: Mark as Read, Move to Folder, Delete, Reply or Forward the message. If an attachment was sent with the message, an icon and the name of the file will appear in the Attachments panel. Depending on the web browser, clicking the attachment will open the file (i.e. Google Chrome) or save the attachment to the computer s hard drive (i.e. Internet Explorer). Inbox Icons The Inbox has icons at the top of the screen for Actions: New Message Check Mail Mark as Read Move to Folder Delete Reply Forward Print Download Some icons also have additional dropdown options: Mark as Read - Flag, Unflag, Mark All Read, Mark All Unread Move to Folder - options to move to other folders (if already created) Delete - Delete All Reply - Reply to All Delegate Access If you are a Direct Delegate, you will need to click on the arrow next to your Direct address at the top of the screen. Then select the office s Direct address to view the office s Direct Inbox. Checking Messages To refresh Messages in the Inbox, click the Check Mail icon. 5 Opening a Message To open a specific message, click on the desired message, this will display the message text and make actions available. Sorting Messages provides several options of sorting messages. Click on the dropdown arrow next to Arranged by to view sorting options. Searching for Specific Messages The search field is located above the Message panel. Type in a search term and click the Search (magnifying class) button. In the example below, the provider entered the word surgery. All messages with the word surgery are then displayed. The word surgery is also highlighted in the messages. 6 Viewing XML and XDM Attachments Most messages from hospitals will be sent in an.xml or.xdm format. There are two different ways to view documents in the example below. The icons notes may be different depending on the web browser. Provides a web link to view the document. Provides a zip file that houses the document. After choosing to use the zip file, a popup similar to the ones below will appear on the screen: A list of files will display: To view the document(s) only select the.xml files (as noted with.xml after the above). icon Questions or issues with, contact GLHC at (844) or support@gl-hc.org. 6 P a g e

7 Replying or Forwarding a Message Messages containing a CCD or TOC from a hospital are auto generated, DO NOT reply to the message. Forwarded messages include all original attachments. Check that the appropriate consent is on file before forwarding messages and attachments that include protected health information. To forward a message, follow these steps: 1. Click into the desired message from the inbox or a folder. 2. Click the reply icon the envelope with a blue arrow pointing right a. Enter the Direct address 3. Write message (if applicable) 4. Click Send Creating and Sending a new Message 1. Click the New Message button 2. Enter the Direct Mail address of the recipient in the To: field 3. Enter any additional Direct Mail address in the CC: field if necessary 4. Enter the message subject in the Subject text box 5. Select a level of Importance and Sensitivity, if applicable. By default, messages are sent with Normal importance 6. Type a message 7. 8 Adding Attachments While the message is open (before sending), any type of attachment can be added. GLHC strongly recommends that attachments are sent as a PDF document, to increase ease of opening for the receiving party. The other option is attaching an XML document, this type cane be uploaded into an EMR. It is best to check with the receiver before sending an XML document. Attachment options: 1. Select Click to attach a file 2. Drag and drop the attachment Attached documents will display below the Click to attach a file window. Removing Attachments Click the Delete button (Red x) to remove an attachment. Deleting a message prior to being sent A message can be deleted prior to being sent, select Cancel or select Back to List. The following pop up screen warns the user that anything unsaved will be lost in the process. To delete the message, click OK. Otherwise, click Cancel. 9 Saving a Draft message You can save your message as a draft to be completed and sent later. These messages are save in the Draft folder. Click the Save as Draft button. The message will remain in the Draft folder until it is sent or deleted. Sending a Draft Message Select Drafts and then double-click on the message. Make any necessary changes, including adding a Recipient address, and then click Send. A popup message will appear if there is no recipient address added to the message when sent. 10 Sending to a Non-Direct Recipient Messages can only be sent to a Direct message account. If you attempt to send a message to a non-direct address, the following message will display. Deleting Messages To delete a message, check the box next to the message. Then click the Delete button (red X). Messages can be deleted in batches, check the box next to multiple messages and click Delete. Emptying Trash To remove deleted messages from the Inbox, select dropdown next to the Delete button and click Empty Trash.
