3 Receipts Getting Started with Receivables Technical Support Go to CashPro Online > Support > Help > Contact Us. Introduction CashPro Online can give you a single point of access to information about receipts posted to your account. Centralized access to data and images makes it easier to stay up-to-date on receipts status and your cash flow. This guide provides the information needed to perform the following basic functions in Receivables within CashPro Online: Retrieve receipts information quickly and easily. View receipts information across lockboxes and date ranges with easy-to-use reports. Consolidate many transaction types into one report. Easily navigate and view images with enhanced viewing functionality. Print, export, and reports and selected transactions on those reports. Setting Preferences Setting preferences enables quick report generation, efficient information searches, and customized reporting. To set preferences, complete the following: 2. Click Receipts > Receivables. 3. Click Reports. The default search criteria screen displays. 4. Click Preferences. The Receivables Preferences screen displays. 5. Click the desired tab. 4 6. Select the desired Preferences. Note: Within the General tab, select one of the following PDF Printing options: Faster Export (Black & White): This setting is the default and provides the fastest PDF generation. Draft Quality (Gray Scale): This setting provides the highest image quality, but a larger PDF file size. Image Quality (Color): This setting provides a color image with the highest image quality, but a larger PDF file size. It is available only for color-scanned images. 7. Click Save. Note: To restore default settings, click Reset Default. 8. Repeat steps 5 7 for each Preferences tab, as desired. Viewing a Batch Summary Report You can view a summary of the total number of items included in your deposit by generating a Batch Summary Report. This report can be sorted by lockbox, deposit date, or location. To view a Batch Summary Report, complete the following: 2. Click Receipts > Receivables. 3. Click Reports. The Batch Summary Criteria screen displays. 4. Select the desired Service, if applicable. 5. Select Batch Summary (Standard) from the Report drop-down menu. 6. Select the desired location from the Location drop-down menu. 7. Select the desired Lockboxes. Notes: To select multiple lockboxes, press Ctrl while selecting the desired lockboxes. To select all lockboxes, select the All Lockboxes check box. 8. Select the desired parameter from the Dates drop-down menu. 9. Enter the desired date. 10. Select the desired sort order from the Sort By drop-down menu. 11. Click Submit. The Batch Summary Report displays. Note: To access transaction details on the Batch Detail Report, click the desired lockbox number hyperlink. CashPro Online Getting Started Guide 4

5 Viewing a Batch Detail - Basic Report You can view transaction-level information, such as check number and check amount, by generating a Batch Detail - Basic Report. To view a Batch Detail - Basic Report, complete the following: 2. Click Receipts > Receivables. 3. Click Reports. The Batch Summary Criteria screen displays. 4. Select the desired Service, if applicable. 5. Select Batch Detail Basic (Standard) from the Report drop-down menu. 6. Select the desired location from the Location drop-down menu. 7. Select the desired Lockboxes. Notes: To select multiple lockboxes, press Ctrl while selecting the desired lockboxes. To select all lockboxes, select the All Lockboxes check box. 8. Select the desired parameter from the Dates drop-down menu. 9. Enter the desired date. 10. Select the desired Transaction Type. Note: To select all transactions, select the All Transactions check box. 11. Select the desired Filter. Note: Filter options that display are based on your entitled lockbox locations. 12. Select the desired category from the Category drop-down menu. 13. Select the desired Sort By criteria and sort order from the drop-down menus. 14. Click Submit. The Batch Detail Report displays. 6 Viewing Images Receivables provides the ability to view images of all checks, invoices, and correspondence associated with a transaction on the Batch Detail report. To view images, complete the following: 2. Click Receipts > Receivables. The Receivables screen displays. 3. Click Reports. The Batch Summary Criteria screen displays. 4. Generate a Batch Detail Report. Refer to Viewing a Batch Detail - Basic Report for more information. 5. Click the check ( ) icon for the desired check transaction. Note: When CashPro Online retrieves check image(s), a Security Warning window may display. If this window displays, click Run. The Image Detail window displays. 6. Select an image thumbnail. 7. Use the toolbar above the image to: Zoom in. Zoom out. Magnify portions of the image. Change the image orientation. 8. Select Return to Batch Detail page from the Select an Action drop-down menu to return to the report screen. CashPro Online Getting Started Guide 6

7 Viewing Transaction Details After generating a Batch Detail report, you may view the details for a transaction in one window. To view transaction details, complete the following: 2. Click Receipts > Receivables. The Receivables screen displays. 3. Click Reports. The Batch Summary Criteria screen displays. 4. Generate a Batch Detail Report. Refer to Viewing a Batch Detail - Basic Report for more information. 5. Click the magnifying glass ( ) icon for the desired check transaction. The Transaction Detail window displays the details for the selected transaction. Using Sticky Notes You can use sticky notes to add a note to a check transaction. Adding a note can provide an audit trail for check transactions that have incomplete invoice information. After adding a note, it can be printed, viewed, edited, or deleted. To use sticky notes, complete the following: 2. Click Receipts > Receivables. The Receivables screen displays. 3. Click Reports. The Batch Summary Criteria screen displays. 4. Generate a Batch Detail Report. See Viewing a Batch Detail - Basic Report for more information. 5. From which location do you wish to access the sticky note tool? If... Then... Batch Detail a. Click the sticky note icon ( ) located in the row of the desired transaction. The Report Transaction Notes window displays. Image Viewer b. Go to step 6. a. Click the check icon ( ) located in the row of the desired transaction on the Batch Detail Report. Note: When CashPro Online retrieves transaction image(s), a Security Warning window may display. If this window displays, click Run. The Image Viewer window displays. b. Click the sticky note icon ( ) next to the Transaction ID. The Transaction Notes window displays. c. Go to step 6. 8 6. Complete the desired action: To... Then... Add a note a. Click Add a note. The Add Transaction Note window displays. b. Enter the note. c. Click Save. The new note displays in the Transaction Notes window. Edit a note Note: Only the original author can edit a note. a. Click the edit ( ) icon. The Edit Transaction Note window displays. b. Edit the note, as needed. c. Click Save. The Transaction Note window displays. Print all notes Delete a note a. Click Print all notes. The Print window displays. b. Click Print. Note: Only the original author can delete a note. a. Click the delete ( ) icon. A delete confirmation window displays. b. Click OK. The Transaction Notes window displays. Using Report Functions After generating a report, you can use report functions such as print, export, and within the Select an Action drop-down menu. To use report functions, complete the following: 2. Click Receipts > Receivables. The Receivables screen displays. 3. Click Reports. The Batch Summary Criteria screen displays. 4. Generate a report. Refer to Viewing a Batch Summary Report or Viewing a Batch Detail - Basic Report for more information. A Select an Action drop-down menu displays for the report. 5. Do you wish to print, export, or specific transactions? If... Then... Yes Go to step 6. No Go to step 7. CashPro Online Getting Started Guide 8

9 6. Complete the following actions, as needed: To... Then... Print a. Select the check box for each desired transaction. selected b. Select Print selected transactions from the Select an Action drop-down menu. The transactions Print Transactions window displays. c. Select the desired options. Note: To print only the front side of check images, select the Front side of check images only check box. d. Click OK. A window displays transaction images and data in Portable Document Format (PDF) based on the options selected in step c. e. Click the print icon ( ). The Print window displays. Note: To save the transaction data to a file on a local drive, click the save icon ( ). Refer to the Export selected transaction to a file option below for more information. f. Click Print. Export selected transactions to a file a. Select the check box for each desired transaction. b. Select Export selected transactions from the Select an Action drop-down menu. The Export Transactions window displays. c. Select the desired options. Note: To display invoice and check fields in the same row in a comma-separated value (csv) file, select the Show invoice and check fields in same row check box. d. Click OK. The File Download window displays. e. Click Save. The Save As window displays. f. Navigate to the desired folder. g. Click Save. selected transactions a. To mask sensitive account information, select the Data for the Selected Transactions check box and the Masked account number information for the selected transactions check box. The option for masking account number information displays only if you selected transactions from a lockbox located within the United States or Canada. d. Enter the desired address(es) in the To field. Note: To send a report to multiple recipients, insert a semicolon after each address. e. Enter a Subject and Message, if desired. f. Click OK. Note: If you selected Preview PDF before sending in step c, the Preview window displays. Review the data, as needed. Click Do you wish to print, export, or the entire report? If... Then... Yes Go to step 8. No 8. Complete the following actions, as needed: To... Then... Print the a.
